ACCESSING GRADE REPORTING MODULE
GRADE REPORTING MENU (GR001)
To access the Grade Reporting Module from the SchoolMAX Main Menu (SY000), click the Grade
Reporting Tab. The Grade Reporting Menu screen (GR001) will appear as shown below. The
Grade Reporting Menu is broken down into five submodules: Entry/Maintenance, Information,
Process, Reports, and Set Up.
GR001 GRADE REPORTING MENU
You can access any Grade Reporting Module screen from GR001 by simply clicking on its tab,
or by entering its number in the Next Screen field. Screen GR003 is the menu for all grade
reporting setup screens.

All Grade Reporting set up and table screens are accessed through GR003. You can access
GR003 by clicking its tab on the Grade Reporting Menu (GR001) or by entering “GR003” in the
next screen field on any screen.

COPY GRADE REPORTING DATA (GR330)
GR330 COPY GRADE REPORTING DATA
Use this screen to copy all or selected grade reporting data from one year to next. You can also
copy selected data from one house to another, from one department to another, or from course to
course(s). Using this screen will save time and effort; however, you will need to review all setup
and table screens to make certain that the copied data is applicable to the new school year.
Key Fields

Copying Grade Reporting Data from One Year to Next
DIST, SCHL, and both School Year fields will pre-fill. Change these fields if
necessary and press <Enter>. Make certain the coming school year is in the “to
School Year” field.
Designate the kinds of data you want to copy to the new year by clicking the
appropriate check box in the Data to be Copied box. Choices include:
■
Grades and Values—Copies school grades and their equivalent values from
GR205.
■
Grade Types—Copies grade types from GR220. Examples: term grade,
quarter grade, final grade, etc.
■
Grading Pattern Requirements—Copies grading patterns requirements for a
house, department, or course from GR230.
■
Grading Strategies—Copies grading strategies from GR210. Some strategies
may include plus and minus grades, some may be competency-based, etc
■
Honor Roll Table—Copies honor roll tables established on GR240. Defines
all possible honor roll ranges for the school.
■
Comment Groups—Copies comment groups established on GR212. Can have
multiple comment groups based on courses, teachers, general, department, etc.
■
Report Card Formats—Copies report card formats established on GR245.
Designate the range of data to be copied by choosing one of the options in the For
Grading Pattern Requirements box. The kinds of data designated in the Data to
be Copied box will apply to your selection here. Choices include:

Entire School—Click this check box to copy the selected data for the entire
school.
All Houses—Click this check box to copy the selected data for all houses in
the school.
All Departments—Click this check box to copy the selected data for all
departments in the school.
All Courses—Click this check box to copy the selected data for all courses in
the school.
From House to House—Copy this selected data from one house to another.
From Department to Department—Copy this selected data from one
department to another.
From Course to Course—Copy this selected data from one course to up to
four other courses.
After designating the kinds and range of data to be copied, press <Enter>. Check
the status line at the bottom of the screen for messages.

Tip: After copying your Grade Reporting data to the new school year, check the
following screens to make certain that the copied data is applicable to the courses in the
new school year:

GR235 GR Exclusions and GPA Factors—Check to make certain all
courses have the correct number of credits, exclusions, GPAs, and weights.
GR230 Grading Pattern Requirements—Copying grade reporting data via
GR330 does not create class grading patterns. Go to GR230 to create class
grading patterns for the new year once you have copied your master schedule
to version 00.

Use this screen to:

Number of Grade Reporting Periods—Number of times in a year you wish to
report student grades
In Attendance Reporting Box:
Begin Date—Beginning date for attendance reporting period
End Date—Ending date for attendance reporting period
For Grade Reporting Box:
Eligible Date—If a student drops a class before this date, he/she will not be
listed on the scan sheet and will not receive a grade for the class
Grade Entry Cutoff Date—Date beyond which teachers can no longer
enter/update grades on GR268 Class Grades Entry or via i-Cue. Note:
Administrators can change grades after the cutoff date using GR275 Student
Grade Correction.
GPA Definition Box:
GPA 1 Cumulative—Always the cumulative GPA
GPA 2 GR Period—Averages grades for the current grading period only
GPA3 & GPA4—User defined
Set Transcript Report and Grade Post Error Report Parameters
Transcript Report—Designates the transcript report that will print when you click
the “Print Transcript” button on TN220 or TN420
Sequence—Sequence of the specified transcript report that will print from TN220
or TN420
Grade Post Error Spacing—designate line spacing on the error report you receive
after scanning grades
Inquire into Grade Reporting Parameters for Particular School and Year
The DIST, SCH YR,Error! Bookmark not defined. and SCHL key fields will
pre-fill when you access GR225. Change these key fields if appropriate and press
<Enter>.
Check the status line at the bottom of the screen for messages.
Add or Change Grade Reporting Parameters
Inquire into GR225 for the appropriate school and school year, as described
above.
Highlight Add or Chg (Change) in the maintenance list box.
Enter or change the number of grade reporting periods for the school year in the
Number of Grade Reporting Periods field.

Final Grade Calculation box:
Create Class Grading Patterns—Select only if you want the system to include
automatic final grade calculation in your class grading patterns and calculate
final grades for your classes. Note that class grading patterns are defined on
GR232 Class Grading Pattern.
Use Alternate Value—Select only if you defined two sets of grade values on
GR205 Grades and Values and you wish the system to calculate final grades
based on the alternate value.
For Attendance Reporting box—Enter or change the Begin and End dates for
each grade reporting period.
For Grade Reporting box—Enter or change the Eligible Date and the Grade
Entry Cutoff Date for each grade reporting period.
GPA Definition box—Follow the directions in Define GPAs below.
When finished adding or changing all applicable parameters, press <Enter>.
Check the status line at the bottom of the screen for messages.
Define GPAs
Inquire into GR225 for the appropriate school and school year, as described
above.
Highlight Chg (Change) in the maintenance list box.
GPA1 (Cumulative) and GPA2 (GR Period) are mandatory and cannot be
redefined, except for the three fields on the right:

Apply Wt—Select this check box to apply the weighting factors specified for
each course on GR235 GR Exclusions and GPA Factors.
■
Use Final Grde Only—Select this check box to use only the final grade in
calculating this GPA.
■
GPA Crs Ty—Specify what GPA Course Type will be included in the GPA.
GPA course types are defined on GR235.
GPA3 and GPA4 are optional GPA calculation definitions, which a school can
define for itself. For example, you can create a GPA that includes only academic
or scholastic courses. Or you can use this option to create a year-to-date GPA. In
addition to the three fields at the right, the following options apply to these
optional GPAs:
None—Click this radio button if you do not want to use the GPA option.
Cumulative—Click this radio button if you want the GPA to be cumulative.
GR Period—Click this radio button if you want the GPA to include only the
current grade reporting period.
Year-to-Date—Click this radio button if you want to the GPA to include all
grades in the year up to and including the current grade reporting period.

Description—Enter a short description (10 characters or fewer) of the GPA
option.
Delete Grade Reporting Parameters

Add a New Grading Strategy

GR205 Grades and Values.
Minimum for Final Comp—Enter the minimum number of grade points a student
needs to earn the grade (if applicable). Used if the system computes final grades.
No Adj check box—Clicking in this check box excludes the grade from any
weighing or adjustments defined for the grade on GR235 Exclusions and GPA
Factors.

teacher’s comments, reading competency, etc.

Note that you also can create a new comment group by inquiring into an existing
comment group, making appropriate changes, and assigning a new comment

Enter a grade type and term code. Valid grade types for your school are listed on
GR220. Valid term codes are listed on SC282. The description and source of the
grade type will appear when you process the addition.
Select the Grade Reporting Periods when you want the grade reported.
Specify a weight for the grade type.
Click the Create Class Grading Patterns button at the bottom right of the
screen. This will apply the grading pattern requirements you just created to
courses created in the Scheduling module.
You must copy your master schedule to version 00 before using the Create
Class Grading Patterns button.
If you run this process more than once, remember that if you have manually
deleted class grading patterns for individual classes, they will be recreated.
Change a Grading Pattern Requirement
Note that you can change grade pattern requirements made at your administrative
level. Only school administrators can change grade pattern requirements made at
the school level, and only department administrators can change requirements at

the department level. The level of grade pattern requirement is show in the
“Source” field.

this class.

Enter the grading strategy and comment group numbers.
Click the Calculate Final Grade box if you want the system to calculate the final
grade.
Enter the grading report period in which you want the final grade reported in the
GR Period for Final Grade field.
For each new grade type:
Enter an “A” in the A/C/D field on the left.
Enter a grade type.
Click on the appropriate grading period radio buttons to designate the grading
period(s) when the grade will be reported.
Enter the grade’s weight for the final grade calculation (default = 1.000). This
is necessary for the GPA to be calculated
After you have finished adding all the grade types, press <Enter>.

radio buttons and the For Final Grade Calculation Weight field. Note that you
cannot change the Grade Type. To change a grade type, you must delete the
grade type entirely and create a new grade type entry.

To display a particular course, either page through the list of courses until you
reach the one you want, or enter the course’s number in the next course field

Other fields providing information on the course will display directly below or to
the right of the course title. These include:
Credit—Number of credit awarded for completion of course
Prog Gr Type—Progress report grade type (defined on GR282)

Change the Method of GPA Calculation for a Course
Inquire into a school’s GR235 screen and display the course you wish to change,
as described above.
To exclude a course from one or more GPA calculations, click the “Excl” check
box next to the GPA. GPA options include:
Cumulative—Cumulative GPA for year
Mid-Term—Mid-Term GPA
GPA 3—Alternative GPA defined on GR225
GPA 4—Alternative GPA defined on GR225
If you wish to add or change the additive adjustment factor for the course, enter it
in the “Add Adj” field. It will affect (boost) any non-excluded GPAs. The GPA
calculation becomes the sum of Credits X [Grade value + Add Adj] ÷ Attempted

Credits. If you have an additive adjustment factor, the Mult Adj field should be
set to 1.00.
If you wish to change or add the multiplicative adjustment factor for a GPA, enter
it into the “Mult Adj” field. (This weight adjustment corresponds to the legacy
system’s X-factor). The GPA calculation becomes the sum of Credits X [Mark
value X Mult Adj] ÷ Attempted Credits. If you use a multiplicative adjustment
factor, the Add Adj field should be set to 0.00.
If you want to change or add the weight of the credits students receive for
completing this course, enter the credit weight in the “Weight” field. The normal
weight of a class is 1.00. You can adjust it up or down. The GPA calculation
becomes the sum of [Credits X Weight Factor] X Mark value ÷ Weighted Credits.
When a weight factor of 2.0 is applied, the mark has the effect of receiving 2 of
those marks, compared to other marks with a value of 1. In Osiris, “Course
Weight” is the result of applying a weight factor to the course credits, and so it is
actually the weighted credit value of a course.

the GPA and Class Rank types you want to print on the report card. Descriptions
of the GPA and Class Rank types can be found on GR225. Also click the
appropriate Course Section information radio button. The choices are a 6character course number with separate section number, or a 10-character course
only number.
Specify the report card’s layout in the Report Card Layout box. SchoolMAX
allows up to 8 columns on a report card. Other layout parameters include:
Col Hdg—The column headings you want to print on the report card.
Grade Type—The grade type you want to print under each of your designated
column headings. You can obtain a list of valid grade types by clicking on the
down arrow in the Grade Types list box. Clicking on the down arrow will
produce a drop-down list of grade types. Select a grade type by highlighting it
and pressing <Enter>.
GR Period—The grade reporting period in which the grade type should print
on the report card.
After you have finished defining the new report card parameters, press <Enter>.

Add or Change Student Grades
Inquire into the Grade Entry Record for the class for which you want to enter or
change grades.
A student roster for the class should appear. The Gr (Grade), Name, Drop Date,
and ID number fields should pre-fill if appropriate for the student. These fields
cannot be changed.
Enter or change grades and comments as appropriate. You can enter up to 3
comments per student.
For a drop-down list of valid grades for this course, click on the down arrow
in the Grades list box.
For a drop-down list of valid comments for this course, click on the down
arrow in the Comments list box.
If a student appears in the “Next” field (lower right), there are more students on
another screen(s). Press <Enter> to display the next screen of students.
After you have finished adding or changing grades and comments for all
applicable students, press <Enter>. NOTE: If an invalid grade has been entered,
correct it before pressing <Enter> or moving to another screen. If you don’t
correct the error, all of your grade entries will be lost.

Mid-Term Class Section Changes
If a student changes class sections mid-term and term grades have already been assigned in the
old section, follow these steps:
Add the student to the new class section and assign the term grade from the old
section to the new section on GR268.
Enter “NG” (No Grade) as the final grade (ZZ) for the old section.

grades or add a grade where the field is blank. Existing grades or blanks indicate that grade type

grading period. This screen also allows you to recalculate the student’s GPA.

If a grade type appears in the white field (upper right) below the “Next GrTy”
button, there are more grade types. Press the “Next GrTy” button to display
more grade types.
If a course number appears in the “Next” field (lower right), there are more
courses on another screen(s). Press the “Next Crs” button to display the next
screen of courses.
After you have finished adding or changing grades for all appropriate courses,
press <Enter>. NOTE: If an invalid grade has been entered, correct it before

This screen should be used to change or enter grades for a student when you are dealing with
multiple term codes. The entire year will view on the screen. If a student has started the course,
dropped the course, and re-entered, the course/section will appear multiple times, but print only
once. Manually entered grades are not overwritten by the scanning process.

Add a Student’s Transcript Header
Inquire into the student’s Transcript Header, as described above. If the student’s
family member record (CE220) and enrollment record (ST208/ST210) have been
created, the student’s personal information will display, including Gr (Grade), Enr
Stat (Enrollment Status), Last Name, First (Name), Middle (Initial), To (Parent or
Guardian Name and Address), Sur (Generation Indicator), Birthdate, M/F, SSN
(Social Security Number), Ethnic (Ethnicity Code), State ID (Number), Language
(Code), Hm (Home) Phone, and Graduation Standard Year.
Highlight Add in the maintenance list box.
Enter the relevant transcript header information, including:
Graduation Type—District-defined graduation code
College Entry—Student’s college entry code
Graduation Status—Student’s graduation status; codes are defined on TN282
Post Secondary Plans—Student’s plans after graduation; values are defined on
TN282
K-12 Enrollment Status—Has student enrolled in K-12 school (adults only)
Graduation Date—Date student graduated or will graduate
Certification Date—Student’s certification date
Post Secondary Grad Status—Post-secondary graduate status or degree earned
(adults only), valid values are defined on TN282
Foreign Degree Status—Check if student’s highest degree or diploma was
earned outside the U.S. (adults only)
Yrs of School Completed—Applies to vocational education performancebased programs. Indicates the number of years of formal education the

Inquire into a Transcript Note
To access the Transcript Notes screen, click the “Notes” navigation button on
TN210 Student Transcript Header. If notes already exist for this student, the
most recent note will display.
On the Transcript Notes screen, enter the date of the note you want to view.
To search for notes by keyword, enter the keyword in the Keyword field and press
<Enter>. OR you can use the adjacent list box to obtain a list of keywords

associated with this student’s transcript notes. Select the “Keyword” radio button,
and click on the down arrow at the right of the list box to produce a list of
keywords. Clicking on the “More” button will display more keywords. Select a
keyword by highlighting it on the list and pressing <Enter>. The most recent
note associated with that keyword will display.
To search for notes by initials of the person who created the note, enter the
person’s initials in the Initials field. OR you can use the adjacent list box to
obtain a list of initials associated with this student’s transcript notes. Select the
“Initials” radio button, and click on the down arrow at the right of the list box to
produce a list of initials. Clicking on the “More” button will display more initials.
Select a set of initials by highlighting it on the list and pressing <Enter>. The
most recent note associated with those initials will display.
To view a note other than the most recent for that student, keyword, or initials,
you can:

Enter the date of the desired note (if known) and press <Enter>.

Click the “Prev” button at the lower right to view the previous note.
■
Click the “Next” button at the lower right to view the next note.
To view the next page in the note, enter the next page number in the “Page” field
and press <Enter>.
Add a Transcript Note
Access the Transcript Note screen from TN210.
If no notes exist for the student, a blank screen will display. If notes exist for the
student, the most recent note will display. To display a blank screen, click the
“Add New” button in the lower right.
Highlight Add in the maintenance list box.
Enter a Keyword to assist in identifying the note.
Enter your Initials.
Enter the text of the note.
Press <Enter>. Check the status line at the bottom of the screen for messages.
Change a Transcript Note
Access the Transcript Note screen from TN210 and display the note you want to
change, as described above.
Highlight Chg in the maintenance list box.
Make appropriate changes to the text of the note or to the Keyword.
Press <Enter>. Check the status line at the bottom of the screen for messages.

The student’s background information appearing below the student’s ID number
should display when you inquire into the student’s records. These fields include:
Grad Type—District-defined graduation code
Grad Date—Student’s planned graduation date
College Entry—Code for student’s post-secondary plans, defined on TN282
Cert Date—Certification date
Transfer School—School where the course was taken or last school from
which the student transferred
The student’s existing transcript records will display below.
In the A/C/D field at the left of a blank record, enter “A.”
Enter the Year, Course (number), Section, Grade (earned by student), and Course
Title. (All are required fields.)
Enter information in the other fields, if known. These include:
Term Cd—Term Code. For external courses, leave this field blank.
Dept—Department
Value—Grade point value for course (fills automatically)
Credits Attempted—Credits Attempted
Honor Points—Honor points for completing course (fills automatically)
Credits Earned—Graduation credits the student actually earned for the course.
Enr Grade—Student’s enrolled grade
Teacher—Course teacher’s employee number.
Aux Grades—Auxiliary or additional grades (besides final grade) posted to
transcript. These are defined on GR255 Grade Mapping Maintenance.

Change the information in all appropriate fields for that record. Remember that
the Year, Course, Section, Grade, and Course Title fields are required.
If a year, course, and section number appear in the “Next” fields at the bottom of
the screen, there are more transcript records for the student on another screen(s).
Press <Enter> to display the next screen of transcripts.
After you have made changes to all appropriate records, press <Enter>. Check
the status line at the bottom of the screen for messages.
Note that the GPA field just below the last record is not automatically updated
when you add or change a transcript record. To update the student’s GPA, run a
GRRANKCALC report.
Delete Student Transcript Record
Inquire into the student’s transcript records, as described above.
In the A/C/D field at the left of the record you want to delete, enter “D.”
Press <Enter>. Check the status line at the bottom of the screen for messages.
Print Student Transcript
Inquire into the student’s transcript records, as described above. Make any
necessary changes, additions, or deletions.
Designate the Destination (which printer or e-mail address) for the transcript.
Enter the Report Sequence for the transcript.
Press the “Print Transcript” button. The transcript format is determined by the
entries on GR225 Grade Reporting Parameters.

highlighting his or her name and pressing <Enter>. The M/F, Grade, and Enr
Stat (Enrollment Status) fields should fill with the student’s information.
Enter the COURSE, SECTION, DEPT, and TERM CODE for the course for
which you want to view the transcript. Or click on the down arrow in the
STUDENT TRANSCRIPT LIST box. A drop-down list of the student’s
transcript records will appear. Select a record by highlighting and clicking it.
Press <Enter>. The remaining fields will display with the available transcript
information for that class.
Add a Student Transcript Record
Inquire into the student’s transcript records, as described above.
Highlight Add in the maintenance list box.
Enter the Grade and Class Title.
Enter the TERM CODE for internal classes. For external classes, leave this field
blank.
Enter the Attempted Credits and Earned Credits.
Enter information in other fields, if appropriate. These include:
Enr Grade—Student’s enrolled grade
Teacher—Course teacher’s employee number. Name will automatically
display next to ID number.
Aux Grades—Auxiliary grades. Additional grades (besides final grade)
posted to transcript. These are defined on GR255 Grade Mapping
Maintenance.
Transfer School—School where the course was taken if not taken at school in
the SCHL key field.
Press <Enter>. Check the status line at the bottom of the screen for messages.

GR460 STUDENT GRADE INFORMATION
GR460 is like a final report card on-line. It shows all final grades, credits earned, attendance for
the year, GPA, and Class Rank. Also shown is a cumulative before, totals from other schools,
this year, and cumulative after look at the student’s attempted credits, grade points, and credits
toward graduation. The grade information displayed cannot be changed from this screen.

GR265 STUDENT’S CREDITS AND HONOR POINTS
Use this screen to view and update a student’s previous grade points, attempted credits, and
credits earned. This screen can also be used to enter beginning credits and honor points for a
student transferring from another district. Note: Do not update GR265 if you update TN220.
TN220 automatically updates this screen.

Inquire into a Student’s Credits and Honor Points
The DIST, SCHL, and SCHL YR key fields will pre-fill when you access GR275.
Change these key fields if appropriate and press <Enter>.
Enter the student’s ID NUMBER. You can also search for a student ID by
entering at least 3 characters from the student’s last name in the SEARCH box
and pressing <Enter>. Select a student from the drop-down list by highlighting
his or her name and pressing <Enter>.
Check the status line at the bottom of the screen for messages.
The Last Period Calculated, Last Rank Calculation, and Grade (Gr) for this
student will display at the top right.
Highlight First in the maintenance list box and press <Enter> to display the
record of the first student in the database. Records are arranged consecutively by
student number. You can also double click First to display the first student’s
record.
Highlight Next in the maintenance list box and press <Enter> to display the
record of the next student in the database. You can also double click Next.
Highlight Last in the maintenance list box and press <Enter> to display the last
student record in the database. You can also double click Last.
Highlight Back in the maintenance list box and press <Enter> to display the
previous student record in the database. You can also double click Back.
Add a Credits and Honor Points Record
For a student transferring from another district, you must first create a
ST208/ST210 Student Enrollment record. Then you can create a GR265 record to
record the student’s credits and honor points from the other school(s).
Inquire into the student’s Credits and Honor Points Record, as described above.
If there is no record for the student, a Record not found message will display in
the status line at the bottom of the screen.
Highlight Add in the maintenance list box.
Enter the student’s Attempted Credits, Honor Points, and/or Earned Credits in the
applicable white fields in the Adjustment column. Note that the GPA descriptions
are defined on GR225 Grade Reporting Parameters.
Press <Enter>. Check the status line at the bottom of the screen for messages.
To update the student’s GPA and class rank, you must run the GRRANKCALC
report.
Change a Credits and Honor Points Record
Inquire into the student’s Credits and Honor Points Record, as described above.
Highlight Chg in the maintenance list box.

The Last Period Calculated, (date of) Last Rank Calculation, and Grade (Gr) for
the student will display in the upper right.
Enter the additional attempted credits and honor points for each of the affected
GPAs and/or Earned Credits. (Earned credits is applicable to all GPAs.)
A decimal is required in all Adjustment fields, but you do not need to add
zeros after the decimal. The system automatically adds the zeros.
Remember that adjustments are cumulative. For example, if you previously
added two attempted credits for this school year, and want to add two more,
change the adjustment figure to 4.
To delete a previously entered adjustment, change the adjustment value to 0.
Press <Enter>. Check the status line at the bottom of the screen for messages.
If “GPA/Class Ranks Need Recalculation” appears in red next to the navigation
buttons, adjustments have been made to the student’s credits and honor points and
you need to recalculate the student’s GPA and class rank. To update the student’s
GPA and class rank, you must run the GRRANKCALC report. After running the
report, inquire again into the student’s GR265 record, as described above, for the
updated GPA and class rank.
Delete a Credits and Honor Points Record
Inquire into the student’s Credits and Honor Points Record, as described above.
Highlight Del in the maintenance list box.
Press <Enter>. Check the status line at the bottom of the screen for messages.

can view, change, or delete exclusions (from grade reporting, for example) for the

Enter the course number in the COURSE field, and the section number in the
SECTION field.
Press <Enter>. The student roster for that course will display. The grade,
student name, Add Date, Drop Date, and ID number will automatically fill in.
The Percentage of Credit Attempted and Earned fields will display 100.0
(percent). Change these numbers for each appropriate student to indicate what
partial credit the student earned for a partially completed class.
If a student name and ID number appear in the “Next” fields (white fields at right
and left sides of the bottom of the screen), there are more students on another
screen(s). Press <Enter> to display the next screen of students.
Once you have finished entering partial credit overrides for all appropriate
students, press <Enter>. Check the status line at the bottom of the screen for
messages.

Use this screen to view a student’s transcript by school. The transcript information displayed
cannot be changed from this screen. The navigation buttons at the bottom of the screen and the
arrow buttons at the left of entries will take you to screens where transcript information may be
changed, added, or deleted.

The DIST and SCHL key fields will pre-fill when you access TN420. Change
these key fields if appropriate and press <Enter>.
Enter the student’s ID NUMBER and press <Enter>. You can also search for a
student ID by entering at least 3 characters from the student’s last name in the
SEARCH box and pressing <Enter>. Select a student from the drop-down list by
highlighting his or her name and pressing <Enter>. The M/F, Grade, and Enr
Stat (Enrollment Status) fields should fill with the student’s information.
Select the order in which the transcript is to be sorted (by Year or by Department)
by clicking the appropriate radio button.
Press <Enter>. The remaining fields will display the available transcript
information for that student at the selected school.

Arrow button—Click to go directly to the student’s TN221 Student
Transcript – Single Record for this course
Schl—School where the course was taken
Dept—Department to which course is assigned

Print a Transcript
View the student’s transcript records as described above.
Designate the Destination (which printer or e-mail address) for the transcript.
Enter the Report Sequence for the transcript.
Press the “Print Transcript” button. The transcript format is determined by the
entries on GR225 Grade Reporting Parameters.

Use this screen to view a student’s required, earned, and needed graduation credits by
department. Before GR430 can be effectively used, you must specify each department’s
required credits on SC280 Departments and assign courses to departments on SC231 Course
Descriptions. Note that the course information cannot be changed from this screen. The
navigation buttons at the bottom of the screen can take you to screens where student credit
information can be changed. A grad standard year must also be assigned on the student’s CE220
Family Member record.

Use this screen to define and calculate intermediate grades. An intermediate grade includes
grades from more than one grading period and/or more than one grade type, but are not final
grades. You can assign a percentage of the calculated grade to each component grade.

Inquire into Intermediate Grade Calculation Record

Highlight Inq in the maintenance list box.
Enter the CALCULATION NAME or click on the down arrow in the
CALCULATION LIST box to display a drop-down list of intermediate grade
calculation names. Select a calculation name by highlighting it. The calculation
name will remain in the CALCULATION NAME field highlighted.
Press <Enter>. The calculation values will display below. Check the status line
at the bottom of the screen for messages.
Add an Intermediate Grade Calculation Record
Add a new intermediate grade calculation if you need to calculate a grade based
on several other grades at a time other than year-end. For example, if your school
assigns grades for each quarter, you can set up an intermediate grade that
calculates the semester grades based on those quarter grades.
Highlight Add in the maintenance list box.
Enter the applicable Grade Type and Grade Reporting Period in the fields
underneath the Calculate to heading. (Required)
Under the For heading, enter a Term Code and/or Department. This will limit the
calculation to just the selected term code and/or department. (Optional)
In the Include these grades in the calculation box, specify which grade types
you want to include in the intermediate grade calculation. For each grade type,
specify the grade period and weight to be applied. The weights of the all the
included grade types must add up to 1.000 (100%). (Required)
Calculate even if include grades are missing—Change N to Y if you want grades
calculated even if some component grades are missing for some students.
Press <Enter>. Check the status line at the bottom of the screen for messages.
Calculate an Intermediate Grade
Inquire into an Intermediate Grade Calculation record, as described above.
Check all parameters for the Intermediate Grade calculation, and change if
necessary.

REPORT CARD PRINTING (GR410)

Use this screen to specify format, sorting, and mailing instructions for report cards and to print
report cards. You can also use this screen to add optional attendance and graduation standards
information to report cards. Report cards can be printed for the entire school, a teacher, a
student, a grade, a house, or a homeroom.

Print Options
CARD FORMAT—Select the appropriate report card format using the list box.
Click the down arrow for a drop-down list of card formats (defined on GR245).
Select a format by highlighting it and pressing <Enter>. (Required)
GR PERIOD—Enter the appropriate grade reporting period (defined on GR225).
(Required)
Term Nbr Range—Enter the beginning and ending term numbers (defined on
SC240). Default = blank or every term within grade reporting period.
Report Card Style—Select the appropriate radio button to indicate how you want
the report cards to print. The default is “Non-mailer.” This option governs the
type and size of the form on which the report cards will be printed. (Required)
Message—An “X” in this box indicates a message is to be printed on laser print
report cards. Click on the Message navigation button to view the message.
POSTAL PERMIT LIST box—Select the postal permit number against which
report card mailings will be charged. Click the down arrow for a drop-down list
of postal permits (assigned on SY270). Select a postal permit by highlighting it
and pressing <Enter>.
Select For box—Select the range of students for which you want to print report
cards by clicking the appropriate check box and entering any appropriate values.
(Required) Options include:
Entire School—Prints report cards for all students in your school
Grade—Prints report cards for the grade you specify, only
Student Group—Prints report cards only for the student group you specify
House—Prints report cards only for the house you specify
Homeroom—Prints report cards only for the homeroom you specify
Hmrm Teacher—Prints report cards only for the homeroom teacher you
specify
ID Number—Prints a report card only for the student ID number you specify.
You can also search for a student ID by entering at least 3 characters from the
student’s last name in the box and press <Enter>. Select a student from the

Sort—Choose the method by which the report cards will be sorted by clicking the
appropriate radio button. (Required) Report cards can be sorted alphabetically by
Grade, Class Teacher, Homeroom, School, Teacher, Counselor, or Zip Code.
If you choose to sort by Class Teacher, specify the Period, Day, and Term
Number in the white fields above the Attendance Data Search box.
PRINT Options (center screen)—Select what additional information is to be
printed on the report card or its envelope. Use only if you select a “Mailer” style
above. Select as many options as applicable by clicking in the appropriate check
box(es).
“Presorted” on mailer—Prints “Presorted” on the envelope. May be necessary
for postal permit
Counselor name at bottom—Prints the name of the student’s counselor at the
bottom of the report card
Homeroom in return address—Prints the student’s homeroom number in the
return address on the report card
Classroom and teacher in return address— Prints the student’s classroom
number and teacher’s name in the return address on the report card
Absence/Tardy—Prints the number of absence and tardy days on the report
card
Credit Earned/Absence—Prints the number of credits earned and the number
of absence days on the report card
Promoted/Retained—Indicates whether the student was promoted or retained
on the report card
Profiles of Learning—Prints grad standards on the report card
Basic Test Scores—Prints ACT and SAT scores on the report card
Attendance Data—Select what kinds of attendance data you want to include on
the report card, including no attendance data. Click the down arrow in the scroll
box for a drop-down list of attendance data. Select an entry by highlighting it and
pressing <Enter>.
Course Print Sequence—Select the order in which you want courses and grades
printed by clicking the appropriate radio button. (Required)
Address to—Select the kind of addressee for the report card. Click the down
arrow in the scroll box for a drop-down list of possible kinds of addressees. Note
that all selections require printing of the address. Select a kind of addressee by
highlighting it and pressing <Enter>. (Required)
Include all families—Clicking in this check box will include all families (primary
and secondary) associated with the student in the mailing. Leaving the check box
blank, will cause the report card to be sent only to the primary family.

Include contacts—Clicking in this check box will include contacts associated with
the student (on ST015) in the mailing. Leaving the check box blank, will exclude
contacts from the mailing.
Number of copies—Enter the number of copies of the report card you want
printed. Default = 1.
Destination—Enter the designation for the printer on which the report cards are to
be printed.
Print Message—Click this check box to print a message on the report card. Click
on the Message navigation button to enter your message on the Laser Report Card
Message Screen. Messages may only be used with laser printer report card styles.
Print Duplicate Laser—If you are using a laser printer report card style, check this
box to have a duplicate copy of the report card printed.
Spacing—Use the scroll box to select the line spacing for the report card. Click
the down arrow in the scroll box for a drop-down list of spacing options. Select
an entry by highlighting it and pressing <Enter>.
Print Report Cards
Access GR410. The DIST, SCHL, and SCHL YR key fields will pre-fill. Change
these key fields if appropriate and press <Enter>.
Fill in the CARD FORMAT and GR PERIOD fields. (Required)
Choose a Report Card Style by selecting the appropriate radio button. (Required)
In the Select For box, select the range of students for whom you want to print
report cards by clicking the appropriate check box and entering any appropriate
value next to the check box. You can select only one option. (Required)
Choose how you want the report cards to be sorted, by selecting the appropriate
radio box in the Sort option. If you choose to sort by Class Teacher, specify the
Period, Day, and Term Number in the white fields above the Attendance Data
Search box. (Required)
For “mailer” style report cards, select what you want printed on the report card or
the envelope by selecting the appropriate options in the PRINT section of the
screen.
Select the kind of attendance data you would like printed on the report cards
(including no attendance data) using the Attendance data scroll box.
Select the sequence in which courses and grades are to be printed by selecting the
appropriate radio button next to Course print sequence. (Required)
Select to whom you want the report cards addressed using the Address to scroll
box. (Required)
Select any further options below the Address to box, such as the number of
copies or whether to include all families in the mailing, by clicking the
appropriate check box or entering appropriate information.

GPA/Class Ranks Need Recalculated—If this warning appears in red at the top of
the screen underneath the title, you need to run the GRRANKCALC report to
recalculate GPAs and class rankings.
After you have set all options for the report cards and double-checked them, press
the Print Report Card button in the lower right. A Report Cards Order
message will display in the status line at the bottom of screen when the process is
initiated. A Report Card Run Completed message will display when the
process is finished.
Navigation Buttons
Message—Takes you to the Laser Report Card Message Screen (shown below),
where you can enter a new message to be printed on laser report cards or change
an existing message.
