EVENT DETAILS:
1. DATE DEPOSIT:
To secure your wedding date, we would require a R 2000.00 deposit. This deposit is non-refundable
but will form part of a prepayment for your final account
2. CHAPEL / FOREST VENUE:
For the use of the:
Forest venue: R1500.00
Stone Chapel: R1000.00
3. VENUE
The lodge would be responsible for supply and settings of:
Tables (with table cloths);
Chairs (with covers);
Cutlery; crockery;
Glasses and cups & saucers.
Entire hall draped
The cost for the above will be R100.00 per guest.

5. SERVICE FEE:
A service fee of 10% of food menu cost will be payable
6. CORKAGE:
Option 1: If you prefer to supply your own champagne or wine there will be a R25.00 corkage fee
charged per bottle.
Option 2: If you choose one of our Lodge stock wine or champagne, you will be charged at our cost +
corkage at R25.00 per bottle. See Wine / Champagne list.
*option 2 saves you a bit of running around and being left with collecting left over wine or champagne
7. BAR:
A self service bar will be available to guests.
8. REFUNDABLE BREAKAGE DEPOSIT:
A refundable breakage deposit will be payable at R10 per guest.
9. ACCOMMODATION:
Special rates for wedding guests will apply. To be confirmed.
We have 19 rooms in total, and can accommodate 42 guests.
10. FREE NIGHTS:
Two nights free accommodation will be given to the newlyweds in appreciation of having your special
day at Assegaaibosch Country Lodge. (Night of the wedding, and the first night thereafter)

VENUE AGREEMENT
THE ASSEGAAIBOSCH COUNTRY LODGE WILL:

Not make provisional bookings for the wedding date
Ensure that your Breakage Deposit will be consolidated within 7 working days of your function.
Set up all equipment supplied by ourselves.
Ensure that the venue is properly cleaned before and after the event.
Reserve the right of admission.
Not take responsibility for any guest’s private belongings.
Not be responsible for the weather.
If Bar facilities is run on Master Account, the name of the responsible must be supplied before the event.
Present the final bill to the Host on the morning after the function.

Make all payments timeously as per the agreement: Event dates are confirmed on a first come first serve basis, after the R 2000.00 non
refundable venue deposit is paid to ensure the date & venue.
A payment of 50% of the total quotation is required no later than 1 month prior to the event. The R 2000.00 deposit above will form part of this
amount.
A payment of 50% of the balance of the total quotation is required no later than 2 weeks prior to the event.
Menu Price: The price of your chosen menu will only be fixed 3 months prior to your event .
Payment of all outstanding amounts will be required directly after completion of the event.
Accommodation: Your reservation will only be guaranteed after a non – refundable deposit of the total costs of accommodation is received.
Dietary requirements such as vegetarian or Halaal can be arranged by prior notice.
Be responsible for decorations and additional décor and equipment. (Ladders, extensions leads, adapter plugs etc.)
Coordinate and complete the set up of additional décor and equipment on the day before, and the day of the function. Communicate to management
your intended table layout.
Clear all décor from the event by no later than 11am the morning after an Evening function. Breakfast & Lunch function décor need to be cleared the
day of the function. The Assegaaibosch Country Lodge takes no responsibilities for these items.
Restrict the decorations to that which are on tables. Decorations hung from the lights, fans, ceiling and curtains are not permitted. The Lodge objects
to the use of any hardware such as nails, glue, staples and drawing pins, which may cause damage to the venue and equipment.
Be responsible for damage cause by their guests.
Arrange their own minister in the event of a wedding.
Will provide their own music system for their function.

Certain access privileges are granted to Hosts who choose to book out all the rooms in the Lodge:
Use of the Lodge and its facilities will be granted to the Host and all invited guests of the function.
The Lodge’s Restaurants & Bar will not cater to the public for the duration time of the scheduled function.
The use of the Dezeppi’s as children’s eating & entertainment area at no extra charge – by prior arrangement.
Hosts who do not book all the rooms are advised of the following:
The movement of guests will be contained within the rented function spaces.
The Lodge will continue to provide services to other guests the public through our sports Bar, E lapa & Restaurants.
The Accommodation, Deck and Sports facilities will be for the use of guest paying for accommodation.

PAYMENT AGREEMENT
THE DEPOSIT – PAYABLE ON YOUR CONFIRMATION:
Kindly note that the date for your wedding will be reserved by paying the non refundable deposit of R2000.00.
THE PAYMENT SCHEDULE – 1 MONTH PRIOR:
50% of the total quotation (less the R2000 already received) is required 1 month prior to your wedding day.
THE PAYMENT SCHEDULE – 2 WEEKS PRIOR:
The remaining 50% of the total quotation will be required 2 weeks prior to your wedding day. With this the necessary adjustments
on final numbers will be made.
THE PAYMENT SCHEDULE – FINAL INVOICE :
Payment of any outstanding amounts will be payable prior to your departure on completion of your event. These include:
Any Corkage Fees and Jugs of Juice per table
Any increase to the number of guests attending your event after the one month payment.
Any babysitters fees – if arranged in advance with management.
Any Bar Master Account that was prearranged with management.
Any other special requests that require invoicing after the one month payment has taken place.
CANCELLATION POLICY:
If for any reason your event should be cancelled 3-6 months before the wedding, you will lose your non refundable deposit, and you
will be held liable for 50% payment on your invoice. (Invoice less the food and drink)
If for any reason your event should be cancelled 3-0 months before the wedding, you will lose your non refundable deposit, and you
will be held liable for 100% payment on your invoice. (Invoice less food and drink)
If your event is postponed with more than 6 months notice from the date of wedding, we will gladly provide you with a list of
available dates and your R2000 deposit will remain in place.
CHANGES TO THE MENU & MENU PRICE:
Your chosen menu price will only be fixed 3 months prior to your event.
For catering purposes and planning: any decrease to the number of guests attending your event after the 2 weeks in advance
payment will not be reimbursed.
Please note that the cut off period for changes to the menu selection will be TWO WEEKS PRIOR to your event date.
ACCOMMODATION INVOICES:
Please note that rooms can be reserved as requested up to 3 months before the event.
Attached is a rooming list, please fill in the names, telephone number and email addresses of the relevant attending guests so that
we can start to process the invoices for them.
Rooming list to be received back to us, no later than 3 months before the event
REIMBURSEMENT OF YOUR BREAKAGE DEPOSIT:
A full stock take is done after every event held at the Lodge.
An invoice with a summary of the breakages will be presented to you prior to reimbursement of the balance of your breakage deposit
which will take place within 7 working days from your event.
Please ask the person responsible for receiving the balance of your breakage deposit after your event to fill in the fields below for our
records.
