CREDIT TRANSFER
1.1
STUDENT TERTIARY DETAILS
CREDIT TRANSFER
Student Tertiary Details task is used to enter detailed subject from the previous study in
order to get credit transfer.
How To Access Student Tertiary Details Screen
1. From Main Screen, click Student Menu. List of submenu for the Student Module will be
displayed on left screen.
2. Click Credit Transfer Submenu. List of task for the Credit Transfer Submenu will be
displayed.
3. Click Student Tertiary Details task. Display Student Tertiary Details Screen will be
displayed on the working area shown in Figure 1.1a

To Enter Detail Information
1.
Check in either ‘Student Id’ or ‘IC/Passport No’ on the ‘Choose By’ field.
2.
Enter Student Id or IC/Passport Number based on the checked.
3.
Click Go button. Qualification information will be displayed on the screen as shown in
figure 1.1b.

4. Click on the radio button for (External/Internal) will be appeared in the screen as shown
in figure 1.1c.

5. Click on the radio button of the desired row.
6. All the internal credit transfer subjects will appear (all the passed subjects of the
Program taken)
7. Click on the check box for the subjects student has applied for the credit transfer
(Internal).

8. Click on SAVE button after selection of the subjects.

9. Click OK button. Subject detail will be appeared in the list as shown in figure 1.1e.
External Credit Transfer:
To be done for the subjects which the student has cleared in the other college
Repeat steps from 1 until 4
Then choose External Option as shown in below figure.

Note: If you have more than one qualification for the credit transfer, check in box on the
Seek Credit Transfer for the other qualification and continue enter Subject Detail.
1. Click on the check box for the appropriate Program from which credit transfer need to
be done
2. if subjects have not been added you can add through the above screen
Note: All the credit transfer subjects must be approved by the Head of School / Dean / Head
of Academic.

CREDIT TRANSFER APPROVE
Credit Transfer Approve task is used to approve the credit transfer application.
How To Access Credit Transfer Approve Screen
1. From Main Screen, click Student Menu. List of submenu for the Student Module will be
displayed on left screen.
2. Click Credit Transfer Submenu. List of task for the Credit Transfer Submenu will be
displayed.
3. Click Credit Transfer Approve task. Display Credit Transfer Approve Screen will be
displayed on the working area shown in Figure 1.2a.

To Approve Credit Transfer
1.
Select either ‘Student Id’ or ‘IC/Passport No’ from the Choose By field.
2.
Enter either Student Id or IC/Passport Number based on the choice made.
3.
Click Go button. List of subjects offered for a program will be displayed as shown in
figure 1.2b.

4. Select Previous Tertiary Education Award from drop down menu on the Choose
Qualification field as shown in figure 1.2c.

5. List of subject for the selected previous tertiary education award will appear in the
screen. It also appeared in the drop down menu to match with the list of subject offered
as shown in figure 1.2d.

6. Select subject from drop down menu on the ‘Selected Previous Subject’ column to
match with the subject offered.
7. Check in box on the ‘Syllabus Reviewed & Match’ column.

8. Click OK button. Matching subject will be appear in the screen as shown in figure v1.2f

9. Continue match other subject offered (if available).

SET CREDIT HOURS
Set Credit Hours is used to set the maximum credit hours that can be transferred from the
previous study.
How To Access Set Credit Hours Screen
1. From Main Screen, click Student Menu. List of submenu for the Student Module will be
displayed on left screen.
2. Click Credit Transfer Submenu. List of task for the Credit Transfer Submenu will be
displayed.
3. Click Set Credit Hours task. Display Credit Hours Screen will be displayed on the working
area shown in Figure 1.3a.

From Display Credit Hours Screen, you will be able to;



Setup Credit Hours
Edit Credit Hours
Change Credit Hours Status
Setup Credit Hours
1. Click New Setup button. New Setup Credit Hours Screen will be displayed as shown in
Figure 1.3b.

2. Select ‘Program Level From’ and ‘Program Level to’ from drop down menu.
3. Enter maximum credit hours that can be transferred.
4. Click Save button. The information have been entered will be stored. Display Credit Hour
Screen (1.1a) will be displayed.

Edit Credit Hours
1. Click Edit function on a particular credit hours record. Credit hours information is
displayed on the Edit Credit Hours Screen shown in Figure 1.3c.

2. Make amendment to the information.
3. Click Update button. The amendment information that has been made will be update.
Display Credit Hours Screen (Figure 1.3a) will be displayed.
Change Credit Hours Status
1. Click Status function on a particular credit hours record. Status of the record will change
from active to inactive or vice versa.
