We encourage you to take advantage of these great FREEWARE products, which address real IT concerns, and introduce customers to the benefits of using GFI Software. This area changes regularly. For a list of our current freeware offerings visit: http://www.gfi.com/wecare GFI BackUp Product description Freeware version GFI BackUp™ is a backup and data recovery software solution for your network environment, be it physical or virtual. GFI BackUp - Freeware Edition enables you to back up your important documents, photos, music, emails and program settings using a simple but smart wizard-driven interface to most popular storage devices (including local and external disk drives, LAN, CD/DVD, removable devices, etc.). Use GFI Software’s backup solution to apply your backup and disaster recovery strategy by taking disk image/bare-metal snapshots of your workstations/servers, with ability to restore to different hardware or virtual machines. Or take a snapshot of your entire virtualized environment host system. Or create policies across your network applicable at the file and folder level, encompassing your Microsoft SQL servers – and more. The choice is yours – based on your own specific needs. Purchased version Case for purchase GFI Backup comes in three flavours, two of which need to be purchased for professional users. GFI BackUp Professional offers all the benefits of the Freeware version but adds support for backing up disk images/bare-metal snapshots of workstations/servers and backing up remotely. GFI BackUp Network also adds the ability to back up multiple machines from a centralized location. GFI BackUp Freeware is only licensed for home use. For commercial use a Business or Network license must be purchased. www.gfi.com | page 4 GFI EndpointSecurity Product description Freeware version Monitors and controls devices such as USB sticks, CDs, DVDs, iPods and also controls port level access (LAN, Wi-Fi, Bluetooth, etc.). Only allows administrators to monitor activity of devices that have been connected and the activity of users once the devices are connected. For example, an employee copying the customer database on to an iPod would show up. This allows the administrator to monitor and identify what is happening across the network. Purchased version Case for purchase All freeware features plus: (1) the ability to configure policies to grant Full Access, Read Only, Write Only or Block rights to users. Each user or group of users can have different levels of access. (2) Devices can be whitelisted or blocked by device type, manufacturer, serial number, etc. (3) Block or allow access/data transfer based on file type. (4) Permit temporary device access. (5) Checks for real file type. Logs activity to Windows event logs and to MS SQL where available. Logs user activity and provides reporting features. Once administrators see the number and type of devices being connected, as well as the types of files being accessed or transferred and understand the threat they face on a daily basis, they will elect to purchase the full version to control the activity and protect the company from theft, inadvertent misuse of information, time wasting and more. GFI MailEssentials Product description Freeware version Primary functionality is spam filtering with secondary features like list server, disclaimers, auto-replies, mail monitoring and reporting. Ability to tag outbound emails with a disclaimer per user or per email domain (unlimited user license). Purchased version Case for purchase Comprehensive anti-spam detection mechanisms and false positive reduction safeguards use over 14 different modules and checks, thereby attaining over 99% detection rates. Customizable, to help meet individual companies’ needs. Tool kit of mail management including mail monitoring, list server, reporting, domain-based and user-based disclaimers and auto replies. If the customer values the time their employees have to conduct business in, then they must purchase the full product to protect their employees from objectionable material and socially engineered spam attacks as well as from time-wasting junk mail; while also protecting the company from possible legal problems. Additionally, if the customer would like any of the other features apart from disclaimers, then purchase is necessary. www.gfi.com | page 5 WEB AND MAIL SECURITY » GFI WebMonitor » GFI MailSecurity » GFI MailEssentials » GFI MailEssentials Complete Online Web and mail security WebMonitor Version 2011 Web security, monitoring and Internet access control Quick links GFI WebMonitor overview GFI WebMonitor ReportPack GFI WebMonitor white papers GFI WebMonitor case studies and testimonials GFI WebMonitor product tour IT pain points/soundbites: »» »» »» »» »» »» Uncontrolled web browsing and downloading from the Internet can result in security breaches, virus infections company- wide and legal repercussions Social media costs UK economy up to £14 billion in lost work time; nearly 2,000,000 workers spend over an hour per day ‘Facebooking’ at work – Survey by MyJobGroup.co.uk, August 2010 Research by IDC shows that up to 40% of employee Internet activity is non-work related Social networking sites are a hotbed for distributing malware via shared links; Koobface is a perfect example, targeting millions of Facebook and Twitter users The increased use of social networking sites such as Facebook during office hours is leading to lower productivity and increased risk of data theft through social engineering; in fact, social networking phishing attacks are up by more than 240% over 2008 according to the MarkMonitor Brandjacking Report Web users’ browsing habits are hard to control and banning access to the Internet is not a practical solution. Main features: »» »» »» »» »» »» »» »» »» »» »» »» »» »» »» »» Available in three editions to offer network administrators a solution for their specific web monitoring needs: • WebFilter Edition: Provides control over what sites users can browse • WebSecurity Edition: Protects networks from viruses, spyware, malware and phishing attacks • UnifiedProtection Edition: Addresses all web monitoring needs in one package (combines the WebFilter and WebSecurity editions) Clear and concise view of Internet activity with real-time monitoring and shows URL and user browsing history – includes interactive reports with drill-down capabilities Time and bandwidth-based quotas – Users can browse specific categories for up to defined hours, or defined bandwidth Website category-based web filtering policies using WebGrade™ database with coverage of 280 million URLs Reputation-based filtering for proactive protection Soft blocking (warn and allow) Policies to block streaming media Blocklisting of malicious websites User/Group/IP-based download control policies to control which file types users can download Scanning of downloaded files via multiple antivirus engines – Norman and BitDefender included by default, Kaspersky is optional Protection against socially engineered phishing websites Control of IM clients including Live Messenger (MSN) and thin clients such as Gmail Chat or Yahoo! How to handle objections: Why do I need GFI WebMonitor if I’m running desktop-based AV? It is safer to have all web content cleaned from viruses at server level than to simply depend on the desktop AV engine. There is always the risk that end-users will click on links or open a download even if alerted that the file is probably infected. Better to be safe than sorry and deal with the problem at server level. You also do not need to push regular AV updates to all your workstations with GFI WebMonitor. Furthermore, GFI WebMonitor offers much more than just antivirus; it is a complete web monitoring package. Can users bypass GFI WebMonitor by using an online proxy server? No. Downloaded content is always scanned by GFI WebMonitor for malware and viruses, even if this is passing through an online proxy. GFI WebMonitor also has the technology to block anonymizers, thus blocking access to online proxy servers altogether. Why is the WebFilter edition more expensive than the WebSecurity edition? The WebFilter edition requires that an ‘accurate’ database of URLs is constantly updated and maintained to reflect changes in a very dynamic environment to offer real time protection. The cost of this real-time monitoring/DB updating is reflected in the higher price. I am an ISA Server/TMG user. Why do I need GFI WebMonitor if I can block websites in ISA? ISA/TMG server products simply block traffic but with GFI WebMonitor you have so much more functionality. First of all, GFI WebMonitor ships with a human-reviewed URL database that is updated in real time, offering immediate protection. Also, with GFI WebMonitor rather than simply blocking websites, you can actively monitor how employees are using the Internet – using interactive reports which give you the information you need rather than a summary of data, top browsers, top downloaders, which categories are being hit and others. Reports are interactive such that you can drill down to arrive to the required information. Additionally, GFI WebMonitor offers you the possibility to define time/bandwidth-based quotas – e.g., allow users to browse certain categories (News/Sports/Social Networking) for an hour per week, or download up to 10 MB per week from YouTube. Price for price, you get many more features out of GFI WebMonitor than if you had to go for the TMG subscriptionbased web filtering capabilities. Why do I need to renew the product every year? GFI WebMonitor is a subscription-based product – very similar to how antivirus software works. Since it makes use of AV engines and also has a URL database which constantly needs updating to ensure that it is effective, the software license needs to be renewed every year. Key competing products all use the same subscription-based model. This indicates that using one AV engine may not be enough to filter viruses, especially new ones 39% of US SMBs consider viruses to be the greatest threat – GFI SME Security Survey, 2007 No single AV vendor scanner is the best and able to stop all viruses. Main features: »» »» »» »» »» Multiple virus engines (Norman Virus Control, BitDefender included; Kaspersky, McAfee, AVG Antivirus optional) Trojan and executable scanner that detects unknown malicious executables Email exploit engine – safeguards you from future email viruses and attacks User/Group-based email content and attachment policies (content and attachment checking) Norman Sandbox and optional AVG Link Scanner provide enhanced malware detection. Major selling points: »» »» »» »» »» »» »» Thousands of customers worldwide GFI MailSecurity has five virus engines (two ship with the product, the other three are optional) while other products only offer one – multiple virus engines guarantee a higher detection rate and a faster response to new viruses Comprehensive email security solution that safeguards an organization’s mail server and network Unique Trojan and executable scanner detects malicious executables without need for virus updates User/Group-based email content and attachment policies (content and attachment checking) Support for industry-leading messaging platforms such as Microsoft Exchange 2000, 2003, 2007, 2010 and Lotus Domino Support for virtual environments. How to handle objections: Why do I need GFI MailSecurity if I’m running desktop-based AV? Installing antivirus software at server level helps to block viruses before they enter the network and complements any desktop AV that exists. GFI MailSecurity makes use of up to five antivirus (AV) engines to check and clean all inbound email. Desktop AV can help to check and clean files that are downloaded off the Internet onto that particular workstation if no web security product is used. However, with server-level AV, any viruses or malicious content can be stopped before it actually gets onto the network and reduces the risk that a user may try to run any executables from his or her desktop. With server-level AV, you are gaining higher protection from up to five antivirus engines, something the desktop AV does not provide. www.gfi.com | page 10 What is the difference between all the virus engines and why I should buy/renew them? GFI MailSecurity uses multiple virus scanners to scan inbound email. Using multiple scanners drastically reduces the average time to obtain virus signatures which combat the latest threats, and therefore greatly reduces the chances of an infection. The reason for this is that a single antivirus company can never always be the quickest to respond. For each outbreak, virus companies have varying response times, depending on where the virus was discovered, etc. By using multiple virus engines, you have a much better chance of at least one of your virus engines being up-to-date and able to offer protection against the latest virus. In addition, since each engine has its own heuristics and methods, one virus engine is likely to be better at detecting a particular virus and its variants, while another virus engine will be stronger at detecting a different virus. Overall, more virus engines means better protection. With thousands of viruses released every day, you cannot afford to be caught without the latest virus definitions. How to handle objections: Why is it priced per mailbox rather than per user? GFI MailEssentials is a product that provides a service on the basis of the number of mailboxes and not end-users; this is because individual mailboxes receive spam and to be effective, GFI MailEssentials should be deployed across all mail users to protect them and reduce the load on the mail server, and is therefore priced per mailbox. www.gfi.com | page 12 Why GFI MailEssentials and not IMF? GFI MailEssentials has a more powerful features list and is more robust than IMF. Essentially, it captures more spam and has fewer false positives. I am concerned that GFI MailEssentials does not function under high load. GFI MailEssentials is targeted at small and medium-sized businesses (SMBs); however, the product does support certain types of larger networks. Some entities make use of GFI MailEssentials’s clustering functionality to spread loads. What are the differences between an appliance (such as Barracuda) and GFI MailEssentials? If you already have Exchange in place, you don’t need to add an appliance. Install GFI MailEssentials on top of Exchange server. This way you don’t need to add another piece of equipment to your network. IT pain points/soundbites: »» »» »» »» »» »» »» »» End-users are receiving a significant amount of spam messages due to an ineffective or non-existent anti-spam/antivirus solution Administrators or end-users are spending too much time managing an existing anti-spam solution Large quantities of legitimate email messages are being falsely identified as junk mail and are delayed or lost due to an inaccurate existing anti-spam solution Increasing volumes of junk mail are surpassing or threatening to surpass the capacity limits of existing on-premise software or hardware solutions, potentially resulting in lost or substantially delayed mail An organization does not have a backup mail infrastructure or email continuity capabilities if their mail infrastructure or network connectivity is offline An organization is having difficulty delivering outbound messages because their mail server is on one or more blocklists An organization does not have protection against the possibility of a virus- or worm-infected workstation sending mass amounts of junk mail from the company’s network The responsiveness or competence of a current email vendor’s technical support team is lacking. Major selling points: »» Integrated queuing and continuity features provide an always-on backup mail service that allows customers continued access to email, even when their email infrastructure is offline www.gfi.com | page 14 »» »» »» »» »» »» »» As a hosted solution, it requires no hardware or software to be downloaded, installed, or maintained Immediate activation Blocks almost all spam and email threats before they reach the customer’s network – reducing risk, network bandwidth and mail server load Customers have choice of fine-grained control over service, or can simply set it and forget it Compatible with any operating systems and email infrastructure Responsive and competent technical support Straightforward and inexpensive pricing, with no capital expenditure or startup costs. How to handle objections: “I’m concerned about the security of a hosted/outsourced solution.” First of all, email is sent in plain text across the Internet, so it is inherently insecure. Secondly, email messages are not retained by us but are stored for (at most) 10 days – the length of the quarantine period. Thirdly, we have stringent physical and electronic safeguards preventing any unauthorized access to our servers. “Why should I use your service rather than Google (Postini)?” We have several functional advantages over the Google service offering, including a better queuing architecture that ensures no message loss, more flexible integration capabilities and a cleaner and easier to use control panel. Last but not least, we provide responsive and competent support by phone or email. “How reliable is your service?” We use a distributed network structure with multiple data centers, redundant systems running in parallel at each data center and a purpose-built software architecture designed for reliability. We also have redundant internal and external monitoring systems including full path message monitoring. In short, we have gone to significant lengths to provide a highly reliable service which we back up with a service level agreement. Various other objections We offer a no obligation, 30-day free trial of the service. This is a complete implementation of the service offering, with full technical support that allows customers to see how the service works and decide if it’s right for their organization. “Is there a trial available” End-users can access a demo online at trymca.mailessentialscomplete.com Main competitors: Other services: Google (formerly Postini), MessageLabs (now part of Symantec), MX Logic (now part of McAfee), AppRiver, Webroot, WebSense, etc. Hardware appliances: Barracuda, Cisco, Mailfoundry, Proofpoint, Tumbleweed Software products: Symantec Brightmail, Cloudmark, McAfee, Sophos, Trend Micro. www.gfi.com | page 15 ARCHIVING, BACKUP AND FAX » GFI FaxMaker » GFI MailArchiver » GFI BackUp Archiving, backup and fax Version 2011 Quick links GFI FaxMaker overview GFI FaxMaker white papers GFI FaxMaker case studies and testimonials GFI FaxMaker product tour The GFI FaxMaker client is available in these languages English German Spanish Italian Czech Polish Hungarian Russian Arabic Turkish IT pain points/soundbites: »» »» »» Manual faxing is time-consuming and expensive Sending faxes manually is problematic: the need for printouts, physically walking to the fax machine, people wasting time chatting along the way, recipient’s line is engaged, and the fact that with multiple fax machines all incoming faxes are dispersed throughout the company In using manual faxing, companies lose out on benefits of email and FoIP (fax over IP) technology. Major selling points: »» »» »» »» »» »» A leading and highly popular network fax server that has been around for over 10 years Thousands of customers and numerous awards Makes sending and receiving faxes an efficient, simple and cheaper process as it reduces time spent sending, collecting and distributing faxes Routes incoming faxes by CSID, DID, MSN, LINE, and OCR With OCR routing, an incoming fax is converted to text and the fax is routed if a certain string is found Integrates with existing processes to automate sending of faxes for example, in financial, medical and other businesses www.gfi.com | page 17 »» »» »» Features FoIP (fax over IP), which enables an organization to send faxes over the Internet at a low cost Excels in its seamless integration with Exchange and other mail servers Allows users to send and receive faxes and SMS/text messages directly from their email client. How to handle objections: I do not not use Microsoft Exchange Server Microsoft Exchange Server is not required. GFI FaxMaker can be used with other email servers such as Lotus Domino and Mdaemon, VPOP3, Slmail, and others. Microsoft Windows Server already provides faxing. Windows faxing does not provide any proper routing, so if you need to route faxes to different users, GFI FaxMaker is the way to go. Besides, Windows faxing does not feature OCR (optical character recognition) routing either. I already have a fax machine. A fax machine is time-consuming and expensive, and does not have the rich functionalities present in GFI FaxMaker. With GFI FaxMaker, users don’t even need to leave their desks to send faxes, and all faxes are saved in the email client for future reference. I do not need a network fax server. A network fax server allows you to send faxes from your desktop. No time is wasted on printing, retrieving the paper, walking to the fax machine, dialing and waiting for the fax to be sent successfully. You can send and receive faxes from just about anywhere you have connection to your company email. Reporting from GFI FaxMaker is not granular enough and I cannot create reports of my own from the report pack. You also have the option to use a third-party reporting solution to generate reports from the database. We will also in the future update reporting and provide more functionality. I use an MFP so why should I consider also using GFI FaxMaker? It all depends on the fax functions that your MFP provides you with. GFI FaxMaker takes faxing to a different level because it not only uses your own email client but also cuts down on communication expenses and office resources such as paper and toner. The MFP is great to have but for cheaper faxing a fax server is a worthwhile investment. GFI FaxMaker centralizes faxing and logs all fax communications. It is possible to integrate or send a fax from an MFP by scanning and sending via email to GFI FaxMaker for faxing depending on the MFP. Why should I purchase the OCR routing module? The OCR (optical character recognition) feature enables you to convert incoming faxes to text and insert the converted text into the body of the received fax report or as a separate text attachment. The converted text is then used for OCR routing depending on your configuration. This reduces the load on the Exchange Server while greatly reducing client complexity issues and administration Already a leading email archiving solution in the SMB space with over thousands of customers Offers the ability for users to access their archived email from within their Outlook client in a transparent and highly efficient manner and now also facilitates offline access providing users with access to archived email even if they are out of the office Reduce reliance on cumbersome PST files – prone to corruption, loss through hardware failure, requiring complex backup plans www.gfi.com | page 20 »» »» Storage management – reduce storage requirements by reducing size of Exchange stores and reducing the load on Exchange Helps to meet organizational email retention and categorization policies through rules. How to handle objections: If Exchange 2010 comes with archiving, why do I need GFI MailArchiver? Exchange archiving is an add-on that is at least 20% more expensive than GFI MailArchiver. With Exchange archiving you run the risk that in case Exchange goes down, you lose not only your email but your archives as well. GFI MailArchiver gives you a separate, fail-safe standby. Lastly, with Exchange 2010, storage costs explode as it keeps a copy of every email and attachment and not just a single, compressed instance of each email. I already back up my email! A backup is a snapshot in time that can be reverted to in case of disaster. Archiving is so much more: archiving keeps an online, searchable, self-service email restore, an instantly accessible record of all email communications. We already use PSTs – why do we need GFI MailArchiver? PSTs get corrupted. Users delete email from PSTs, and they can be distributed across a wide area, making them difficult to track. PSTs can therefore be a nightmare to manage. The competition is cheaper! The competing solutions may be cheaper on the sticker price, but definitely not over the lifetime of the solution. GFI MailArchiver is much cheaper than appliances, and offers better value than competing software solutions – it comes with one year of free support, and is easier to maintain and upgrade. Why should I go with an on-premise archiving solution? An on-premise solution is under your control, is much quicker and more efficient to restore from in case of disaster or recovery of email. If my users are offline, they cannot get to their archived email unless they use PST! Not anymore! With GFI MailArchiver (version 6.1 and up), an organization can configure a subset of archived email to be available offline. If a user is on the road and does not have access to the GFI MailArchiver server, that subset of archived emails is available as full email, including attachments. Archived emails outside this subset have a preview available. Since GFI MailArchiver doesn’t remove mail from the user’s mailbox, how does it help reduce the size of my mail store? Exchange can be configured to delete emails after a certain number of days, weeks or months. The ‘deleted’ email can still be accessed using GFI MailArchiver. How does GFI MailArchiver differ from solutions that remove the email from the user’s mailbox and leave behind a link? (And more importantly, what are the advantages of GFI’s way?) While this may reduce and limit storage problems for the end-user (as only a link is left), there are considerable effects on the Exchange server and performance levels. GFI MailArchiver reduces the impact on the end-user by not depending on Outlook’s .pst files, while the load on Exchange is also reduced. In both cases a better performance is achieved. What are the performance impacts to Exchange when enabling journaling and using GFI MailArchiver? Journaling is the Microsoft-approved way and other methods do not provide quite the same level of performance, and could result in undesired effects overall. GFI MailArchiver integrates seamlessly with Exchange and makes full use of the journaling feature with no impact whatsoever on Exchange. How to handle objections: GFI BackUp is a network-based backup solution. We have developed the technology in a way that addresses the problem of distributed management of backup and restore tasks. Through our solution the administrator gets to use a fully web-based UI to create a single backup job and assign it to the entire network be it for data backup, disk image backup or virtualized environments backup. For example, with GFI BackUp you can create a backup job which runs daily and performs an incremental disk image operation of your entire network to a central location such as on a network attached storage (NAS) device. This way all of your network is essentially available on the NAS device and if disaster strikes and one or more machines need restoration, you have the backups of all of your network on the NAS device. GFI BackUp handles the hurdle of distributing and assigning this backup task to run on all of the GFI BackUp agents on the network. This approach is unique in the way it is fully accessible via a web interface; it is future-proof as the admin has only one task to manage the backup policy for the entire network; and all backups can be configured to run at the same time (rather than successively as in most traditional products). Does GFI BackUp support bare-metal/image backup and recovery? GFI BackUp supports bare-metal/image backup as well as recovery of images to dissimilar hardware (provided the hardware is supported by the operating system hardware abstract layer (HAL) being restored). This is very important in cases where a computer gets lost, needs upgrading or needs replacement; this eliminates the need for the administrator to re-install everything from scratch. Just indicate to GFI BackUp that this is a restore to dissimilar hardware and GFI BackUp will notify the Windows operating system to adjust the HAL layer to the new hardware. Does GFI BackUp support Exchange 2007 and 2010 backup and recovery? GFI BackUp does not perform backup and recovery for Microsoft Exchange. This feature is actively being looked into by the GFI development team with a view to adding support for this as part of its upcoming roadmap for the product. Does GFI BackUp integrate with VMware or Hyper-V environments for uninterrupted backup of a virtualized machine? Yes, GFI BackUp supports backup and recovery of virtualized environments including VMware Workstation, VMware Server and Microsoft Hyper-V. Just point GFI BackUp to the virtualized environment host and GFI BackUp will do the rest. In case of disaster, just point GFI BackUp to a new host and it will restore the backed-up virtualized environment to that new host. Many other companies take between 12 and 48 hours! How to handle objections: I have to open ports on clients’ firewalls to allow scanning, what are the risks? It is true that open ports pose a risk if the computer is exposed directly on the Internet. However in this case, in order to mitigate this risk, the firewall can be configured to only allow scanning from the machine on which GFI LanGuard is installed. www.gfi.com | page 26 I like managing my security applications from web consoles, which I cannot do with GFI LanGuard. The inbuilt console in the product is more responsive and designed specifically to help the administrator; however, it does boil down to user preference. Both methods have their pros and cons, for example, with web-based you get access without having to log on; with application-based, you get higher response time. Why don’t you use an agent, if a machine is offline or on a slow network, and relevance of scans are compromised? This is not available in the current release; however, in the next one, you will be able to scan using agents. This means that once the agents are deployed, you get a high level of concurrency. Agent deployment will be transparent to the user, as will the scanning and agent removal. Other applications allow me to control multiple installations from a central console, why can I not do this with GFI LanGuard? Due to the nature of the product, GFI LanGuard was not designed to control multiple installations from a single central console. However, we do support logging to a central database so that the reports can be accessed from a single location. How long will it take to scan x number of IPs? (Obviously this depends on the scanning profile but a couple of estimates would be helpful.) It depends on the size of the network, but on average around two minutes per IP. I already use WSUS, why would I need GFI LanGuard? WSUS is a patch management tool that works only with Microsoft products and it is quite difficult to install and get running. It installs only on servers, requires Active Directory and IIS, has poor control over deployments and it is extremely hard to manage computers which are not part of the domain. On the other hand, GFI LanGuard is easy to install on both servers and workstations, patches Microsoft and other software applications, and is a complete network security audit solution providing vulnerability assessment and network and software audit. In the freeware mode, functionality is limited to monitoring only; there is no limit on the number of agents. The product enters into freeware mode after evaluation expires, and in freeware mode, no blocking can be performed on agents. Using the freeware version, the administrator managing GFI EndPointSecurity will immediately be able to see what is happening on the monitored machines, so, for example if five machines have the GFI EndPointSecurity Agent installed, the administrator would be able to see that the user ‘Nicholas’ has copied potentially sensitive files to a USB device. To be able to block such a user, a license needs to be purchased. We support devices encrypted with Microsoft BitLocker To Go. Using GFI EndPointSecurity, one can enforce a policy where only encrypted devices are allowed. We are also working hard to include our own transparent encryption within the product. Why use GFI EndPointSecurity if I can block the drives using the computer BIOS? Blocking through the BIOS is not practical and not everything can be properly blocked. With GFI EndPointSecurity, you do not need to waste any time accessing BIOS, changing settings and setting up password protection. Everything can be controlled remotely and transparently. Why do I need GFI EndPointSecurity if I can block access using the Active Directory Group Policy? GFI EndPointSecurity provides a level of granularity that you will not get using Group Policy as well as various functions such as real time monitoring, more flexibility in applying permissions, and highly granular access. All these functions help keep your endpoints secure. GFI EndPointSecurity is easier to configure than Group Policy and can be used to protect computers not joined to a domain. What is the use of GFI EndPointSecurity if my organization requires that most users need access to devices? Having an organization where users need access to devices essentially makes GFI EndPointSecurity even more crucial. Blocking use is only half the protection, so in your case, even though users have access, GFI EndPointSecurity enables you to log all operations performed by the users, generate reports, and keep an eye open for suspect behavior. Valuable corporate data is not accessible by users. Why do I need to monitor and control their access if there is nothing to protect? Endpoint protection is not simply controlling who can copy your data. Users may still be able to bring applications, movies or other material and copy these on to the network. For example, a pirated application containing malware downloaded from home may be brought in the office via a USB disk and installed, introducing the possibility of a virus outbreak on the corporate network. Joke applications and videos are also a source of time-wasting. I do not want the extra cost of purchasing an SQL Server license. You do not need to! How to handle objections: I know I should be monitoring my events but I do not have the understanding and skills required to implement such a solution. GFI EventsManager comes with a wide-range of pre-set rules that allows the administrator, even with little knowledge of events management, to use the product effectively and out-of-the-box. I would like to collect logs from my databases which include Oracle, MS SQL and DB2. GFI EventsManager can collect different types of logs, including ones generated by all Windows versions from XP onwards, Syslog, SNMP traps, SQL Server and Oracle audit logs, W3C and custom text logs with a regular structure. In addition, it can scan native logs from SharePoint and IBM iSeries servers through 3rd party tools. Why are there only a few rule sets for Cisco, PIX, Unix etc.? I do not have the resource to create many rules. The rule sets that ship with the software cover the major devices and events that need to be monitored. The latest version of GFI EventsManager covers a wider range of devices as it now supports SNMP traps for hundreds of devices most commonly found in networks. Why GFI EventsManager over SMS or MOM? GFI EventsManager has been designed to help SMBs carry out events management with the minimum of hassles. Unlike SMS or MOM, which are more complicated to install and manage, GFI EventsManager has been designed to work out-of-the-box. How big is the database going to get? You can collect events data from GFI EventsManager installations on multiple sites and locations across your network into a central database using the Database Operations functionality. This enables you to easily monitor thousands of workstations and servers across the network without impacting on bandwidth and storage use. It integrates and centralizes events collected/ processed and allows you to backup/restore events on demand. Through database operations you can manage the size of the database – without the need for manual intervention – not only through centralization but by also being able to export events and back them up as needed. As a managed service, GFI MAX MailProtection is compatible with any email system and can be implemented rapidly. Independently proven to be more accurate than other solutions, GFI Software’s cutting-edge technology ensures the optimal filtering of unwanted or harmful messages. At the same time, its customizable management interface and innovative features such as one-click whitelisting assure that the solution is both simple to deploy and extremely easy to maintain. Most importantly, the GFI MAX MailProtection service includes built-in continuity. If a customer’s mail infrastructure is ever offline for any reason, the customer can easily access and continue to respond to email messages while their mail server is down with no advance preparation necessary other than simple use of the GFI MAX MailProtection service. With competing solutions, continuity is either available only at a significant additional expense, or more commonly, is not available at all. IT pain points/soundbites: »» »» »» »» »» »» »» »» »» An organization does not have any backup mail infrastructure or email continuity capabilities if or when their mail infrastructure or network connectivity is offline End-users are receiving a significant quantity of spam messages due to an ineffective or non-existent anti-spam/antivirus solution Administrators or end-users are spending significant time managing an existing anti-spam solution A significant quantity of legitimate email messages are being falsely identified as junk mail, and are therefore being delayed or lost, due to an inaccurate existing anti-spam solution Increasing volumes of junk mail are surpassing or threatening to surpass the capacity limits of an existing on-premise software or hardware solution, potentially resulting in lost or substantially delayed mail An organization is having difficulty delivering their outbound messages because their mail server is on one or more blocklists An organization does not have any protection against the possibility of a virus- or worm-infected workstation from spewing out junk mail from the company’s network The responsiveness or competence of the technical support team for an existing email vendor is lacking A partner is selling an existing software or hardware solution for anti-spam/antivirus but their customers are more interested in (or would be more easily sold on) a service offering. Main features: »» »» »» »» Email continuity, including automatic queuing of messages and on-demand mail hosting for if or when a customer’s mail server is off-line Comprehensive and accurate spam filtering Zero-hour antivirus protection Directory harvest attack and denial of service attack prevention www.gfi.com | page 39 »» »» »» »» »» Hosted individual junk mail quarantines Individual junk mail digest messages Easy-to-use web-based control panel for reporting and management Message logging and search Service is fully brandable at all end-user touch points. Major selling points: »» »» »» »» »» »» »» »» »» »» Provides an integrated, always-on backup email solution As a managed service, requires no hardware or software to be downloaded, installed, or maintained Immediate activation Blocks almost all spam and email threats before they reach the customer’s network – reducing risk, network bandwidth, and mail server load Customers have choice of fine-grained control over service, or can simply “set it and forget it“ Compatible with any operating systems and email infrastructure Responsive and competent technical support Straightforward and inexpensive pricing, with no capital expenditure or startup costs Recurring revenue model for resellers that allows successful partners to achieve very substantial margins Full branding capabilities allow resellers to easily and inexpensively offer the service as an OEM solution. How to handle objections: “I’m concerned about the security of a hosted/outsourced solution.” First of all, email is sent in plain text across the Internet, so it is inherently insecure. Secondly, email messages are not retained by us but are stored for (at most) the length of the quarantine period of 10 days. Thirdly, we have stringent physical and electronic safeguards preventing any unauthorized access to our servers. “Why should I use your service rather than Google (Postini)?” We have several functional advantages over the Google service offering – a better queuing architecture that ensures no messages can be lost, full-service on-demand mail hosting, more flexible integration capabilities, full branding capabilities, and a cleaner and easier to use control panel. Additionally, we are focused on our channel partners, whereas Google has largely cut out the middleman and instead pursues end customers directly. Last but not least, we provide responsive and competent support. “How reliable is your service?” We use a distributed network architecture with multiple datacenters, redundant systems running in parallel at each datacenter, and a purpose-built software architecture designed for reliability. We also have redundant internal and external monitoring systems including full path message monitoring. In short, we have gone to significant lengths to provide a highly reliable service, and we back that up with a service level agreement. Various other objections We offer a no obligation, 30-day free trial of the service. This is a complete implementation of the service offering, with full technical support, that allows customers to see for themselves how the service works and whether they would like to use it. IT pain points/soundbites: »» »» »» »» »» »» »» Growing email volumes may force administrators to perform complex migrations to newer and larger hardware To conserve space, administrators often resort to setting limits on email storage size/age – this is very unpopular Employees want access to past emails, including deleted messages Sluggish email server performance Frequent reliance on PST files for backup is a management headache Various legislations (SarbOx, HIPAA, etc.) pose compliance requirements Organizational knowledge comprised by historical email is virtually unmanaged, not easily searched, and often not even fully backed up – but 60% of critical corporate information is contained in employees’ emails – Radicati Research Group Main features: »» »» »» »» »» »» »» »» »» Enable archive for a full domain or on a per-user basis Secure, geographically-distributed storage of internal, inbound and outbound email Customer-controlled email retention and deletion policies Legal Hold feature Web-based message search capabilities Message tagging for categorization and clustering of messages Delegated access controls Auditing and reporting of retention policy changes and other activity Compatible with virtually any email infrastructure Major selling points: »» »» Easy implementation: GFI MAX MailArchive can be enabled in just a few clicks within the GFI MAX MailProtection console – providing simple and integrated management for spam and virus protection, email continuity and message archive Inexpensively priced per user, GFI MAX MailArchive has no upfront fees and can be enabled selectively by user, based on a domain’s requirements. » www.gfi.com | page 41 Big benefits – affordably meet a wide range of goals: Offload email infrastructure requirements Achieve regulatory compliance Prepare for litigation Strengthen a disaster recovery plan Capture intellectual property contained within an organization’s historical emails. »» »» »» »» »» How to handle objections: “We already have a backup solution.” Archive is not the same as backup. Backup is only a point in time solution, i.e., having a copy of messages at a certain time. It is not designed for rapid searching of messages, and may not be able to recover deleted or historical messages. Additionally, backup cannot provide a verifiable audit trail of messages, as the archive service can. “The service is not designed for [my mail server].” As a hosted service, GFI MAX MailArchive can work with any email infrastructure. “I don’t have the time to set this up right now.” The service can be configured in literally just a few minutes. There is no software to download, install, or configure. You simply set a default retention policy, i.e., how long you want messages to be stored, define what mailboxes should be archived, and if appropriate, set up a journaling mailbox. We can walk you through the process and you will see that it is very simple and can be done from start to finish in under 10 minutes. “I’m concerned about the ongoing maintenance of another service.” The archive service requires no ongoing maintenance. It is a true “set it and forget it” solution. “It requires journaling to capture internal messages.” Journaling is the standard approach used by all hosted archive services to access a domain’s internal messages. Almost all mail servers support journaling. If you do not want to enable full envelope journaling on your mail server, the service also allows messages to be captured by configuring a mail server to have all messages blind-copied to a specific address. “I don’t know how to set up journaling.” Our support team has had years of experience with this and would be happy to help. “I want to be able to import all my existing messages.” We include an import mechanism in the control panel that allows you to import whatever messages you want, at absolutely no charge. Additionally, if you have a very large quantity of messages that is not practical for you to import over the wire, we will be adding a professional services component to the archive. You simply send us a DVD or a hard drive, and one of our engineers will import the messages for you for a modest charge based on the quantity of data. Either way, your historical messages are then securely stored in multiple geographically-distributed datacenters, along with all new messages that accumulate over time. » “The archive service doesn’t by itself reduce the load on our mail server.” By design, the archive service will not connect to your mail server and remove any messages, other than messages in the journaling mailbox that you would like the service to archive. However, the fact that you will have a reliable archive of all your messages, allows you to set policies within your mail server that automatically delete messages after a certain age or time limit – knowing that those messages will continue to be accessible through the archive service. “It’s too expensive” or other cost objections. With the GFI MAX MailArchive service, there is absolutely no upfront investment, and there is a free trial. The service is month-tomonth with no long-term commitment, and you can activate the service for a full domain or for just a few users. www.gfi.com | page 42 “I don’t want my email in the cloud.” All of your inbound and outbound messages are already being sent through the cloud, in plain text. With regard to the archive of your email, your data is actually safer in the cloud, stored at multiple geographically-distributed data centers, compared to the messages being stored on your own premise or in your own datacenter. We have an integrated export mechanism that allows you to export some or all messages at any time, and the messages are stored very securely to prevent unauthorized access. Other security-related objections. All messages are encrypted with 256-bit AES encryption; messages are only visible to users who send or receive those messages, and to domain administrators - no other people, including any resellers or distributors or GFI itself, have access to the encrypted messages. The private keys are never stored on the systems used to store the messages, so that even if somebody were to walk away with the system storing your messages, they would not be able to decrypt or read them. Company-related objections. GFI has been in business for almost 20 years, is profitable, and has no history of abandoning products. The archive service is part of the GFI MAX business, which is a rapidly growing, successful, and strategic part of GFI’s overall business. GFI’s Hybrid Approach One dilemma facing a lot of small and medium-sized businesses (SMBs) is whether they should choose an on-premise solution or move their operations online using one of the many cloud-based services. The answer depends greatly on the type of set-up the organization has. A 10-employee company infrastructure is different from that of a 50-employee company. Their needs are different and so their options/choices will also be different. GFI’s approach to the online vs. on-premise dilemma is simple: companies often need a mix of both online and on-premise solutions. GFI’s Hybrid Approach serves to help companies maximize the benefits of the cloud and on-premise solutions, giving them the option to have one or the other or both at the same time. GFI’s Hybrid Approach provides SMBs with the facility to use multiple solutions on-premise or in the cloud from a single vendor. This leads to greater efficiencies, lower overall costs, reduced risk and few migration issues. SMBs also benefit from the existing vendor-customer relationship. Most of GFI’s solutions are already available in both online and on-premise versions and the choices available to customers will increase over the coming months. Why are GFI’s products priced so low? GFI develops software that meets the needs of an SMB without extra bells and whistles; without bloatware. Unlike most enterprise products that are ‘downsized’ for SMBs, GFI has built its software from the ground up to target SMBs at a lower price point. This allows GFI to not only be competitive but also offer highly competitive pricing in our core markets. If I don’t renew the Software Maintenance Agreement (SMA) on my GFI product, what will happen with the product aside from just not having free support and version upgrades? For most of GFI’s products, if Maintenance is not renewed, the product will continue to work but with no support or upgrades. GFI WebMonitor, which is sold on a subscription basis, will stop working except for its monitoring functionality. This also applies to any product with virus definition updates, Trojan engine and exploit engine updates, vulnerability updates, anti-spam and antiphishing updates and SpamRazer updates. What are the product system requirements? Please refer to the specific requirements on the GFI website (product pages) or the appropriate product documentation. As a general reply, all products work in a Microsoft Windows environment and on the latest operating systems (x86 and 64-bit). What happens if I exceed my license limit? Should you exceed your license limit, you can easily purchase the correct amount of seats.
