April 2, 2013 Dear Friends, Our parish fes val is the largest and strongest community building event of the year, and it’s my favorite! This year we have many exci ng ac vi es, like the live auc on being moved indoors to the air-condi oned gym, expanded rides and so much more. One of the fes val’s largest a rac ons is the auc on. I am amazed to see it grow and get be er each year. This year’s auc on is be er than ever. There are many fantas c items up for bid. The auc on commi ee and the volunteers have been working for months to obtain dona ons that will be of real interest to all. Our silent auc on is on Friday night, May 3rd, in the gym. You can find many new and exci ng items for bid. Saturday night, May 4th, will be our live auc on with unbelievable trips, a wonderful dinner at the rectory, and much more. Join us for both auc ons in the gym—there will be food and drinks and a great me will be had by all. I want to thank all our auc on supporters, those who made items, those who donated, those who sponsor the event, and all who will bid on our many items. The proceeds of the auc on will go towards our debt reduc on. Each year the fes val grows larger and is be er than the previous year’s fes val. It’s a ring toss for grown-ups. Just because you’re over 21 doesn’t mean you are too old for games. There will be all kinds of wine and spirits for you to win and take home. Now that’s a prize! Simply throw a ring around the neck of the bottle and it’s yours. Rings are three (3) for $5.00. The Happy Hour Toss will be in the center of the gym during the silent auction on Friday night. FORK PULL Try your luck and buy a fork! They are just $20 each. This is a no lose situation. You will get gift certificates at least equal to the cost of the fork and possibly up to $50! Forks will be sold in the gym on Friday night only beginning at 6 pm. Many of your favorite restaurants are participating. Tickets can be purchased at the registration table at the silent auction Friday night or at the Check Cashing Booth on Saturday. The drawing will take place at 8:30 during the Live Auction in the gym. EXPRESS CHECKOUT This will keep you from standing in that checkout line! If you intend to pay via MasterCard, Visa or Discover you may complete an Express Pay credit information card that you can place in the locked box at the registration table during the auction. This will allow you to go directly to item pick up in the gym. Your credit card information will only be viewed and used by the Auction Treasurer to process your payment. After processing your payment, your card information will be shredded. Our procedures are in compliance with the Credit Payment Industry Data Security Standard. NEW FOR 2013 THE LIVE AUCTION IS IN THE GYM! Saturday @ 7:00 pm Spread the word. We don’t want anyone missing the live auction. Enjoy the action in the climate controlled comfort of the gym. Rain? No problem, Humidity? Not an issue. We’ll even have a bar in the gym. As always, it’s completely free to attend the live auction. Come out and watch your fellow parishioners and friends try to out bid each other! 6 GENERAL AUCTION RULES 1. At Registration you will receive a bid number. Please use this for bidding at the silent and live auctions. Each bidder is financially responsible for the use of their bid number. 2. You must be at least 21 years or older to bid on an item. 3. All Sales Are Final! No exchanges or refunds on auction items are permitted except when specified by the donor. Everything will be sold “AS IS”. Please read specifications and/or restrictions carefully. 4. By purchasing any auction item, the buyer waives any claims for liability against either St. Thomas More Catholic Church or the donor of the item or service. Neither the church nor the donor is responsible for any personal injury or damage to property that many result from the use of the item or service sold. 5. Check-out opens at 5:30 pm. Check, cash, Visa or MasterCard are the only acceptable forms of payment. Payment in full is required before items can be picked up. 6. All items must be paid for and removed from the premises by the close of the evening. Items purchased will be released upon payment in full. Paid receipts are to be shown before removing items from the gym. 7. Unless otherwise stated, vacations, dinners, sporting events, etc., must be arranged between the purchaser and the donor. 8. Unless otherwise disclosed, all auctioned items and services must be used within the time specified on the certificate or within one (1) year of purchase from the date of this auction. 9. If you are unable to pay receipt in full, items will be held in the parish office the weekend of the festival. Items not claimed Saturday night can be picked up in the Gym from 11:00 am - 2:00 pm Sunday, May 5th. They will be forfeited to the second highest bidder after the closing of the festival. LIVE AUCTION RULES 1. The Live Auction, located in the air conditioned STM Gym, begins at 7:00 pm and continues until all items have been sold. 2. Bid numbers are printed on the back of the auction catalogs. 3. The minimum bid for Live Auction items varies and is open on some items. The Auctioneer will announce each minimum bid. If the minimum bid is not met or surpassed, the item(s) will be returned to the donor. 4. Successful bidders will furnish the “FLOOR SPOTTERS” with their auction number and their names immediately after each sale for the clerk’s record. 5. All winning bidders will sign the bid sheet furnished by the runners to verify their bids. 7 SILENT AUCTION RULES 1. The Silent Auction, located in the gym, opens for bidding at 5:00 pm. Closing will take place on Friday, May 3rd at the following intervals: 9:00 pm – Around the House and Lagniappe 9:15 pm – Décor and Kids’ Corner 9:30 pm – Entertainment and Looking Good 9:45 pm – Sports & Recreation and Grade Level Donations *Categories close promptly at scheduled times* 2. Bid sheets for each auction item are located in front of the item. Initial Bid: All silent item bids will start at zero. The second bid should equal the incremental increase noted on the bid sheet. For example, if an items increment is $5 the initial bid will be zero and the second bid will be five dollars. Incremental Raises: The amount of the incremental raises will be stated on the bid sheet. When raising a bid, the bidder must write their personal number on the bid sheet on the line that is directly below the preceding bid. Bids will be disqualified if they: Are not increased by the amount stated on the form Include cents Are written illegibly 3. Each bid must be recorded promptly. After it is recorded, the bidder must step back so that other bidders have free and easy access to the bid sheet. 4. Each auction item is described in your catalog except those items donated after April 11th, 2013. Items received after April 11th, 2013 will be included in an addendum to the auction catalog. 5. To place a “Guarantee” bid on an item, write your bid number on the “Guarantee” line on the bottom of the bid sheet. This will out bid any bid that might be placed on the item. There will be a “Guarantee” station at the registration table for those bidders who really want to buy it immediately and take it home. 6. After a “Guarantee” bid has been placed, a row monitor will pick up the bid sheet and item and take it to the registration table. 7. The silent auction officials will settle all disputes. 8. Upon closing a category at the silent auction, auction workers will pick up all bid sheets for that category. Winning bid numbers will be posted on the DOORS leading into the 1st and 2nd grade building across from the SCIENCE LAB. 9.
