Hospitality Guide February 26 – February 28, 2010 www.lvms.com Hospitality Package Contents First, we would like to thank you for choosing Las Vegas Motor Speedway for your hospitality event. We know there are many options or events that would allow you to entertain your employees, clients, or customers but we know that Las Vegas Motor Speedway will provide you with the best experience. As we move forward in the planning process, please do not hesitate to ask for anything—we may be able to help. THE ITEMS IN YOUR HOSPITALITY PACKAGE SHOULD BE: • Grandstand Tickets • Pre-Race Pit Passes: In order to enhance your guests’ Hospitality Experience, you will be provided one (1) pit pass for each guest. This pass allows a one-time entry to the pit area. Pit Access times and instructions follow. • Hospitality Village Passes: Each guest must display this credential at all times. This pass provides access to the Hospitality Village compound. For the race, this pass must be accompanied by a grandstand ticket. Each guest must have a Hospitality Village Pass (including children) and be prepared to have them “Scanned” upon entry. • Hospitality Parking Passes: This pass should be visibly affixed to the lower driver’s side corner of the windshield of each automobile before entering the speedway. • Hospitality Worker Passes: Depending on the size of your party, you will receive the following worker credentials: (additional credentials may be granted by LVMS discretion) 50-100 guests = 4 passes 110-200 guests = 6 passes 210-300 guests = 8 passes 310+ guests = 10 passes • Facility Map: Included as Appendix B of the Hospitality Guide • Traffic Plan: Traffic plans for hospitality bus parking, driver appearance route and vehicle parking are included. On Wednesday, February 18, 2009, Las Vegas Motor Speedway will hold a Transportation Luncheon in the Media Center at Las Vegas Motor Speedway (located in the infield), where the complete traffic plan will be outlined. Closed-toe shoes are required. Long pants are required. Children under 18 are not permitted in the pit area at any time. PRE-RACE PIT ACCESS • With your hospitality order are Pre-Race Pit Passes equal to the total number of guests. • Pre-Race Pit Passes/Hospitality Passes must be visible at all times. • Pre-Race Pit Tours may be conducted according to the schedule listed below: No tours will be permitted during or after these events. The pre-race pit pass is attached to the hospitality village credential. • Please limit tour group sizes to no more than thirty. • Pit tours are restricted to Pit Lane only. • Each hospitality group is responsible for their own tour guides. If you wish to reenter after exiting the gate: PLEASE MAKE SURE YOU HAVE YOUR TICKET SCANNED UPON ENTERING AND EXITING HOSPITALITY VILLAGE. 7 PRE-RACE PIT TOUR ROUTE SATURDAYFrom the Hospitality Village: • Exit Hospitality Village through the south gate near Speedway Blvd. • Proceed to the Tickets/Gift Shop building. • Load onto the “Speedway Tram” that will give you access to the Pedestrian Tunnel off of Checkered Flag Blvd near Turn 2. • Proceed through “pedestrian tunnel located off Checkered Flag Blvd.” • Conduct your pit tour from behind the pit wall. • Return to Hospitality Village at conclusion of tour using the same tram SUNDAYFrom the Hospitality Village: • Exit Hospitality Village through the south gate near Speedway Blvd. • Follow Signage • Cross Speedway Blvd. and follow GREEN STRIPE across Midway • Display Credential & Ticket to Enter Designated Gate. • Proceed straight ahead to Pit Tour entrance, near Earnhardt Terrace, marked with signage and green stripe on the ground. • Descend the stairs to track level. • Display Pre-Race Pit Tour pass to gain access on to track. • Bear left along track apron to pit lane entrance • Conduct your pit tour from behind the pit wall • Return to Hospitality Village at conclusion of tour FOOD AND BEVERAGE SERVICE Levy Restaurants Sports & Entertainment will provide all food service at Las Vegas Motor Speedway. Show cars must be delivered during specific delivery times: Date Friday, Feb. 26, 2010 Saturday, Feb. 27, 2010 From 3:00 PM 3:00 PM To 8:00 PM 8:00 PM Show Car Trucks and Trailers must have a Lot 6 Parking Pass – They will not be permitted to remain in Hospitality Village. Anyone delivering a Show Car should contact Kyle LeValley at [email protected] to make a delivery appointment. Cars should be delivered by appointment only. DRIVER APPEARANCE A time-saving route is available for transporting drivers from the infield to your hospitality tent, on Saturday and Sunday. Please see the “Driver Appearance Map” in Appendix B. This is the only approved route. If you are planning a Driver Appearance, an “Official Vehicle” credential is required please contact your LVMS representative by, January 25, 2010 to arrange delivery. In order to enhance any scheduled driver appearances, we recommend the use of a PA system. 10 Section Three: Hospitality Inclusions TENT FURNISHINGS Included with the price of your hospitality tent are the following items: • • • • • • • Seating for 75% of total guests Registration tables and chairs Linens White picket fencing Tent identification sign 19” TV Umbrella Sets Additional furnishings such as seating for 100% of guests, additional registration tables, colored linens, etc. can be ordered in Appendix A on the Hospitality Upgrade Order Form under Additional Tent Furnishings. Advance payment is required AUDIO/VISUAL EQUIPMENT Additional items such as big screen television, sound system, CD player, stage, podium, etc. are available to upgrade the overall appearance of your hospitality tent. Items and prices are located in Appendix A on the Hospitality Order Form under Additional Tent Furnishings. For any questions or custom orders, contact your account executive. Note: Additional electrical outlets will need to be ordered for Audio/Visual equipment. Electrical can be ordered in Appendix A on the Hospitality Order Form under Electrical. SOUVENIR PROGRAMS Souvenir programs are available for purchase. Please refer to the Hospitality Upgrade Order Form included in Appendix A for pricing. Programs must be ordered no later than January 25, 2010. All program orders must be paid in advance. Programs will be delivered to your Hospitality area. DECOR Many Hospitality clients choose to upgrade their Hospitality area with other attractions (floral, balloons, audio/visual equipment, souvenir programs, and scanners). In Appendix C, Las Vegas Motor Speedway-approved vendors for each of these categories are listed, including contact names and numbers. Only the vendors listed will be granted access. Please select your upgrade vendors from the choices provided in Appendix C. Forms can be obtained by contacting: Melinda Teynor [email protected] Phone: 704.454.1619 Fax: 704.455.9319 11 Section Four: Parking HOSPITALITY VEHICLE PARKING—LOT #6 Entrance • Display, in lower driver’s side corner of the front windshield Lot #6/ Hospitality Village Parking Credential. • All private vehicles with Lot #6/Hospitality Village parking passes must arrive at the Speedway via Interstate 15 • From Las Vegas, follow Interstate 15 North to Exit 54 (Speedway Blvd.) • From Exit 54, proceed right and turn left adjacent to the LVMS Marquee (crossing Speedway Blvd.). • Follow traffic officer direction to Lot #6/Hospitality Village Parking. **It is important to understand that the Exit route will be different from the Entrance route Exit • Follow signs and traffic officer direction to GATE 8. Stay in LEFT lane. • Exit Gate 8 by turning LEFT (NORTH) onto Las Vegas Blvd. • Proceed on Las Vegas Blvd. & follow signs to Interstate 15 HOSPITALITY BUS PARKING INSTRUCTIONS (SEE MAP IN APPENDIX B) All buses enter GATE 8 off of Las Vegas Blvd. On February 17, 2010, Las Vegas Motor Speedway is expected to announce a dedicated bus route that all buses should follow to Gate 8. A special credential, required for access to this route, will be distributed at this meeting. Please ensure a representative from your party or hired bus company is present at the transportation meeting. If your representative is unable to attend, please contact Chris Lopez, LVMS Credential Supervisor at 702-632-8211. Before arriving at Las Vegas Motor Speedway, please make sure your buses have the Hospitality Bus parking credential displayed in the driver side window. To travel on the time-saving dedicated bus route, all buses must have a Parking Permit clearly displayed in the windshield. Please Note – The Hospitality Parking Pass and Special Dedicated Route Bus Pass are NOT the same. Entrance Follow these instructions to reach Hospitality Bus Parking: • From Las Vegas Boulevard, enter Gate 8 onto Speedway Boulevard. • Proceed along Speedway Boulevard—follow directional signage— to Charter/Hospitality Bus Parking. Exit • From Charter/hospitality Bus Lot, Exit LEFT onto Speedway Boulevard. • Follow traffic officer directions for lane assignment. 12 HANDICAPPED PARKING INSTRUCTIONS—LOT #6 Entrance • Display HANDICAP PLACCARD in lower driver’s side corner of the front windshield. • All HANDICAP vehicles must arrive at the Speedway via Interstate 15 • From Las Vegas, follow Interstate 15 North to Exit 54 (Speedway Blvd.) • From Exit 54, proceed right and turn left adjacent to the LVMS Marquee (crossing Speedway Blvd.). • Follow traffic officer direction toward Lot #6 • Upon arrival at LOT #6, proceed through the RIGHT GATE into HANDICAP PARKING LOT • Failure to follow the above instructions will result in you being directed to the general parking lot. **It is important to understand that the Exit route will be different from the Entrance route Exit • Follow signs and traffic officer direction to GATE 8. The Lost & Found booth is located at the end of the Pedestrian tunnel under the grandstands. Contact the LVMS switchboard (702.644.4444) or receptionist on the ground floor of the Administration Building. WHERE CAN I GET A TAXI? The Taxi & Limo station is located at Gate B just off of Speedway Boulevard to the Southwest of the Administration Building. WHERE CAN I RECEIVE MEDICAL ATTENTION? LVMS Medical Centers are located inside the Spectator Gates B and under the Earnhardt Terrace, identified by the medical Red Cross. In case of emergency ask your VIP Services Representative, uniformed police or security, or any LVMS staff member to alert emergency personnel via radio. WHERE ARE PAY PHONES? Pay phones are located in the following areas: Administration Building: Grandstand Level: Mezzanine Level: Infield: North side, outside and inside the lobby. Sections 1-G, 3-J, and 4-L Sections 2-V, 2-R,2-O, 2-K, 2-H, and 2-D. Neon Garage area TDD: There is a handicapped-accessible TDD unit available at the grandstand end of the pedestrian tunnel located near Elevator #4. WHERE ARE THE ATM MACHINES? ATM machines are located at the bottom of Elevator Tower 5, and in the lobby of the Administration Building, and in the infield in the Neon Garage area. ARE COOLERS OR BOTTLES PERMITTED? No. Coolers and food/ beverage are not permitted to be brought into the Super Speedway or Hospitality Village at any time. 15 ARE PETS PERMITTED? No. Animals, with the exception of helper animals for the handicapped, are not permitted in the Hospitality Village, Suites, or SuperSpeedway. WHERE IS THE GIFT SHOP? In addition to the many midway vendors, a full range of motorsports apparel and gifts are available at Speedway World: the official gift shop of Las Vegas Motor Speedway. Speedway World is located in the bottom of the LVMS Administration Building Near Gate C (marked TICKETS/GIFT SHOP). CAN I ACCESS THE NEON GARAGE? Yes, for the first time Neon Garage access is included with Hospitality Village packages. WHERE CAN I FIND ADDITIONAL INFORMATION? The official web site of Las Vegas Motor Speedway is www.lvms.com. All buses enter GATE 8 off of Las Vegas Blvd. On February 17, 2010, Las Vegas Motor Speedway will announce a dedicated bus route that all buses should follow to Gate 8. A special credential will be distributed at this meeting. Please ensure a representative from your party is present at the transportation meeting. If your representative is unable to attend, please contact Chris Lopez, LVMS Credential Supervisor at 702.632.8211. Before arriving at Las Vegas Motor Speedway, please make sure your buses have the Hospitality Bus parking credential displayed in the driver side window. To travel on the time-saving dedicated bus route, all buses must have a Parking Permit clearly displayed in the windshield . Each of these vendors will be credentialed for entry onto Las Vegas Motor Speedway property. It is important to note that any vendor who is not listed as a Las Vegas Motor Speedwayapproved vendor will not be permitted access to our facility. Please select your upgrade vendors from the choices provided below. If at any time you are dissatisfied with the service you receive from any of these vendors, please do not hesitate to let us know. We strive to assure quality for our guests, and would want to know if any of our associates had delivered sub-par service. Likewise, if you feel you have received exemplary service from any of these vendors, please let us know. We’ll be sure to continue to recommend them to our clients. THE ORDERING PROCESS This system simplifies the upgrade ordering process by facilitating direct contact with our vendors with competitive pricing. The end result will be clearer orders, made at reduced rates. Of the choices offered, each is happy to discuss your specific upgrade needs and provide costs for comparative shopping. When you’ve made your decisions, place your orders directly to the vendors. As race time approaches, each of these will report to the Guest Services department the number and size of their orders when they make their requests for credentials for delivery. Despite the thorough organization of this process, we urge each client to re-confirm his order directly with the vendor no later than two weeks before the event. Vendors will provide direct billing.
