HP Web Jetadmin HP Web Jetadmin provides network managers a single support tool to install, monitor, and troubleshoot a wide range of network-connected devices from an intuitive browser interface. While the HP Embedded Web Server is used to manage a single device, HP Web Jetadmin is used to manage groups of devices. HP Instant Support Professional Edition Connects you to the HP Web site to help you solve problems and answer questions. This service analyzes your device error log and configuration information to provide diagnostic and support information specific to your digital sender. HP DSS 4.0 allows digitized information to be sent quickly and securely to network folders, printers, and fax services, improving overall efficiency and business productivity, and reducing the costs of sharing and storing information. Digital sending helps you convert your paper documents to digital format so you can work with the information more easily. Choose from multiple sending options The HP 9200c Digital Sender allows you to send to multiple destinations, including: • • • • • E-mail Secondary (secure) e-mail Fax Workflow Network folder HP DSS 4.0 supports Windows 2000 Professional (Server or Advanced) or Windows XP Professional, Windows 2003 Standard Server or Enterprise Server (Windows Clustering Services also supported) 3 Evaluating the digital sender 9 For send to workflow jobs, the administrator may enable custom keys that ensure documents get coded correctly and sent to their intended destinations, such as a network folder or FTP site. The administrator creates prompts that appear on the intuitive touch-screen graphical control panel and direct senders to fill in the correct indexing information before the document is scanned. A thirdparty software program monitoring the network folder or FTP site can then retrieve and decipher the information, performing the specified operation on the scanned document. The system administrator can also set up a printer as a workflow destination, which allows users to scan a document and then send it directly to a network printer to be printed. For other jobs, you can use Settings on the control panel to change the settings for the scanned document that you are creating (for example, the file type that you want). The following settings are available: Setting Options Description Color Black-and-white Use this option when the original is black-and-white, or when you want to send a more complex original as black-and-white in order to reduce file size and transmission time. Color Use this option when the original contains shades of gray, a mix of text and illustrations, or a mix of color and black-and-white areas. This choice increases file size and transmission time. .PDF This is the default setting, offering the best overall text and graphics quality. Recipients must have Adobe® Acrobat® Reader installed on their computers to read this type of file. When used for e-mail, this option produces one e-mail attachment that contains all of the scanned pages. .TIFF This is a standard file type that can be brought into software programs and modified by the recipient. When used for e-mail, this option produces one e-mail attachment for each scanned page. .MTIFF This is a multi-page .TIFF file that saves multiple scanned pages as a single file. The files can be brought into software programs and modified by the recipient. When used for e-mail, this option produces one e-mail attachment that contains all of the scanned pages. .JPEG This file type is best for viewing through an Internet browser. The files can be brought into software programs and modified by the recipient. When used for e-mail, this option produces one e-mail attachment for each scanned page. File type Multiple additional file types are available when an OCR conversion is performed. Resolution File size Enhance Note 10 • 75 dpi • 150 dpi • 200 dpi • 300 dpi • 400 dpi (send to workflow or network folder only) • 600 dpi (send to workflow or network folder only) • Small • Standard • Large • Sharpness • Background removal This setting controls the compression level performed on the file before sending. The default level is standard. If you wish to reduce file size, use the Small setting, but be aware that image quality will be affected. This setting alters the sharpness or background-removal settings for the scanned image. The sharpness setting enhances the edges of the printing so that faint or fine text and graphics are reproduced more sharply. The background removal setting is useful when the original is on colored paper or is two-sided. Removing the background can prevent blurring or streaking in the output image. For send to fax jobs, only the sharpness and background removal settings are available. Evaluating the digital sender Evaluation Scan material typical for your day-to-day business, whether edited copy, reports, booklets, or other professional documents. Evaluating the digital sender 15 Evaluation Creating samples First, develop a group of sample documents that represent what an end-user typically scans. This is the best method for determining if a product is suited to your environment. Note It is important to test files like those that a typical user will scan. Most samples included with a product have been optimized for that product and may not reflect the results you will receive in your day-to-day business. When evaluating performance, your samples should include color documents as well as black-andwhite of varied complexity. The samples should have different elements (text, graphics, and photographic images) and should vary in complexity and page length. Some suggested content includes simple text documents, mixed text and graphics, and complex graphics containing photographic images. Simple: text, line art, and basic clip art Mixed: from complex text to a mixture of text and medium-complexity Complex: photographic images and graphics advanced graphics (using overlays or fill patterns) Different manufacturers provide different scanning modes. Evaluation guidelines Before you scan the sample documents, make sure that your test environment simulates the end-user’s and that you make a fair comparison between products. Follow the guidelines below: Measure performance from the end-user’s perspective. 16 • Test multiple media sizes and types. • Test digital sending features (scan to e-mail, fax, network folder, and workflow, as well as different resolution, file types, and file size settings). • Test and compare default settings. (What settings will the end-users use most often?) Evaluating the digital sender When evaluating more than one product, it is crucial that you make a fair comparison between products. Scan the same files on all products, using the same originals and the same or equivalent settings. Follow the guidelines below when measuring performance: • Be sure to measure the amount of time it takes to scan a complete document. Look at each page to make sure all text and graphics scanned correctly. Files that scan significantly faster on one product may have low quality. • When comparing product performance, look beyond the speed trial data and consider the acceptability of the file sent. There are definitely tradeoffs in speed vs. scan quality, but as you review your results, look at the samples and consider whether the quality meets your standards. We run the products to the end of their life and record jam and misfeed rates. This kind of extensive, long-term testing is beyond the limits of most company’s resources; however, it is possible to estimate their product’s engine reliability. One option is to compare other manufacturers’ duty-cycle ratings, base warranty (make sure it is at least one-year), and three-year warranty costs. The HP Embedded Web Server requires a connection to the network via an HP Jetdirect print server, which comes standard with the HP 9200c Digital Sender. To use the HP Embedded Web Server, you need the following: • A TCP/IP-based network • A supported Web browser installed on your computer Note You can gain access to the HP Embedded Web Server from any operating system that supports the TCP/IP protocol and a Web browser.
