The Board has adopted a clear statement of the school’s Mission, Vision, and Strategic Goals and establishes policies and plans consistent with this statement. I would like to thank the Meadowridge School Society for the opportunity to chair the Board over the 2012/2013 term, and to thank the other members of the Board for their time and effort to ensure that we hold Meadowridge School in trust over time. The Board has completed its five year Strategic Plan. The Board reviewed its entire Strategic Plan to ensure that we were on course. In February of this year, a publication “Our Vision, Our Plan, Our Future” was presented to the school community. This was a culmination of work that started with the Vision Committee during the 2009/2010 school year and produced in-house by the Advancement Department of our school. This publication provides a clear roadmap of exactly what its title claimed to be - and told the story of Meadowridge. It gives a very concise summary of our Vision and outlined the planned actions relating to the specific goals under the headings of advancement, facilities, finances, governance, programmes, and technology. Our school continues to do extremely well with the current enrolment of 540 pupils and low attrition rates. In addition, participation in our Annual Giving Campaign now numbers 230 families. 6 Meadowridge School Society The 18th Convocation Ceremony was a celebration of tremendous success and the testimony to the quality of students, parents, teachers and leadership in our school. This was also the 13th year that our Headmaster, Mr. Hugh Burke, has been in charge of the school. Mr. Burke continues to consistently “over deliver” on his very extensive set of goals. In testimony to his achievements, Meadowridge has now been offered membership to join only 400 schools in the world by the Council of International Schools (CIS), a distinction held by only three other schools in Canada. This required both extensive documentation and an inspection visit, assessing every aspect of our school and its operations to ensure that we were strong candidates for membership. The next step is for Meadowridge to go through CIS accreditation. This would make Meadowridge the only CIS accredited school in Canada. It would require a one year-long internal review of our practices, rigorous self-study, and peer visitor evaluation to ensure that we meet their rigorous and world-class membership criteria and standards. Meadowridge has consistently received excellent reviews by external accrediting bodies and will now be measured against international standards in every aspect, commensurate with our world-class IBO accreditation for the educational programme. This carries us forward on our path from being a good local school to becoming an internationally recognized world-class school. It is symbolic of our journey - from getting regional accreditation through a BC Ministry evaluation and the ISABC, getting national accreditation through CAIS (Canadian Accredited Independent Schools), approval as an International Baccalaureate school, and now as a CIS school. The Board accepts accountability for the financial stability and the financial future of Meadowridge. In this regard we have developed a rolling five-year financial forecast budget which includes tuition. We have continued with strategic financial planning. All planning implies change. To implement such change requires a Strategic Financial Plan and a strategy for financing the changes called for in our strategic plan. As our audited financial statements attest, we are confident that the school’s finances are secure and that we continue to compare very favorably to other independent schools across Canada. The Board has actively engaged in a review of governance. Governance has worked on clarifying membership rules and procedures following the implementation of the new bylaws of the Meadowridge School Society of 2010. We once again hired an internationally recognized consultant, Mr. John Littleford, to conduct a Board governance workshop for the entire Board of Trustees over three days in June of this year. The objective was to improve the governance of the School Society. Mr. Littleford previously did a workshop for the Board of Governors in 2005 and at that time already set the stage for a more strategic Board. Mr. Littleford interviewed Board members and met with parents and staff in focus groups. The purpose of the focus groups was to receive some feedback from constituents on the strategic direction of the school. We have asked Mr. Littleford to provide us with a report outlining governance recommendations for the Board, which we expect to receive in the near future. The Board continues to work on the Master Campus Plan. In this regard we have continued to consider land purchases for expansion as these become available. Although we have published our expansion timeline, we have to work within the realities and confines of the regulatory agencies. The Board will ensure that the new Early Childhood Education Centre is built at an appropriate time to allow for the stability of auxiliary school programmes which are currently based in the school house, which will have to be demolished before construction can start. This will probably mean that we will have to delay our current expansion timeline by a year in order to ensure that we are adequately financed, have all the proper permits and that we have services in place before we proceed. Next year Meadowridge will see its first International Baccalaureate students graduate in the Diploma Programme. This is indeed a milestone for our school and in line with our objective to enhance the IB Programme. Twelve of our teachers have been accepted as evaluators for the IB Programme. With the implementation of the IB Diploma Programme, we are now one of only about 195 schools in the world, and one of only five schools in BC and one of nine in Canada that offer all three IB programmes at a single school. The IB Diploma Programme allows our students significant international opportunities and also recognizes the quality of an education at Meadowridge. enhancements such as the sports field, playground and library. Mike personally endowed one new room in the new Diploma building and set up a scholarship for a graduating student going into the sciences. Mike has continued with his work on the Board in the position as Past Chair, Chair of the Nominations Committee and as a member of the Head Support and Evaluation Committee. In addition to being a mentor, Mike has also provided the Board with invaluable institutional memory and quiet wisdom. As if this was not enough, Mike has now agreed to sit on the Board of the new Foundation. In closing, I would like to thank my fellow Board members for the significant time and effort that they put in over the last year, often spending evenings and Saturdays in meetings. The Board is confident that our Strategic Plan will preserve the character and sustainability of our school, and also hold up against the rigorous international standards that we have committed to. This year the Board of Governors is saying goodbye to two Board members, Dr. Mike Orser and Mr. Scott Park. We would like to thank them for their hard work, time and dedication. Dr. Mike Orser has served on the Board since 1998 and has served as Board Chair for eight of his 15 years. He took our school from a position of losing money (and an almost certain demise) to one of the top schools in B.C. and also to a solid financial footing. Under his watch he allowed for the development of the new Diploma building, helped bring in the IB Programme and the addition of Hill (Secretary of the Board), and Natalie Gunning (Executive Assistant) for all the work that they have done over the last term. On behalf of the Board, and also as a parent, I would like to sincerely thank Mr. Burke and his Administration Team for their total dedication to Meadowridge. I would also like to thank Mr. Terry Donaldson who functioned as Interim Head during Mr. Burke’s absence earlier this year. Daniel Gouws Chair, Board of Governors 2012/2013 Annual Report 7 Message from the Headmaster of the School The year 2012/2013 was a good year for our school. Our enrolment was very strong, and was up from the previous year. Our financial results were also strong, as indicated on the financial statements. Our facilities continued to develop, as we have added gardens, renovated a gym, and purchased a large land parcel which is contiguous with our current property. As noted in the Mini Gryphon, we had excellent academic and athletic results, with achievement higher than ever. The tone and morale in the school continues to be strong and positive. We began to offer the Diploma Programme, and the students within that programme have found it challenging, but also have commented on how much they have learned about time management, independence, and scholarship. Our graduates of this year also accomplished much, and have gone on to a huge variety of choices in post-secondary fields, including academics, performing arts, service, and some GAP years. We continue to plan and design towards a vision that was articulated several years ago. The Board presented their new strategic plan this past year, along with preliminary sketches of a possible campus expansion. These sketches have now been incorporated into a draft Campus Master Plan, which will be presented for feedback and commentary in the Fall. This plan is designed to be accomplished over a number of years, as growth and finances permit, and as fundraising allows. It is designed to take us to 800 students eventually, which would permit even stronger programmes while mitigating future tuition increases. This might be accomplished in as little as five years, or as much as 20 years, as we must proceed carefully in alignment with our capacity. As I noted in a letter to our community, we are now members of the Council of International Schools, an accrediting agency with global credibility. We are one of three schools in Canada to be accepted for membership, and we intend to be the first 8 Meadowridge School Society Canadian school to be fully accredited by them within a few years. This level of external validation and recognition aligns with our current IB accreditations and CAIS accreditations to ensure that we are providing the best possible education anywhere. Combined with the ongoing facility development, we encounter a bright and progressive future, and create a bright future for our children. I would like to thank the Board of Governors for their ongoing work in creating and articulating these plans and this accomplishment. Without such dedicated volunteers, a school like this is not possible. They do this for the sake of the children, and out of their belief in the importance of our school. And all of this, after all, is about our children, and making sure that their school life now is filled with learning, and with friends, and with caring and attentive adults. We want to ensure that they learn to live with the values of the IB Learner, and that they grow in competence and confidence, ability and accomplishment. We want to ensure that, after they graduate, the lessons of their first14 years of education will carry them forward to becoming leaders in whatever they do, and that they come to shape the future. By shaping their childhood years, we want to ensure their success as adults. And to do that, we will create the programmes and facilities that best support them. In accordance with the Strategic Plan, the mandate of the Advancement Committee is to recommend and support strategies which build and sustain an Advancement oriented school. The Committee is focused on strategic and policy matters in the areas of Admissions, Fundraising, Alumni Relations, Community Development, and Communications and Marketing. Accomplishments: 1. Our IB Diploma Programme has been successfully implemented making us a full IB Continuum World School – an exclusive group of five such schools in British Columbia. Meadowridge Students will learn at the highest levels and our school will continue to attract families from the local communities as well as become a destination school of choice. 2. Enrolment and Re-enrolment are strong. We are very pleased to report that enrolment is robust and that the quality and quantity of new applicants is high. Most grade levels are full or near capacity with very limited space available. At the time of writing in June, we are on track for yet another enrolment record for our September 2013 opening. 3. Fundraising from the 2012/2013 Annual Giving Campaign has generated $171,957 to date with very strong support in many grades – in particular, there is 68% participation from the current Junior Kindergarten class! We are also pleased to report 100% participation from the Board of Governors and Administration. Furthermore, many new families commencing September 2013 are already participating in Annual Giving. It is extremely encouraging to see strong support from many of the newest members of the Meadowridge family. 10 Meadowridge School Society 4. The Growing Home Gala transformed our school into a lush forest of old growth trees, sparkling lights, and chandeliers. $95,000 was raised for our children. Three hundred guests enjoyed an outstanding evening of fine cuisine, music and song. 5. The 2013 Meadowridge Golf Tournament marked a return to its parent led roots – special thanks to Tournament Chair, Janet Batty, and the dedicated parents on the Golf Committee for a highly successful event which supported the new gymnasium floor. This past year, much of the work of the Advancement Committee has centered on strategic initiatives flowing from and developed in support of the Meadowridge Vision. It is an exciting time for our community as we embark upon the path to future school development. The Committee would like to extend a special thank you to our wonderful parent community who support Meadowridge and our children in so many ways. It is this spirit of contribution and collaboration with Advancement staff that is the backbone of so many of our events. These volunteers bring enormous talent and give generously of their time to create our future. Advancement at our school is a result of the commitment, dedication, and generosity of our families that share the Vision and Mission of Meadowridge. We are more than just a school – we are a community that understands that success and the future we would like for our children begins with our culture of giving and contribution. Report from the Communications Committee Purpose: The purpose of the Communications Committee is to: • Provide information from the Board of Governors to the Meadowridge community regarding the health and wellbeing of the Society and School especially in terms of planning and financial stability. • Communicate, advance, and support the implementation of the School’s vision (plans for the future). • Manifest the desire of the Board of Governors to communicate. • Promote knowledge, insight, understanding, inclusion and engagement of community members with the School’s Vision. • Raise the profile of the Board of Governors as thoughtful, caring and respectful community members learning to live well, with others and for others, in a just community. Summary: This is the first full year for the Communications Committee, having been struck in April 2012. The Committee has written a number of letters to the Meadowridge community, following the purpose and mandate of the Committee. These communication pieces announced access to new property purchases (September), the tuition increase for 2013/2014 (November), the establishment of the Meadowridge Education Foundation and the nearing completion of the Strategic and Expansion plans (December), the Strategic Plan, Expansion Plan and Campus Master Plan review, Society membership process for 2013 (February), invitation to the Expansion Plan Open House (February) and the confirmation of tuition projections (March). We have determined that next year’s Board of Governors’ communication needs will be met through the Board’s Advancement Committee working with the Board Secretary. Board Executive: Daniel Gouws, Susan Waugh, Kelly Fry. 2012/2013 Annual Report 11 Report from the Facilities Committee Purpose: Administration and the Board, which does not ascribe to that level of detail. Where appropriate, the Facilities Committee has endorsed certain decisions of the Administration which has the effect of supporting both the independent decision of the Administration and the need for oversight. Summary: On the operational side, the Facilities Committee has continued to provide maintenance and capital improvements to the campus buildings. We have completed renovations to all the PYP classrooms except for the art room and former science room, although some upgrading was completed in the science room, removing the sink stations, replacing the floor, and a fresh coat of paint. A new office for Advancement was completed. Renovations to the senior art room, including new cabinets and furniture, were completed to upgrade this room for increased student use. We installed tempered glass in the atrium railings and replaced the stair railings to address student safety concerns. During the 2012/2013 term the Facilities Committee was busy with its ongoing mandate involving the infrastructure components to the long-term Vision Plan, Strategic Plan, Building Plan, and the evolving Campus Master Plan. I would like to thank the following members of the committee for their diligence and input during the year: From the Board of Governors – Ockie Lampen From the school community – Sam Gandesha and Steve Guo From the Administration – Lyn Tyler and Don Hincks Our staff Liaison – Mark Conaghan Under the ongoing strategic mandate to acquire land when and where appropriate, the School Society completed the purchase of the stable property to the north and the residential home property to the west. The buildings on these properties are being repaired as necessary and the options for ongoing use are currently under consideration by the Administration. The property to the north has great potential for outdoor education including working with third-party agencies on the watercourse area. The chosen considerations all have to fit within the over arching Campus Master Plan. At the time of writing this report, the project to build a new Early Childhood Education Centre may be on the eve of breaking ground. This facility will provide an excellent introduction to the Meadowridge school community and will thoughtfully and responsibly begin the strategic expansion to an 800 student campus. As was communicated to the school community during the year, the Early Childhood Education Centre has a conservatively constructed return on investment that will cover the construction costs, so bank financing is being considered to pay for this facility. Other components of the Building Plan are much more fundraising dependent and the modular nature of the Building Plan is such that projects can be started independently of one another, depending on fundraising support. It is important to remember that the Board of Governors provides direction and oversight to the Administration who is then mandated to implement the strategic initiatives. The Facilities Committee provides an excellent interface between the level of detail that needs to be managed by the 12 Meadowridge School Society In the coming year, we are replacing old light fixtures throughout the building with new energy efficient LED lighting. This will result in better lighting and significant savings in energy costs. We are replacing the floor in the gymnasium, and adding two new score clock and timers. Much of this is being done with funds provided by Annual Giving by our families, for which we are grateful. The Facilities Committee is also working closely with the Finance Committee on the campus expansion plan. Building design and use considerations are being actively reviewed by the Facilities Committee to ensure that the ongoing programme and facility needs of our school are being provided. Thanks to all who contributed in various ways this past year to ensure our facilities meet the present and anticipated future needs for our students and staff. Report from the Governance Committee Purpose: The mandate of the Governance Committee has been set by the Board of Governors as follows: • Annual Board Evaluation including the development of necessary materials to accomplish this. • Facilitating discussion on the best method of governance to achieve the Board’s goals. • Facilitating a review of Board structure, Committee structure of mandates including the examination of ways to include others in the work of the Board, i.e., Parent Guild members, students, Alumnae, etc. • Proposing for discussion policies relating to Board of Governance issues. • Advising the Board re: constitutional and legal matters. Summary: Our main focus this year has been to start the process of developing a Board strategic plan in order to ensure that we have a governance structure in place that will support Meadowridge’s new Strategic Plan. In addition, and although it is still several years away, the potential retirement of our Headmaster, Mr. Hugh Burke, means that we will need to ensure we have a steady and stable Board in place to take us through what will be a time of transition, even as we continue to move forward with plans to grow and expand the school. This work led us to put policy development on hold, as we wanted to review Board committee structure, mandates, and membership, and focus on ensuring we have the right governors in place to support strategic initiatives. To this end, Governance also carried out a year-long programme of continuing education for Board members through monthly presentations, and an end of year Board self-evaluation. We held a Board strategic planning session early in June, led by Mr. John Littleford, who has worked with our school and Board in the past. While we await his final report, Mr. Littleford has already given us much constructive advice and insight, and we will be able to put these to good use as we finalize our Board strategic plan. Although not strictly a Governance Committee initiative, we are very pleased to note the establishment of the Meadowridge Education Foundation, which will play a key role in years to come in ensuring our financial stability. As always, it has been a pleasure to work with my fellow governors and other committee members; your dedication to our school and your hard work are inspiring. Committee Chair Susan Waugh Committee Members Bob Gill, Daniel Gouws, Gareth Mason, Gordon MacIntyre, Hugh Burke, Stephen Olah. 2012/2013 Annual Report 13 Report from the Finance Committee Purpose: The role of the Finance Committee is to provide professional expertise and oversight of the Annual Budget and Strategic Financial Plan, prepared by the Administration, for the Treasurer and the Board of Governors. The Committee is focused on the long-term benefit to the school, in all financial matters, including property acquisition. They are also responsible for drafting financial policies for Board consideration and approval. The Finance Committee reviews insurance coverage to ensure the assets of the Society are adequately protected. Accomplishments: In collaboration with the Administration and the Board of Governors, the Committee has participated in the following: • The Finance Committee and Administration continually monitor the school’s cash reserves. A segregated bank account is maintained to hold these reserves which provides specifically for future facility maintenance, Meadowridge Education Investment Deposit, debt reduction, and expansion projects or property acquisition. • Every year, the Committee and the Board review comparative financial data from independent schools across Canada, provided as part of an annual survey done by CAIS, as well as comparatives with other ISA schools in BC. Our financial comparatives to other independent schools remain among the best in the country and are helping us to build reserves and maintain financial stability. • The Finance Committee considered and approved a proposal for a comprehensive change of the existing lighting in the school. It is projected that this will result in substantial savings in energy and maintenance costs to the school over the next several years, and will provide better lighting illumination for staff and students. • Improvements to the Investment Policy with Harris Bank over the last few years have contributed higher investment income this year. These improvements are designed to maximize returns and minimize risks in the deposit of cash reserves. • The Finance Committee played an active role in developing a Foundation and proposing the establishment of Endowments as in support of the Strategic Plan. • The Finance Committee reviewed the recommendations provided in the Canadian Educational Standards Institute (CESI) review and approved implementing the financial recommendations. • Revenues were in excess of expenses again this past fiscal year. This is attributed to an increase in participation rates from Annual Giving, an increase in actual student count from budget, and income earned on cash reserve investments. 14 Meadowridge School Society • The Committee made financial recommendations related to the purchase of land adjacent to the school property, consistent with the Strategic Plan. These property acquisitions concluded in late summer and fall 2012. • The Finance Committee has recommended an increase in the budget to reflect a 4.9% tuition increase for the school year 2013-2014 as approved by the Board to cover the school’s basic operating costs and keep pace with the increase in teaching salaries. Goals: • We are continuously working with the Board and Administration to consider ways to fund implementation of the initiatives identified in the Strategic Plan. We will work closely with the Facilities and Advancement Committees to assess the cost and funding sources for future initiatives identified, and the potential for impact of these on future tuition increases. We expect to revise the Strategic Financial Plan during the coming school year as the contemplated growth of the school evolves. • We will continue to work with the Business Manager and the Administration, to develop improved reporting tools - such as quarterly dashboard reports - to assist the Board and Committee members in financial evaluation and decisions. • We will provide ongoing support and recommendations in conjunction with the Facilities Committee, with regard to expansion projects, and with planned maintenance to the facilities. • We will consider solutions to hedge the school from rising costs and inflation through investments and additional revenue sources. • We will continue to prepare policy recommendations regarding the ongoing financial requirements, including cash reserves, signing authorizations, approvals for variance levels etc. • We will continue to review, with the Administration, the current accounting software and the school’s insurance coverage and risk procedures. The award remembers the late Mr. Arif Devraj, who lived with great passion and unlimited determination, taking on risks and facing new challenges. Recipients best demonstrate the qualities of “Learning to live well, with others and for others, in a just community” through their leadership in community service, while pursuing excellence and leading others with a kind spirit. Esprit de corps Kavya Shah This honour is awarded to a student who demonstrates the most school spirit. It is measured through positive leadership, involvement in school life, and respectful and positive demeanour. This student is chosen by the Gryphon Council. Mick McLaughlin was a man who came to Canada without a nickel in his pocket and had the fortitude to work hard, make use of his opportunities, and never let go of his pride. In honour of this man who through the principles of hard work, honesty and integrity succeeded in all aspects of his life, a scholarship of $5,000 each is awarded to the recipients from the graduating class. The Mick McLaughlin Memorial Scholarship is awarded to a student who has similarly made the most of his/her opportunities and who wishes to improve him/herself through post-secondary education. Maple Ridge Amateur Athletic Association Scholarship Danika Kotylak, Ashwin Singh Students must have a background in extra-curricular inter-scholastic competitive athletics at his/her school, as a player, manager or other significant position with a team. This participation must have included the senior year. Proficiency in the sport is not a deciding factor. Selection of successful candidates will be left to the school based Scholarship Committee as constituted by the Principal. Outstanding Senior Athlete Ashwin Singh Dr. Michael Orser Health Sciences Scholarship Eric Tsoi In 2010, Dr. Orser founded the Dr. Michael Orser Health Sciences Scholarship in the amount of $1,000 to be awarded annually to a Grade 12 student accepted into a Canadian university for the purpose of studying in a health related programme. Applicants will be assessed on their preparations for post-secondary studies in a health related field as well as on their initiative in preparing financially for post-secondary studies. This Athletic Award is given to one student in Grades 11 and 12. The winner has participated in a minimum of two school teams, has demonstrated outstanding sportsmanship in all athletic endeavours, exhibited commitment to their team, contributed to the development of the athletic programme and has achieved a high level of proficiency in the school’s extracurricular sports.
