Dynamic Programs. Historic Mission. Marines’ Memorial Club Frequently Asked Wedding Questions Hotel Rooms Can I set up a block of hotel rooms? Yes, we will set up a courtesy block of rooms for your event when a signed contract and deposit for your wedding reception is received by the MMC. The maximum room block allowed is 10 rooms for 2 nights. The block will be held up until 45 days prior to the event; at that time the rooms will release back to the hotel. Should your guests call after the block has been released or need more than the 10 rooms allotted, we will continue to honor the block rate as long as there are rooms available in the hotel. $209.00 Saturday Nights $199.00 Friday / Sunday Nights Standard Room with 1 Queen or 2 Double beds (Guests may request Deluxe Rooms with 1 King or 2 Queen Beds at slightly higher rates.)Exclusive of taxes and parking charges. Is a honeymoon suite included in the wedding packages? Yes, as a gift from the Marines' Memorial Club we provide a complimentary suite on the night of the event for meeting your Food & Beverage Minimum and an additional complimentary night is also included in the Wedding Ceremony Package (giving you 2 nights complimentary total for hosting both your Ceremony and Reception at the MMC). Additional nights may be booked at a cost of $369.00 per night, plus taxes and are subject to availability. Billing What does the ++ after the prices mean? It means plus gratuity and plus sales tax. Why is there tax on the gratuity? The County of San Francisco has determined that there is tax on all banquet gratuities. Alcohol Can we bring in our own wine? Yes, you may bring in your own wine or champagne. We waive corkage fee for all wedding package and just serve your wine in lieu of ours. Can we upgrade the alcohol? Yes, provided in the Wedding Reception Package menu packet you will find a list of bar package upgrades, beer package upgrades as well as upgrade prices for wine, & champagne. Food Can I add on a choice of two entrees to the Mason or the California packages? Yes, you can upgrade both packages from one entrée to a choice of two. The price would be an additional $5.00 ++ per person. Is there a discounted rate for children? Children ages 4-12 are $49.00++ each. You may select a special meal of chicken strips, steak fries and fresh fruit or mac and cheese. All children will receive the same meal. You may provide gift bags for the children in the function rooms; however we don’t allow pens, crayons, paints or anything that can stain linen, carpet or walls. A good option for your young guests is to rent a suite, provide a babysitter and host a separate kid’s party. Is there a discounted rate for vendor meals? Yes, vendor meals are $50++ each and you may offer them a choice from same options you have selected for your guests. How will the staff know what entrée my guests have selected? When offering a choice of two entrees you will need to include an area for meal selections on the RSVP cards you send with your wedding invitations and track who has selected each type of entrée. Either create your own Escort / Entrée cards with a visual indicator to distinguish meal choice or the MMC can provide to you at no cost, pre-color coded place cards. (When creating your own Escort /Entrée cards we request that you do something that can easily be distinguished by the servers to keep the dinner service moving along smoothly.) What if I have vegetarians? We assume 5% of your guests will be vegetarians and we offer several a vegetarian options from which you may select one entrée for them. We suggest that you don’t promote the vegetarian option because if your total number of vegetarians exceeds 5% of your total guest count you will be charged for an additional entrée. Can we taste the food? Yes, we hold tastings several times a year depending on need. They are usually on a Wednesday evening from 6-8pm. The tasting is complimentary for brides and grooms with signed contracts. You are welcome to attend prior to signing a contract or bring additional friends or family to the event; the cost is $50.00++ per person. Audio/Visual Can we do a slideshow? We offer a Wedding A/V package at a cost of $250.00++ that will provide you with a screen, LCD Projector, powered AV cart and cables that you will need to connect your laptop and do a slide show for your guests. Sound is usually provided through your DJ. Do I have to have a DJ? Or can I bring my iPod? We offer an iPod Package at a cost of $200.00++ that will provide you with a 6’table, cordless microphone for announcements and cables to hook into our house sound system and allow you to provide your own music for your reception. Vendors, DJs, Bands, Florists, Rentals Companies….. Can we bring in chair covers or linen rentals? Yes, you are welcome to use outside rental companies, however, if your vendor does not provide set-up of the items you have rented and the MMC must provide the set up an additional labor charge will be applied to your final bill. The table linens included in our wedding packages are Ivory, Black or White which are available in a solid satin material as well as a Champagne or Gold options which offer a choice of 4 different patterned overlays. Please ask your Sales Manager if you would like information on more colors or patterns as we work with a number of established rental companies and can provide many rental items for you, additional charges may apply. Do my vendors need insurance? Your DJ, Band and Photo Boot Vendors will need to be able to supply proof of an ACORD Insurance Policy for an amount of no less than $1,000,000.00 with the Marines Memorial Club named as Additionally Insured. Most professional companies will carry this particular type of insurance. If you wish to hire a company that does not, ask your Sales Manager for contact information for an insurance company that will sell a single day policy for the event. Are there restrictions on music? You can have a band or a DJ and both can be amplified. We do not provide the amplification and we do require that if you are having a band they come in for a sound check 2 weeks prior to the event. However, there are no restrictions as to the type of music you that can be played as long as the volume is kept at a level respectful to our other hotel guests. Can we leave our cake or flowers in your refrigerator the night before? We have very limited refrigerator space and are unable to accommodate storage of your cake or flowers. When can my vendors come in to set up the day of the event? All vendors are allowed 90 minutes of set up time prior to the start of the event. If we are able to give your vendors early access to the room we try to make every effort to be accommodating but this is completely dependent on room availability due to other events scheduled on the same date. Your Sales Manager will provide you with a copy of the MMC’s Vendor Guidelines for you to forward to each vendor you have hired. The Guidelines documents will give them all the details they will need to know for a smooth load in and out process on your wedding day. Can we bring in candles? The San Francisco Fire Department requires you to purchase a permit if you want to use your own candles at your event. You will need to bring your items to SFPD’s Permit Department for approval and pay the permit fee. Our votives and candelabras are already approved by the Fire Department and included in all of our wedding packages. Other Can I extend the time of my event? Yes, you can add additional hours to your event. The cost starts at $16.00++per person per hour, which includes the open bar ($18.00++ per person per hour with Premium Bar upgrade and $20.00++ per person per hour with Platinum Bar upgrade). The latest the event can go to is 11 PM without overtime and 12 AM with overtime. Can we use the piano? Yes, there is a piano on each floor and we do not charge for using the piano however we recommend that you allow us to have it tuned for you the cost is $150.00++. We do not allow anyone other than our approved piano tuner to work on our pianos. How many servers do you staff? We staff 1 server for every 3 tables and 1 bartender for every 100 guests. If you would like us to have more staff available we can do so and additional labor charges will apply. Are there any benefits to holding my wedding on a Friday or Sunday evening? Yes, the Food and Beverage minimum is lower and we offer a 10% discount of the price of all our Dinner Reception Packages. Parking Where should my guests park? Overnight parking is available for Marines Memorial Club guests at the Olympic Club Garage at the current rate of $30.00 for 24 hours (plus 14% hotel Tax) with in and out privileges. Parking is guaranteed for MMC’s overnight hotel guests only. Event parking is available for Marines’ Memorial Club event attendees at a special rate of $6.00 per hour for up to 4 hours or $24.00 maximum with validation. A self-stamp validation machine is located in the Hotel Lobby near the elevator bank. Contracts, Deposits & Billing I’m ready to ask for a contract. How do I proceed? When you’re ready to go to contract call or email your Sales Manager to confirm that your selected date is still available. If the date is open your Sales Manager will place the space on a hold and email you the Contract Questionnaire. Once you have completed the questionnaire with your contact information and event details send it back to your Sales Manager who will then begin to draw up your contracts. When is the deposit due and how much is it? Once you have been issued your wedding contracts you will have 10 days to review sign and return with your first deposit. Your second deposit is due 3 months prior to your event. All deposits will be credited toward your final bill. Your final guarantee count of guests is due the Monday prior to your wedding date and you will settle the bill for full balance of the event when you meet with your Day of Coordinator later that week (usually Wednesday or Thursday) at your Final Review Meeting.
