Dear Travelers and Friends, Thank you for your interest in our catalog of vacations for 2013 and the first half of 2014. This is Able Trek Tours’ 22nd year of providing vacations for people with special needs. We feel so fortunate to be a part of these positive travel experiences. We’ve traveled extensively throughout the United States and experienced the unique cultures of many international destinations. We‘ve marveled at some of the planet’s most picturesque settings and seen some of the most entertaining shows in the world. However, all of these vacation experiences pale in comparison to you, our Travelers. Our staff members thoroughly enjoy being a part of sharing the world of travel with our Customers. Our vacations are designed to enlighten and expand each Traveler’s view, to encourage Travelers to discover and pursue leisure interests, to increase Traveler’s self-confidence, and of course to HAVE FUN! Our vacations are also designed to promote independence and choice, with safety as our number one priority. We take very seriously the fact that Travelers work tirelessly for, and so look forward to our vacations. We will continue to work very hard to make each vacation special for each and every Traveler. Individuals who need assistance vacationing are encouraged and welcome to travel with Able Trek Tours. This includes individuals with developmental disabilities, the elderly, the mentally ill and others. Most Travelers are individuals with mild to moderate developmental disabilities. Travelers must exhibit good social behavior, have no major medical concerns, be at least 16 years old, and display appropriate behavior toward property, themselves and others. Typical staff to Traveler ratio is 1:3 or 1:4. If a Traveler requires more assistance and/or supervision we MUST be informed of such needs ahead of time. TRAVELERS USING WHEELCHAIRS: We have accommodations for one to two wheelchair Traveler’s on most trips. It is our experience that nearly all Travelers in wheelchairs require Traveler specific, “specialized” care. Their caregivers must be both physically capable of and trained in the techniques of transferring and lifting. In addition, most wheelchair bound Travelers have very individual and specific personal care needs – needs that can only be properly met by a caregiver who has experience with that Traveler. In order to properly and safely accommodate Travelers who use wheelchairs, we have adopted the following policy: 1) We require that wheelchair bound Travelers bring their own (1:1) personal aid with them on trips. To help make this policy more affordable, the personal caregiver will travel at ½ the cost, meaning the Traveler will pay the regular rate (double occupancy) and their aid will be 50% of that rate. 1 STAFFING ON TOURS All vacations are supervised by our owner, Don Douglas, and/or at least one Tour Leader employed by Able Trek Tours. Before establishing Able Trek Tours in 1992, Don was the Executive Director of Wisconsin Badger Camp, an organization that offers recreational camping/outdoor experiences to people with developmental disabilities. All other staff members are carefully screened and selected volunteers and/or qualified paid staff. Many of our staff are social workers, teachers, group home staffers, and other qualified and experienced people. Typical staff to Traveler ratio is 1:3 or 1:4. If a Traveler requires more assistance and/or supervision we MUST be informed of this need ahead of time. Please be aware that care/supervision on vacations is typically more intensive or demanding than in the home setting. We will do our best to accommodate a Traveler’s needs in excess of our normal staff supervision. However, if a Traveler requires 1:2 or 1:1 supervision an extra fee will be required. In some instances we will require that Travelers bring their own staff. As stated previously, this is the policy with most wheelchair bound Travelers. FREE WORKING VACATION OPPORTUNITY – Group home staff, caregivers, case managers, etc. if you sign three or more people up for a trip you can go for free as a chaperone. Contact Able Trek Tours for more information. PERSONAL ESCORTS At times Travelers and caregivers simply do not feel comfortable attending a vacation without a familiar face along. This situation has been common for Travelers who may need more assistance than our normal 1:3/4 ratios and many wheelchair bound Travelers. We welcome, encourage, and will at times require that personal escorts join us. The cost for such an arrangement (for BOTH participants) is typically 150% or 1 ½ times the cost of the indicated DOUBLE rate. For example, the June 4 - 11, 2013 “Musical Memories” trip would cost $1,177.50 ($785 X 1.5). Please call for guaranteed prices. PICK-UP/DROP-OFF LOCATIONS Virtually every vacation offers pick-up and drop-off sites in Dubuque, IA, Platteville, Madison, Milwaukee, Stevens Point, Allenton, Waupaca, Appleton, Oshkosh, Fond du Lac and Wisconsin Dells. Additional common rendezvous sites include: LaCrosse, Beloit, Tomah, Johnson Creek and Rockford, IL. Pick-up/drop-off sites are indicated in italics in each tour description. Refer to the list below for a pick-up abbreviation index. Travelers can also be met at locations enroute to our destinations. Other arrangements can be made but may require an additional fee. Able Trek does its best to be flexible and accommodating with travel arrangements (see Bus/Airport Greeter section that follows). To arrange for this option the request MUST be made at least 45 days prior to the trip start date. This option may or may not require an additional fee (call our office) and IS NOT available for one-day tours. 2 BUS/AIRPORT GREETER OPTION Travel arrangements to and from the Able Trek pick-up/drop-off sites can be difficult to arrange. We will work with Travelers and caregivers to arrange for our staff to meet participants at the Madison Greyhound Depot and/or Airport or at the Wisconsin Dells Greyhound or Amtrak Depot. We may also be able to assist with accommodations and staffing the day before or the day after trips. Since all Travelers do not need these services an additional charge may be required. TRIP FEES INCLUDE Staff supervision, transportation from pick-up/drop-off sites, attractions, lodging, taxes, an Able Trek t-shirt, a group photo, and some meals are included in the trip fee. Most trips include breakfast and the evening meal each day. TRAVEL/CANCELLATION INSURANCE COVERAGE Travel insurance, for an additional fee, is available for all tours. Contact Able Trek Tours to request travel protection information. We can send you the information via US mail, email, or you can download the information from our website. Coverage includes: trip cancellation, emergency medical/dental, and more. Rates start as low as $20.40 per trip. PAYMENT PLANS AND PRE-PAYMENT To help make our vacations more financially feasible for Travelers, we offer interest free payment plans for most tours. At least 60% of the trip fee must be paid prior to the trip. The remaining balance can be made in monthly installments of $50 to $100. This can help make vacationing affordable for many. All payment plans must be pre-approved by Able Trek Tours. Payments can be in the form of checks, money orders or by credit card. SPEND DOWN – Not sure of the exact trip you want to take? Phone and e-mail reservations will be held for 10 working days. By the 10th day we require a $100 per trip deposit to confirm a spot. Trips are filled on a first-come, first-serve basis and many vacations sell out. It is important to sign-up as soon as possible. We suggest a minimum of 60 days for motor coach tours and a minimum of 3 months for air, rail and international vacations. CONFIRMATION OF VACATIONS Once your deposit and/or application are received the following will happen. 1) Within two weeks you will receive a postcard or email confirmation. 2) One month prior to the trip a FINAL ITINERARY will be sent reconfirming all details and requesting any additional information needed. 3) Shortly after the vacation a Trip Report and group photo will be sent. IMPORTANT BOOKKEEPING REQUIREMENT: Many Travelers make monthly payments. Make sure to indicate the Traveler’s name and TRIP TITLE (eg. “Dude Ranch”) with all payments. 3 GETTING THERE IS HALF THE FUN All of Able Trek Tours’ motor coaches are equipped with TV monitors and a DVD player, bathroom, air-conditioning and plenty of room to stretch your legs. Vans may be used for shuttling to and from our pick-up locations. All of our vehicles and Tour Leaders have cell phones. These cell numbers are indicated on the FINAL ITINERARIES. We are rarely late for the pick-up and return times. ACCOMODATION OPTIONS Overnight accommodations on most trips are well known hotel chains. We offer an option with regard to sleeping arrangements. They are: DOUBLE ROOM – Two people per hotel room, each person has a private bed. QUAD ROOM – Three or four people per room with Travelers likely sharing a bed. Prices for each type of room are indicated in the tour descriptions. Travelers MUST let us know their accommodation choice when making the reservation and/or by indicating such on the Traveler application. Double rooms are more expensive. SINGLE (PRIVATE) rooms are also available - contact us for those prices. If requested, we will attempt to place a staff member in the room with a Traveler. While our staff will monitor and assist all Travelers, direct 24-hour supervision (a staff in each room) is not feasible. Travelers’ rooms are typically adjacent to a staff member’s room. We reserve the right to place a staff member in any room if we deem it necessary. MEALS AND SPENDING MONEY Most trips include all breakfasts and all evening meals. The number of meals included is stated in each tour description in this booklet. Meals not included will be paid for with the Traveler’s personal spending money. If needed, our staff will assist Travelers with their spending money. The amount of suggested personal spending money for each trip is indicated on the detailed itinerary. WHAT TO PACK We strongly request that Travelers bring only one suitcases and one carry-on bag. A large plastic garbage bag is helpful to use for dirty clothes. Following is a suggested packing list: General List: Clothes: * Photo ID card (Required) * One change of clothes for each day * Passport (any trip leaving the USA) * Comfortable walking shoes * Medications * Jacket, sweatshirt or sweater * Camera & film * Pajamas * Sun glasses * Swim suit * Addresses & stamps * One “dressier” outfit * Suntan lotion * Personal items Tooth paste, toothbrush, comb, deodorant, shaving supplies, shampoo, soap, sanitary napkins, etc. PRIVATE AND CUSTOM DESIGNED VACATIONS If there is a group of Travelers interested in a vacation that we do not offer, or your group would like arrange a private tour, give Able Trek Tours a call. We can custom plan a vacation for your group while working within your budget and staffing desires . 4 ONE DAY VACATIONS Our one-day tours differ slightly from our overnight vacations in the following ways: 1) Day trips require two pieces of paperwork - application and waiver. 2) The full price of the trip MUST accompany the reservation. 3) Staff to Traveler ration will be 1:4 or 1:5. 4) Reservations must be made at least 30 days prior to the trip 5) Typical itineraries will have pick-ups in early to mid-morning and returns in the evening (normally no later than 9:30 PM). 6) No t-shirts, hats or group photos are included in the price. Able Trek t-shirts can be purchased for an additional $6.00 each. FOOTLOOSE THE MUSICAL (Fireside Dinner Theater) WEDESDAY, APRIL 3, 2013 COST: $170 Dbq, Pville, MtHrb, Mad, JhnCrk, App, Osh, Fndlac, Allton, Mil, Dells First a popular film released in the eighties then a fabulous hit on Broadway, Footloose is filled with high energy singing, heart-pounding rhythms, and spectacular dancing. The Footloose story brings generations together and audiences to their feet. This dazzling production features hit songs as “Let’s Hear it for the Boy”, “I Need a Hero” and the well-known title song, “Footloose”. Lunch is included. Minimal walking. ANNIE GET YOUR GUN (Fireside Dinner Theater) WEDESDAY, MAY 29, 2013 COST: $170 Dbq, Pville, MtHrb, Mad, JhnCrk, App, Osh, Fndlac, Allton, Mil, Dells This big, old-fashioned Irving Berlin musical tells the story of Annie Oakley, the sharp-shooter who starred in Buffalo Bill’s Wild West Show. Since its Broadway debut in 1946 starring Ethel Merman, this show has enjoyed Broadway revivals starring Bernadette Peters (1999) and Reba McEntire (2001). Annie meets Frank Butler when she beats him in a shooting competition. The two negotiate their rivalry and in the process love blooms, topsy-turvey rodeo style. Enjoy classic Berlin scores including, “Anything You Can Do I Can Do Better”, “The Sun in the Morning and the Moon at Night”, and “There’s No Business Like Show Business”. Lunch is on us, partner! MAGGIE MAE’S BARN DANCE THURSDAY, MAY 30, 2013 COST: $145 Pville, Dbq, Mt Horeb, Mad, Portage, Dells, StPnt, Waupca, App, Osh, Fndlc Spend a memorable day on the farm enjoying Maggie Mae’s oldfashioned Barn Dance. We’ll be personally greeted by Maggie Mae upon our arrival followed by a day of toe-tappin’ old country music, yodeling, dancing and great photo-ops with Maggie and her Band. Plus, we’ll enjoy a farm cooked lunch with all the fixin’s. Join us for a “YEE-HAW” of a time. Unfortunately this trip is NOT wheelchair accessible - there are 12 steps to climb to reach the barn. We’ll also visit the Country Music Hall of Fame and welcome a local guide who will escort us on an exciting tour of Nashville pointing out many of the star’s homes. On our way to Memphis, home of Elvis, we’ll stop by Loretta Lynn’s Ranch and Museum. An unforgettable day at Graceland and a tour of Sun Studios, where Elvis recorded many of his songs, will be a trip highlight. We’ll also embark on a very unique “Hound Dog Tour” of Memphis. This tour is led by local musicians who will serenade us with Elvis’ songs, tell entertaining stories about the King, and point out hard-to-find Elvis historical sites. Our transpacific flight will arrive on the Island of Oahu, home of Waikiki Beach and Honolulu. We’ll take an extensive tour of Oahu including: Diamond Head, Pali Lookout, Waimea Falls, sugar cane fields, Dole Pineapple Plantation, the North Shore and much more. We’ll visit historic Pearl Harbor and the Arizona Memorial. A day at the fascinating Polynesian Cultural Center will include a Polynesian dinner and show. We’ll also enjoy a Hawaiian Luau on the shores of the beautiful Pacific Ocean. A visit to Hawaii Sea Life Park will be an absolute treat. We’ll also enjoy a Mississippi River Cruise, tour the brand new Busch Baseball Stadium and shop at Union Station. Unique suppers at the Old Spaghetti Factory and Hard Rock Cafe are also included. Four days of live music by many of country music’s hottest stars, autograph and picture opportunities, a visit to the Country Music Hall of Fame and a lunch cruise on the General Jackson Riverboat are just a small sample of what you will enjoy. We have Club Level seats for the Headliner Shows in Nashville’s LP Stadium. This area features individual seats with backrests (no bleacher seating) and access the Club Level air-conditioned common areas, restaurants and more. All breakfasts and one lunch are included. At Thunder Valley in Wisconsin Dells we’ll be treated to a unique Scandinavian musical show complete with a delicious authentic Scandinavian breakfast. Also in Wisconsin Dells we’ll enjoy the “Wisconsin Opry”, featuring old-time and present-day country music tunes. At Millie’s Showplace in Delavan we’ll be treated to supper and “Hollywood Duets” including songs of famous duets highlighted by Sonny & Cher, Johnny & June Carter Cash, The Everly Brothers, Kenny Rogers & Dolly Parton, and many more. At Maggie Mae’s Barn Dance will experience an old-fashioned hoe-down. Maggie Mae performs her toe-tappin’ old country music, yodeling and dancing all over the Midwest including shows in Branson and Nashville. We’ll enjoy this show at her hometown Barn Theater near Oxford, WI. (Unfortunately, 14 steps are required to access Maggie Mae’s barn.) It became the most infamous tour in rock ‘n roll history. On Monday, February 2, 1959 the tour stopped at the Surf Ballroom in Clear Lake, Iowa - it was an amazing performance. The night burned bright with some of rock ‘n rolls greatest songs and its brightest stars…and ended with the unthinkable. After the show the three stars boarded a plane for their next show in Fargo, North Dakota. All three were killed when their plane crashed shortly after takeoff. We’ll return to the historic Surf Ballroom for a weekend of amazing music, dancing and an extraordinary tribute to these and other rock ‘n roll greats. There is absolutely no smoking in vehicles or hotel/motel rooms. Most attractions we visit have a no smoking policy. ALCOHOL POLICY The consumption of alcoholic beverages is strictly prohibited by participants, unless it states otherwise on the Traveler application. Only moderate consumption will be allowed. ILLNESS / INJURY If a participant becomes ill or injured and cannot continue to travel with the group, and requires transportation home, the participant will be responsible for such transportation costs. Able Trek offers travel insurance at an additional fee. Contact Able Trek for more information. PROPERTY DAMAGE OR DESTRUCTION Participants who, intentionally or unintentionally damage or destroy property not belonging to themselves, are financially responsible for repair or replacement of damaged or destroyed property. Able Trek Tours, its staff and volunteers accept no financial responsibility for damaged or destroyed property. MEDICATION DISPENSING All non-self medicating participant’s medications and prescriptions must be individually prepackaged according to the time and date of each dispensing. The guardian/parents/care staff/are responsible for making sure this is completed accurately. Medications should not be packed in a Traveler’s suitcase. An extra day’s supply of medications should be sent in case of emergency or trip delay. All medications will be surrendered to the Tour Director or person responsible for dispensing the medications at the time of check-in. Travelers who normally self medicate can continue this practice on trips and package their medications in the way they are familiar with. APPLICATION PROCESS All information provided to Able Trek Tours must be complete and accurate to the best knowledge of the person completing the Traveler’s application. Failure to provide accurate or complete information may result in immediate dismissal from any travel program. Parent, guardian, care staff, and/or person completing the application must provide immediate transportation home for the participant from any location should inaccurate and/or false information result in unknown safety (whether caused by behavioral, medical or ambulatory factors) for the Traveler, staff persons, other participants or persons in the community unless other arrangements are made with Able Trek Tours. No refund is available to the participant or their agent if the above is the case. If known health and/or known behavioral concerns result in safety concerns for the participant, staff, other Travelers or persons in the community, the parent, guardian, care staff and/or person completing the application in cooperation with Able Trek Tours will provide/arrange to provide transportation home for the participant. In this case partial refunds or credits to account may be available. Consent and waiver signatures must be those of the legal guardian. The application will not be processed with unauthorized signatures. Participants should sign where indicated whether they are self-guardians or not. Minimum deposit of $100 for each trip must accompany the application. Tours requiring a larger deposit will be indicated as such in the tour description. Do not mail application without deposit unless prior arrangements have been made with Able Trek Tours. The Medical History (Physical form) must be received by Able Trek Tours no later than 21 days prior to each trip. It must be completed and signed by a physician. Medical History/Physical must be completed within 12 months of the trip. CONFIRMATION/CANCELLED TRIPS Confirmation will be mailed within 15 days of receiving the application. Able Trek reserves the rights to cancel any session (trip) do to insufficient registration. In the event of cancellation, Travelers will be offered first choice in registering for other open trips, or their fees will be refunded in full. TRIP FEE POLICIES A deposit, normally $100 per trip, is due to firmly “hold” a spot on a vacation. The remaining trip fee balance is due 30 days prior to the trip start date for motor coach tours and 65 days prior to departure for international, rail, cruise or air travel vacations. Interest free payment plans are available with Able Trek approval. FUEL SURCHARGE & TRIP ALTERATIONS In the event of rising fuel costs, and/or airfares, Able Trek Tours, Inc. reserves the right to add a surcharge, not to exceed 10% of the trips cost. Because of ever-changing attractions, shows, schedules, etc., Able Trek Tours reserves the right to make substitutions and changes in the trips when necessary. REFUNDS AND CANCELLATIONS Please note: Some vacations may have more restrictive cancellation policies and penalties. If this is the case it will be indicated on the trip itinerary. 21 Motor coach and van tours – All but $25 of monies paid will be refunded if notice of cancellation is received by Able Trek Tours 30 days or more prior to each trip start date. If notice of cancellation is received by Able Trek 29 days to 8 days prior to the trip start date, Able Trek will retain the $100 deposit plus any monies Able Trek Tours is not able to get refunded from its suppliers. Cancellations received 7 days or less prior to the trip start date will not receive a refund whatsoever. Air, Rail, Cruise, and International tours – All but $50 of the deposit and trip fee will be refunded if notice of cancellation is received by Able Trek Tours 65 days or more prior to each trip start date. Cancellations received 64 days or less prior to the trip start date will be charged 20% of the total trip fee plus any monies Able Trek is not able to get refunded from its suppliers. Travelers who are “no shows” on the day of departure receive no refund whatsoever. Travelers who are “late” on the day of departure are considered no shows. Travelers who are refused boarding on any vacation due to lack of proper and current identification will not receive a refund whatsoever. TRAVELER IDENTIFICATION REQUIREMENTS All Travelers should have a CURRENT (check expiration date) photo I.D. for every trip. Additional identification will be required for trips that include air, rail, cruise or international travel. Specific I.D. requirements will be sent with each trip itinerary. Any travel outside the United States, even Canada and Mexico, will require a passport – NO EXCEPTIONS!! TRAVEL INSURANCE Travel insurance can be purchased to protect you if you are forced to cancel for a variety of reasons. It also includes coverage for some accidents and illnesses.
