It is the mission of the ARDA Awards Committee to (1) provide a program for the fair and equal evaluation of achievement levels within our industry, (2) give recognition to those who have achieved excellence within the industry and have been properly nominated for these achievements; and (3) plan, execute and evaluate a high quality and meaningful awards recognition event. 3 2016 ARDA AWARDS 2016 ARDA AWARDS GENERAL INFORMATION Awards Commitment The ARDA Awards Program is committed to recognizing the best nominees submitted in categories that include overall professional excellence, outstanding sales and marketing accomplishments, product design, advertising and promotion. The category divisions for the 2016 ARDA Awards program are: Marketing & Sales, Management & Administration, Advertising, Promotion & Communications and Design: Resort & Sales Center. The ARDA Circle of Excellence (ACE) division honors those who have attained the highest level of excellence in the resort industry. Eligibility & Things to Note The ARDA Awards Program is open to all ARDA members. ARDA members must be current in all financial accounts with ARDA at the time entries are submitted. All nominees in the Marketing & Sales and Management & Administration Divisions must have worked for the ARDA member company for the entire 2015 calendar year. Entries in the Advertising, Promotion & Communications Division are limited to materials first used or results first achieved in the 2015 calendar year. Nominations in the Design-Resort & Sales Center Division must simply be a completed project in the vacation ownership industry (year of completion is not a factor in eligibility). Previous award winners may not be nominated again in the same category; however, finalists may be resubmitted in the same category. Companies may submit in as many categories as they deem fit; however, each company is limited to two entries per category. ARDA reserves the right to cancel or merge any categories that receive fewer than five entries. No refunds will be given in the case of cancelled or merged categories. ARDA reserves the right to split categories, or award multiple winners in the cases of a large number of submissions. ARDA reserves the right not to award a winner for a particular category, if the judges deem that none of the nominations are worthy. ARDA AWARDS Wednesday, May 4, 2016 The Diplomat Resort & Spa Hollywood, Florida, USA Awards Gala This year’s Awards Gala, where all winners will be announced, will be held on Wednesday, May 4, 2016, at the Diplomat Resort & Spa in Hollywood, FL. Tickets to the Awards Gala may be purchased via the ARDA website when registering for ARDA World 2016. 4 2016 ARDA AWARDS 2016 ARDA AWARDS NOMINATION ENTRY INFORMATION General Nomination Guidelines •All entries must be received by close of business Wednesday, January 20, 2016. No exceptions or extensions will be provided. •For those categories requiring a Marketing & Sales Statistical Data Form, the Marketing & Sales Statistical Data Form will be due no later than January 31, 2016. The rest of the nomination must be submitted by January 20, 2016. •Entry fees are non-refundable. •Entries received without the proper fees will be disqualified. •Entrants are responsible for all shipping and postage costs. •Entries become the property of ARDA upon receipt. Use the applicable email address for your division ([email protected], marketingandsales@ arda.org or managementandadmin@arda. org). 1 Nomination Entry Form should be completed and paper-clipped to the front of the narrative. 2 Narrative should be submitted on white 8 ½ x 11” paper with double spaced, 12-point type, 1” margins and black ink. The top right corner of each page of the narrative should include the category name, category number and company name. Narratives may be no longer than 8 pages in length. See each division/category description for additional guidelines on narratives. Sample narratives for each division (except ACE) can be found at www.arda.org/awards. 2 The subject line of your email must include the category number for your nomination. The ACE division represents the highest level of excellence within the resort industry. Nominees cannot receive a second ACE award in the same category; however, they can be nominated for different ACE categories. Nominations can be resubmitted for the same category provided the person/company has never won that award before. Judges for the ACE awards are not employed within the resort development industry. Multiple awards (or no awards) may be given in any ACE category, at the sole discretion of the judges. There are no finalists for the ACE awards—only a winner for each category. The winner will be announced at the Awards Gala. By nominating an individual or company for an ACE award, the nominator assumes responsibility for the presence of the ACE nominee at the Awards Gala. This nomination should be for a one-time event (i.e., golf tournament, charity fundraising gala, etc). Narrative should include a description of the community service activity or event, including its purpose and goal and the reason for the company’s involvement. Describe the nature and extent of the company’s involvement and the level of participation. In addition, discuss how the contribution impacted the community. Include a minimum of two letters of recommendation, ideally from the charity or community service organization that your nomination describes. Please send a minimum of four images (can be photos, or other collateral pieces that describe or represent the event/activities). Images should be .jpg or .tiff format in PC format at a minimum of 300 dpi. 2 ACE Innovator Award This award recognizes a company or individual that has developed a groundbreaking product, service or concept. This innovation must have been successfully implemented within the last two years. Narrative should discuss the nature of the innovation, the need for such an innovation and the impact of the innovation on the company operations, staff, and the industry as a whole. Include a minimum of two letters of recommendations from professional collegues. Please send a minimum of four images that illustrate the innovation. Images should be in .jpg or .tiff format, in PC format at a minimum of 300 dpi. 3 The ACE Spirit of Hospitality Award This award recognizes an outstanding employee who has demonstrated commitment and loyalty to his/her organization, has a history of superior performance and contributions and has set a positive example for his/her co-workers. Narrative should discuss what makes this individual’s achievements outstanding and worthy of an ARDA ACE award. Please include specific achievements and examples of how obstacles were overcome to achieve success, along with actions that resulted in savings or increased revenues. Discuss the individual’s professional characteristics including his/her leadership, creativity, honesty, positive attitude and willingness to “go the extra mile”. Letters of recommendation are encouraged but not required. This award is typically given to a person in middle or director level management; this is not a CEO or senior leadership level award. Please send one photograph of nominee. Image should be in .jpg or .tiff format, in PC format at a minimum of 300 dpi. 4 The ACE International Spirit of Hospitality Award This award recognizes an outstanding employee who works in an international location (must be located outside the United States), who has demonstrated commitment and loyalty to his/her organization, has a history of superior performance and contributions and has set a positive example for his/her co-workers. Please include specific achievements and examples of how obstacles were overcome to achieve success, along with actions that resulted in savings or increased revenues. Narrative should describe in detail the programs involved, number of employees who benefit from such programs, and the overall positive impact. Please send a minimum of four images that illustrate the nomination. Images should be in .jpg or .tiff format, in PC format at a minimum of 300 dpi. 6 ACE Philanthropic Award This award recognizes an outstanding on-going philanthropic effort for a humanitarian cause by an industry company. Narrative should include a description of the philanthropic campaign, its purpose and goals, and the reason for the company’s involvement. Discuss the nature of the company’s participation and the results, showing specific positive impact realized by the beneficiaries of the effort. Include a minimum of two letters of recommendation. Letters of recommendation can be from the charity, individual(s) or service project(s) that the nomination describes,chambers of commerce or other local civic organizations that may have benefitted from company’s efforts. Please send a minimum of four images that illustrate the nomination. Images should be in .jpg or .tiff format, in PC format at a minimum of 300 dpi. More ARDA Circle of Excellence “ACE” Categories > 8 EARLY BIRD DEADLINE: DECEMBER 16, 2015 • 2016 ARDA AWARDS • FINAL DEADLINE: JANUARY 20, 2016 CATEGORIES 2016 ARDA AWARDS 7-10 ARDA CIRCLE OF EXCELLENCE “ACE” ENTRY FEE: EARLY BIRD $50 | $75 FINAL DEADLINE 7 ACE Domestic Project of Excellence Award 9 ACE Women on Their Way Award This award recognizes a timeshare or mixed-use project built within the United States, which is considered the best of the best. This award is given to a woman on the rise within the resort industry in recognition for her outstanding accomplishments to date. The nominee should possess noteworthy achievements within a specific area that effectively illustrate her past success and future potential. She should have a minimum of five years experience (and a maximum of ten) within the vacation ownership industry. The narrative should showcase specific examples of accomplishments that support the characteristics of leadership, vision, professionalism, integrity and commitment. Include two letters of recommendation from professional colleagues. Please send one photograph of nominee. Image should be in .jpg or .tiff format, in PC format at a minimum of 300 dpi. Narrative should discuss the following items: •Design •Sustainability • Impact on local community • Sales and marketing of the project • Day-to-day operations Please include the following digital items. Site plan o Floorplans of units and common areas/amenities o 10 ACE Excellence in Customer Service A minimum of 10 and a maximum of 20 PowerPoint o slides with plain color background, showing interior and exterior of units, common areas, amenities and landscaping. This award emphasizes and highlights the commitment a company makes to strive for and deliver the best service to its owners and customers. This award recognizes a team or company who has made exceptional contributions and exceeded expectations in delivering services of superior quality to owners and customers. Examples of customer service may include such things as developing innovative practices, techniques or systems resulting in significant quality improvements in service, or through personal interactions having performed exceptionally in delivering superior service. 8 ACE International Project of Excellence Award This award recognizes a timeshare or mixed-use project built in a non-United States location, which is considered the best of the best. A U.S.-based company may be the developer of the project, as long as the project itself is not located within the Unites States. Please address each of the following questions in your narrative: Narrative should discuss the following items: •Design •Sustainability • Impact on local community • Sales and marketing of the project • Day-to-day operations 1 What is the mission, philosophy or guiding principal that directs your approach to customer service? What is done at all levels to develop and promote this approach? 2 What performance indicators have been set and used to monitor customer service levels? What training and development programs exist to drive development in customer service at all levels throughout the organization? Please include the following digital items. Note: all images should be .jpg or .tiff format, in PC format at a minimum of 300 dpi. Site plan o Floorplans of units and common areas/amenities o 3 How does the organization encourage, process and use customer feedback? You may also include, but are not required to include, supporting evidence of customer satisfaction in the form of letters from customers/owners, statistical analysis or evidence of customer service. Types of marketing programs can include things such as: inbound and outbound programs, mini-vacation, OPC programs, digital marketing, direct mail, trial/entry/exit programs, owner referrals and resale programs. 14 Alliance Partner Marketing Program (no Marketing & Sales Statistical Data Form needed for this category) Marketing Program in which partners may provide the strategic alliance with resources such as products or distribution channels. 15 Call Center Team (no Marketing & Sales Statistical Data Form needed for this category) A call center which administers incoming product support or information inquiries from consumers and can also include a call center that uses outgoing calls for telemarketing and sales, product services and other customer care items. Please include in your narrative the following items: • Number of agents • Type of call center • Inbound/outbound or both In addition, please answer all of the following questions in your narrative: 1 Define the overall strategy behind your call center and how it is a key enabler of growth and profit for your company. 2 Describe how you are able to deliver outstanding customer service while controlling costs. 3 Describe cost and process efficiencies gained, return on investment (please quantify ROI), changes to the culture and why the call center has been successful. 4 Describe how you are leveraging data gained through your call center to drive your company’s strategic direction. Please answer questions 1, 2 & 4 only. 18 Sales Training Program or Trainer (no Marketing & Sales Statistical Data Form needed for this category) Program or individual/team directly utilized or involved with recruiting, hiring and training new and/or existing sales representatives. Narrative should include a description of the program. Please answer questions 1, 2, 4 & 5 only. 19 Salesperson — Traditional Line Individual salesperson in a non-managerial position who is employed on a daily line rotation touring all types of tours. Individual may be employed at an on-site or off-site sales facility. 20 Salesperson — In-house Individual salesperson in a non-managerial position exclusively dedicated to in-house sales to owners, exchangers and other guests who are in residence at the resort. 21 Sales Team An individual sales team within your overall sales department. For example, the team may service a particular sales territory, customer segment or single client. This category is limited to sales teams only, no marketing or administrative personnel may be included. 22 Project Team (no Marketing & Sales Statistical Data Form needed for this category) Personnel involved in the sales and marketing operations of a single resort/sales site or for multiple projects. Team members may include project director and sales, marketing and administrative management and staff. Overall volume is not a factor in the scoring of this category. Judges for these divisions are selected from within the resort industry. Judges do not participate in judging categories in which their companies have nominees. • The nominator listed on Nomination Form will be notified of any finalists by email, and a list of all finalists will be posted to the ARDA website in early March. • No finalists are selected in the ACE Categories. The winner in all ACE categories is announced at the Awards Gala. •Judges for the Marketing & Sales, Advertising, Promotion & Communications, and the Design: Resort & Sales Center divisions are selected from outside the industry and represent a variety of fields in relation to the divisions. All judges for these categories are given background information on the resort development industry. Judges for the Marketing & Sales division are educated about the nuances and specialized marketing and sales functions of the resort development industry. •Finalists may receive one medallion and one certificate (by request only) in the mail prior to ARDA World.
