Terms & Conditions for Weddings
1. Provisional reservations are held for 2 weeks, during which time you must either confirm
or cancel your provisional reservation. If we have not heard from you, we will automatically
release the booking.
2.Your reservation must be confirmed in writing giving brief details of your plans. A deposit
of £250.00 is required with your confirmation. All deposits and pre-payments are NON
REFUNDABLE and NON TRANSFEREABLE. Cheques are to be made payable to THE
ATHERSTONE RED LION.
3.You are welcome to come in and pay off any amount at any time before you big day.
4. Your plans for the day (menus, drinks, numbers, timings, etc) must be finalised with us at least
28 days prior to the function, at which an invoice will be raised for the final balance payment,
which must be settled in full at least 21 days prior to the function. Any additional requirement
after this date is at the discretion of hotel management.
5. If actual amount of guests exceeds the numbers provided, an additional charge will be raised,
no refund will be given for a reduction in number after the final payment had been made.
6. Wedding guests staying at the hotel on the night of the function will be given a preferential
rate. Guests should make their own accommodation bookings and are advised to do so well
in advance to avoid disappointment.
7. Catering is provided by the hotel and under no circumstances is food to be brought into the
hotel unless authorisation is given by hotel management in writing.
8. Whilst we recommend the use of the our resident DJ, you may bring your own DJ
providing the can supply us with a Portable Appliance Tested (PAT) certificate issued
within the last 12 months prior to the function date & must also have a valid Public
Liability Insurance certificate.
9. You will be liable for any damage, by your guests, whether in the function suite, public areas
or bedrooms.
10. Functions must come to an end by midnight, unless late license has been agreed and paid for.
11. No drinks may be brought into the hotel, unless by prior arrangements, however these will
be subject to a corkage charge.
12. Services such as electric power, gas or water. In these circumstances, we shall use every
effort to notify you as soon as is reasonably practical. If, as a result of such events, we
believe we have no alternative but to cancel your booking, we shall use reasonable
endeavors to help you find an alternative venue of a similar standard for a similar price
but our sole liability to you shall be to refund you any money you have paid towards
your wedding package.
13. If your wedding date is scheduled more than 1 year after the date of our confirmation of
booking, we reserve the right to increase the price of your wedding package by up to 5% for
each complete period of 12 months between these two dates.
14. All prices are inclusive of VAT. However, if the rate of VAT changes between the date the
contract is formed between you and us and the date of your wedding, we will adjust the VAT
you pay (and hence the overall price of your wedding package), unless you have already paid
for your wedding package in full before the change in the rate of VAT takes effect.

Cancellation
1. If you want to cancel a confirmed booking, you must do so in writing.
2. We will use reasonable endeavours to “re-sell” the date to another couple. However, you
must pay us any losses and costs we suffer because of the cancellation which were reasonably
foreseeable to both you and us when the contract was entered into, whether or not we are
able to resell the date. Depending on when you cancel, the cancellation charges you must pay
shall be determined by reference to the table below. We will tell you the exact cancellation
charges once we know whether or not we have been able to resell the date, and you must
pay the charges within 20 working days of our invoice. Where the final price has yet to be
finalised (for example, because you have not yet confirmed catering numbers), we shall base the
cancellation charges on any minimum numbers set out in our quotation.

You are advised to arrange your own insurance cover for the event in order to mitigate your
costs in the event of a cancellation, illness etc.
Cancellation by us
1. We reserve the right to cancel your booking without liability to you and without any
obligation to refund your deposit if:
(a) you do not pay us the balance of your wedding package price by the date due for such
payment; or
(b) we have reasonable grounds to believe that you may not pay us the balance of your
wedding package price by the due date and we have requested you to explain the position
and you have not done so satisfactorily; or
(c) we discover, before you have paid the balance of your wedding package price, that you have
deliberately concealed information, or deliberately given us incorrect information, about
your intended wedding in circumstances where (if you had not done so) it would have been
reasonably foreseeable that we would not have accepted your booking; or
(d) we have reasonable grounds to believe that your behavior or that of your guests at the
wedding is likely to result in damage to the venue or to our property and/or injury to people.
