Introduction and Contact Details
The exhibitor’s manual is written to help as much as possible with your participation
in the exhibition. Please study the contents carefully. It is important you are aware of
the requirements of both Harrogate International Centre and the exhibition organisers.
These requirements have been put in place to ensure the exhibition runs smoothly for
all those involved.
This manual is comprehensive but not exhaustive. If you have any questions, unusual
requirements or particular requests, please contact the organisers for further information:

Essential Information
It is most important that all exhibitors are aware of the following requirements, some of
which are new for this year’s exhibition and some of which require immediate attention.
Exhibitor’s Undertaking – see page 4
The Exhibitor’s Undertaking must be signed and returned to the organisers immediately upon
receipt of this manual. The Exhibitor’s Undertaking confirms that all the products an exhibitor
displays are the subject of its own copyright, design registration or intellectual property right
or that they have the written authority of the owner of any such rights to display their designs
and/or products.The Exhibition Organisers reserve the right to ask an exhibitor for written evidence
of any such rights and/or their authorised assignment.
Health and Safety Undertaking – see page 5
The Health and Safety Undertaking must be signed and returned to the organisers immediately
upon receipt of this manual. The Health and Safety Undertaking confirms that exhibitors have
read all the relevant sections of this manual and agreed to comply with any requirements detailed
and that any work carried out by them or their contractors during the build-up and breakdown
of the exhibition will comply fully with the requirements of the Health and Safety at Work Act
1974 (as amended).
Gas Supply Order Form – see page 21
Subject to certain conditions, exhibitors are allowed to complete all interconnecting pipework
between live appliances on their stand but are prohibited from connecting the stand or any part
of it to the gas supplies in the exhibition halls.This final connection work will be carried out exclusively
by the organiser’s appointed contractor. LPG cylinders are prohibited in the exhibition halls.
Solid Fuel and Oil Appliances – see pages 27
If you propose demonstrating live solid fuel or multi fuel burning appliances in Halls A, B or
C, a suitable flueing system will be provided to ensure all products of combustion are safely
evacuated to the outside atmosphere. All the flueing of exhibitor’s live appliances will be carried
out by the exhibition’s appointed flueing contractor only.
Shell schemes
Those exhibitors using a shell scheme must not cut, modify, or in any way alter any part of a
shell scheme without the prior permission of the organisers. Any shell scheme panels altered
in any way without permission will incur a charge of £100 (exc. VAT) per panel.
Removal of exhibition stand materials
Unlike many other exhibitions, the cost of unloading and loading of exhibitor’s materials using
fork lift trucks is included in the cost of stand space. However, the removal of materials discarded
by exhibitors when the exhibition closes is not included in the cost of stand space.Those exhibitors
wishing to dispose of stand materials after the exhibition closes must make prior arrangements
with the organisers for the payment of related removal and skip charges. Any exhibitor who
does not make such arrangements will be invoiced for a minimum of £100 (exc. VAT) or otherwise
the actual costs of removal and skip hire.
Storage
There will be no facility available to store exhibitors packaging or surplus materials in the exhibition
halls. Exhibitors must remove to their own vehicles any packaging or surplus materials. NO excess
stock and/or literature or packing cases may be stored around or behind your stand.
Wood supplies for live appliances
Wood or other materials used for the live burning of appliances cannot be bulk stored in the
exhibition halls. Exhibitors are only permitted to store on their stands sufficient fuel for a single
days burning and must store all other fuel reserves outside the halls. If you have an existing
arrangement with a fuel supplier, please ensure that the wood you bring is kiln dried with a
moisture content of no more than 20%. The Exhibition Organisers have arranged for the supply
of suitable wood to those stands who do not wish to bring stocks to the exhibition. Please ask
for further information.

Exhibitors Undertaking
We recognise the importance to the Hearth & Home Exhibition of ensuring that we are not
infringing the patent, copyright, registered design or intellectual property rights of any third
parties and hereby confirm;
1) That in respect of each and every design we are exhibiting, we own the patent, copyright,
design right, or other intellectual property rights of the product(s) being exhibited OR
2) We have been authorised by the owner of any such patent, copyright, and design right or
other intellectual property rights to display the product(s).
We acknowledge that the Exhibition Organisers may request written evidence confirming
compliance with (1) or (2) above. In the event that we are unable to produce such evidence, we
recognise this may require us to remove a product or products from display for the duration
of the exhibition and may prejudice our opportunity to exhibit at future exhibitions. We further
recognise that this Exhibitor’s Undertaking will be exercised in UK law if, in the reasonable
opinion of the Exhibition Organisers and their legal advisors, the requirements of (1) or (2)
above have not been met.
We further undertake to ensure that any products we display fully comply with all relevant UK laws
and regulations and that all our employees have been made aware of any such laws and regulations
and of this undertaking. We understand that a breach of the terms of this Exhibitor’s Undertaking
will constitute a repudiatory breach of this agreement entitling the Exhibition Organisers to
immediately terminate the agreement without prejudice to any remedy it may have against us.
Trade Only Policy
The Hearth & Home Exhibition is a trade only exhibition and members of the general public are not allowed entry
unless specifically authorised by the Exhibition Organisers or as authorised guests of an exhibitor.To provide assurance
for exhibitors and to meet with the requirements for a trade only exhibition, all visitors must be able to identify themselves
as bona fide trade visitors. If a visitor is unable to provide such identification, an exhibitor may request the exhibition
organisers or their appointed security agents to validate and confirm the visitor’s identity. If a visitor is unable to
provide confirmation of his or her commercial identity, the exhibition organisers reserve the right to ask them to
leave the exhibition.
This exhibitor’s undertaking is given on an annual basis and therefore refers only to the current year and does not
guarantee that we will be offered a contract for a future exhibition. We recognise that the Exhibition Organisers
reserve the right at their absolute discretion not to offer a contract for a future exhibition if it has been satisfactorily
demonstrated that we have breached any condition of this or previous Exhibitor’s Undertakings.
We have read and understood the Exhibitor’s Undertaking and accept responsibility for complying
with these regulations.

The exhibition halls will be open and all services available from 08:30 on Sunday 8th
June for the judging of the Hearth & Home Exhibition Awards. All exhibition stands
must be manned and fully operational by no later than 09:45 on all three open days.
Deliveries and unloading
On arrival in Harrogate, go directly to the Dragon Road Park and sign in with the traffic
marshal on duty. When a suitable vehicle space is available at the relevant hall entrance,
the driver will be issued with the appropriate ‘delivery’ or ‘collection’ pass and directed
to the exhibition.
Traffic marshals at the exhibition centre will be made aware of expected vehicles although
only those vehicles displaying the appropriate pass will be allowed to park at the halls.
For the duration of the exhibition, commercial vehicles may be parked at Dragon Road
Park but may only return to the exhibition centre with the appropriate pass.
Deliveries during exhibition opening hours
Other than with the express permission of the organisers, deliveries may only be made
to stands before 09:45 or after 17:00 on exhibition open days.

Halls MUST be vacated by 12:00 (noon)
No breakdown of stands will be permitted before 16:00 on Tuesday 10th June. All stand
materials and debris must be removed by no later than 12:00 (noon) on Wednesday
11th June and the stand space left completely empty.
Skips will be provided for the disposal of refuse but failure to completely clear your
stand space will incur a cost (see page 3).
Removal of exhibition materials
No exhibition materials of any description may be removed from the halls between
09:45 on Sunday 8th June and 16:00 on Tuesday 10th June.

Insurance
Each exhibitor must hold public liability insurance to a minimum value of £1 million to
cover its liability for negligence resulting in injury or damage. Exhibitors are also advised
that it is their responsibility to insure themselves, their stands and their property
against theft or damage.
Disclaimer – The exhibition organisers cannot be held responsible for any loss or damage
which may befall the personnel or property of any exhibitor howsoever caused.The exhibition
organisers strongly advise all exhibitors that, at the very least, they take out cover to protect
against theft or damage. Exhibitor’s property is most vulnerable during the build-up
and break-down periods and whilst the exhibition organisers provide comprehensive
security services, it is impractical and impossible to observe each and every stand
throughout the exhibition.
In addition to the above, you should protect your investment in the exhibition against
abandonment, cancellation or curtailment of the exhibition due to circumstances outside
the control of the exhibition organisers.

Lead Recording (see pages 23/24)
Interchange Communications is the appointed contractor for both on-site and off-site
visitor registration and offers for hire lead recording scanners. For this year’s event,
Lead Recording has been upgraded to not only give you the full details on every visitor
that you see at the event each day, but also pass on your details directly to every visitor
you scan. When registering, every visitor will be told that they can now use their
badges to receive your details as well as leave theirs with you. So expect visitors to ask

order, Kudos Catering (UK) Limited will issue you with an invoice for which payment is required within 7 days.
As we do not operate a sale or return policy, all items ordered prior to the event will be delivered to your stand in full and invoiced in full.
Subject to availability additional items can be delivered during the show. All additional items must be signed for upon delivery and paid for before the end of the show.
Delivery
All stand orders are free of delivery charge. Due to volume of orders received, it is not always possible to guarantee a specific time. If a specific time is required the delivery
time will be approximate by one hour either side of the requested time.

GAS SUPPLIES ORDER FORM
If you require gas supplies to appliances on your stand for the purposes of live demonstration,
you can choose between two options.
------------------------------------------------------------------------------------------------------------------------Option 1 – A contractor appointed by the organisers will complete all the gas connection
work for the live appliances on your stand.This will include all pipework to the appliances,
leakage testing and commissioning of appliances. The number and size of the supplies
to your stand will be determined by the contractor. The cost for Option 1 is £162.00
(£135 + VAT) for each individual appliance.
------------------------------------------------------------------------------------------------------------------------Option 2 – Subject to the use of a Gas Safe Registered engineer, the exhibitor arranges
for the completion of the gas connection work for live appliances on the stand but
excluding final connection to the distribution grid. This final connection will be made
by the organiser’s appointed contractor and will include full leak testing of all the
connected appliances on your stand. Option 2 is only available if you have 3 or more
live appliances on your stand and will cost the following;

TWO WAY LEAD RECORDING SERVICES
Lead Recording will not only give you the full details on every visitor that you see at the event each day,
but also pass on your details directly to every visitor you scan.
When registering, every visitor will be told that they can now use their badges to receive your details
as well as leave theirs with you. So expect visitors to ask you to scan their badge.
What do I have to do before the show?
After completing the form below and returning it to us, we will set up your account. Once this is done
you need to provide us with a few more details, including a logo and a short description of yourselves,
as well as a website address and contact details that you would like every visitor you see to have. We
will then set up an online ‘advert’ which will be available to every visitor that you scan.
What do I do at the event?
Just make sure that you scan the badges of everyone you see on your stand/over coffee/at the bar, after
asking permission of course. If you don’t have your scanner to hand, you can take a note of their VISITOR
ID as printed on their badge and hand it in to us at the end of the show so they can be added to your leads.
What does the visitor do?
Every visitor that has been scanned by someone in the hall will receive an e-mail from the event, thanking
them for their attendance and pointing them at an online directory. It contains extended details on everyone
that they were scanned by at the event. Each company will have a page that looks something like this:

FLUES FOR SOLID FUEL &
MULTI FUEL APPLIANCES
All the flueing of exhibitor’s live appliances will be carried out by the exhibition’s appointed
flueing contractor.
If you propose demonstrating live solid fuel or multi fuel burning appliances in Halls A, B or
C, a suitable flueing system will be provided to ensure all products of combustion are safely
evacuated to the outside atmosphere.
All exhibitors displaying live wood burning appliances are required to supply the appropriate
collar for attaching the supplied vitreous pipe which will have a built-in dampener.
The basic flueing arrangements will be via twin-wall flue pipe to the nearest window within the
halls. From the twin-wall there will be flexible flue connections to roof mounted extractor fans.
Exhibitors cannot undertake any of this work themselves as our contract with Harrogate
International Centre forbids unauthorised installations.
The costs detailed below include for the removal and replacement of any windows, the provision
of all materials, the hiring of fans, wiring and all labour.

EXHIBITION EVENT IT SERVICES
IT Services frequently asked questions
Q1. What speed will my internet connection run at?
The HIC network has 10 megabits per second (Mbps) link to the internet. Stand holders
typically get speeds of between 2Mbps and 10Mbps.
Q2. How is the connection provided?
We provide a wired connection dropped from the ceiling. The wired connection is
presented on your stand as a male RJ45 10/100 Mbps auto sensing Ethernet connection.
This can either plug directly into your PC, Laptop or ‘active equipment’ such as a hub or
switch. This will require the device you are bringing to have an Ethernet card installed.
Q3. What if I want the connection providing in a particular position with our stand?
We provide at least 5m of cable coiled up so that you can move it anywhere you wish
within the stand. However, if you have a particular requirement we can get one of our
project managers to call you back to discuss your requirements.
Q4. How do I set up my computer to connect to the network?
Set up the computer to obtain its IP address and DNS settings automatically – if you
need help with this setting we can get one of our project managers to call you back to
guide you through this set up.
Q5. Can I have a fixed IP address?
Yes but one of our project managers will need to get back to you to discuss this.
Q6. Do you have technician’s onsite on the set up day to help us with a PC configuration?
We do and they will be happy to help with minor problems. However, you should check
with your IT support before attending site to make sure everything is set up correctly
as our technicians may not be able to get full access to all your PC settings because
they are often password protected.
Q7. Can I attach more than one PC to a single Internet connection?
Yes but you must let us know your requirement at the time of placing your order as it
will involve additional costs for extra IP addresses.
Q8. Do I need to have anti-virus software on my PC?
YES – all computers must be running the latest anti-virus software and it must be kept
up to date while the PC is connected to the HIC network. Please ensure you have read the
HIC Connection Policy and the Acceptable Use Policy, which can be found on the website.
Q9. Is the network protected by a firewall?
Yes, the firewall is in place to protect your stand from external attack. However, because
the network is not your own home or office network you must consider it to be un-trusted
and you must therefore take appropriate steps to safeguard your computer and the
information held on it.

Awards 2014
Organised by The Fireplace Marketing Company Ltd, the Hearth & Home Exhibition
Awards are designed to recognise innovation within our industry. Technical and design
features, manufacture and build quality and consumer and installation advantages are
all considered by the judges during their appraisal of the products and services entered.
Conditions of Entry
•
Entry to the awards is only open to products that are new to the market
and have become available for sale since the close of the 2013 Hearth &
Home Exhibition.
•
Products previously entered for the Exhibition Awards are ineligible.
•
The Awards organisers may, at their discretion, ask exhibitors to demonstrate
that an entry does not represent a product or service previously entered
under a different name or specification.
•
Entries may only be made for products or services that are displayed at
the Hearth & Home Exhibition 2014.
•
An exhibitor may make a maximum of six (6) Award entries in total, with
a maximum of three (3) Award entries in any one category or sub category.
•
A product or service may only be entered once.
•
An exhibitor must be able to demonstrate that any product or service entered
for the Awards fully complies with any legal requirements for certification
or approval.
Entry Procedure
•
The first two entries made by an exhibitor will be free of charge. Any additional
entries (up to the maximum of 6) will be charged at £60 (inc. VAT) for each
entry. For example, if an exhibitor enters four (4) products or services, the
total cost will be £120 (inc. VAT).
•
All entries must be made on the entry form provided. Where an exhibitor
is making more than one entry, the entry form should be duplicated.
•
Completed entry forms and any associated payment must be sent to the
address detailed on the entry form and be received by no later than Friday
16th May 2014. Entries and/or payments received after this date will not
be included in the judging of the Awards.

Gas Appliance of the Year
All types of gas fire appliances will be judged in this category whether it is a fire, stove or
basket, a radiant or convector, power flue, balanced flue, ‘no chimney’ or freestanding
appliance for either natural gas or LPG. This category excludes wall-hanging appliances.
B
Electric Appliance of the Year
All types of electric fire appliances will be judged in this category whether it is an inset
or freestanding fire, stove or basket. This category excludes wall-hanging appliances.
C
Wood Log or Multi-Fuel Appliance of the Year
This category is for all types of wood log or multi-fuel appliances including fires, stoves,
cassettes and baskets (designed to be either freestanding or installed fully or partially
within a fireplace opening, or on the face of the fireplace opening), boilers and cooker
products. Appliances within this category can burn wood logs, wood briquettes, straw,
solid mineral fuels such as manufactured smokeless fuels, natural smokeless fuels,
bituminous coal, and other manufactured fuels.
This category will be judged in three sub-categories according to the rated heat output
of the appliance as follows:
C1 - Wood Log or Multi-Fuel Appliances up to 5kW rated output
C2 - Wood Log or Multi-Fuel Appliances >5kW and up to 10kW rated output
C3 - Wood Log or Multi-Fuel Appliances >10kW rated output
A winner and two finalists will be awarded in each of these three sub-categories

This category is for all types of pellet or wood chip appliances including fires, stoves,
cassettes and baskets (designed to be either freestanding or installed fully or partially
within a fireplace opening, or on the face of the fireplace opening), and cooker appliances
for space heating only. Appliances within this category can burn wood pellets and/or
wood chips.

Pellet or Wood Chip (Boiler) Appliance of the Year
This category is for all types of pellet or wood chip appliances including fires, stoves,
cassettes and baskets (designed to be either freestanding or installed fully or partially
within a fireplace opening, or on the face of the fireplace opening), boiler and cooker
appliances that offer both a room heating and hot water heat output. Appliances within

Electric Fireplace Suite of the Year
A suite is defined as a complete package from a single source in any material, comprising
the fireplace mantel, the back panel, hearth components and electric appliance. This
category will include wall-hanging appliances. Freestanding appliances are excluded
from this category.

Fireplace Suite (Other Fuels) of the Year
A suite is defined as a complete package from a single source in any material, comprising
the fireplace mantel, the back panel, hearth components and a non-electric appliance. This
category will include wall-hanging appliances. Freestanding appliances are excluded from
this category.
G
Flueing & Ventilation Product of the Year
Any system or component designed to meet the flueing and/or ventilation requirements
of a fire, stove, boiler or cooker installation using natural gas, LPG, wood and biomass
fuels such as wood logs, wood briquettes, wood pellets, wood chips and straw; solid
mineral fuels such as manufactured smokeless fuels, natural smokeless fuels and
bituminous coal; and other manufactured solid fuels.

The components that form a mantel or surround are the two vertical sides and horizontal
top of a typical fireplace installation. This may be supplied as a single unit or in parts.

conglomerates, limestone, stone effect and marble.

Other Industry Product of the Year
This category is for other products and accessories designed to enhance a fireplace
installation or its associated living space, and products and services, not covered by
any other category in the awards, that the exhibitor believes will offer retailers increased
opportunities for revenue and profit. Freestanding bio-ethanol or gel fuel appliances,
companion sets, fire screens, fuel products and services, maintenance and renovation
products, ceramics, lighting, pictures, mirrors, furniture, barbecues, firepits, insurance and
testing services etc are included within this category. This category excludes bio-ethanol
or gel fuel fireplace suites which should be entered in Category F.
Product of the Year
This category will be judged from the winners of each of the categories and sub categories listed above.
Judging of the awards
•
All the entries in a particular category will be considered by the same team
of judges.
•
Judging will commence at 08:45 on Sunday 8th June 2014.
•
Exhibitors will be notified of their allocated judging time slot by no later
than Friday 30th May 2014. This will be communicated by email to the
stand representative named on the entry form.
•
The organisers of the awards will take no part in the judging.
•
The judges will be considering technical and design features, manufacture
and build quality and consumer and installation advantages as part of
their overall appraisal of the product or service entered.
•
A formal Awards presentation will be held once the exhibition closes at
17:00 on Sunday 8th June 2014. This enables the winners to utilise their
award as a promotional tool for the remainder of the exhibition.

Carpeting and carpet tape
The common areas and aisles will be carpeted in dark red cord carpet. Shell scheme
stands will be carpeted in grey cord carpet. If you would like an alternative colour, or
wish to order carpet for a space only stand, please contact the organisers. Any carpet
tape used MUST be of a low tack nature so as not to leave marks or residue on the hall
floors. Any marks or residue left will be cleaned and charged to the exhibitor concerned
at a rate of £8.00 per metre. Suitable low tack tape is available free of charge from
the organisers.

Cleaning
Cleaning of all exhibition areas and stands will be carried out on a daily basis and is
provided free of charge by the organisers. This service does not include the cleaning
of displays or exhibits. If any part of your stand is lockable and you would like it
cleaned, please provide the organisers with a spare key to the lockable areas.
Codes of Practice and Safety Standards
A separate document is available on request that details all the relevant requirements
of Harrogate International Centre, Harrogate Borough Council and North Yorkshire Fire
and rescue Service. The document also contains the organiser’s risk assessment.

Damage
Exhibitors are fully responsible for any damage to the exhibition venue, shell scheme,
fixtures or fittings caused by themselves or their contractors. Any charges made for
damage caused will be passed on to the exhibitor concerned.
Deliveries to stands during exhibition opening hours
Other than with the express permission of the organisers, deliveries may only be made
to stands before 09:45 or after 17:00 on the exhibition open days.

Deliveries of small items and packages may be made to the Organiser’s Office from
Thursday 5th June.

Disabled access
Exhibitors are reminded that those stands which have a platform or base above the
level of the hall floor must either make provision for disabled access ramp or provide
an acceptable alternative means to allow disabled visitors to the stand.
The Building Regulations and Disability Discrimination Act 1995 address the issues of
disabled access to exhibition stands with a raised platform or base. In general terms a
ramp should be clearly delineated from the main stand and should have a hand rail on
either side at a height of not less than 840mm (33 inches). The ramp should not be less
than 1000mm (40 inches) wide and have a gradient of no greater than 1:12 (1 in 12).
Where an exhibitor is using stand building contractor, the contractor should be fully
conversant with the requirements for disabled access and should incorporate these in
any design or plans.

Fire safety and fire escape doors
The organisers will provide fire extinguishers of a type and quantity to meet the
requirements of the local authority, the venue managers and the fire and rescue service.
All exhibition halls are provided with clearly marked fire escape routes but exhibitors
should note that all fire escape doors must remain closed during the exhibition. The
exhibition halls are equipped with an air handling and conditioning system which can
only keep the internal space at comfortable levels with all external doors closed.
First aid
The organisers will ensure that a qualified first aider is available throughout the exhibition
build-up, open days and breakdown. A first aid room is located in the link between
halls A and B. Anyone requiring medical attention should first contact a member of the
organising team or security staff.

Flueing for live gas appliances
Combustion products from live conventionally flued gas appliances (natural gas or
LPG) may be exhausted internally into the roof areas of the exhibition halls. A
mechanical extraction system will then safely exhaust the combustion products to the
outside atmosphere.
In order to ensure the maximum effectiveness of these exhaust arrangements and an
acceptable and comfortable internal atmosphere for visitors and exhibitors, flues for
gas appliances must not be less than the minimum heights indicated below.

Live Appliances
Any live appliances must be recessed within an exhibitor’s stand. No part of any such
appliances (gas, wood or oil) may be closer than 0.5 metres to the edge of an exhibitor’s
stand. This is to obviate any risk of visitors coming into contact with hot surfaces or
open flames.

Neighbours
Please consider those stands adjoining your own. The following guidelines are intended
to minimise or eliminate the risk of any conflict with your neighbours.
Exhibitors whose stand exceeds the height of adjoining stands will be responsible for
finishing any stand projections visible by their neighbours to the satisfaction of the
Exhibition Organisers.
Space only exhibitors must have an agreed minimum amount of walling on islands
sites and are required to construct dividing walls where they are sharing an island site.
Exhibitors are not permitted to violate the air space above the stand of neighbours,
shall not project images onto the floor area in front of a neighbours stands and shall
not operate machinery, visual aids or any other noise generating device to the detriment
of their neighbours. The Exhibition Organisers reserve the right to request an exhibitor
to turn off any device or system that, for whatever reason, is causing offence to adjacent
exhibitors or visitors.

Exhibitors cannot use the partitions or other display materials of a neighbour for their
own purposes without the express permission of both their neighbours and the
Exhibition organisers.
Night sheets
If you have small or easily moveable items on display, you are strongly advised to protect
your stand with a night sheet during those hours when the exhibition is closed. Night
sheets can be pre-ordered from the Exhibition Organisers. Those exhibitors using their
own night sheets must ensure that they comply with all fire regulations and may be
requested to provide evidence of compliance.
O
Oil supplies for live appliances
The oil required for the operation of a live appliance is restricted to the amount required
for a single day’s operation and must therefore be refreshed daily. The oil stored in the
exhibition must be contained in a twin wall container to ensure minimal risk of leakage.
Open days
It is essential to the success of the exhibition that all stands are manned and fully
operational by 09:45 each day, including the removal of night sheets or stand coverings.
Stands must remain open and be manned throughout each day and not close until
17:00 on the Sunday, 17:00 on the Monday and 16:00 on the Tuesday.

All space only stands will be marked out on the hall floors when you arrive. If you are
unsure of the exact position of your stand or its boundaries, please check with one of
the organising team before you begin building your stand.
Exhibitors are free to employ a contractor to build their stand providing;
The name, full address and a contact number (including an out of hours contact) of
the contractor is supplied to the Exhibition Organisers.
All contractors apply for and use a contractor’s pass (see pages 10 and 13).
Detailed stand plans are submitted to the Exhibition Organisers by no later than Friday
9th May 2014.
ALL electrical work is only carried out by Showlite (see pages 19/20).
Stands are constructed in accordance with the rules and regulations imposed by
Harrogate International Centre (HIC). Please contact the organisers if you require a
copy of these rules and regulations. Please note that stands may be subject to an
unannounced inspection by representative of HIC and/or the North Yorkshire Fires &
Rescue Service.
The exhibitor’s name and stand number are prominently displayed as part of the
completed stand.
Any existing signage provided by the venue owners (HIC) and the Exhibition
Organisers are left unobstructed and clearly visible to visitors.
Any permanently installed ‘fire points’ or ‘electrical switchgear’ is not in any way
obscured by the stand.
All stand materials must comply with the rules and regulations imposed by the venue
owners (HIC) and the attention of exhibitors is particularly drawn to the appropriate use
of fireproof or fire retardant materials.

Detailed stand plans for space only stands are submitted to the Exhibition Organisers
by no later than Friday 9th May 2014.

Storage
There will be no facility available to store exhibitors packaging or surplus materials in
the exhibition halls. Exhibitors must remove to their own vehicles any packaging or surplus
materials. NO excess stock and/or literature or packing cases may be stored around or
behind your stand.

Wood supplies for live appliances
Wood or other materials used for the live burning of appliances cannot be bulk stored
in the exhibition halls. Exhibitors are only permitted to store on their stands sufficient
fuel for a single days burning and must store all other fuel reserves outside the halls.
If you have an existing arrangement with a fuel supplier, please ensure that the wood
you bring is kiln dried with a moisture content of no more than 20%.
The Exhibition Organisers have arranged for the supply of suitable wood to those stands
who do not wish to bring stocks to the exhibition. Please ask for further information.
