Convention Services & Expositions
Pricing
Hicks Convention Services and Special Events Inc. has been the premier
convention services and special event rental company of Memphis and the
Mid-South since 1986. Dedication to service and quality of equipment has
become a hallmark for our company.
The difference between our company verses others like us is that we can
take your occasion, being a trade show, gala, cocktail party, wedding or
whatever you may be planning, to new heights. Our 50,000 + square foot
warehouse is chock full of every type of prop and decor pieces to take your
event from ordinary to extraordinary.
Most prices quoted are for a one-day charge or event. If you wish to rent items for a longer
period of time, please call our office for special rates. Quantity discounts are available on
some items.
Payment
Payment is due before items can be released to a customer. We accept Mastercard,
Visa, and American Express. Local personal checks are accepted with a valid driver’s
license.
Making a Reservation
Early Planning assures a successful event with products availability. During the peak rental
season we reserve the right to ask for a deposit to confirm a reservation. The reservation fee
is your assurance the item will be available on the day you requested.
Hicks has the expertise to produce any event your imagination can create. Our dedicated staff of trade show specialists and event coordinators
can assist you in preparing all your needs for your event.
Order Changes or Cancellations
We are continuously adding items to our all ready vast inventory every
day. We want to make sure you have what you want and need for your
event.
Delivery/Pickup
Please call today and see how Hicks Convention Services and Special
Events Inc. can assist you. You won't be disappointed. We are here for
you when you need us.
If an order is canceled at least 7 days prior to the scheduled date, the entire deposit will be
refunded. The exception is tent rentals. If a tent is canceled any time, the entire deposit will
be forfeited. Additions to an order are welcomed, subjected to availability.
Delivery and pickup are available at reasonable rates. Please call for the charge for your area.
Delivery schedules are made several days in advance. You may request AM (8-12) or PM
(1-5) delivery and pickup. Delivery / Pickup at other times can be arranged for an additional
charge.
On those limited occasions when normal delivery is not available, a special courier
service can be arranged at an additional charge.
You are welcome to pick up your rental order at our showroom. All orders to be
picked up should be placed at least 24 hours in advance; however, we will always try
to accommodate you if at all possible.
Standard delivery / pickup is for tailgate drop off. If delivery is to be made to a specific
floor or area, an additional labor charge will be incurred. Our personnel are instructed to
neatly stack all items in a convenient place. For pickup, all rental items should be
stacked in the same place and manner in which they were delivered.
We can setup and dismantle tables and chairs at an additional charge. Advanced
arrangements should be made for this service.
Prior to Pickup or Return
All serving pieces, fountains, or any food-related items should be refuse free and
replaced in delivery containers. Linens should be dry and refuse free to prevent mildew
and staining. Additional charges are made when extraordinary cleaning is required.
Responsibility
Responsibility for rented items remains with the customer from the time of delivery to
return. Additional charges are made for damaged and shortage. Damage Waiver is
available.
Damage Waiver
You may elect to pay a fee equal to a fixed percentage of the cost of your rentals, in lieu
of additional charges for DAMAGED ITEMS. Damage Waiver DOES NOT cover shortage or loss of items, NOR does it cover damage due to improper or abusive use of
items.

Estimating Seating Capacity:
x For Banquet Style Seating
When using oblong tables, divide the room area (sq. ft.) by 12. These
figures are for maximum seating. If spacing is available for more
comfortable seating, allow an additional 2 sq. ft. per person.
x For Classroom Style Seating:
Divide “student” seating area (sq. ft.) by 10
x For Theater Style Seating
Divide “spectator” seating area (sq. ft.) by 8

Department of Building and Safety may require chairs to be fastened together to keep
aisle clear.
This method of projecting space allows for chair and passage aisle. This formula does
not take into account wide traffic aisles, location of columns, service doors, or unique
Room shapes. The space projection is useful for a quick, general approximation.
Note: Always allow at least 10 feet clearance around buffets and bars.
