QAD Transportation Management – BI Metrics Demonstration Guide May 2015 BI 3.11 Overview This demonstration focuses on one aspect of QAD Transportation Management – Business Intelligence Metrics – and shows how this functionality supports the vision of the Effective Enterprise; where every business process is working at peak efficiency and perfectly aligned to the company’s strategic goals. QAD Transportation Management Business Intelligence Metrics Key Points • Enabling the Effective Enterprise Related Metrics Leveraging QAD Transportation Management to manage freight and track shipments will significantly affect the Supply Chain Effectiveness and Customer Service KPIs. Typical measurements related to these KPIs include Transportation Efficiency and Delivery in Full On Time (DIFOT). Business Intelligence Metrics provided for QAD Transportation Management will help you monitor these along with a number of other key metrics. Additional metrics and the relative importance of each one will depend on your definition of the Effective Enterprise. You can easily customize and extend the Business Intelligence Metrics for QAD Transportation Management to meet your needs. The information in the Business Intelligence Metrics for QAD Transportation Management comes from the Transportation Management and Package Exception modules of QAD Transportation Management. QAD Business Intelligence collects and aggregates shipment and tracking information into a data warehouse that simplifies analysis. If you are using other applications to manage shipping, you can also populate pre-defined tables from these sources. Business Intelligence Dashboards present this information in graphical or grid format, using color-coded visuals that focus management attention on potential issues, with drill downs into all supporting details. You will see how easy it is to use Dashboards to get an overview of your performance in particular areas, identify potential issues, drill-down into all of the supporting details, and collaborate with other to discuss solutions. QAD provides four standard dashboards: • Delivery Performance: displays common measures of carrier performance, helping you identify potential issues and discover opportunities for improved delivery performance and customer service. • Package Exceptions Summary: summarizes delivery exceptions and delays, providing information you need for customer reviews and carrier contract negotiations. • Shipment Costs Summary: analyzes transportation spending including freight and other charges, helping you identify potential savings and providing data for negotiating more favorable carrier rates. • Shipment Volume Summary: monitors shipment volumes, weights, origins and destinations, helping you identify trends and evaluate shipping habits. Each of these dashboards includes a number of graphs, charts and reports that present consolidated transportation information and key performance indicators, providing comparative results and visualizing trends graphically. Here you see critical metrics like: • On time Performance by Month by Carrier • Unsuccessful Deliveries by Month • Correctly Addressed Packages not Delivered First Time • Address Corrections by Month by Carrier In most effective enterprises, the ratio of unsuccessful deliveries to on-time deliveries will be very low. This dashboard shows you at a glance if there are delivery issues with any carrier and helps you monitor Service Level Agreement (SLA) compliance. This dashboard also identifies unsuccessful deliveries – packages that could not be delivered the first time or addresses that needed to be corrected. This usually points out operational issues you need to address, since every missed delivery costs you money. Demo 1. Select Delivery Performance Key Points • On-time delivery by carrier - measures SLA compliance • Unsuccessful deliveries • Wrong address • Delivery outside of working hours • Signature required, no one there • Address corrections • Identifies potential operational improvements How QAD supports root cause analysis Drill-Down Graphs give you a high-level view. To get more details, click any node – for example last month’s on-time performance for Carrier UPS. In this case, you see the on-time performance for each service or route – 2nd or 3rd day delivery, UPS Express, Ground or Next Day. For more, click any line – in this case accessing a detailed report of express shipments. Every shipment reference and tracking number is included so you can easily look up the details in the source system. Export this to a pdf or spreadsheet for further analysis. Demo 1. You can also select Inbound and/or Outbound. This lets you track performance on outbound shipments to customers as well as inbound shipments such as customer returns. Demo 1. Check Outbound 2. Each user or functional area may access a different set of dashboards, customized to show just the data they need. These dashboards are available on your laptop, or mobile device. You can use these dashboards as is, or you can customize them, without calling a programmer! Demo 1. Select Dashboard > QAD Standard > Transportation Management 2. Select Mobile 3. Tap pie chart to expand Key Points • Predefined dashboards • Multiple dashboards per user or role • Mobile device support • Customizable How QAD improves negotiations Package Exceptions Summary Dashboard Go back to browser-based Business Intelligence and look at the Package Exceptions Summary dashboard there. This dashboard provides a different way of looking at delivery performance, showing delays and exceptions by carrier and type – problems with addresses, customs issues, lost or damaged shipments, or returned shipments. You select the exceptions you want to see and for what period. This dashboard also gives you a monthly summary by exception type and carrier, useful in performance evaluations and negotiations. As with the other dashboards, you can select parameters and drill down to find out all the details, optionally exporting the information to an Excel worksheet or pdf. Demo 1. From the browser (not the mobile device) select Dashboard > QAD Standard > Transportation Management > Package Exceptions Summary 2. (Optionally) Uncheck Address Problem, click Refresh 3. Just click Collaborate and you can post a note to the discussion forum, attaching a copy of this pie chart so that anyone looking at your posting will see exactly what you are referencing. Collaboration forums allow interactive discussions between multiple people, with a full history. Demo 1. Click Business Intelligence System tab 2. Click Post Comment Key Points • Multiple forums, Multiple posts per forum o Scan existing topics o Post new topic, Include screen capture • Add comments to any topic • Search option Collaboration Icon When you return to the Package Exceptions Summary dashboard, you will now see a collaboration icon on the graph. This indicates to anyone who looks at this dashboard that there is an on-going discussion about this issue. If they want to look at your comment or add one of their own, all they need to do is click the button. Demo 1. (optionally) click Collaboration icon Key Points • • Collaboration icon o Indicates active discussion o Encourages collaboration Single click to review open discussion items How QAD reduces shipping cost Shipment Cost Summary Dashboard Along with monitoring on-time performance, you also need to monitor cost – usually a significant portion of your cost of sales. Reductions in shipping cost, without sacrificing customer service, usually will yield significant results in increasing profit margins. Not only can you monitor how much you are spending each month with each of your carriers and your average cost per pound shipped, you can also track “accessorial” costs for things like overnight or Saturday deliveries, dry ice, fuel surcharges, signature confirmations and other special handling. Use this dashboard to help determine how effective your shipping operations are. What are your average shipping costs? What services are you using? What percentage of your spend is for accessorial items? A review of this information will often point out shipping habits that are not costeffective. For example, choosing overnight delivery when 3-day ground would do, or selecting unnecessary services. Demo 1. Click Business Intelligence System tab 2. In Accessorial Cost as Percentage of Total Cost, click 2012-07 UPS Key Points • • Shipping costs o Per carrier o Average cost per pound shipped Extra charge for “Accessorial” items o Next day delivery o Signature required o Saturday delivery o Special handling o Fuel surcharges How QAD improves profit Profit / Loss on Shipping When you do large volumes of shipping, typically you will have negotiated rates with each carrier. The difference between these rates and the rates you charge your customers is a source of profit, or loss. This dashboard shows profit and loss, by carrier, by month, with a drill-down to the profit and loss for each type of service. In this case, you can clearly see you are not recovering the cost for overnight shipments. You may use this information to change your shipping practices or negotiate better rates with your carriers. You may also use this cost information to adjust what you charge. Demo 1. Click Business Intelligence System tab 2. Page down 3. In Estimated Shipping Profit/Loss, click FEDEX 2012-08 Key Points • Profit/loss calculation o Negotiated rates with carrier o Amount you charge customer (published rates) • Improve shipping practices • Negotiate better rates • Pass along higher cost How QAD supports continuous improvement Shipment Volume Summary Dashboard The last dashboard is the Shipment Volume Summary – presenting shipping statistics in terms of volume and package weight by carrier, along with the top 10 countries and locations. High impact graphics like bar charts and pie charts quickly focus your attention to critical issues and help you identify trends. When you want more information, just click to drill down to the detail. For example, taking the top country by shipping volume (the US) and drilling down to a ranking by State. Detailed information such as this helps you make better decisions – for example, you may leverage particular patterns to choose different carriers or zones. For example, if you notice that you ship a large volume of packages to the same or similar destinations, you might be able to zone-skip (or country-skip) and reduce cost. Demo 1. In Top 10 Countries by Shipment Volume, click US Key Points • Shipping volume analysis • High impact graphics o Bar charts o Pie charts • Summary with drill-down • Charts or reports Reports The lowest level of drill down from a dashboard will typically be a detailed report. You can also access reports directly from the Reports menu. Here is an example of a commonly used report, a breakdown of shipping volumes by weight by carrier. The UPS Shipment Volumes by Weight Category report shown here resembles the output of a UPS rate sheet, useful for renegotiation of carrier rates. QAD Business Intelligence includes a variety of pre-defined reports. You can use the Report Designer to modify any of these reports or add others specific to your operations. Demo 1.
