Proceed over the Arthur Laing Bridge, Keep right and follow the signs to Granville Street and city center
Go along Granville Street (approximately 8 km), then over the Granville Bridge
Take the Seymour exit off Granville Bridge
Follow Seymour Street 7 blocks to Georgia and turn left (west)
Head west along Georgia Street, approximately 12 blocks to Stanley Park

BEAR AWARE
Yes it is true! Whistler is in the middle of bear country and home to approximately 100 black bears. Bears are
typically active from mid-March through late fall. You must dispose of your garbage and recycling correctly in
bear-proof bins. Bears have a keen sense of smell and are attracted by food and garbage, even if stored in a
truck or car. Cooking and kitchen smells through open windows and doors, barbecuing, bird feeders, composts,
fruit trees, and dog food will also attract bears. Bears can climb stairs, ropes and trees, enter buildings, and
smash car windows or truck bed cabs to investigate.

Never feed a bear.
Never approach a bear for any reason.
If you see a bear in your neighborhood, bring your children and pets indoors. It is probably just passing
through.
If you come across a bear while walking,
• Stop.
• Remain calm.
• Never run. A bear can outrun you.
• Back up slowly facing the bear.
• Speak in a normal tone of voice so the bear can identify you and continue to back up.
• If a bear approaches, talk louder and wave your arms or a stick above your head. Escape to a secure
building or car, if possible. Climbing a small tree may be effective, but bears are agile climbers.

Whistler is currently working toward becoming a provincially designated bear-smart community. The Get Bear
Smart Society (GBS) is a registered Canadian charity that works hard to ensure people and bears safely and
respectfully coexist wherever their homes and home ranges overlap. The Fairmont Chateau Whistler is a proud

Bell Staff are located at the main entrance of the hotel. They will be happy to assist you with porterage, luggage

BILLING/CREDIT
Deposits and payments are due based upon the terms outlined in your Letter of Agreement. Please be sure to
advise your Conference Services Manager in advance for any specific instructions on how you would like your
bill organized. We do recommend on-site daily billing review with an accounting representative. The final bill
will be sent to the contact on the original contract unless otherwise stated, please review this address to ensure
proper billing.
Cash payouts may be arranged in advance through your Conference Services Manager. Two (2) weeks notice,
an outline of denominations needed and a pre-paid advance deposit are required.
For hotel credit / direct billing groups are required to provide a minimum of 3 recent hotel references. Inquire
with your Conference Services Manager for a credit application.
BOOK SELLERS
There is a fee of $250.00 + 5% GST for anyone wishing to setup a bookstore stand in the hotel during a
program or event. The location of this setup must be directly outside a meeting room or inside the meeting room
itself.
CAR DISPLAYS IN THE BALLROOM
Vehicle displays in any of our ballrooms are subject to the following conditions:
•
The vehicle(s) must have either a completely full or completely empty tank of gas while displayed
within the ballroom. Gas in liquid form is less flammable then gas in its gaseous form.
•
The vehicle(s) is not permitted to be driven into the ballroom but must be pushed.
•
When the vehicle(s) is pushed into the ballroom, plywood must cover the vehicle(s) path to avoid
damage of the carpet. Also a drop cloth must also be used to avoid damage.
•
Once the vehicle(s) have been placed within the designated area and a drop cloth is beneath the vehicle,
the battery of the vehicle(s) must be disconnected.
•
The process as described above must be duplicated when removing the vehicle(s) from the ballroom.
•
For moving vehicles/large objects through the Macdonald A doors into the Ballroom, the dimensions of
the doors are: 95 inches wide and 9.5 feet high.

Check-in time is 4:00pm and check-out time is 11:00am.
Express check-out forms are located in the lobby of the hotel. The form can be dropped off at the Front Desk or
the express check out box located in the lobby with the balance of your stay being settled to your credit card on

EMERGENCIES
Dial ‘5’ – If you dial ‘5’ on any house phone or guest room phone you will bypass all calls and speak to Royal
Service without delay. This number is an unrestricted emergency line, our Emergency Response Team is
notified immediately and there is always an Occupational First Aid Attendant on the floor at all times.
FIRE PROCEDURES
The Fairmont Chateau Whistler is equipped with the latest in fire detection and communication. When the
alarm sounds, the elevators will descend immediately to the lobby and remain there until the alarm is cleared.
In the event of an emergency, the hotel will communicate with all guests by announcing the status of the alarm
via the public address system.
SECURITY SERVICES
The Fairmont Chateau Whistler has an Occupational First Aid Attendant on duty 24 hours a day. The first aid
attendants can attend to minor injuries; illness should be treated by medical professionals.

Minimum age for alcohol, beer and wine consumption in British Columbia is 19 years old. Liquor, beer and

American and International Associations are entitled to specific importation privileges. All that is required is a
letter to Canada Customs at the regional office closest to where the event is being held.
This letter should state:
1. convention date
2. location where the convention will be held
3. request for temporary importation privileges
4. types of products to be brought into Canada
Organizations from outside Canada can bring in most printed material and souvenirs to be used at their
convention. Any equipment such as projectors, cameras, lighting equipment, typewriters and PCs can also be
brought into Canada free of duty and taxes as long as it is exported at the end of the convention. Foreign
exhibitors may also import display goods for up to six months. Please note that a security deposit may be
required for temporary imports.
Please contact the Trades, Conventions, Exhibitions Unit of Canada Customs for detailed information regarding
formalities and documentation at least one month prior to arrival.

Important Information to Remember:
1. Notify Revenue Canada in writing of your event, including your importation and shipping plans at least
three months in advance. Be sure you have received a Letter of Recognition in return.
2. Designate a representative or hire a customs broker and inform them about your event, including the
requirement that they be available to Revenue Canada on-site when your materials arrive. Be sure that
both your representative and your delegates receive a copy of the Letter of Recognition.
3. Be sure all parties are aware of the Canadian regulations governing goods brought into the country.

rights of their members - the creators and publishers of music – must be paid for the public performance and
communication to the public of their music.
A licensing fee must be collected, as set by the Copyright Board of Canada, from anyone playing or

Government Sales Tax Rebate:
Only non-Canadian programs are applicable to receive a GST rebate. This is a service we provide for our
clients at the hotel and is not a mandatory service.
Programs that do not include room accommodations on the master invoice will not be included in this tax
rebate program. We also do not offer this rebate for leisure programs such as incentives, golf trips, top
producers, weddings and catering only programs.
Please remember, the GST rebate form we ask be completed does not bind us to offer 100% GST rebate on
room accommodations and 50% on food & beverage charges. The purpose of this form is to offer GST rebates
if the program in question qualifies for these rebates. If you do not receive the rebates on your final invoice, it
is because your group did not qualify for it.

If you are coordinating an incentive program and requesting the food and beverage 50% exemption because you
are having a business meeting or two then you will need to get a GST ruling from Revenue Canada. You will
need to write a letter to Revenue Canada giving the details of the event and if a favorable ruling is received
please forward this to us so we could process the rebate. We cannot submit the request on your group’s behalf.
