to an intimate presentation, Proline/Avidex Audio Visual Rentals, has the experience and

By combining video, audio and multimedia presentation systems coupled with industry expert
technical expertise and experience, Avidex will execute on your vision.
Our Approach to Your Event
Based on over 25 years of industry experience, Proline/Avidex has successfully managed events
by utilizing the following process.
Definition of Your Needs
Once engaged by the customer, we will ask the right questions to best understand your vision
and expectations for the event. We will carefully listen and document these findings. This process
helps to produce the best possible solution for your event given your timeline and budget.
Proposal Creation and Our Solution
We will make appropriate recommendations based on your needs and our experience with the
venue location, your technical requirements, budget and timeline. Our written proposal will
include options based on our discussions and your budgetary constraints, as well as any other
important requirements we have discussed. Our solution will include the correct equipment,
services and support to successfully execute your vision for the event.
Proposal Review
We will present our proposal and make any necessary adjustments based on our review session.
Since we have over 25 years of experience with the technology, the venues, and the supporting
industry of people it takes to successfully manage an event of this scale, we believe we will best
compliment your team.
Acceptance
Once the proposal has been approved by you or your agent, we will confirm the event time and
dates with our technical services group. We will define your timeline, schedule technicians and
acquire any additional resources we may need for the event.
Set-Up and Execute
Based on your event timeline we will set a delivery time to load the equipment “in” and begin the
set up process. Using a room diagram, equipment list and any other pertinent information about
the event, our technicians will begin the set-up process. Our project manager will be in contact
with you to ensure this happens according to our plan. Once complete we will train your staff on
how to use the audiovisual systems and provide our support solution.
Support and Operate
Depending on your requirement and needs we offer a variety of support packages. Whether you
require our basic delivering and pick-up of the equipment, or a full-time on-site operator(s) for the
entire event, we have the technical and customer service oriented staff to assist.

Strike
Based on the timeline and support package we will coordinate with you the best time for us to
either pick up the equipment or begin the load “out” process. Once we have all of the equipment
packed and accounted for, we will load “out” of the venue ensuring we meet the venues and your
timeline.
Review and Debrief
Now that the event has concluded we will contact you to discuss the event. We will ask how we
did, how we can improve your experience, and most importantly ask you to freely comment on
our services.
Customer Satisfaction
In everything we do, we are dedicated to making sure you are satisfied. We will periodically
check in with you over the course of the next year regarding any additional upcoming events.
Description of Services
Consultation
Our pre-sales team works with clients to fully uncover their technical and budgetary needs given
the timeline and venue for the event. As testament we provide a comprehensive proposal
reflecting our recommendations.
Project Management
Our technically trained and customer centric project management teams work with our clients to
ensure a smooth implementation. We focus on coordinating and ensuring the event is a success
in the eyes of the customer and will work all angels to ensure the customer is satisfied per the
event scope of work.
Delivery
Our technical team can deliver equipment to any venue or location based on our customers’
needs.
Set-Up & Strike
Our technical team will temporarily install, set-up, and construct your audiovisual solution. Once
your event has completed, we will deconstruct and remove all audiovisual equipment.
Event Support
Our technical team can be engaged to provide your event with part-time, full-time or on demand
support based on your budget and event requirements. We can transparently operate everything
from your presentation to the most technical equipment all while ensuring your event is a
success.

Description of Technical Background
Project Manager

Will have minimum of 10 years AV rental experience.
Will possess working knowledge of all aspects of show: lighting, audio, scenic +
video/projection.
Will demonstrate the skills necessary to successfully communicate with a variety of stake
holders regarding the customer’s event, including: crew, venue staff, corporate executives,
and any other pertinent personnel.
A/V Technician

Will have minimum three years AV rental and staging experience.
Demonstrates good customer service skills and can quickly troubleshoot basic audio and
video equipment in a fast paced and stressful environment.
Audio Engineer

Will have minimum three years experience as a lead audio engineer and five years AV
experience.
Will be capable and comfortable working with large sound systems.
Will manage the functional responsibilities of the team and ensure the crew executes the
plan in timely manner anticipating changes.
Primarily responsible for preventing problems from happening by analyzing and planning
scope of work.
Video/Projection Lead Technician

Will have minimum three years experience as lead video/projection technician and five years
AV experience.
Will have experience working with large data projection systems for corporate events and
will be comfortable using and projecting computer signals.
Will assist with the management of the crew pertaining to projection.
Will provide input and suggestions to PM and customer regarding effective data projection
and source material.
Lighting Technician

Will have minimum three years industry experience.
Will have good customer service skills, ability to troubleshoot basic lighting equipment.
Will be able to pro actively communicate with customer and PM regarding the effective
usage of lighting.

Lighting Designer/Master Electrician

Will have experience working with large conventional and automated lighting systems for
corporate events.
Will be able to take charge of a crew and get the job done in a timely manner.
Will communicate directly with the PM and customer regarding lighting and will work to
