Enter your username in the top box and password in the lower box then click on the Enter button or your Enter
key on your keyboard and a screen similar to the one below will appear:

PowerTeacher left icons
Start Page button will take you back to the first page after you log in.
Daily Bulletin button allows your administrators to communicate with teachers and
parents.
Staff Directory button allows you to view information about your colleagues.
Information must exist in PowerSchool before any information can be viewed here.
Meals button allows you to view your personal lunch balance if your school uses
PowerLunch.
Personalize button allows you to change your password and set up the page most useful
to you after you log on.
Gradebook button takes you to a screen that allows you to the LAUNCH GRADEBOOK button. Or you can
click the Arrow
and it will automatically launch the gradebook.
Reports allow you to print reports that have been made available to you by your school’s PowerSchool
administrator. Teachers can print out DRAFT copies of the Report Card here!
Help Button at the top right part of your screen next to the Logout Button can answer many questions. Please be
sure you are located on the page you wish to receive information about. Then click on the ? symbol for more
information.
Mobile App for Ipad PowerTeacher Gradebook is now available for your Ipad. You can click on the Icon to
go to iTunes to download the app. Note that Mobile access must be configured for the District/School before
teachers can use this. Please refer to the Mobile APP section of this manual for instructions on downloading the
app.

Seating Chart Setup
PowerSchool now has the ability for Teachers to create seating charts. Seating Charts can then be used to take
attendance. As a result, the Seating Chart Design option is located within the Attendance pages.
Within the Seating Chart, the teacher has the ability to create arrangements using rows or tables, the number of
which is set by the teacher.
To Create a Seating Chart the teacher would first click on the Attendance Chair from the Start Page and then go
to Seating Chart Design.

To add a row click on the Row Button.
Select the desired number of rows and
Columns and then click Add.
This would return a blank chart that looks like the one to
to the left

To add Tables click on Table button.
Select the desired number of tables, the
number of chairs at each table and then
number of tables to appear in each row.
This would return a blank chart that looks like the one to
to the left






To add a single Chair click on Chair button. This will add one additional chair to your chart.
You can also add additional items to your chart such as a Teacher’s desk, White Board, Door and Class
label. To add any of these items you would simply click on the appropriate button at the top of the
screen. These items allow you orient your room correctly.
To remove an item from the Chart simply highlight (click on) that item and then click Remove.
You can “UNDO” your last movement by clicking the Undo button.
The Scale slide on the right side of the screen will allow you to zoom in/out of your seating Chart.
You can also move any item on the chart by clicking on and dragging the item where you want it to sit.
Once you have finished the layout of your seating chart you can
save the layout by clicking Edit. When you do this a new
window will appear. Give this layout and Name and Description
and then click “Save as New”.

Once your layout is complete you can Populate it with students
by clicking on the Populate button. This new window will ask
how you want your students arranged on the page.
Choose how you want your students Sorted, whether you want
them ordered A-Z or Z-A, whether you want the First Name or
Last Name Displayed, and finally when populating the chart do
you want PowerSchool to start adding student from the Top Left
or Right or the Bottom Left or Right. Once you have made all of
your selections click Add.
Once you have finished creating and populating your seating chart be sure to hit “Save”
Attendance
The “Chair” icon is used to take attendance in PowerSchool
teachers now have multiple options for how they would like to take attendance. Once they click on the Chair
Icon they then have the additional options of entering attendance for a Single Day (date of their choosing) , for
Multiple Dates or they can use the Seating Chart to take attendance. Additionally in the Single Day view
Teacher can also see any Alerts that have been created for each student. Simply click on the Icon to see the
Alert Message.
Single Day Attendance –




First, select the attendance code from the drop down.
Next click the Date for which you wish to enter attendance.
If there are multiple sections of this course you can click on Show Multiple Sections. It will then show
you a combine roster of students. Click Show Single Sections to revert back to just the one section.
Click into the blank field to the can either select the correct Attendance code from the drop down menu
at the top then click in the box to the right of the student’s name. Whichever attendance code you
initially selected will appear at the top of a new drop down. Simply move to the next student or if you
need to select a different code do so from this drop down.

Once an attendance code has been entered for a student you will see a gray balloon icon appear to the
right of the code. By clicking on this icon a teacher can now enter Attendance Comments.

Once all information for this class has been entered click submit to save the attendance information.
Note that students are assumed present so you do NOT actually need to select the present code.
After you have clicked SUBMIT a green dot will appear that confirms attendance has been recorded for
this class.

Multi Day Attendance –





First, select the attendance code from the drop down.
Next Select the Date Range for which you wish to enter attendance. Note that PowerSchool will default
to the current Month’s Attendance
If there are multiple sections of this course you can click on Show Multiple Sections. It will then show
you a combine roster of students. Click Show Single Sections to revert back to just the one section.
Click into the cell for the blank field for the student/date you wish to enter attendance for. Whichever
attendance code you initially selected will appear at the top of a new drop down. Simply move to the
next student/date to enter the next code. Note that you do not actually have to select the attendance code
first, you can click into the date cell and select the code directly from the list of available codes.
Once an attendance code has been entered for a student you will see a gray balloon icon appear to the
right of the code. By clicking on this icon a teacher can now enter Attendance Comments.

Attendance through the Seating Chart –

The Att Grid link is used to see a visual Grid of Attendance for an extended Period of time.
The KNIFE and FORK is used for submitting lunch counts.
The BACKPACK icon is used to access student information
The PRINTER icon is used to print any reports that have been made available to you!

Click on the LAST NAME of a student for menu items as a drop down to appear on the right. After choosing a
particular menu item click on the subsequent FIRST NAMES to stay on a particular screen!
Click on a Class Name to take you to another class!

1. You can select demographic information
2. Net Access – parents/students logged into PowerSchool? This will show you when and for how long!
3. Attendance Information – for the student selected
4. Net/Phone Access Summary (Date and duration of when a parent has accessed their child’s information)
5. Print reports (if any reports have been made available to teachers)
6. Quick Look Up (shown in screen shot above)
7. Recommendations – teachers make recommendations for future schedule requests (High Schools).
8. Schedule – show the selected student’s schedule
9. Standards – Use this ONLY if you are not yet using the Gradebook. See directions below.
10. Student Photo – if a student’s photo has been uploaded to PowerSchool you will be able to see it here.
11. Teacher Comments – If using the Gradebook you will not use the Teacher Comments here. You would
click on a particular grade in Quick Look Up (see above) to view Teacher Comments entered in the
Gradebook. Note: Teacher Comments MUST be entered in the GRADEBOOK!

Launching PTG
After logging into PowerSchool/Teachers click on the button, on the left, marked GRADEBOOK.
Clicking on the Arrow will
automatically launch the gradebook.
This will bypass the step listed below.
On the next screen, click on the LAUNCH GRADEBOOK icon to open your Gradebook.
If you are launching from CHROME you may be prompted to Keep or Discard the .jnlp file. If prompted click
KEEP.
You may then be prompted to Start or Run or Save, depending on your browser version, in order for your
Gradebook to launch successfully. If you see the launchGradeBook.jnlp (see immediately below) is visible – be
sure to click on this after it appears.
You will see a “Java Loading” applet opening (see figure below). If your browser screen changes to a “Page
Cannot be displayed” or Internet Explorer cannot open this page – please check the link “Having problems
launching Gradebook” on the PowerTeacher page. If you are attempting to open the Gradebook from home be
sure to add the site to your trusted sites.

Gradebook Elements
Classes – TOP LEFT - This is the list of classes. Click once on a class to select. (Be sure you are in the Current
School Year/School Term
Groups –MIDDLE LEFT – Create, Modify Groups here by clicking on +.
Categories – BOTTOM LEFT – Create, Modify Categories. Click on Filter Selected and click on a category.
All assignments within that category will appear. If you select ALL – All categories and the
number of assignments within each category will appear.
Reporting Term – Always be sure you are in the correct Reporting Term when Enter Grades
Assignments – Select the Assignments Button when entering/viewing Assignments in Gradebook.
Final Grades – Select the Final Grades Button to enter Conduct/Effort Scores, to identify Areas of Concern
in Subject Areas, and to enter Personal Growth marks in Homeroom..
Student View – Select for entering Individual Standards grades for a specific student

Teachers have the ability to create a Personal
Comment Bank. These are commonly used
comments that may not be included in the
District Comment Bank.
To create a comment click on Add in bottom
center of the screen. A new window will
appear. Enter:

but you can add additional codes of your
choice (ex. M above for Medical excuse)
by clicking on the Add button, entering the
Code, description, and whether the code is
exempt or has a grade value. NOTE: You
cannot use a code that exists as part of the
existing grade scale.

New in PTG 2.3 are two new student functions. Teachers now have the ability to determine how they want a
students name to appear in their grade book, ie. Last, First; First, Last, etc. They can also use a “Preferred
Name” for a student in the gradebook and on reports if a Preferred name has been created on the Admin Side
of PS.
In addition, teachers now have the ability to Sort the way in which their students are listed in the ScoreSheet.
They can sort alphabetically by first name, last name or a teacher defined order.
Finally, teacher’s can also set PS to hide pre-registered students and/or to add newly enrolled students (during
the school year) to appear at the bottom of their class list.

Birthdays
A new feature to version 2.1 is the dynamic Birthday list.
From the Tool Bar click on Tools>Birthdays. A list of
all student birthdays will be returned.
Attendance
New to PowerTeacher is the ability for teachers to access attendance directly from the Gradebook. Note that
while you can access the link to take attendance PS is actually redirecting you back to the PowerTeacher
Attendance Options.
Just as you would when clicking on the Chair Icon in PowerTeacher, you have multiple options for how you can
now take attendance. You can take it for a Single Day, Multiple Days, by Seating Chart or you can opt to go
back to your PowerTeacher Start Page and access Attendance from there. (Please see the PowerTeacher
Section of this manual for more specific instructions on taking attendance.)

Categories
Double Click on a Category name on the bottom left OR Top menu choose TOOLS > CATEGORIES

name and then change it. Only
use the Diocesan Gradebook
categories from the Diocesan
Guidelines for the grade level!
A category called Final Grade
MUST be created so that the
Final Trimester Assignment can
be entered at the end of each
Trimester. Once you have created
a category it should never be
deleted!

Give the category an abbreviation.
4.
Assign a color to the category
5.
Assign a default Points Possible of
100 to the ASSIGNMENTS
within the category.
6.
Assign default LETTER GRADE for the assignments in this category (see Diocesan Guidelines pages 12-13)
7.
All categories EXCEPT the one called Final Grade should be set to exclude assignments from calculating
in the final grade.
At the end of each Trimester ONE assignment will be created, assigned to the category called Final Grade and the
Include in Final Grade box will be checked for that one assignment. The student’s score in that assignment will
represent the student’s Final Grade for that Trimester. NOTE that only ONE Category – Final Grade – will have
the Include in Final Grade box checked!
8.
Give a description to your category. The descriptions will be viewable within Quick Look Up.
9.
Click on Close after all categories have been modified! These categories will appear for ALL CLASSES. Never
delete a category after assignments have been created!
In order to view a summary of how many assignments are in a
particular category:
1. Click on Final Grades button
2. Lower left Categories – choose Filter Selected
3. When you click on a category it will show you how many assignments are in that particular category or for
each category if you have chosen ALL.

Creating a Assignment
Assignments can be created in one of three ways
1.-- by clicking on Scoresheet icon (at top) and clicking on the “ + “ directly under the Reporting Term f
filter
2.-- by clicking on Assignments icon (at top) and then clicking on “ + “ at bottom of frame.
3. -- by clicking on View > Assignments in the top Menu bar and click on “ + " at bottom of frame.
Be sure you are in the correct reporting term.
Delete an assignment by clicking once on the name of the assignment while in the Assignments view and
click on the “ – “.
Note: Only ONE assignment with the Final Grade will be checked for "Include in Final
Grade."

Publish Tab
PUBLISH Tab- Publish an assignment immediately or on a
specific date. In order for an assignment to calculate in the final
grade and/or be viewable through the Parent Portal it must be
published. An assignment that is not published will not be included
in the final grade or seen via the Parent Portal or Quick Lookup!
All assignments may be published but only one assignment
each Trimester will be set to “Include in Final Grade” and
represent the student’s final grade for the Trimester.

Standards Tab
Standards Tab- Using the Standards Tab allows you to link standards grades to an individual assignment. Check the box
to link one or more standards to the assignment. NOTE. Attaching a standard to an assignment will NOT automatically
assign a grade to the standard. In addition the teacher must still populate the FINAL STANDARD GRADE under the
Final Grade Tab of the Score Sheet for Effort/Conduct grades and for Specials Final Grades for Grade Levels K-4.
Entering a Final Grade at the end of each Trimester
For ALL Subject Areas/ Grade Levels, the Final Grade for EACH Trimester will be entered as an
assignment and be check to Include in Final Grade. This is where you are to enter the trimester grade for the
student so that it can be stored and printed on the report card. See below.
Be sure that the assignment is setup in the following manner:

Copying Assignments to Other Classes
Click on the Assignment Icon and right click on the Header of an assignment and choose to copy that
assignment to the existing class or ALL or Multiple classes.
You can keep the existing date or change the date, on those copied assignments, if you wish to use the
assignment for any date other than the date the original assignment was created for.
The current 2.3 version allows you to copy assignments from previous years as well!
You can copy an assignment from a previous year to the current year by clicking in the term at the top left (see
screen shot below) of the Gradebook Screen, choosing the appropriate year and then navigating to the
appropriate assignment(s). Use the copy function as outlined above to copy the assignment to the current year.

Fill Scores
Right Click on a cell and choose Fill Scores or Score Inspector. You can mark assignments as Collected,
Late, Exempt, Missing AND you can assign a comment to a particular score by clicking on Comment Bank
> the Comment Bank will open > double click on the comment > close

A red letter “L” will appear if LATE is chosen, M if
you have chosen Missing, EX if Exempt was chosen
and a checkmark if Collected has been chosen. By
entering a comment here – a specific assignment will
be linked to that comment! All L, M, EX, etc. marks
from teacher’s gradebook will appear in the parent
access portal!

Final Grades - Comments
Comments can be entered in the Final Grade Column for each Trimester. Be sure you are in the correct
Reporting Term when entering your comments. NO comments should be entered under Reporting term F1!
Comments pertinent to the end of the school year MUST BE entered under the T3 Final Grade. A blue
“C’ will appear next to each Final Grade that indicates a comment has been assigned to that student.
ASSIGNMENT COMMENT - If you click on a specific score for a student in any assignment you can also
enter a comment for that individual score! This is not the same as creating a comment for the Final
Grade! Rather this is used to communicate to parents/students your remarks for any students’ assignment’s
score.

Manually Override a Grade
You may choose to manually override a Final Grade – by right clicking in the Final Grade column OR from the
top menu choose TOOLS > Score Inspector > check the box to Manually Override in the Score Inspector
dialog box and enter the correct Percentage and Letter Grade! See Screen Shot below. Since you will be
creating ONE assignment at the end of each Trimester that will represent a student’s grade for that entire
Trimester – this will rarely, if ever, be used!
After entering both a percentage and
letter grade – you may also choose to
enter a comment.
When completed click on Close.
Note that on your scoresheet – the
manually overridden grade will
appear in italics and a red
exclamation mark will appear!
IMPORTANT:
If you do NOT wish to manually override but only enter Teacher Comments-- just click on COMMENT BANK
and double click on the appropriate comment and, last, close. The Final Grade score will then appear with a
BLUE “C” that indicates a comment was assigned to this student for the FINAL GRADE! Click on the down or
up arrow keys within Score Inspector to assign a comment to another student REPEAT until all comments
have been assigned!
Entering the F1 Final Grade at the End of the School Year
It is the teacher’s responsibility to determine the F1 grade for each student in his/her class. This grade
should NOT just be an average of the three Trimesters but a true measure of the student’s achievement at that
time. As a result Teachers must view/edit the F1 grade by using the Manual Override Function as
indicated above. Be sure you are in the F1 Reporting term and then Edit the F1 grade as needed.
NOTE: You DO NOT create an F1 assignment to enter grades as you did for T1, T2, and T3 final
Grades.

Standards (Effort & Conduct) Scores – Final Grades Entry
This standards process must be completed for each class – depending on grade level and
classes taught!

For Kindergarten – All scores are entered as Standards Grades.

For Grades 1-4 – All Effort Scores, Progress Codes for specific Academic areas as well as the Overall
Course grade for Specials Classes are entered as Standards Grades.

For Grade 5 – All Conduct and Effort scores and Progress Codes for specific Academic areas are
entered as Standards Grades.

For Grades – 8 All Conduct and Effort Scores for each class as well as Personal Growth and Community
Awareness scores are entered as Standards Grades
Using Fill Scores can be very helpful! Right click on Standard header, choose Fill Scores, on next screen
choose whether to replace all scores or to fill only for students with no grade. Choose grade from Drop
Down then OK! Don’t forget to SAVE!

Students Icon
Selecting the Students Icon from the top of your page gives you the ability to view several pieces of
demographics information about the students in the selected class. You can click on each column heading to
resort students, student number, birthday, gender, grade level and home phone in ascending or descending
order.
Extra Class Columns
New to PT Gradebook 2.3 is the ability for teachers to Add custom fields to their Student Screen. These fields
can be used to store additional data that a teacher would like to track such as Book Numbers. There are 5
Custom fields already created but teacher can add additional fields as well.
Custom fields can be seen by Clicking on the Student Icon and then scrolling to the right of the student lists
Teachers can then enter any information directly by clicking into
the open cell and typing the data.
In addition Teachers Can Re-Name the custom fields, as well as, add additional Fields
To do this click on Extra Class Columns from the top of the Students Screen.

The Create and Modify Extra Class Columns screen appears.
To Edit an existing Custom Column click on the Column Name and then
Click Edit
Change the Name of the Field and add a Description as needed and click OK.
The New Field Name will appear in the Create/Modify Window
Click Close at the bottom right of the screen to save
changes. The new name will now appear in the Students
class Roster list
Teachers can also add additional custom fields to this screen. Repeat the process above except, instead of
selecting one of the ‘Custom’ files click Add. Give the new field and name. Click OK and then Close on the
Create/Modify Screen to Save the Changes.

Teachers can delete any custom field that has been created by selecting the Custom field from the list and
clicking delete. NOTE: Deleting a custom field will delete ALL data that has been entered into that column.
Finally Teachers can also copy a new Custom Field and (if desired) the data for that field from one class to
another.
To Copy the info select the Field to be copied from the list and click Copy.
The teacher is given the option to copy both the Field
Name AND data to the new section or copy just the field
Name. Select the desired action and click OK.
The custom field will be copied to ALL sections in the teacher’s Gradebook. If any students from the section
being copied are also enrolled in another section with this teacher the data from the custom field will also be
copied.
Individual Student Screens
Once the Custom Fields have been created/modified. This information is also available on an Individual
Student’s Screen.

Teacher Personal Note
Another new feature of PTG 2.3 is the ability for teachers to enter a “Teacher Personal Note”
By clicking on the Teacher Personal Note tab,
teachers can access an area where he/she can enter
Information pertaining to this student. NOTE: This
information is ONLY viewable to the teacher within
the gradebook. It cannot be seen by anyone on the
Admin or Parent Portals of PowerSchool.
Groups
You must first create a SET and then you will be able to create group(s) of students – by clicking on “ + “ in
bottom left corner.
Click on the + to create a new set and then a new group. Name the group. Select the students from the list (using
your CTRL key) and drag the students into the group name. By default there is a Group ALL – select this group
and one or more students – when you go to Reports you can now use the option “Selected Students” for printing
reports using just the students selected here!
You must first create a SET and then you will be able to create group(s) of students – by clicking on “ + “ in
bottom left corner.
Once you have created a SET and then a
GROUP you can hold down your CTRL key
and select a group of students and drag that
selection of students into the appropriate group.
Each group will appear as a different color. You
can now create an assignment and give scores
to the grouped students and Exempt everyone
else not in that particular group. You are able to
run reports for a group that you have selected as
well!

Copy Grade Setup
New to Version 2.1 is the ability to copy Grade setup from one term to another, one class to another or even
from one year to another.

Copy Grade Setup from a previous year
You can now copy the Grade Setup from a Previous to the current year.
The Process would be the same as described in the above section “Copying Grade Setup from one class to
another” except you would first need to navigate to the class in the Correct Year. You would do this by first
selecting the year in the upper left corner then select the class from the list of classes.
From this point navigate to the Grade Setup Tab>Calculations.
From this point you will follow directions from above with the
added step of selecting the correct Term/Year to which you would
like to copy the setup.

The LAYOUT tab allows you to include a title, a top note, a bottom note, page break options and a signature
line! Settings are remembered across sessions for future use!
We recommend that you create a folder on your Desktop named “GradeBook Reports 09-10” so you have a
place on your Desktop you can save all of the various reports. Another recommendation is to name your report
and include the date for easier retrieval. For Example – Individual Student Report 9-15-09.pdf

PowerTeacher Mobile Gradebook
PowerSchool now offers the ability to for teachers to access their gradebooks using the PowerTeacher Mobile
APP. Note that currently the Mobile App is only available for Ipad users.
Installing/Launching the Mobile App
As with all mobile Apps you will need to go to the APP Store. Search for PowerSchool and then install as you
would any mobile app.
Once Installed select the PowerTeacher Icon.
The first time you use PowerTeacher Mobile you will need to configure the Server Settings so that the App can
locate your school and Gradebook.
From the Login page click on Settings in the upper right corner.

Navigating the gradebook
It is important for teachers to understand that PT Mobile Gradebook is NOT the same as the Full Version of the
gradebook that teachers would use on a computer. It does, however allow for some basic functions to be
perform. (Note that teachers should update their Grade Setup in the Full Version of PT Gradebook prior to
using PT Mobile.)
Functionality in PT Mobile includes

Creating/editing Category setup

View Student Groups (Groups must be setup via the full version of PTG)

Creating Assignments
To create an assignment in the PT Mobile you would
1. Click on the Assignment icon at the top of the Class Roster.
2. Click on the + to bring up the Assignment Window.

Entering Student Grades / Score Inspector
Once assignments have been created you can then enter grades into the Score Sheet.
To Enter a grade simply:
1. Click into the cell for the Student for whom wish to enter a grade.
The Score Inspector will appear.
2. Select the Grade the student earned.
3. Click anywhere on the screen to close the
Score Inspector
4. Be sure to Click “Save” at the bottom of the screen to save your changes.
The other options available within the Score Inspector are:

Report Card Process
Standards – All Standards must be entered into the Gradebook by clicking on Final Grades button then
selecting the standard and entering a score – see page 31.
Final Grades and Teacher Comments – Can be entered one of two ways.
1. Use PowerTeacher Gradebook to enter grades and comments by creating assignments and then
associating a comment under the Final Grade column- see page 29 of this manual for directions.
After you have entered your Standards (Effort & Conduct) scores, Grades and Teacher Comments in the
PowerTeacher Gradebook your school’s PowerSchool administrator will complete a process called “storing
grades.” Please be sure to complete the Final Grade Verification on page 39! After grades have been stored by
your school administrator -only then will you be able to see your grades on the Report Card! Standards
automatically appear on the Report Card as you complete them in the Gradebook.
Teachers will then be given either a Class Roster Report OR a DRAFT copy of the Report Card. Teachers can
print a draft copy of the report card through PowerSchool/teachers (print icon.)
Administrators will change Current Grade Display to “Historical” for the Term.
If any grades or comments are incorrect – the TEACHER makes the changes in the Gradebook! The

After grades have been “re stored” schools will then print Final Report Cards onto special water-marked paper
provided by the Diocese.

Administrators change Current Grade Display (current grade) for the current Term.
