University Housing University of South Carolina Move-In Guide Get all the details you’ll need to move to the University of South Carolina on August 18, 2012 Deck Out Your Dorm Room Enter the second “best room on-campus” contest! Room Payment In most cases, your semester room fee is included on the same bill as your academic fees. Your bill will be posted on your VIP account (www.vip.sc.edu). Bills are posted after you have signed up for classes, usually mid-July. Payment is due by 5 p.m. on Thursday, August 23, 2012. If you applied for housing after the academic bills have been posted, check your VIP account for current billing and payment information. Housing fees must be paid before the end of the first day of classes. Room Changes Students will be allowed to self-change rooms through VIP (www.vip.sc.edu) beginning Monday, July 2 and can continue to access their housing assignment and make selection changes through Sunday, July 8. We do not anticipate having any apartment-style or suite-style spaces available during this process; the majority of spaces will be in traditional-style residence halls. As University Housing receives cancellations, we will continue to add spaces to the housing assignment system so they can be accessed via VIP. Thus, we recommend you check the housing room change site frequently during the dates above for the most current availability. However, University Housing cannot guarantee there will be a space available. Room changes will not be processed Monday, July 9 through Monday, September 3. Maintenance University Housing has its own in-house maintenance department to respond to students’ needs quickly and efficiently. Students can visit www.housing.sc.edu/fixx.asp to report any non-emergency maintenance concerns or make requests. Emergencies and maintenance problems that may cause permanent damage to property can be reported by calling 803-777-FIXX (3499), Monday through Friday, 8 a.m. - 4:30 p.m. During weekends and after business hours, please contact the RM on duty for your residence hall. Recycling and Trash Each room or apartment will have a blue recycling bin you should use to collect your recyclables. Recycling centers are available on each floor of most residence halls or in the main lobby areas. We accept mixed paper; aluminum and steel cans; plastic bottles, jugs and jars; and batteries. Residents should take non-recyclable trash to the trash rooms in their building or, in traditional buildings, place it in the large trash cans located in the community bathrooms. For more information about recycling in University Housing please visit www.housing.sc.edu/sus_recycle.html. 2 Mail and Packages All residents receive mail and parcels shipped via USPS, UPS, FedEx and DHL addressed to their assigned mailbox located at the Student Mail Center in the Carolina Underground (lower level of the Russell House University Union). Mail and parcels may be shipped to arrive no earlier than August 13, 2012 and must be addressed as follows: Name of Student USC Student Box _____ (5 digit box number) 1400 Greene Street Columbia, SC 29225-0112 Your student box number can be found under the “Personal” tab on VIP after July 15. Do not use “PO Box” in your mailing address. These are campus mailboxes, not US Postal Service PO Boxes. All mail must be addressed as shown above to avoid being returned to sender. USPS, UPS, FedEx and DHL will not deliver mail or parcels addressed to a residence hall. Parcel Email Notifications All parcels will be signed for by USC Postal Service upon arrival at USC and entered into our internal parcel tracking system. Students assigned to a USC mailbox number will receive an email notification from noreply@ sqbx.com in their “Inbox” of their University email account in the following format: From: [email protected] [mailto:[email protected]] Sent: Mon 8/06/2012 9:55 AM To: Doe, John Subject: A package has arrived for you If you are expecting a parcel but have not received a package email notification, please check your “Junk” mail folder. This situation can be corrected by adding “[email protected]” to your “Safe Sender” list. To claim shipped items, you must present your CarolinaCard to the Student Mail Center. More information is available at www.postalservice.sc.edu by clicking on “Student Mail Service” or contacting the Student Mail Center at 803-777-4109. Year-Round Parcel Pick-Up Hours Monday - Friday, 10 a.m. - 5 p.m. (closed on all University holidays) Perishable Items & Medications The University Postal Service does not have storage facilities for perishable items and discourages shipment of such items. Medications requiring refrigeration must be shipped directly to the Thomson Student Health Center for students to pick-up. Important Dates July 15: Box number and mailing address available on VIP August 13: Student Mail Center will begin accepting parcels for fall term. August 17: Fall mail service to student boxes begins. Box combinations available on VIP. 3 What to Do Before Arriving to Campus 1. At Orientation, pick up your CarolinaCard. Your CarolinaCard is your all-in-one passport to campus life at the University. It is your permanent student ID used to check-in on Move-In Day, enter your residence hall and to access your Carolina Cash account and meal plan. The CarolinaCard Office is in the basement of the Russell House and is open Monday through Friday, 8:30 a.m. - 5 p.m. For more information, visit the CarolinaCard Office’s website at carolinacard.sc.edu. 2. Check VIP for your room assignment and roommate information. Contact your roommate prior to Move-In Day. You can send them a message through the Housing Assignment homepage on VIP, located under the Personal tab. Your roommate’s University email address will also be listed with your assignment, however you suitemates’ information (if applicable) will not be listed. 3. Make a packing list. Review the suggested list of items to bring, as well as prohibited items, on page 7. Be sure to talk to your roommate to decide who is bringing shared items to avoid duplicates. 4. Provide proof of Personal Property and Liability Insurance to Housing. Personal Property and Liability Insurance is required for all students. Log into VIP and access your Housing Assignment homepage for submission details. Check with your parents about adding your valuables to their homeowner’s policy or contact an insurance carrier about getting a separate renter’s insurance policy. The University’s insurance only covers those items belonging to the University of South Carolina. 5. If bringing a computer to campus, check network compatibility and purchase necessary accessories. Review the University Technology Services (UTS) website at www.uts.sc.edu for computer recommendations and requirements. Residents will need a 25-foot Ethernet cable to connect to the data jack in your room. Be sure to update your operating system with all critical patches and install antivirus software. You’ll need to know your network username and password to complete your setup on Move-In Day. This information is found under the “Technology” tab on VIP. 4 Be prepared on Move-In Day! Make sure to wear comfortable clothes and shoes. Also, bring a tarp or plastic cover for your belongings just in case of rain. 6. Finalize your parking arrangements. Parking on campus is available to all students whose vehicle displays a valid parking permit. Permits may be purchased from Parking Services. Unless otherwise specified, the permit does not guarantee a parking space. Parking Services is located in the Pendleton Street Garage at the corner of Pickens and Pendleton Streets. Find out more details about parking on campus online at www.sc.edu/vmps/park/html or call the Parking Services Office at 803-777- 5160. 7. Deposit money to your Carolina Cash account. Log in to VIP to add money to your CarolinaCard to use for laundry, books and meal overages. Throughout the year, you can add funds at the CarolinaCard Office in the Russell House Underground, on VIP or at the Automatic Deposit Machines (ADM) in the Thomas Cooper Library, the Business Library and in the Russell House outside the bookstore. 8. Make plans to ship belongings to campus to arrive after August 13. Mail and parcels may be shipped to arrive no earlier than August 13, 2012. Packages can be picked up MoveIn Weekend at the Student Mail Center located in the basement of the Russell House. See page 3 for details about how to ship packages. Packages cannot be delivered to individual residence halls. The USC Student Mail Center will not accept the following shipments: palletized shipments, freight, hazardous materials and oversized shipments. 9. Visit the Welcome Website at www.housing.sc.edu/USCWelcome. This site will be updated throughout the summer with important details about Move-In Day. You will find addresses to residence halls, road closings, information about campus services and other important details. 10. Review pages 10 and 11 of this guide to see your suggested move-in time. Make sure you remember to bring your parking decal that will be mailed to you in July. 11. Check the weather for Columbia, SC for Move-In Weekend. Consider bringing a tarp or plastic to cover belongings while unloading in case of rain. Also, wear comfortable clothes and shoes. Water stations will be available around campus. Loose items can easily be lost or misplaced. All boxes and totes should be labeled with the student’s name, residence hall and room number so they are clearly identified. Carpet and linens The Residence Hall Association (RHA) sponsors a sale of carpets and linens. For details about purchasing items through RHA, call 803-777-4283. LOFTS Lofts must be free-standing (not attached to any walls, ceilings or floors). Additionally, residents must register their lofts with their Campus Office, and all University-provided furnishings must remain in the room. Over 6,000 students live on campus and most residents will move-in on Saturday. What to Do on Move-In Day 1. Make sure you have your CarolinaCard. If you have not picked it up, go to the CarolinaCard Office in the basement of Russell House. CarolinaCard Office Move-In Weekend Hours August 18: 9 a.m. - 5 p.m. August 19: 11 a.m. - 3 p.m. 2. Register your loft. All lofts must be registered with their appropriate Campus Office. Find out where your Campus Office is located on page 13. 3. Go to your residence hall (or designated location found on page 9) to pick up your key. You’ll have to present your CarolinaCard. Only residents are allowed to pick up keys. 4. Prior to moving in your belongings, please inspect your room and complete a Room Condition Report (RCR). If you notice any maintenance issues, contact Housing’s FIXX line at 803-777-3499. Non-emergency maintenance requests throughout the year should be submitted online at www.housing.sc.edu/fixx.asp. You should note the condition of your room and furniture in details on the RCR to avoid damage fees at move-out. 5. Unload belongings in the designated area for your residence hall. Parking Project staff, along with USCPD, will be around campus to direct you to unloading areas close to your residence hall. You’ll have 20 minutes to unload your car. Bring a hand truck or dolly with you. Once you’ve unloaded the car, one person will be required to move your vehicle to a designated parking area. Please make sure someone remains with your belongings. 6. Be patient. Please realize that most residents move-in the first day, so expect crowded halls, long lines and extended wait times. Rest assured, your Residence Life staff will work to ensure you have a smooth transition and check-in process. In an effort to avoid delays and long lines, we encourage all residents to move-in during the suggested time for their floor below. The first digit in your room number will indicate which floor you have been assigned to. Students who can’t move in during the times below are encouraged to come after 2 p.m. Keys can be picked up until 9 p.m. Students will be mailed a packet in July that will include a parking tag which must be displayed to use the designated 20-minute unloading zones near the entrance of the residence hall. Only one vehicle per student will be allowed in the unloading zone at one time and someone will need to remain with the belongings while the car is moved to a long-term parking area. Additionally, we strongly recommend that each resident brings his or her own dolly/cart. Be sure to check out the Welcome Website (www.housing.sc.edu/USCWelcome) throughout the summer for more details about Move-In Weekend. Registration is free and can be completed at www.sc.edu/vmps/bike.html or inperson at Parking Services. Bicycle racks are located throughout campus and bike owners must use these racks to secure their bikes. Carolina Dining Meal plans will be activated on Move-In Day, Saturday, August 18. One swipe on your meal plan pays for your meal at our all-you-can-eat café or for any value meal deal at our other dining locations. There are three meal periods throughout the day. Students can use one swipe per meal period. Meal Periods • Breakfast: 5 a.m. - 10:59 a.m. • Lunch: 11 a.m. - 3:59 p.m. • Dinner: 4 p.m. - 3:59 a.m. Residential Traditional Meal Plan Options* 10 meals per week • 14 meals per week 16 meals per week • 21 meals per week Swipe Credits Swipe credits give you the option to alternate from the value meal deal and purchase that “special” treat you’ve been craving. Swipe credits are the equivalency of: • Breakfast: $4.85 • Lunch: $6.09 • Dinner: $6.50 If you exceed your swipe credit, you can pay with Bonus Bucks, Carolina Cash, credit/debit cards or cash. *Freshmen are required to purchase at least a 10-meal plan. Bates House residents are required to have a minimum 14-meal plan. Preston residents are required to purchase a Preston Meal Plan. 12 Safety Residents are responsible for their own safety and security. Campus safety and security begins with you! Students are encouraged to protect their property with these free services offered by the Division of Law Enforcement and Safety: Project S.T.O.P. (Stop Theft of Property) For enhanced property identification, students can register their property for free online with the Division of Law Enforcement and Safety. Protect Your Laptop Students using a University email account can install Front Door Software on their personal laptop for free. This software will allow the Division of Law Enforcement and Safety to track the laptop if lost or stolen. To learn more about these free services, safety programs, safety issues, crime alerts, emergency preparedness information and the Annual Campus Security Report, visit www.les.sc.edu or call Law Enforcement and Safety at 803-777-8400. Telephone Services Telephone landline service for residence halls is available by request only for a fee. Local, long distance and voice mail is available. Residents must request these services on VIP under the “Technology” tab prior to the beginning of each semester.
