INTRODUCTION
This manual provides detailed information on how to install and operate IFM PanaVOICE Courier
voice mail software (version 2.0) with the DBS 576 and 576HD PBX systems.
NOTE: For additional information regarding Panasonic's Integrated Feature Module (VB44191) hardware, see Section 580 "IFM Installation Manual."

ABOUT THE PANAVOICE COURIER VOICE PROCESSING
SYSTEM
The PanaVOICE Courier Voice Processing System is a comprehensive Automated Attendant and
Voice Mail application designed to deliver solutions for almost any customer application. The
Courier application resides on our robust “in-skin” Integrated Feature Module (IFM), a PC platform
card that slides into the DBS 576 & 576HD cabinet to integrate directly with the cabinet’s
backplane. This high-level of integration provides the user with state-of-the art call processing
functionality and a host of unique features.
The Courier line-up gives you several configuration options depending on your individual
application. Whether it’s low port requirements for small offices, higher port capacity for Networked
systems, or advanced Local Area Network functionality, the Courier Voice processing line is sure to
deliver the solution that’s right for your company.
PanaVOICE Courier…messaging made easy!
COURIER LITE
Courier Lite is based on Microsoft’s Windows NT operating system, but delivers the next level of
performance and additional expansion capability. The Courier Lite model is available as a four (4)port model only. However, this baseline unit can expand in increments of four ports all the way up
to twenty-four (24) ports.
For advanced integration with your Local Area Network to privde desktop message management,
the Lite model can be upgraded as an option, with MailQuest functionality. For customers who
might want MailQuest at a later time, the Lite model gives you the option to upgrade when so
desired. MailQuest seats can them be purchased separately depending on the number of
MailQuest users.
Display telephone integration, trunk mapping, and call record are the standard functions of the
Courier 4-Port Lite base unit.
COURIER PLUS
For the most demanding voice processing application, the Courier Plus IFM card was designed to
provide the most advanced call processing functionality, in addition to providing the maximum port
capacity of the Courier line.
The Courier Plus models are based on Microsoft’s Windows NT Operating System, and come in
base units of four (4), eight (8), twelve (12), sixteen (16), or twenty-four (24)-port models. Each
model (with the exception of the 24-port unit) can be expanded at any time in increments of four
ports.
Each Courier Plus base model comes equipped with MailQuest software built-in to the application.
By purchasing the desired number of MailQuest seats as an option, you can utilize MailQuest to
deliver desktop message management.
Display telephone integration, trunk mapping, and call record are standard functions of each
Courier Plus IFM base unit.

COURIER 2.0 NEW FEATURES & ENHANCEMENTS
CALLER ID ROUTING
Ability to route incoming calls with caller ID to specific mailboxes or specific System Greeting
schedules.
Operating Specifications
• Caller ID must be available, and the DBS 576/HD must have Caller ID hardware.
• Caller ID numbers are entered in the in-band Setup section of Advanced Parameters.
Additionally, Caller ID can be ‘captured’ by a mailbox user after receiving a voice mail from the
Caller ID number. This may be restricted in Class of Service.
• Normally, Caller ID numbers are routed to a specific mailbox by using the DIL setting in in-band
Setup.
PARK/PAGE
Ability for the Auto Attendant to Park an incoming call, then Page the target user over the
telephone paging system or the PA system. The recipient of the page can then enter the pickup
code (*9) from any telephone on the system (or enter 704 from their own phone) to retrieve the call.
Operating Specifications
• This feature is a Mailbox setting. Any individual who wishes to utilize this feature has the ability
to do so.
• There are two separate ways to set-up paging: Immediate or Monitored.
Immediate: The Mailbox Monitor transfer function is not activated. Therefore, the Auto
Attendant will automatically Page the recipient, and transfer the call to the extension by
dialing the directed call pick-up code 704 plus the ringing extension number.
Monitored: The Mailbox Monitor transfer function is activated. The Auto Attendant will
attempt to call the extension. If the extension answers, then the call is delivered. If not, the
Auto Attendant will pull the call back, Page the recipient, and then release the call to the
extension. The recipient can then dial a call pick-up code (704 + ringing extension), and
intercept the transferred call from any phone. If the recipient fails to pick up the call, then
the call will be forwarded to the individual Mailbox greeting.

This feature is enabled through the extension or through the UI on a per Mailbox basis.
To enable paging from a display phone:
1. Log into your mailbox
2. Press the Call Forwarding soft key
3. To be called first and then paged, enter your extension number in the first field. In
nd
the 2 field, put the paging code. For the 576, this would be P#1 for paging group
1. This would be entered as *7*91# (*7 enters the ‘P’).
4. To be paged on all calls, enter P#1 into the first field.

DNIS ROUTING
Ability to route inbound calls with DNIS digits to specific mailboxes or to specific System Greeting
schedules.
Operating Specifications
• DNIS numbers must be made available.
• DNIS numbers are entered in the In-Band Setup section of Advanced Parameters.
• Normally, DNIS is routed to a System Greeting Schedule by using the TRK setting in In-Band
Setup.
SYSTEM ADMINISTRATION PROGRAMMING THROUGH THE TELEPHONE
The System Administrator may program certain maintenance functions via the telephone. Past
versions of Courier software only allowed system administration through the User Interface. The
following functions can be programmed through a telephone:

Delete, disable, enable, or re-set a Mailbox. This is a useful function when an employee
leaves a company, when calls should not transfer to an extension or when a new employee
takes ownership of a mailbox.
Assign System Greeting Schedules to any or all ports.
Assign System Greeting Schedules by Trunk.
Change Class of Service settings.
Change parameter settings in the Parameter File (available on future Courier releases).
Operating Specifications
• The System Administrator enters the System Admin Mailbox 999 to activate programming
functions.
• Select menu item number 6. Courier guides the Administrator through available programming.
BRANCH OPTION TO NAME DIRECTORY
Single Digit Branching to bring the caller back to the Name Directory can be used after the Mailbox
Greeting has played. This single digit branching can also be used from any Audiotex Message.
This feature is useful for callers who do not wish to leave a message, but want to call another
extension, only they need a way of getting to the name directory to find the appropriate extension
number.
Operating Specifications
• Branching to the Name Directory is set up via the User Interface or Mail Quest client. It cannot
be set up via the telephone.
• Enter the word ‘Name’ into a branching field under Mailbox Setup, or drag and drop the ‘Name’
option to the appropriate field in Audiotex Setup or Mail Quest.
AUTOMATIC INTERNAL MESSAGE RECEIPT CLASS OF SERVICE
New Class of Service option allows automatic receipts for messages sent to other mailboxes.
Enabling this feature results in receiving a confirming receipt message for every message sent.
This message will play the mailbox owner's name followed by ‘…has received your message.’
Operating Specifications
• Administrator enables this feature by checking ‘Auto Receipt’ in the appropriate Class of
Service.

CALLER ID ADDED TO TIME & DATE STAMPING
This option announces the Time & Date a message was sent, as well as the Caller ID if available.
Operating Specifications
• Requires that a Caller ID board is installed in the switch and the end user has Caller ID service
from the Central Office provider.
• Caller ID stamping will occur automatically when the ‘Stamp’ key is pressed after hearing a
voice message.
M AILBOX NOTIFICATION SCHEDULING
Provides the user the ability to schedule outbound message notification on the user’s defined
day(s) and time of day. Multiple schedules may be utilized for each mailbox. This allows for
different schedules on different days of the week.
Operating Specifications
• Notification scheduling is accomplished in the Notification section of the user mailbox.
• Once in the Notification section, the Courier audibly prompts the user to set the day and time
parameters for Notification to work.
BOOKMARK A MESSAGE
While listening to a message, user may “book mark” a position in the message to return to on
subsequent replays. Bookmark is useful for highlighting pertinent information within a message
(such as the callback number).
Operating Specifications
• From a display phone, while playing a voice message the user presses the # key twice at the
point in the message a bookmark is desired. The user presses the soft key that activates the
bookmark.
• From a non-display phone, while playing a voice message the user presses the # key twice at
the point in the message a bookmark is desired. The user presses the “1” key to activate
bookmark.

Courier 2.0 Enhancements
OFF-HOOK VOICE ANNOUNCE- RE-DIRECT OPTION
The mailbox owner now has the option to re-direct a caller to another extension from Off-Hook
Voice Announce, in addition to standard options to queue call, send call to voice mail or accept call.
Operating Specifications
• Requires that user has a display phone, that the Off-Hook Voice Announce is enabled in the
Class of Service, and that the user has the feature enabled.
• To re-direct a caller to another extension from off-hook voice announce, the user presses the
respective soft key from the display screen then enters the extension where call is re-directed.
AUTOMATIC DATE & TIME STAMPING BY MAILBOX
In past Courier versions of software, this feature could be enabled on a system wide basis. This
enhancement allows individual Mailbox owners to select this option in the Mailbox Setup screen.
Operating Specifications
• Enable this feature by selecting either Before or After in the Auto Date/Time Stamp field on the
Mailbox Setup screen.
• Caller ID stamp does not work in conjunction with Auto date/time stamp. To get Caller ID, you
must explicitly press the Stamp button after a message plays. {?confirm?}
SEPARATE SYSTEM GREETING LEVEL DIAL “0” & TIME-OUT TIMERS
The routing of a caller that presses ‘0’ may be separately defined from a caller that presses nothing
and times out. The Courier disconnects abandoned nighttime calls instead of routing to the night
“drop box” and returning phantom messages.
Operating Specifications
• Dial ‘0’ and Timeout extensions can be defined at the parameter file level as well as the
System Greeting level.
FIRST TIME ENROLLMENT TUTORIAL ENHANCEMENTS
Enhanced First Time Tutorial enrollment includes:
• Simplified Personal Greeting Recording
• Re-enable Tutorial via System Administrator
• Playing Tutorial repeatedly until the user completes Tutorial and all functions are activated for
the mailbox.
Operating Specifications
• System Administrator may re-enable the tutorial by entering password 1111under the mailbox
Setup section. The tutorial will play again the next time the mailbox is accessed.
• The requirement to complete the tutorial is a parameter setting in the User Interface. In
Parameters – Voice Mail Parameters, check the box labeled ‘Force Users to Complete
Tutorial.’

CREATING DISTRIBUTION LISTS THROUGH THE USER INTERFACE
Allows for Creating Distribution Lists in the UI for easy entry and modifications. In the past, these
lists were created through the Mailbox owner’s telephone.
Operating Specifications
• Distribution Lists are accessed in the User Interface under Utilities – Dist List Creation.
• System or User lists may be created modified, or deleted in this section.
SIMPLIFIED AUDIOTEX M AINTENANCE
The entire Audiotex Maintenance UI has been modified to simplify this part of Auto Attendant
programming. The interface is now a ‘drag and drop’ interface that users of Windows are inherently
comfortable with.
Operating Specifications
• Drag mailbox numbers from the right side of the screen to the appropriate branching option on
the left side of the screen.
• To delete numbers, right click the entry and choose ‘Clear Number.’
AUTOMATIC SYSTEM GREETING SCHEDULING
All North American Holidays are included in the Courier Scheduling Parameter to allow the user to
set automatic Greetings relating to these various holidays. The system clock dictates when to play
the appropriate greeting.
Operating Specifications
• Enable holidays by selecting corresponding checkbox.
• Administrator can copy and paste holiday greeting recordings to other holiday recordings from
the holiday screen.
• The holiday calendar is perpetual. The same holiday message will play on the appropriate day
of the week for all subsequent years.
ALLOW CALLERS TO ENTER PHONE NUMBER FOR PAGER DISPLAY
Allows a caller to enter his phone number for the pager notification option after they have left a
voice mail. When the Courier pages the Mailbox Owner, the callers phone number is displayed on
the pager.
Operating Specifications
• To utilize this feature, pager notification must be setup and active in the user’s mailbox.
• To enter the callback number, the caller should press #9 after recording his/her voice
message. This information should be recorded as part of the mailbox greeting.
• The needed pauses for pager notification are built into the Courier software. The caller need
only enter the phone number itself.
• If the caller does not enter a callback number, the pager will be notified with the Beeper Access
Code number as entered by the mailbox owner.

MESSAGE FORWARDING TO DISTRIBUTION LISTS
Message forwarding now has the ability to forward messages to distribution lists if so desired. In
past Courier versions, messages could only be forwarded to other Mailboxes.
Operating Specifications
• Display phones will now see a ‘Dist List’ option when forwarding a message.
• Non-display phones utilize this feature by forwarding the message to ‘*’ followed by the two
digit distribution list number (e.g. *02 to forward to user distribution list number 2)
NEW NAME DIRECTORY TIME-OUT PARAMETER
A separate time-out parameter has been added to the software so that the time allowed for name entry
can be longer than the ‘Inter-digit delay’ time. This allows flexibility so that single digit branching may
work quickly yet the time allowed for entering a name in the name directory may be more relaxed.
Operating Specifications
• The name entry timeout parameter is located in the Attendant Parameters right next to name
entry prefix.
• Normally, the name entry timeout will be set longer than the inter-digit delay. The default
setting is 4 seconds.

COURIER SET-UP OPTIONS

Answers all incoming calls and allows caller to ring an extension or obtain information without
operator intervention or assistance.
S E C O N D AR Y AT T E N D AN T
Answers overflow calls when the operator is unable to take a call. Callers are able to ring an
extension or obtain information without operator intervention.
AFT ER HOURS ”BACK DOOR” AT TENDANT
When the office is closed, or employees are unavailable, the system will answer calls, allow auto
attendant functionality, and provide information at any time.
VOICE MESSAGING CENTER
The system takes messages, and allows users to send, store, answer, and forward messages from
one party to another.
INFORM ATION CENTER
Provides answers to frequently asked questions, allowing attendant more time for callers requiring
more attention.
SITE-SPECIFIC ITEMS TO SET UP
The majority of settings determining how Courier will function in your company are predefined by
your PanaVOICE Dealer, or through default settings. However, the following items must be
identified and provided for the Dealer to complete the installation process.

Create Audiotex branching tree, if needed, from which callers can select single digit options for
immediate routing or access to information.
Set up mailboxes for users and as needed for the Audiotex list.
Develop and record opening greetings. Include Audiotex information and access, if needed.
Create Distribution Lists for company and departments, as needed.
Create a “System Administrator Voice Mailbox” for employees to use when they have
questions and concerns about the system.
THE SYSTEM ADMINISTRATOR’S ROLE
The System Administrator can interface with the Courier by way of a stand-alone computer
connected to the IFM LAN/COM port connectors, over a network, or by dialing into the Courier from
a phone that generates DTMF tones.
The responsibilities of the System Administrator include:
• Training employees to use Courier (your Courier dealer can provide assistance).
• Responding to questions from employees regarding Courier.
• Setting up mailboxes for new employees and deleting mailboxes when employees leave.
• Recording or overseeing the recording of system messages such as Broadcast messages,
System Distribution List messages, System Greetings, and Pre-System Greetings.
• Providing printed status reports of Distribution List messages.
• Printing reports on Mailbox and System usage.

PANAVOICE COURIER PROGRAMMING
START-UP
You will notice several programs launching during the boot-up procedure. Most of these programs
will remain minimized in the Window’s Taskbar. The following programs will launch during the boot
procedure:

Note: During the boot procedure, do not attempt to minimize, close, expand, etc. any
program that is launching. The boot procedure will be completed when the final program
(Courier Engine Ver. xxx) appears in the far right of the Taskbar.
SERVICE OVERLORD II
The Service Overlord icon appears on the Taskbar. The Service Overlord is a control panel used to
Stop, Start, or Hide the tasks of the Courier voice processing application. Should you need to shut
down the Courier system, press the ‘Stop’ button on the Service Overlord. You can either select
‘Stop’ to close the other components and leave the Service Overlord running, or press ‘Exit’ to stop
all components and also exit the Service Overlord.
Note: Clicking “Close” causes the IFM to reboot in a short amount of time. Normally, you
should not click the Close button because of this.
The Service Overlord screen also indicates whether the Courier is operating in Integrated or InBand mode. This is denoted in the ‘script’ located below the close button. This program does not
load. The Service Overlord icon appears to the right of the Windows “Start” button.
Note: Always minimize the Window. Clicking the “X” closes the program.

WINSOCK OVERLORD SE
The next program to load is the Winsock Overlord. This program supervises the communication
between various Courier components. Courier uses Windows ‘Winsock’ connections for its data
transfer between programs. When this program is complete, the Winsock Overlord icon remains
on the Taskbar.
COURIER ENGINE
The Courier Engine is the voice processing application. An icon will appear at the far right of the
Taskbar, and will read: Courier Engine.
The Windows task bar will have the following icons appearing:
As the Courier Engine screen activates, critical errors may be noted on a flashing red screen. Not
having the security key attached, a non-approved voice board, no system greeting selected, etc.
can cause these critical errors to appear. Normally you should expect no error messages, and
after a brief period the Courier system is ready to answer calls.
Note: At this point, all of the appropriate programs have been successfully loaded and the
Courier is now ready to process calls.
A Word of Caution: You can view these programs at any time. However, remember to
MINIMIZE THE APPLICATION WHEN EXITING, as opposed to clicking the “X” at the upper
right hand corner. Clicking the “X” will shut down the program.
MESSAGE MANAGER
Message Manager logs and displays message flow between the Courier application and the DBS
576/HD backplane. Message Manager is a helpful troubleshooting tool should you need to view the
real-time status of the Courier software.

IFM- MONITOR APPLICATION
IFM Monitor Application shows the current IFM Card status messages. In addition, under the Utility
pull-down menu, it provides a method of monitoring the IFM operating temperature, controlling the
IFM cooling fan ON/OFF status (if applicable), and also resetting the IFM LEDs.

INITIAL SETUP
Frequently used values or settings have been pre-defined as default settings for the majority of
parameters. If necessary, these settings may be changed to reflect the user’s requirements.
There are some settings that must be entered on site, as well as the recording of custom System
Greetings. The following list is designed to guide you through the customization of your Courier
system, in a logical progression. To get started quickly, the following steps can be taken to handle
the bulk of programming. Once these elements have been completed, your system is ready to go.
INITIAL SETUP PARAM ETERS
From the Courier Outlook bar, under the Initial Setup button, click the Initial Setup Parameters icon.
The view will expand to show Initial Setup Parameters.
SYSTEM PARAMETERS
PILOT EXTENSION NUMBER – DEFAULT: 500
This tells Courier what the Pilot Extension Number is on the PBX in order to light Message Waiting
lights.
M AILBOX NUMBER DIGIT LENGTH – DEFAULT: 3
Click the arrows to set the Mailbox digit numbers from two to five digits. All Mailboxes must be the
same length. The number of digits used for the telephone extensions must mirror the number of
digits used for the mailboxes.

M AINTENANCE SHUTDOWN TIME – DEFAULT: 0005
Courier must shut down daily for reorganization, maintenance, and updating. During maintenance,
the data files are written to the IFM's hard disk drive for nightly backup. This maintenance should
be scheduled at a time when calls are not coming in to Courier. Enter this time by using military
format (00:01through 23:59) The default shutdown time is 00:05 or 12:05 A.M.
SYSTEM MASTER PASSWORD – DEFAULT: 1111
The System Master Password is the main password to access all Courier programming functions.
The number of digits is defined in the password length field described above. The default System
Master Password is 1111. To ensure confidentiality, Courier displays stars (****) as you enter the
password. The Master System Password should be a confidential number, known only by the
System Administrator and a secondary Administrator.
It is required to:
• Display Courier's main menu.
• Override Mailbox passwords.
• Set up and use System Distribution Lists.
• Update Information Only Mailboxes.
• Operate the system keyboard.
• Record System Greetings.
• Record Pre-System Greeting.
• Record System Prompts.
• Record Broadcast Message
Name Entry Order – Default: Either Name
Courier allows the caller to select an Extension by name routing. This parameter sets the name
Courier searches for: First, Last, or Either.
LOCAL AREA CODE – DEFAULT: NONE
Enter the local Area Code. This is used in conjunction with the ‘Reply’ feature on IFM integrated
systems.
PBX P A R AM E T E R S
SELECT PBX TYPE—DEFAULT: _PAN576-PANASONIC576 (FOR IFM)
A pre-defined PBX may be selected by clicking the arrow to drop down a list of PBX names.
However, with the IFM always select _Pan576.
ACCESS NUMBER FOR OUTSIDE (CO) LINE—DEFAULT: 9
Enter the number required to access an outside line. For example, if you press 9 to make a local
call, the out call dial sequence is 9. An ampersand (&) represents a flash; a comma (,) represents
a one second pause. You can enter whatever DTMF sequence is required by the PBX system into
this field (e.g., 9,). Always begin this entry with a comma to ensure dial tone is present before
dialing.

V O I C E M A I L P A R AM E T E R S
The Voice Mail Parameters section is used to define functions that are common to all voice
mailboxes within the Courier system.
Note: The field under Add Mailboxes, which determines the message notification method,
must be set to Light in order for these Protocols to work. These Lamp Protocol fields are
not relevant with the IFM.
LAMP ON PROTOCOL – DEFAULT: ,*41,E
This field defines the DTMF sequence used to turn on a message-waiting light at the extension,
when a new message is to be delivered (e.g.: *41,E would be used for 576 and 576 HD).
LAMP OFF PROTOCOL – DEFAULT: ,*49,E
This field defines the DTMF sequence used to turn off a message-waiting light (e.g.: *5,E would be
used for DBS 824,40, 72 and 96 systems and, *49,E would be used for 576 and 576 HD).
PORT SPECIFIC PAR AM ETERS
This section defines the individual functions for which each port is responsible. From the Courier
Outlook bar, click the Initial Setup button. Then click the Port Specific Parameters icon. The view
will expand to show Port Specific Parameters.
PORT NUMBER
There are input fields for up to 24 ports. The scroll bar to the right of each port’s screen drops down
a menu of available Message Notification configurations. The number of ports appropriate to your
Courier system will be displayed. If you have an eight-port Courier system, only the first eight ports
apply.

MESSAGE NOTIFICATION
There are various ways to deliver messages to the mailbox owner. This field is used to define the
type of message notification the specific port can perform. Clicking the Message Notification field
for the specific port will drop down a list of options that are described below. Clicking the desired
option will set the Message Notification Option for that port. One port should be set as Unrestricted.
Unrestricted
Courier uses this port for message notification, to light message waiting lights, or to forward
messages.
Pager Notification
Courier uses this port for Pager/Call notification only.
Lights Only
Courier uses this port to light message waiting lights only.
No Outbound Calls
No message delivery calls are made on this port. It is reserved for incoming calls only.
MAILBOXES
GLOBAL CLASS
OF
SERVICE
Class of Service is used to facilitate the set up of a single Standard Mailbox or multiple Standard
Mailboxes, having common defined attributes and functionality. When mailboxes are added, you
can select which Global COS you want to assign.
From the Courier Outlook bar, under the Mailboxes button, click on the Global Class of Service
icon.

Global COS 01 Unrestricted and 02 General Office are pre-defined defaults.

COS 01 uses all 16 features defined in Mailbox Setup: Mailbox Properties, with the exception
of Call Queuing. When using the Mailbox Builder, COS 01 is used as the default.
COS 02 allows access to the System Distribution List, Branching (dial 0-9 options), Message
Forwarding and Call Screening (ask for caller’s name). All other features are denied.
Up to 99 unique Classes of Services may be defined and numbered (01 through 99) under
Global COS
Note: Custom Mailbox Setup, numbered 00, is:
• Associated with an individual mailbox
• Defined under Mailbox Setup and is used to set up all other types of Mailboxes, except for the
Mailbox Parameters that follow.
Mailbox parameters are defined based on the following criteria:
OPERATOR DROP M AILBOX
The Operator Drop Mailbox is the mailbox where a caller is sent to after entering “0” from a mailbox
owner’s personal greeting. Depending on the type of mailbox, the Courier will dial the extension
the mailbox is associated with and then follow whatever instruction is set for that specific mailbox.
Note: In Class of Service, a drop mailbox may be defined for callers who reach your
personal greeting and dial zero. This allows you to set up different operators for each
department, if needed.
PURGE NEW MESSAGES/PURGE OLD MESSAGES
This is the number of days the system will hold a new message before it is automatically deleted.
A message is considered new if the mailbox owner has never listened to it. A message is
considered old after listening to the message for the first time and then saving it.
Note: A message is also considered new if you listen to a message for the first time and
do not save it or delete it.
SYSTEM DISTRIBUTION LIST
This field allows the user to have the ability to use the System Distribution Lists. System
Distribution Lists are created and maintained by the System Administrator. Checking this box
allows the mailbox owner to send a message to these lists.
BRANCHING
Allows the mailbox owner to use single-digit Branching within the mailbox. When a caller hears the
mailbox greeting, they may select other dialing options (0-9) as defined by the mailbox owner.
Note: If the Operator Drop Mailbox defined above is designated, the Branch 0 digit will
have the same designation.
MESSAGE FORWARDING
Allows a mailbox owner to automatically forward messages to another mailbox. This is set through
the individual mailbox, which can be accessed at any telephone.

CALL SCREENING
If this box is checked, it allows the mailbox owner to turn Call Screening on or off at the user level.
If the user activates Call Screening, Courier will ask the caller their name and play it to the mailbox
owner, allowing the owner the option of sending the caller to voice mail instead of accepting the
call.
OFF HOOK VOICE ANNOUNCE
When this feature is activated the Courier will audibly notify a busy extension of an incoming call.
The user has the option to accept the call, send the caller to their mailbox or have the caller Queue
until they become available or redirect the caller to another extension.
CALL RECORD
Checking this box will allow the user to utilize the Couriers Call Record feature. This feature
enables the user to press a call record key on their telephone to start recording their telephone
conversation. The recorded message will then be saved as a new message. When this feature is
activated, both parties can hear an optional Call Record announcement.
CALL RECORD NOTIFY
Checking this box will activate an announcement that can be heard by both parties when the Call
Record feature is activated. Verify with local codes for recording conversations, whether you must
notify the caller that the conversation is recorded.
EXTERNAL MESSAGE NOTIFICATION
Allows the mailbox owner to use External Message Notification. The user may then set up pager
numbers and /or telephone numbers to be called, upon receipt of a voice message. This field is
also used by the broadcast paging feature.
NOTIFY ON URGENT MESSAGE ONLY
When this box is checked, the Courier will only notify the mailbox owner if a new message is
marked Urgent.
CALL FORWARDING
Allows the mailbox owner to setup forwarding of calls to another telephone extension. The actual
extension to forward to can be entered in the Mailbox Setup section at the user interface or at the
telephone level. The page feature also utilizes this field.
REPLY
When an internal message is left in your mailbox you can simply dial a digit (or press a key on IFM
systems) to have the Courier place you on hold and call back the mailbox of the person who left the
message.
When an external message is left in your mailbox, you can simply dial a digit to have Courier place
you on hold and call back the individual who left the message. Caller ID and all PBX
hardware/programming for caller ID must be in place in order for this to work properly.
AUTO RECEIPT
Allows the mailbox owner to receive a ‘receipt’ for each message left to another mailbox. When the
message is received, the sending mailbox receives a message that says ‘<Mailbox Name> has
received your message’.
CALL QUEUING
Allows the mailbox owner to setup Call Queuing. This will put a caller on hold when the mailbox
owner is on their telephone, and Courier will ask the caller if they wish to remain on hold, or leave a
message for this caller. (With future releases, the outside caller also has the option of dialing
another extension or zero for the operator.)

CID ROUTING (AVAILABLE ON FUTURE COURIER RELEASES)
Allows the mailbox owner to capture a Caller ID telephone number and have subsequent calls from
that number automatically routed to their telephone. The capturing of the number is accomplished
after playing a voice mail from the phone number and choosing the ‘Capture’ function.
LAMP ON PROTOCOL - (NA WITH IFM COURIER)
Allows this mailbox to utilize a lamp on protocol different from the setting under PBX Parameters.
Useful when two dissimilar telephone systems are networked.
LAMP OFF PROTOCOL - (NA WITH IFM COURIER)
Allows this mailbox to utilize a lamp off protocol different from the setting under PBX Parameters.
Useful when two dissimilar telephone systems are networked together.
AD D A CL ASS OF SE RVI CE:
To Add a Class of Service, click the New button. By default, Courier assigns the new Class of
Service entry the next available two-digit number.
Next, enter the name associated with the new Class of Service entry (Maximum length for name is
20 characters).
EDIT A CLASS OF SERVICE:
In the Class of Service name field, click the name of the Class of Service you need to edit. To
change a field, simply highlight the field and enter the new parameters.
Once the necessary changes for a Class of Service entry have been completed, click Apply. The
System Administrator now has the option to change another Class of Service entry or to Exit.

MAILBOX SETUP
This section is used to add, delete, and edit mailboxes to the Courier program. The fields within this
section are general mailbox settings. From this group of screens, you can quickly and easily set up
all mailbox criteria either one at a time, in groups, or in ranges of mailboxes.
The Mailbox Setup fields include Tabs that allow you to quickly jump from one screen to another.
These Tabs include Mailbox Setup, Mailbox Properties, Branching, External Message Notification
and Call Forwarding. When you select an individual Mailbox, or a group or range of mailboxes to
add or edit in the Mailbox Setup, the Class of Service you select will determine which of the
remaining three Tabs will be activated and accessible for additional programming.
From the Courier Outlook bar, click the Mailboxes button, then click on the Mailbox Setup
tab.
MAILBOX
In the Mailbox field, enter a specific mailbox, a sequential range of mailboxes, or a group of
mailboxes, to add or delete.
Mailboxes may be set up or deleted one at a time, in a sequential range of mailboxes or a group of
mailboxes. The quickest and easiest way of setting up mailboxes is by Class of Service.

REPLACE MAILBOX
This field allows you to change individual, group, and ranges of mailboxes that have previously
been defined. Simply input the mailbox numbers, change the desired parameters, select Replace
Existing Mailboxes, and click Add New.
When Replace Mailboxes is selected, Courier will allow you to replace an existing mailbox with new
information even though the mailbox number already exists. It is important to note that Replace
Mailbox only works in conjunction with the Add New button and not the Apply button.
DISPLAY PHONE
Default is Display Phone. Should there be a need to NOT show the Voice Mail screens delivered
by the IFM (Panasonic Series 1 Small Screen Phones), this item should be unchecked.
MONITORED (NOT MONITORED)
Courier can be set up to allow for the Automated Attendant to call telephone extensions and
determine their state (listen for a busy signal or no answer) prior to transferring the call. This is
called Monitored.
If the telephone extension does not answer, or is busy, the Automated Attendant will then provide
the outside caller with options or send the caller to the mailbox greeting to leave a message.
Note: Insure there is no conflict between the telephone system call forward timing
parameter and the Times To Ring an Extension field located in System Parameters. You
may still elect to utilize telephone system call forwarding at the same time you are
monitoring Auto Attendant calls. For example, all non-Automated Attendant calls directed
to your extension will follow the telephone system call forwarding parameter.
Not Monitored is used to blind transfer callers to extensions. When Not Monitored is selected the
"call forwarding to voice mail" function is performed at the telephone system level.
Note: The second, third, and fourth Call Forwarding fields cannot be utilized unless
Monitored is selected.
Note: IFM Courier is unable to display Caller ID information on a monitored extension.
However, if the extension is not monitored, the user loses the ability to use OHVA and Call
Screening. The mailbox owner should decide which features are most important.
RELEASE ON RING
If a call is extended to a Phone that is ringing, the call is released instead of being monitored for an
answer. Monitoring MUST BE ENABLED for this feature to work, or the choice is grayed out.
ENTER THE MAILBOX TYPE
Left mouse click on the drop down arrow provided to view the selection of valid choices. Highlight
your choice and click the left mouse button.

Every type of extension on your telephone system must have an associated mailbox number if calls
are going to be directed through the Automated Attendant to the extensions.
Note: In Applications that instruct the Automated Attendant to transfer directly to a mailbox
that is not associated with an actual extension (live telephone), the mailbox is normally
defined as a Guest mailbox.
STANDARD MAILBOX (S)
A Standard Mailbox is associated with a real telephone extension on your telephone
system. Typically, all telephone extension owners also own a mailbox; the extension
number and mailbox number are the same.
In this case, when an outside caller dials an extension number through the Automated
Attendant, and the extension does not answer, the owner’s mailbox will take a message.
Standard Mailboxes have full messaging capabilities. These messaging capabilities are
described in further detail under the Mailbox Setup section of this manual.
ATTENDANT ONLY MAILBOX (A)
An Attendant Only (Automated Attendant) Mailbox is also associated with a real telephone
extension but has no messaging capabilities.
Extensions such as fax machines and modems are examples of extensions that do not
require any messaging capability, but need to have calls transferred to them from the
automated attendant.
In addition, if the system is going to be set up as Automated Attendant only (no voice mail
functionality), then each telephone extension must be set up with an associated mailbox
number, and programmed as an Attendant Only (Automated Attendant) Mailbox.
INFORMATION ONLY MAILBOX (I)
An Information Only Mailbox (IOM) is not associated with a real telephone extension,
except for ‘Group’ mailboxes and callers cannot leave messages for this mailbox.
An IOM can be compared to “transaction boxes,” or “script editing tables” that are found on
some other voice processing systems.
In default, every greeting is pointed to IOM 999 and its corresponding single-digit directory
of options.

An IOM can be used for three distinct purposes:
1. Play a recorded message, dial digits
For this application, the IOM recorded message is played to the caller and the caller
has the ability to enter digits to be transferred to another extension, another IOM, or
the operator. The digits to dial are set up in the Audiotex Maintenance section.
2. Play a recorded message, blind transfer
For this application, the IOM recorded message is played to the caller then transferred
to a pre-defined extension, as defined in Audiotex .
3. Branching
When an application requires single digit dialing from the System Greeting on the
Automated Attendant, an IOM is used to provide this function. In default, all System
Greetings are associated with a default IOM number “999.” Setting up the digits for
“999” is accomplished in Audiotex Branching.
You may create other Audiotex branching IOMs to associate with other System
Greetings. This is accomplished in System Greeting Maintenance after first creating
the IOM in Mailbox Setup.
GUEST MAILBOX (G)
Often used for frequent visitors to the office, such as outside sales representatives. A Guest
Mailbox is similar in function to the Standard Mailbox, however, it is not associated with a live
extension on the telephone system. If a message is left in a Guest Mailbox, Courier can notify
the owner of the new message by out-dialing to a pre-defined telephone number. The Guest
Mailbox number can be any unique mailbox number that is not in use by the system.
Group Mailbox functionality needs to have the “children” mailboxes set up as Guest
Mailboxes.
TRANSLATION NUMBER MAILBOXES
This feature allows the Courier to direct incoming callers, based on an input code, to a specific
extension number based on their entry. For example, callers may be requested to enter their
area code, zip code, account numbers, etc.

MESSAGE NOTIFICATION OPTION
Courier utilizes two different ways to notify mailbox owners that messages have been delivered to
their mailboxes. They are:
Light:
When a new message is left in the user’s mailbox, Courier activates the message
waiting light on the telephone.
Call:
(Available with future Courier releases)
When a new message is left in the user’s mailbox, Courier will call the telephone
extension. If the telephone extension is answered, Courier says, “You have
messages. Would you like to hear them now”?
If the telephone extension does not answer, then Courier will continue to call the
extension at predefined intervals until it is answered. The parameters determining
the intervals, at which calls are placed, are set in:
Advanced Voice Mail Parameters under:
(1) No Answer Delivery Interval, and
(2) Busy Delivery Interval.
TIMED FORWARD
The Courier allows a user to automatically forward calls through the Automated Attendant to
another extension during a defined period of time. When this feature is selected, the Time
Forward Ext., Start Time, and Stop Time fields will then be activated and information can be
input. If this field is not selected, these fields are grayed out.
This feature is useful for when a user has the same lunch hour every day and would like the same
person to cover their calls.
Note: Timed Forwarding is programmed at the system level only. If a mailbox owner wants
to call forward at different times and to different people, use the Auto Attendant callforwarding feature that can be changed at the station level. A user cannot activate the Auto
Attendant call-forwarding feature during the time that the Timed Forwarding Feature is
active.

PARENT M AILBOX NUMBER
If setting up group mailboxes, this option is used. It will allow entry of an Information Only Mailbox
Number that is the parent mailbox.
By doing this, the Courier now can set the Message Light on that telephone when the mailbox has
a message. This also establishes the ‘parent-child’ relationship between the mailboxes. In a
parent-child relationship, the caller presses the parent mailbox number. Courier then offers the
caller the option of pressing a single digit to choose which ‘child’ they wish to speak with.
In all cases, incoming calls to a child extension ring the parent telephone. However, on a busy or
no answer condition, the caller is routed to the personal voice mail greeting of the intended “child”.
CREATING A GROUP MAILBOX
Information Only Mailboxes having Group Functionality are used whenever two or more people
share a telephone extension, while having separate voice mailboxes.
1. First, set up the Group Mailbox number that is the number associated with the telephone
extension that will ring when anyone in the Group is called. For example, if three people
are sharing extension 111, the Group Mailbox number will be 111.
2. Next, create a Guest type mailbox for each member in the Group. In the ‘Parent Mailbox’
field of each of these mailboxes, enter the Group Mailbox number.
3. Under the ‘Branching’ tab of the Group Mailbox, enter the numbers of the member Guest
mailboxes beginning at the Number One slot. Set the mailbox functionality to ‘Group’.
4. Record the message for the Group mailbox number that will say something similar to, “For
John Smith, press 1. For Bob Jones, press 2. For Linda Rogers, press 3.”
The Group Mailbox is now ready for use.
LEAVING A MESSAGE IN A GROUP MAILBOX

Call Courier.

Enter the Group Mailbox number.
o
On a busy or no answer condition, the greeting will play instructing the caller ‘For

RINGS TO EXTENSION
This is the number of rings that an Extension will receive before going to Voice Mail. The Number
of rings can be set on an Extension-by-Extension basis throughout the System.
EXTENSION LIGHT
Allows a mailbox to light the Message Waiting light on a telephone other than its own. This is done
instead of lighting its own light, not in addition to lighting its own light.
Note: If a number is entered in the Parent Mailbox field, it will override this setting.
M AILBOX COUNT
When adding a range of mailboxes, this field shows each mailbox Number as it is being processed
after the Add button has been selected. When all the mailboxes in the range are successfully
added, this field will display "Done".
M AILBOX PASSWORD
You may enter a user password for the block of mailboxes being set, or choose not to enter a
password and leave the field blank. By leaving the password field blank, anyone can access
mailboxes in the block and can perform any of their functions until the user designates a password
via their Voicemail Setup.
Note: The user password is a temporary password that should be changed later by the
Mailbox owner when accessing the tutorial.
NAME/EMAIL/DEPARTMENT/COMPANY
These fields are not mandatory when adding a new mailbox. However, they will be displayed under
several of the statistical reports and under the Mailbox Browse and Update programming interface.
These fields are important because they will serve as an easy cross-reference to each specific
mailbox. Do not enter a Department or Company unless you wish to have your statistical reports
segregated by these entities.
Note: The Mailbox Names are not usually entered here, as they are imported from the Name
Directory.

CLASS OF SERVICE (COS)
The actual COS is defined under Global COS. When adding a mailbox or range of mailboxes, this
window allows you to select a COS number that has been predefined and apply it.
AUTO DATE/TIME STAMP
This feature allows setup of Time/Date Stamp per mailbox. Options are None, Before, and After. If
Before or After is selected, Courier will announce the Time and Date that the Message was
recorded automatically when each voice mail is played.
ADD NEW
After a specific mailbox, group of mailboxes, or range of mailboxes have been defined, click this
icon to enter the data.
Note: Every mailbox number can have access to its own 00 Custom Mailbox Setup. When
setting up a 00 Custom Mailbox click on the Mailbox Properties tab and complete your
selections, then go back to the Mailbox Setup tab and click the Add New Button.
REFRESH
Click Refresh to remove entries from text boxes. This is done in preparation to enter new mailbox
number(s) into the Mailbox field.
SEARCH
Entering the mailbox number in the Mailbox field and clicking Search will search for a specific
mailbox. If the mailbox exists, the Courier will automatically display the current mailbox information
in the appropriate fields.
DELETE
Enter a specific mailbox, group of mailboxes, or range of mailboxes to delete and click this button.
A window will appear to confirm your action. Click yes to delete the data or no to cancel the
operation.

PROPERTIES
This section is used for two purposes:
• When selecting a Class Of Service in the Mailbox Setup section, you can select this tab to
double-check the COS definitions. If they are satisfactory, simply select Apply to program these
settings to the mailbox or range of mailboxes selected. If they are not what were expected, you
must go back to Global COS, and change the settings or define a new COS.
• When 00 Custom Mailbox Setup has been selected in the Mailbox Setup Class of Service box,
you can select this tab to program a custom mailbox setup, which will apply specifically to the
individual mailbox that has been selected.
From the Courier Outlook toolbar, under Mailboxes and the Mailbox Setup button, click the
properties tab. The view will expand to show the following screen:
Note: Every mailbox number can be set up individually through the use of 00 Custom
Mailbox Setup. Apply only 00 to an individual mailbox number defined in the Mailbox Setup
Mailbox field.
Each of the COS fields are defined in detail under Global COS.

BRANCHING
From the Courier Outlook bar, under the Mailbox Setup button, click on the Branching tab. The
view will expand to show Branching parameters.
If the selected mailbox is an Information Mailbox, the Functionality selection box will be present. Click
the drop down arrow to select functionality for this mailbox. See ‘Information Mailboxes’ for an
explanation on functionalities.
Depending on the mailbox type and its capability, Courier will allow the Branching Tab to be accessed.
Some mailbox types have the ability to perform branching or routing from within the mailbox. Digits 0-9
can be programmed to transfer to another extension or mailbox during the individual mailbox greeting.
The mailbox owner’s greeting informs the caller of these dialing options.
Note: Each type of mailbox is described in detail under Mailbox Setup-- Enter The Mailbox
Type.
There are ten fields in this section, one for every digit available (0-9). Enter an asterisk (*) to return
to the System Greeting, or enter the desired extension or mailbox number to be transferred to from
the corresponding digit entry.

EXTERNAL MESSAGE NOTIFY
Courier has the ability to call outside of the system to a predefined telephone number (Pager
number included) to notify the mailbox owner that messages have been left in their mailbox.
From one to four numbers can be defined in the Notification Number fields for the Courier to dial. If
applicable, you can click the Beeper box and enter a number in the Beeper Access Code field,
which will instruct the Courier to dial a beeper access code or Personal Identification Number
(PIN), when an answer is detected from a Paging Service.
From the Courier Outlook bar, under the Mailbox Setup button, click on the Ext. Msg. Notify tab.
This view will expand to show the Mailbox Setup Ext. Msg. Notify screen.
If only one number is defined, the Courier will dial that number until a connection is made. If a
successful connection is not made on the first attempt, the Courier will re-dial that number after the
minutes set in the Interval field has expired. An interval setting of ‘*’ signifies no retries after dialing
this number.
If several numbers are defined, the Courier will start with the number in the first field and switch to
the next field after the number of minutes set in the Interval field has expired. If the Courier dials all
the numbers set in the Notification number fields without a successful connection, the Courier will
start the process over again from the top number.
Note: If the Analyze box is selected, the Courier will attempt to detect an answer before
sending the Beeper Access Code. If not selected, you must manually adjust the timing by
programming the pauses within the Notification Number. Typically, 4 or 5 commas are
needed. (A comma is equal to a 1 second pause, a semicolon is equal to 3 seconds, and a
percentage sign is equal to 5 seconds).

Note: With future Courier releases, if the Notification Number begins with a comma, the
Courier will not dial the digit(s) for an outside line as specified in the parameter file. This
allows you to enter a specific trunk access code for this notification call.
Cascading is accomplished in this section, and the Courier will dial the numbers that have been
defined, in the order that they appear (the top box is first, the bottom is last). Simply clicking and
dragging a box to the desired location can change the sequence of the numbers. For the Courier to
dial a specific number, the Active box must be checked.
BROADCAST PAGING (AVAILABLE WITH FUTURE COURIER RELEASES)
You may enter a P in the Notification Number field to activate the ‘Broadcast Paging’ feature. The P
should be followed by the paging group code for the telephone system. For example, P#1 would
signify that you wish to be paged on group one (#1 is what needs to be dialed to activate paging to
this group). Broadcast Paging allows you to page to the specified group at regular intervals with a
pre-recorded message. This might be useful in a retail environment where you would like to send a
promotional announcement via the overhead paging system. The frequency of paging is governed
by the ‘Interval’ setting. The message that is played is the ‘forwarding notice’ as recorded under the
Message Notification section of mailbox maintenance via the telephone. The paging function is
activated by leaving a message for the mailbox.
C AL L F O R W A R D I N G
From the Courier Outlook bar, under the Mailbox Setup button, click on the Call Forward tab. This
view expands to show the Call Forward screen.
Call forwarding functionality can be accomplished through the Courier, as opposed to call
forwarding via the telephone system. The user can enter from 1 to 4 extensions in the Forwarding
Extension fields and select Active to turn the feature on.

If the mailbox user designates his or her own extension as the first position, the Courier will ring
this station first before attempting to deliver the call to the next designated call forward position.
The Courier follows Monitored functionality when performing this function.
For example, Extension 101 is the user who is setting the call forwarding. The user sets his
extension as the first position. Extension 102 is in the second position and in this example, is set
for Not Monitored. The Courier will ring extension 101. If extension 101 does not answer, Courier
will ring 102. It will ring this extension for the prescribed number of Times to Ring an Extension field
set in the System Parameters. Even though extension 102 is set for Not Monitored, this type of
hunting will monitor 102 so that it can detect “no answer” and proceed to the next extension.
Make sure the Call Forward No Answer timer on phone system is set longer than Times to Ring an
Extension.
This function is very useful in setting up simple hunt groups where the Courier will hunt through a
defined group of extensions until the call is physically answered by an extension, or finally goes to
a voice mailbox. Simply clicking and dragging a box to the desired location can change the
extension order.
P AR K /P A G E
You may enter a P in the Forwarding Extension field to activate the Paging feature. The P should
be followed by the paging group code for the telephone system. For example, P#1 would signify
that you wish to be paged on group one (#1 is what needs to be dialed to activate paging to this
group). Typically, the paging code would be entered into the second Call Forwarding field and the
mailbox number into the first field. In this scenario, Courier will call the telephone first. On a busy or
no answer, the call would then be dropped to the extension (i.e. no monitoring) and the mailbox
owner paged to pick up the call. Should you wish to page on every call and not call the extension
first, enter the paging code into the first Call Forwarding field.
Note: the second, third, and fourth Call Forwarding fields cannot be used unless Monitored
is selected.

MAILBOX BROWSE
The Mailbox Browse screen is an efficient way to view and update mailboxes quickly and easily.
This screen allows the administrator to view each mailbox and all of the options that have been set.
With the MDI UI (UI Version 3.900.36 and above), updating functionality is incorporated.
From the Courier Outlook bar, under the Maiboxes button, click the Mailbox Browse icon. The
following screens appear:

NAM E DIRECTORY
The Name Directory is the database of all the mailbox owners (subscribers) on the system. This
database must be created if you will use dial-by-name functionality.
Note: The mailbox name is not used for the alpha directory on the Courier System. The
directory names are independent from the mailbox names, which allows greater flexibility.
For example, you can have the caller enter the first or last name of the person they wish to
speak with, and have the Courier recognize either.
From the Courier Outlook bar, under the Mailboxes button, click the Name Directory icon. The
following menu appears:
M AILBOX NUMBER
This field allows you to add subscribers to the Name Directory by first entering their Mailbox
number. Then, press Search. If the name already exists in the database, it will appear in the
Mailbox Name field.
FIRST NAME
This field is the entry point for the first name of the mailbox user. Up to the first four characters will
be used to search on when entered by a caller.
LAST NAME
This field is the entry point for the last name of the mailbox user. Up to the first four characters will
be used to search on when entered by a caller.
SEARCH NAMES
Alternate spellings or nicknames of the name may be entered here. Separate each name by either
a comma (,) or a semi-colon (;).

database, are displayed.

screen, you may add or delete name entries.
DELETE
To delete, highlight the names displayed in the Entries For Selected Mailbox screen and click
Delete.
REFRESH
Click Refresh to remove entries from text boxes.
OK
After clicking ADD, press OK to exit screen.
CANCEL
Click Cancel to exit screen without saving entries.
APPLY
This field is used to apply data that is displayed in the text boxes.
SYSTEM GREETINGS
A System Greeting (or Main Greeting) is played when the Courier answers incoming calls. You
may have up to four (4) different System Greetings per Schedule per day, as well as additional
Schedules for individual companies sharing the same phone system. Up to 99 System Greetings,
and up to 99 System Greeting Schedules may be defined. There are special System Greetings
available during holidays, and you can set up a specific Schedule or System Greeting per port.
In default, every greeting is automatically associated with IOM 999 for its branching options.
Therefore, if no other IOM is assigned, the Auto Attendant will follow the single-digit dialing plan of
IOM 999, and play the appropriate System Greeting that has been assigned according to the
Greeting schedule.

SYSTEM GREETING MAINTENANCE
From the Courier Outlook bar, under the System Greetings button, click the Maintenance icon. The
following screen appears:
CURRENT DEFAULT SYSTEM GREETING
If a System Greeting Schedule is not defined and scheduled, the ‘Current Default System Greeting’
will be heard when calling the Courier.
To define a System Greeting as the Default Greeting, click on the greeting to select it and press the
Default button. It will then be displayed at the top of the System Greeting Maintenance screen,
under ‘Current Default System Greeting.’
NUMBER
The two-digit number associated with the name of a specific System Greeting. This number is
required when recording a System Greeting via the telephone.
NAME
Click on a System Greeting. Then enter the description of the System Greeting.
OPERATOR
If a caller does not dial a digit during the System Greeting, the Courier will automatically drop the
caller to the extension number set in this field. The Courier will dial the extension and then follow
whatever instruction is set for that specific extension’s mailbox.
DIAL 0 EXTENSION
If a caller presses 0 during the System Greeting, the Courier will direct them to this mailbox
number. The Courier will dial the extension and then follow whatever instruction is set for that
specific extension’s mailbox.

Note: The Courier first looks for an entry in the System Greeting Operator field, and, if no
entry is found, looks at the Dial O Extension in the Operator Parameters section. If both are
designated, the System Greeting Dial O Extension takes priority. If neither is designated, the
Courier will say “thank you” and disconnect the call.
AUDIOTEX
In default, all System Greetings are associated with Information Only Mailbox number 999 for its
single digit branching options. To utilize another Information Only mailbox and associate it with a
particular System Greeting, enter the IOM mailbox number here.
Defining a new Root Level IOM
To re-assign any System Greeting to a new IOM (Information Only Mailbox) that has already
been created, go to the System Greeting Maintenance section, select the System Greeting,
and, in the Audiotex entry field, enter the new IOM number.
Once this has been accomplished, the Auto Attendant will follow the single-digit dialing plan of
the new IOM.
You also have the ability to assign an operator drop extension, an operator dial 0 extension
and/or fax extension to be associated with each System Greeting. The OPERATOR extension
is where callers are transferred when they timeout with no entry. The DIAL O EXTENSION is
where callers are transferred when they press 0. This is often the same as the operator
extension. The FAX extension is where calls are transferred when Courier detects the fax tone
of a fax machine.
FAX
Courier will detect an incoming FAX tone and route the Call to an Extension that is on the PBX.
The Mailbox must be set up as an Attendant Extension. Enter a valid Attendant Mailbox here.

SYSTEM GREETING SCHEDULE
This section is used to design a schedule that tells Courier which System Greeting to play for a
particular day and time. If you do not use a System Greeting Schedule, you can manually change
System Greetings using the Current Default System Greeting option, located at the top of the
System Greeting Maintenance screen.
From the Courier Outlook bar, under the System Greetings button, click the Schedule icon. The
following screen appears:
ADD
To make a new System Greeting Schedule, click Add. Courier will assign the next available
number between 01 and 99. Enter the name of the schedule in the blank field below.
DELETE
To delete a System Greeting Schedule, select the schedule from the drop down list and click
Delete.
SCHEDULE GREETINGS BY PORT
You can use a specific schedule for any or all ports. If, for example, you have a 4-port system and
only want a greeting schedule for one port, the other three ports answer with the current active
message.
SCHEDULE GREETINGS BY TRUNK
Scheduling by Trunk allows you to have any port answer and play the correct greeting, as opposed
to defining greeting per port, which is less productive.
NOTE: This feature may be known as trunk mapping on other systems.

Signifies the day of the week.
Time
This field defines the time of day you want the System
Greeting to be active. A drop down menu gives the
selection, in 15-minute intervals. For non-specified increments,
you may enter your own times.
System Greeting
Click in this field to view existing System Greetings that
have been created in System Greeting maintenance.
NOTE: Each day of the week has four periods of time you can play four different System
Greetings.
HOLIDAY SCHEDULE
This screen allows setup of Holiday-specific System Greetings. Sal40.wav through Sal67.wav are
reserved for specific holidays. New System Greetings can be created using sal68.wav through
Sal89.wav.
Add
Allows adding of a new Holiday Greeting.
Delete
Allows deleting of a user entered Holiday Greeting. Highlight greeting and click
Delete.
Name
Allows renaming of a User entered Holiday Greeting.

AUDIOTEX
Audiotex is used to define general options for branching/routing purposes. This allows the caller to
dial single digits, as stated in the System Greeting, to be transferred to another extension or
mailbox.
Audiotex Setup is the section of the Courier programming where ‘Department Lists’ or ‘One Touch
Dialing’ structures are set up. Any mailboxes you wish to add to your Audiotex structure must first
be defined in Mailbox Setup.
Courier displays the system default Information Only Mailbox (IOM), 999, under which branching is
initially defined. Depending on the mailbox number length, the default IOM may be 99, 999, 9999,
or 99999. This mailbox is not seen in Mailbox Setup. It is an internal mailbox utilized by the system
and cannot be changed or deleted. If the extension number digit length is changed, the default IOM
will change accordingly (becoming 99 for example, if the extension length is changed to two digits).
There are three (3) areas to program in order to accomplish branching:

If additional Branching is needed in association with other System Greetings, you will need to
set up additional Information Only Mailboxes in Mailbox Setup. If all System Greetings use the
same single-digit options, no additional IOMs are needed.

AUDIOTEX SETUP
In Audiotex Setup, you must define the one-digit dialing pattern.

AUDIOTEX IOM 999
The uppermost section of the screen displays the Information Only Mailbox you are currently
updating. IOM 999 is shown as the default primary Audiotex IOM. IOM 999 does not appear in the
list of mailboxes shown in Mailbox Browse. It is accessible, however, through Audiotex Setup so as
to define its functionality.
Other IOM Audiotex entry points can be defined under System Greeting Maintenance, to associate
unique single-digit menu options with specific System Greetings.
OPTIONS 0 THRU 9
Under the default primary Audiotex-level IOM 999, the entries associated with specific single-digits
(options 0 thru 9) are defined. Callers can be directed while listening to the opening System
Greeting, to press specific single-digits to quickly access a department, information, or another
extension.
A ‘­’ sign to the left of a single-digit option indicates that a sub-menu of options has been defined.
Sub-menus may be developed from each option number. The number of sub-menu levels that may
be defined is unlimited.

the Attendant Parameters.
TO UPDATE AN OPTION (ZERO THRU NINE)
Select an option 0-9 to update, by left clicking to highlight then right click and select Add New
Branch. Now click the + symbol next to the mailbox number. This will expose options 0-9 for that
mailbox. Left click mailboxes on the right list and drag them to the associated branching number.

ADDITIONAL SUB-LEVELS
Additional sub-levels can be defined from each single-digit entry. For example, you may tell your
caller to press three for Sales. When your caller presses three, he may hear additional branching
options such as:
“Press 1 for Small Appliance Sales, 2 for Large Appliance Sales, 3 for Builder Sales…”
Once an IOM is built, you can then associate any System Greeting with it. The System Greeting
will be played according to the Greeting Schedule.
You can also provide multiple levels of Branching by simply inputting a new IOM number into any
one of the available one-digit dialing fields. (You must build the new IOM through Mailbox Setup).
To do this from Audiotex mailbox 999, for example, it is necessary to do additional programming as
follows:

The Audiotex list is always set up under the default Information Only Mailbox 999 (99, 999, 9999 or

another worksheet completed to define the menu choices. See Appendix 1 – Audiotex
Maintenance Worksheet.
Each choice that results in playing an informational message must be assigned an Information
Only Mailbox. Write the message text on the bottom of the worksheet page for use in recording.

When a choice results in going to a Guest or Standard Mailbox (instead of another menu or a
message), these mailboxes must be defined in Mailbox Setup.
Set up the Audiotex list in the Courier system after all Information Only Mailboxes, mailboxes
requiring recording of messages, have been defined in Mailbox Setup.

ASSIGN FUNCTIONALITY (F/M//C/G) TO INFORMATION ONLY MAILBOXES
The function assigned to an IOM determines what happens when a caller makes a selection at the
Audiotex List level, i.e. when the caller is hearing the System Greeting. You must select a functiontype for each Information Only Mailbox defined. By default, Information Mailboxes have Menu
Functionality.
F - Full Functionality
Courier listens for one (1) or more digits to be entered by the
caller. Any prefix digits, such as the name entry prefix or Audiotex
prefix are accepted.
M - Menu Functionality
Courier listens for only one (1) digit to be entered by the caller.
C-Chain Functionality
Courier plays the entire message recorded in the IOM and either
sends the caller to the extension listed for option 0, or, if nothing is
listed for option 0, says, "Thank you" and hangs up. Callers cannot
interrupt the message.
G - Group Functionality
Group Functionality allows more than one mailbox to be
associated with an extension number. Utilize Group functionality
(G) when you have multiple users sharing one telephone
extension.

PARAMETERS
SYSTEM PAR AM ETERS
System Parameters are used to identify system-wide functions that will apply to an application.
Frequently used values or settings have been pre-defined as “default settings” for the majority of
parameters. Depending on the application, these parameter settings may have to be changed from
their default values.
From the Courier Outlook bar, under the Parameters button, click the System Parameters icon.
The following menu appears:
M AILBOX DIGIT NUMBER LENGTH - DEFAULT: 3
Enter the value to set the Mailbox digit numbers from 2 to 5 digits. All Mailboxes must be the same
length. The number of digits used for the telephone extensions must mirror the number of digits
used for the mailboxes.
TIMES TO RING AN EXTENSION - DEFAULT: 4
Enter the number of times Courier will ring a telephone extension before determining there is no
answer. This function is used for the Monitoring feature. Enter anywhere from 1 to 9 rings by typing
in the number or click the left and right arrow to increment one ring at a time.
Note: If Release on Ring has been set to yes in the mailbox set up, it will take priority over
this entry.

NUMBER OF RINGS BEFORE ANSWER - DEFAULT: 1
This entry determines the amount of rings the system allows before it answers calls from the
outside. Enter anywhere from 1 to 9 rings by typing in the number or clicking the left and right
arrow to increment one ring at a time.
INTER DIGIT DELAY - DEFAULT: 4
This is the amount of time in seconds that the Courier waits between digits to determine whether
the digit or digits dialed are valid. Enter anywhere from 1 to 9 seconds by typing in the number or
you can click the left and right arrow to increment one second at a time.
For example, there may be applications where 1 digit dialing is desired for branching purposes, and
one of the digits matches the extension number plan. In this case, the system must interpret the
digit dialed and wait to see if the caller continues to enter digits to complete an extension number,
or does the caller actually stop at 1 digit. Under most circumstances, it is recommended to use
distinct translation digits, and not to use the first digit of your extension number plan. By doing so,
you will avoid having to interpret dialing.
PASSWORD LENGTH 4-9 OR V FOR VARIABLE - DEFAULT: 4
This password field is to set the length of passwords for individual mailbox owners. The password
length can be set from 4 to 9 digits, or it can be a (V) Variable length defined by each end user.
Note: When variable length passwords are used, the Courier listens for a pound sign (#) to
indicate the end of the password.
LOCAL AREA CODE - DEFAULT: BLANK
Enter the local area code. This tells Courier when an outgoing call is long distance. This
parameter is used in conjunction with the Reply function.
SYSTEM MASTER PASSWORD - DEFAULT: 1111
The System Master Password is the main password to access all Courier programming functions.
The number of digits is defined in the password length field described above. The default System
Master Password is 1111. To ensure confidentiality, Courier displays stars (****) as you enter the
password. The System Master Password should be a confidential number, known only by the
System Administrator and a secondary Administrator.
PILOT EXTENSION NUMBER (API INTEGRATED ONLY) - DEFAULT: 500
This tells Courier what the Pilot Extension Number is on the PBX in order to light Message Waiting
lights.
LEAVE A MESSAGE PREFIX 1-9, * OR # - DEFAULT: #
This is a 1-character system wide code that callers can dial during a greeting to skip directly to
leaving a message. Acceptable characters are 1-9, * or #. In default this prefix is #.
Note: In default, the # is reserved to enable callers to bypass call transfer to an extension,
and go directly to the mailbox owners greeting (Override Prefix). The * sign is reserved for
callers to enter the Voice Processing system from the outside as subscribers to access
their mailbox. These functions can be swapped.

M AINTENANCE SHUTDOWN TIME - DEFAULT: 0005
Courier must shut down daily for reorganization, maintenance, and updating. During maintenance,
the data files are written to the IFM's hard disk drive for nightly backup. During this time, the
Courier will not answer calls. This should be a time when calls are not coming in to Courier. Enter
this time by using military format (00:01through 23:59) The default shutdown time is 00:05 or 12:05
A.M.
NAME ENTRY ORDER: DEFAULT-EITHER
Courier allows the caller to select an Extension by name routing. This parameter sets the name
Courier searches for: First, Last, or Either.
DROP CALL IF BREAK IN LOOP CURRENT- DEFAULT: YES
By checking this box, Courier is able to detect when a caller hangs up. The Courier sees a drop in
loop current either from the telephone system or the Central Office telephone line.
Note:
The telephone system must provide a disconnect signal.
DROP CALL IF DIAL TONE- DEFAULT: YES
By checking this box, Courier will drop a Call within the System Greeting if dial tone is heard for 6
seconds.

The Automated Attendant Parameters Section is used to define the various options for the systems
Auto Attendant functions. In default, the Auto Attendant plays the greeting and accepts digits for
extension number dialing. If you wish to use Branching (one digit dialing), you will need to set
other options (see Audiotex/Branching Section.)
NOTE: The Courier can utilize a monitoring function, which is set in Mailbox Setup, to allow
for the Auto Attendant to call telephone extensions and determine their state (busy or no
answer) prior to transferring the call. If the extension is busy or does not answer, the Auto
Attendant will either provide the outside caller with options or send them directly to the
mailbox’s personal greeting. Selecting No Monitoring means that the Auto Attendant will
blind transfer calls.
Typically, IFM systems (as well as API-integrated systems) use the Monitor function. Inband integrated systems do not.
From the Courier Outlook bar, under the Parameters button, click the Auto Attendant icon. The
view will expand to show Auto Attendant Parameters.
SECONDS TO WAIT BEFORE DROPPING TO OPERATOR – DEFAULT: 5
This field is used to assign the number of seconds (2 to 15 seconds) the Courier waits to detect
digits after the main greeting has been played. If no digits are dialed and the timer expires, the
Courier will transfer the caller to the “System Greeting Operator” defined in the System Greeting
Maintenance Parameters.
Note: If there is no System Greeting Operator defined, the Courier will look at the Operator
Drop Mailbox. If neither is defined, the Courier will let the caller know that the operator is
not available and will instruct the caller to call back at a later time.

Courier can announce to the caller the name of the person of the extension being called. When
active, and a mailbox owner has recorded a name, Courier tells the caller “I will ring <person’s
name>.” When not active, Courier tells the caller “I will connect you.”

The Operator Parameters are used to establish a way to handle callers that 1) do not respond to
the initial system greeting, or 2) dial 0 during or after the system greeting.
Note: The Courier operator will likely be the same operator as the telephone system;
however, it can be different. (Most telephone systems define their operator as 0 (zero). The
0 is an actual extension number of the switch).
From the Courier Outlook bar, click the Parameters button. Click Operator Parameters. The view
will expand to show Operator Parameters.
OPERATOR DROP M AILBOX NUMBER – DEFAULT: (NONE)
This is the mailbox callers are dropped to when no entry is made during the System Greeting (main
greeting) and no System Greeting Operator Mailbox is defined. Depending on the type of mailbox,
the Courier will dial the extension the mailbox is associated with and then follow whatever
instruction is set for that specific mailbox. A description of the System Greeting Operator Mailbox is
available under the System Greeting section of this manual.
Note: This Operator Mailbox is the second highest priority to drop callers to if nothing has
been dialed. The first priority is the System Greeting Operator Extension.
DIAL 0 EXTENSION - DEFAULT: BLANK
This is the mailbox callers are dropped to when 0 is dialed during the System Greeting (main
greeting) and no System Greeting Dial 0 Extension is defined. Depending on the type of mailbox,
the Courier will dial the extension the mailbox is associated with and then follow whatever
instruction is set for that specific mailbox. A description of the System Greeting Dial 0 Extension is
available under the System Greeting section of this manual.

TIMES TO RING AN OPERATOR BEFORE RETURNING NO ANSWER – DEFAULT: 4
When a call drops to the operator, this field defines the number of rings that the Courier calls the
operator. Once the amount of rings set here is reached without the operator answering, the
Courier will automatically send the caller to the operator mailbox. Enter from 3 to 10 rings by typing
the number or click the right or left icon to increment one ring at a time. This field is only used if
Monitor is selected for the operator extension in Mailbox Setup.
PORT SPECIFIC PAR AM ETERS
The Port Specific Parameters section defines the individual functions each port is responsible for.
From the Courier Outlook bar, click the Parameters button. Then click the Port Specific icon. The
view will expand to show Port Specific Parameters.
PORT NUMBER
There are input fields for up to 24 ports. The number of ports appropriate to your Courier system
will be shown. The scroll bar to the right of the screen will move up or down within the ports. If you
have an 8-port Courier system, only the first 8 ports apply.
MESSAGE NOTIFICATION
There are various ways to deliver messages to the appropriate owner. This field is used to define
the type of message notification the specific port can perform. Clicking the Message Notification
field for the specific port will drop down a list of options that are described below. Clicking the
desired option will set the Message Notification Option for that port. If Message Notification is
wanted, at least one port should be set to allow notification. Systems ship default with one of the
ports set to unrestricted.

expand to show Voice Mail Parameters.
Note: The field under Mailbox Setup, which determines the message notification method,
must be set to Light in order for these Protocols to work. These Lamp Protocol fields are
not relevant when using IFM. If Lamp On and Off protocols are defined by COS or in
Mailbox Properties, those settings will override the values set here.
LAMP ON PROTOCOL – DEFAULT: (,*41,E)
This field defines the DTMF sequence used to turn on a message-waiting light at the extension,
when a new message is to be delivered (e.g., *4E where E represents a Mailbox number).
LAMP OFF PROTOCOL – DEFAULT: (,*49,E)
This field defines the DTMF sequence used to turn off a message-waiting light. (e.g., *5E where E
represents a Mailbox Number.)

ALLOW PRIVATE MESSAGES – DEFAULT: YES
Click to define whether or not messages can be stamped Private. If enabled, and messages are
stamped Private, they cannot be transferred from one mailbox to another.
ALLOW URGENT MESSAGES – DEFAULT: YES
By enabling, messages from callers can be stamped Urgent. When viewing messages from a
display telephone or by dialing in from the outside or a non-display telephone the Courier isolates
these urgent messages so that the user can choose to listen to them first.
Note: The Courier also has the ability to perform External Message Notification to a pager or
telephone, only when a message is stamped Urgent. Urgent Only Notification is
accomplished in Class of Service.
FORCE USERS TO COMPLETE TUTORIAL
Requires that mailbox users complete the tutorial process. Should a mailbox owner not enter a
password, record their mailbox name, and record their primary personal greeting, they will go
through the tutorial process again on their next login to their mailbox.
Maximum Record Time – Default: 1800
This is the maximum length, in seconds, for a recorded message. The maximum length is 9999
seconds (166 minutes). Enter from 1 to 9999 seconds by typing the number or click the left or right
arrow icon to increment 1 second at a time.
NO INPUT TIME OUT SECONDS – DEFAULT: 7
If a subscriber listens to a message left in their mailbox and does not respond to a prompt or
otherwise act on it within the time listed in this parameter, Courier says, “Thank you”, and
disconnects. This setting does not affect the time-out when using display telephones.
The maximum time is 15 seconds. Enter from 2 to 15 seconds by typing the number or click the left
or right arrow icon to increment 1 second at a time.
SKIP FORWARD/BACK SECONDS – DEFAULT: 10
This field defines the number of seconds (3 to 99) Courier will advance or reverse a voicemail
message during review. Enter from 3 to 99 seconds by typing the number or click the left or right
arrow icon to increment 1 second at a time.
RECORD TIME FOR NAMES – DEFAULT: 2
Enter the amount of time, in seconds (2-10); the Mailbox owner has to record their name.

TRAFFIC
This report shows the system usage by port, by the hour. The report shows the usage over a
seven-day period, along with day, night, and 24 -hour totals.
There is also a final page for each group of ports showing the busiest hours on each port by
number of calls, and by time. It computes a utilization factor in percent. Finally, it will show if all
ports were busy for some specified period of time.
Note: When all ports are busy, the Courier cannot answer calls. If this number becomes
large, it indicates that the system needs more ports.
M AIL BOX SUBSCRIBER REPORT
This report gives a list of all the user mailboxes including department and company name that the
system extracts from the fields programmed in the Mailbox Setup Parameters. It shows message
totals, and the last time they logged in to check messages. It details the total time of all the
messages by user and also gives a total combined user message time. This data is an indication of
the messaging in each mailbox at the time the report was run (i.e. Shutdown Time on Sunday). If a
mailbox should have no messages when this report is run, the mailbox will not appear on the
report.
SYSTEM STATISTICS/EXECUTIVE SUMMARY REPORT
This report contains three separate sections: "Automated Attendant / Call Breakdown",
"Automated Attendant / Subsequent Transactions" and "Message Center Traffic."

AUTOMATED ATTENDANT / CALL BREAKDOWN
This is a listing of the number of calls handled by a particular method when a person first calls
Courier. These are:
Direct Dial
The caller knew what extension number was wanted and entered it.
Menu Option
The caller used one of the menu options programmed into the Courier.
Dial 'O' Open
The caller dialed the operator directly.
No Entry
The caller waited until the Courier dropped them to the extension specified
as the drop extension. This would include callers dialing from a rotary
phone.
Log in to Msg Ctr
The caller pressed * and their mailbox number to retrieve messages.
Leave Message
The caller pressed # to skip the mailbox greeting and left a message.
Dialed By Name
The caller used the Dial by Name function.
Translation Number
The caller went to an extension using a translation number.
Other
All the other ways a caller can get somewhere from the main greeting.
AUTOMATED ATTENDANT / SUBSEQUENT TRANSACTIONS

MESSAGE PURGE
When your Courier system has less than 10% free disk space, old messages should be purged
from the system. Using this option overrides the Purge parameters in Mailbox Class of Service.
From the Courier Outlook bar, under the Utilities button, click the Message Purge icon. The
following screen appears:
HOW MANY DAYS OLD SHOULD THE MESSAGES BE BEFORE THEY ARE DELETED?
This field allows you to define the “age” of messages that you wish to delete from the system.
PURGE STATUS
The screen shows the message deleted including the associated mailbox, if it was delivered
internally from another subscriber, and when the message was recorded.
NUMBER DELETED
The screen shows the number of messages deleted during this particular deletion procedure.
BYTES DELETED
The screen shows the number of bytes that have been deleted during this particular deletion
procedure.
CLEAR STATUS
Clears the Purge Status information. Purge messages until you are satisfied there is enough room
on the hard drive.

DISTRIBUTION LIST DESCRIPTIONS
The Courier can send messages to groups of mailbox users through the use of Distribution Lists. A
Distribution List is a group of mailboxes that can be defined by category (e.g. Sales Department).
When creating or maintaining distribution lists via a display telephone, a Distribution List name may
be selected on the display screen. This list comprises the available choices that the user has.
From the Courier Outlook bar, under the Utilities button, click the Distribution Description icon. The
following screen appears:
The System Administrator can create the names of additional new Distribution Lists that mailbox
owners can then select and use at the telephone level. Sixty-four (64) commonly used Distribution
List names have been created for ease of access. The existing list names may also be changed if
desired. You should put the most frequently used names at the top of the list as the list is displayed
in the same order as it appears here. To add a new list name, click the Add button. To delete a list
name, select the name and click the Delete button. To change a name, select the name and click
the Edit button.

Mailbox Builder allows you to create mailboxes, taking the name and the extension number from
the switch, and build a voice mailbox for each extension.
If all phones are going to have a mailbox, have the same Class of Service, and your numbering is
consecutive, you may want to use a range entry to add mailboxes.
If you are going to have randomly numbered mailboxes, automated Mailbox Builder is a quick way
to have the Courier go out and read information from the phone system and build mailboxes. The
Voice Mailbox Builder is an application that is designed to import extensions and names across an
IFM and create a mailbox for each extension in the Courier voice mail System.
Before beginning, be sure…
• That the IFM has been properly configured in the DBS 576/HD.
Should the following steps be followed and no data is transmitted from the DBS576/HD to the
Courier, the following should be examined for problems:
• Incorrect 576/HD programming.

Click on the Voice Mailbox Builder icon to begin the transfer of data. The task will launch
immediately, but there may be a short delay before you see that data is being transferred. This
short delay is simply the time needed for the DBS and computer to synchronize with each other
and for the computer to ask that the extension information be transferred. You will then see each
extension displayed on the screen as it is transferred to the Courier system.
All extensions that were on the DBS should now be on the Courier. You will almost certainly need
to delete some extensions that are not needed such as modem lines, unused stations, and the
stations that the Courier is connected to.
Note: The mailbox name is not used for the Name Directory (alpha directory) on the Courier
system. The Name Directory names can be independent from the mailbox names, which
allows for greater flexibility. The first four characters of the name are used. For example,
you can have the caller enter the first or last name of the person they wish to speak with,
and have the Courier recognize both.

PBX P A R AM E T E R S
The Courier is designed to act as an interfaced solution using analog ports from the telephone
system. Because of the myriad of telephone system specifications and differences, this PBX
Parameter section is used to define specifics for the interface. To access these parameters, a
hidden menu password must be used to log into the Courier.
From the Courier Outlook bar, click the Advanced Parameters button. The view will expand to show
PBX Parameters.
HOOK FLASH DURATION (IN 100TH OF SECONDS) - DEFAULT: 50
The Hook flash time is the length of time the Courier flashes the PBX system when transferring
calls. The default flash time is one-half (½) second (50 hundredths of a second). The appropriate
flash time should be available from your PBX manufacturer. Enter from 0 to 100 by typing in the
number, click the left and right arrow to increment in 1/100-second increments or click and drag the
bar to adjust the timing.
Note: Most PBX manufacturers list their flash time in milliseconds; remember to convert
into hundredths of seconds before you define this value (e.g., 500 milliseconds = 50
hundredths of a second).
INTEGRATION DELAY SECONDS - DEFAULT: 0
This is the amount of time in seconds Courier delays the System Greeting to accept integration
digits as defined under the Inband Setup tab. For example, if an incoming call rings a station that is
call forwarded to the Courier, when the Courier answers, the telephone system will send a
predefined string of digits to route the caller directly to the mailbox greeting. If this string is defined
in Inband Setup, increase the Integration Delay Seconds to allow Courier to receive and interpret
the data. If the phone system is using standard codes on a call forward, busy, or no answer (# plus
extension number) or direct call (* plus extension number), this setting may remain at 0.

PORT SPECIFIC PARAMETERS
The Port Specific Parameters section defines the individual functions for which each port is
responsible.
From the Courier Outlook bar, click the Advanced Parameters icon. The view will expand to show
Port Specific Parameters. Click the Port Specific Parameters tab.
Note: There are input fields for up to24 ports. The scroll bar to the right of the screen will
move up or down within the ports. The ports appropriate to your Courier system display
depending on the size of the system. If you have an 8-port Courier system, only the first 8
ports apply.
MESSAGE NOTIFICATION
There are various ways to deliver messages to the appropriate owner, most of, which have already
been defined. This field is used to define the type of message notification the specific port can
perform. Clicking the message notification field for the specific port will drop down a list of options
that are described below. Clicking the desired option will set the Message Notification Option for
that port. One port should be set as Unrestricted.
Unrestricted--Courier uses this port for message notification or to light message waiting lights.
Pager Notification--Courier uses this port for Pager/Call notification only.
Lights Only--Courier uses this port to light message waiting lights only.
No Outbound Calls--No message delivery calls are made on this port. It is reserved for incoming
calls only.

VOICE MODE (VISIBLE IN ADVANCED PARAMETERS ONLY)
This area defines which ports will be responsible for handling Automated Attendant functions,
and /or Voice Mail functions. Clicking the Voice Mode field for the specific port will drop down a list
of options described below. Clicking the desired option will set the Voice Mode field for that port.
Attendant--Setting a port to Attendant will allow the Courier to perform Automated Attendant and
Voice Mail functions.
Voice Mail--Setting a port to Voice Mail will allow the Courier to perform voice mail functions only.
Calls to a Voice Mail port will never attempt to auto attendant transfer to that mailbox. When a
mailbox number is dialed, the personal greeting for that mailbox number is played.
INBAND SETUP
The Inband Setup screen allows entering Caller ID and DNIS numbers so that
they are routed to specific mailboxes or system greeting schedules. Typically,
Caller ID numbers will be routed to a specific mailbox and DNIS numbers will
be routed as a specific trunk number to play a specific System Greeting
schedule.
For Caller ID routing, enter a telephone number to route in the “key” field. This
number is ten digits and contains no dashes or parenthesis (e.g. 6155551212).
In the “Operation” field, select DIL (dial) operand. In the “Data” field, enter the
mailbox number that you wish this Caller ID number to be directed to. Once
entered, when a call comes in from this telephone number, the caller will hear
“Please stay on the line and I will connect your call” and they will be directed to
the appropriate extension.

For DNIS routing, enter the dialed number into the “key” field. Again, this
number is ten digits and contains no dashes or parenthesis. In the “Operation”
field, select the TRK (trunk) operand. In the “Data” field, enter the trunk
number that this dialed number should be mapped to. Normally, the trunk
number is a virtual trunk number and not a real trunk number. The important
thing to remember is that you must also set up this trunk ID under the System
Greeting Schedules so that the trunk number is mapped to a System Greeting
schedule.
THIRD-PARTY DTMF SEQUENCES
Third-party PBXs use a variety of DTMF sequences to handle integration.
These sequences vary from one manufacturer to another and sometimes from
one switch to another from the same manufacturer; for example, Lucent
Legend and Partner switches.
To handle the unforeseeable in-band sequences, Courier uses a usermaintainable table of masks to match what the switch sends under various
circumstances. The table entries have three sections:
1.
The search string.
2.
The operation code, and
3.
An additional number.
The first two entries are required while the third is optional.
For example, a call forwarded to Voice Mail from a busy phone could come in
with a DTMF string such as ##*111#*#207##. This means that the call was
forwarded from busy station 111, that the calling station was 207, and that a
message should be recorded in mailbox 111. Or a direct dial to VM from 111
might come in as ##**111*#, which means that Courier should log the caller
into mailbox 111 and ask for a password. A trunk call might come in as
#*#02*#*, where 02 is the trunk number.
The one thing common to all in-band schemes is that they send their digit
sequences immediately after the VM goes off hook. This means that after a
short user-specified waiting period, Courier can take whatever has been
received in that interval and determine whether to answer the call or respond
to a directive from the switch.
The search string consists of three types of characters:
1.
Literal characters, which must be matched one-for-one in a received string
2.
“Don’t care” characters, for positioning purposes, and
3.
Directed characters, which indicate the use to be made of the
corresponding digits in the received string.
For example, if you want to set up the table to handle the call-forward/busy
string shown earlier, you would set up a table entry as EE#SSS##. The pound
and star characters would match up one for one, the characters corresponding
to the Es in the table would be the digits of the receiving Extension number,
and the characters corresponding to the Ss would be the sending extension.
If any of the other characters in the string were of no particular significance,
you would use the “don’t-care character” in the mask to simply skip that
position. The double-bang at the end of the string simply gives Courier a
positive way of knowing that they are finished, and that the operation code
follows.

Using the Dealer Tech password, login to Courier in order to access the Advanced Parameters
button. Select Advanced Parameters. Click Voice Mail Parameters. The following screen will

M AXIMUM NOISE - SILENCE – DEFAULT: 15
This is the amount of continuous noise (e.g., dial tone) or silence Courier will record before it stops
recording a message. Courier will record continuous noise for the amount of time entered, and will
delete that amount from the end of the message. If this is set to zero, Courier continues to record
until the maximum record time is reached. Enter from one to 999 seconds by typing the number or
click the left or right arrow icon to increment one second at a time.
NO ANSWER DELIVERY INTERVAL – DEFAULT: 30
On telephone systems that do not provide message light or stutter dial tone ability to their
extensions, the Courier can call the extension to inform the user of new messages. If there is no
answer when Courier tries to deliver messages (new or scheduled), it calls again at the time
interval (in minutes) indicated here. Enter from one to 999 minutes by typing the number or click
the left or right arrow icon to increment one minute at a time.
BUSY DELIVERY INTERVAL – DEFAULT: 15
Busy Delivery Interval is also used for the same reason described above. If the extension is busy,
then the Courier tries to deliver messages (new or scheduled), at the time interval (in minutes)
indicated here. Enter from one to 999 minutes by typing the number or click the left or right arrow
icon to increment one minute at a time.

INTERNAL DELIVERY START TIME – DEFAULT: 07:00
When to start delivering messages using Call type notification. Use military format. (00:00 through

Note: These settings also control the “spindown” times.
Internal delivery start and stop times do not affect message notification calls (i.e. pagers
and cell phones), only the dialing on internal extension numbers for message delivery.
GREETING OR OPTIONS: - DEFAULT: GREETING
This parameter determines what a caller hears when a monitored extension is busy or there is no
answer. If ‘Greeting’ is selected, on a busy or no answer condition, the caller hears the mailbox
greeting and is able to leave a message. If Option is selected, the caller is given the choice of
leaving a message, retrying the extension, calling another extension, talking with the operator, or
hanging up. Should a user activate a ‘Call VMB’ personal greeting, it will take precedence over this
setting.
REFRESH LAMPS – DEFAULT: NO
The Courier follows message lighting protocols to turn on message lights at telephone extensions
when new messages are left in a mailbox. By checking this box, the Courier will detect new
messages in a mailbox and execute the Lamp On Protocol at the No Answer Delivery Interval. If
unchecked, Courier attempts to deliver a new message once.

IMR P AR A M E T E R S
The Courier system offers simple IMR (Interactive Message Response) functionality. The most
basic feature is claims processing, where an incoming caller, when prompted, can enter a claim
number and retrieve a specific message that pertains to that number.
This feature works quite well in car dealerships for example, where the service number can be
given to a customer, and that customer can call into the Courier to find out the status of their
vehicle.
Courier can be set up to provide accurate, time and date stamped, information. The caller can then
be connected to someone for more information, if necessary.
When using this IMR application, an IMR Maintenance Administrator must be designated to
perform various functions, and maintain the IMR messages. Every IMR Claim number can have a
distinct message played when the caller enters their number. These messages are recorded by the
IMR Administrator, and are recorded through a regular telephone on the switch.
From the Courier Outlook bar, under the Advanced Parameters button, click the IMR Parameters
tab. The view will expand to show the following screen:
To set up this feature, you must also attach the ‘IMR’ option to a single digit option in Audiotex
Maintenance. This single digit option is designated for callers to access information, e.g. “Press 4
to check on the status of your vehicle.”

RETENTION DAYS FOR IMR STATUS MESSAGES – DEFAULT: 02
Status messages are the individual messages recorded to provide information to the incoming
caller. This field will determine the amount of days you can leave these messages on the system.
Enter the number of days by typing the number, clicking and dragging to the desired number or
clicking the right or left icons to increment one day at a time.
LENGTH OF IMR NUMBER IN DIGITS – DEFAULT: 3
This field defines the digit length used for IMR inquiries (claim numbers). The IMR Number must
correspond with an order number given to your customer. Click the appropriate number to set from
two to nine digits.
PASSWORD FOR IMR M AINTENANCE – DEFAULT: (BLANK)
A separate password must be assigned that is different than the System Master Password. This
password will be used by the designated IMR Administrator and will not allow access to other
System Administrator functions. Four to nine digits are valid. This password is used when the IMR
Administrator accesses the IMR maintenance through the telephone.
EXTENSION NUMBER TO GO TO AFTER IMR INQUIRY – DEFAULT: (BLANK)
After the incoming caller enters his/her claim number and listens to the information recording, the
Courier can be directed to this mailbox. This must be an Information Only type mailbox that
presents the caller with available options.
VERIFY IMR NUMBER WHEN CHANGING STATUS – DEFAULT: ✔
Check to have the Courier audibly verify the IMR number that was dialed so that you can confirm
you are recording the appropriate message.

MAKING CHANGES TO THE SYSTEM AFTER INITIAL SETUP
In the ensuing time after the Courier System is installed, the System Administrator may be called
on to make certain changes to the system. The most frequent changes involve:

This section describes the procedures and functions of adding, editing or deleting mailboxes for the
particular application. From this group of screens you can quickly and easily set up all mailbox
criteria either one at a time, in groups, or in ranges of mailboxes.
From the Courier Outlook bar, click the Mailboxes button. The following screen appears:
The Mailbox Setup fields include Tabs that allow you to quickly move from one screen to another.
These Tabs include Mailbox Setup, Mailbox Properties, Branching, External Message Notification,
and Call Forwarding. When you select an individual Mailbox, or a group or range of mailboxes, to
add or edit in the Mailbox Setup, the Class of Service you select will determine which of the
remaining 4 tabs will be activated and accessible for additional programming.
Mailbox
In the Mailbox field, enter a specific mailbox, a sequential range of mailboxes, or a group of
mailboxes, to add, delete, or modify. The quickest and easiest way of setting up mailboxes is by
the same Class of Service.

Replace Mailbox
This field allows you to change individual, group, and ranges of mailboxes that have previously been
defined. Simply input the mailbox numbers, change parameters, select Replace Existing Mailboxes,
and click the Add New button.
When Replace Mailboxes is selected, Courier will replace the attributes of an existing mailbox with
new information even though the mailbox number already exists. If this field is not selected, the
Courier will skip over any existing mailboxes. This feature works only in conjunction with the Add
New button. It does not work with the Apply button.
CH ANGING
A USER’S PASSWORD
When a mailbox user forgets his password, the System Administrator can gain access to the user’s
mailbox through the use of the System Master Password. This password is defined in the System
Parameters section.
To change a mailbox password when the original password is unknown, follow the instructions
below.
If calling from the User’s Telephone
1. Call the Courier access number.
2. When the Courier directs you to “enter your password”, enter the System Master
Password.
3. Select Mailbox Setup, (*), then Password (1).
4. Enter a new User password.

IN THE
NAM E DIRECTORY
The Name Directory is the database of all the mailbox owners (subscribers) on the system. This
database must be created to utilize dial-by-name functionality. It is necessary to enter the first and
last names in the name field to be able to activate dial-by-first and/or –last name.
From the Courier Outlook bar, under the Mailboxes button, click the Name Directory icon. The
following menu appears:
M AILBOX NUMBER
This field allows you to add subscribers to the Name Directory by first entering their Mailbox
number. Press Search. If the name already exists in the database, it will appear in the Entries For
Selected Mailbox field.
FIRST NAME
This field is the entry point for the first name of the mailbox user. Up to the first four characters will
be used to search on when entered by a caller.
LAST NAME
This field is the entry point for the last name of the mailbox user. Up to the first four characters will
be used to search on when entered by a caller.
SEARCH NAMES
Alternate spellings or nicknames of the first or last name may be entered. Separate each name by
either a comma (,) or a semi-colon (;). After entering data in the above text box field, you must
press ADD to complete addition of entries to the database.
ENTRIES FOR SELECTED M AILBOX
Names and mailbox numbers, including alternate spelling of names that have been added to the
database, will be displayed in this screen.

SYSTEM ADMINISTRATION VIA TELEPHONE
The System Administrator has the ability to maintain certain Courier System functions and features
over any touch-tone telephone. Telephone maintenance provides the benefit of making these
changes without having to visit the Courier, such as for snow days when the System Greeting
needs changing, to reflect that the office is closed or even deleting mailboxes when someone
leaves the company.

Broadcast Messages are recorded by the System Administrator and delivered to:
(1) Mailboxes having a specific Class of Service, or
(2) Every mailbox on the Courier system.
The Broadcast Message is heard when a mailbox owner plays his messages. Broadcast
messages can be left for and received by any user whose mailbox has messaging capabilities.

COURIER FILES & FOLDERS
The Courier system uses a structure of files and folders for its operation. An overview of these
structures follows so that a System Administrator or Telephone System Dealer will be aware of the
critical areas needed for backup purposes. The dealer may also use this knowledge to assist in
Operating System level maintenance that cannot be accomplished by other means. The folders
used by the Courier are:

C:\NAME
C:\MESNGR
C:\PBX
C:\DONGLE
C:\STATS
C:\UI
C:\MQ
C:\DOCS
In addition, there are components in the C:\WINDOWS folder and some of its sub-folders that are
required for operation.
C:\ATA
The ATA folder is the primary Courier folder. Most of the Courier programs reside here, as do
all of the data files and system messages.
The system messages stored here are all standard WAV files. If desired, the System
Greetings may be recorded in a studio, or on a multimedia computer, and the resulting files
copied to this folder. The correct format for these WAV files is 16 bit, 8kHz, mono. Other
formats will not work properly. Note that the System Greeting file names are SAL01.WAV
through SAL99.WAV.
The Courier keeps a running week of log files that may be required for diagnostic purposes.
These files are named OTCdddhh.LOG where ddd is the three-letter day of week designation
and hh is the two-digit hour of the day. These logs are not designed to be interpreted by the
end user or the telephone system dealer. On occasion, they may be required by support
personnel to assist them in problem resolution. Typically, the needed files will be copied off to
diskette and emailed to support.
The files in this folder with a DAT extension are the system data files. These are the files that
are backed up to diskette each night. These files contain all the setup information of the
Courier (e.g. mailboxes, name directory, system greetings and schedules, etc.) and are some
of the most critical to have on backup.

The MES folder is where the messages left for mailboxes are stored. The first 5 digits of the
message name are the original mailbox owner’s extension number (e.g. 101XX203.WAV was a
message left for mailbox 101). If a message has been transferred to another mailbox, you
cannot tell this by the file name.
C:\NAME
The NAME folder is where the mailbox names, personal greetings, and Distribution List names
are stored.
C:\MESNGR
The MESNGR folder contains the User Interface (i.e. the Courier UI) and its related help files
and supporting programs.
C:\PBX
The PBX folder contains the data files for the different PBX types as listed under PBX
Parameters.
C:\DONGLE
Support software for the hardware security ‘key’ attached to the back of each Courier system.
C:\STATS
The print files for all of the statistical reports are stored here.
C:\UI
This folder contains the software for installing a User Interface on a remote machine.
C:\MQ
This folder will reside on a Courier Plus and Courier UMS only. The MQ Directory contains the
software for installing the Mail Quest.
C:\DOCS
A gathering of all documents relative to the Courier; Documentation is in Microsoft Word
format.

NIGHTLY MAINTENANCE ROUTINES
Every day, the Courier shuts down to perform several maintenance routines. Typically, this process
takes several minutes, and the Courier does not process incoming calls during this procedure. You
can set the time of day this routine is performed in the Systems Parameters section under Daily
Shutdown Time. Perform this routine at the appropriate time of day when no calls are coming in.
(Default time is set at 12:05 am.)
The Courier Engine is active during this procedure but because it is busy processing files, it cannot
be interrupted with incoming call traffic. Once the routine is complete, it is ready to answer calls.
The following describes the various functions that are executed during this period:

The Courier will write data to the IFM's hard disk drive, including customer programming.

This routine will compile all of the necessary data for the System Statistics package for each day.
MESSAGE MAINTENANCE
The Courier routine includes maintaining mailbox messages. The Courier purges messages after
the user-defined retention period. In addition, the Courier checks the Recycle Bin of each mailbox
and deletes messages from the recycle bin after the second nightly maintenance routine.
INDEX FILE MAINTENANCE
Index File Maintenance rebuilds the Courier Engine data files and indexes to ensure data integrity.
BACKUP PROCEDURES
The IFM's internal hard disk drive provides an added level of security. Should there ever be a
memory problem, the IFM continues to operate via the hard disk drive. In addition, Setup files are
stored during nightly maintenance (and for proper normal operation as well). Should the IFM
system memory become corrupted, customized system greetings and mailbox greetings must be
re-recorded. Mailbox messages will also be lost.
In an environment where an administrator wishes to do nightly backup, the following Folders should
be included:

NETWORKING: NOVELL, NT & 98 SE
Networking the IFM Courier together with other computers allows you to run the User Interface
remotely. Other optional IFM Courier components may also utilize a network connection. When
installing the IFM Courier on a network, care should be given to providing adequate security to the
files on the IFM Courier computer.
Assuming that the networking hardware is in place and functional, the following steps describe how
to connect other computers so that they may communicate with the IFM Courier:
1. From the desktop, right-click on the network neighborhood icon and select "Properties" f from
the list.
2. Confirm that your network card is listed under "The following network components are
installed." If not, you will need to troubleshoot the hardware installation before continuing.
3. Confirm that "Client for Microsoft Networks" is listed.
4. If it is, skip to the next step.
5. If not, click "add", highlight "Client" and click "add".
6. Choose "Microsoft" under Manufacturers and "Client for Microsoft Networks" under Network
Clients.
7. Click "OK".
8. Confirm the listing in the installed components’ box, and that TCP/IP is entered as an available
protocol.

9. To add TCP/IP, click "add" "protocol" then Microsoft and TCP/IP protocol. When the protocol is
added, the properties will be shown.
10. Click the IP Address tab.
11. Click "Specify an IP Address".
The IFM Courier is shipped with 192.168.0.9 for the IP address, and 255.255.255.0 for the Subnet
Mask.
To network to the IFM Courier as it ships with its default settings, an IP address other than
192.168.0.9 (like 192.168.0.100) may be used for the IP address on other machines.
The Subnet Mask must be the same as the IFM Courier (255.255.255.0). If your location is
currently TCP/IP, change the default address of the Courier and give it a valid IP number in the
range you are using.
12. Select "File and Print Sharing..." and choose "I want to be able to give others access to my
files".
13. Click "OK".
14. Select the "Identification" tab.
For your computers to be visible to everyone in the workgroup, they must each have the EXACT
SAME Workgroup name. IFM Courier is shipped with "workgroup" as the workgroup name. If you
are currently using a different Workgroup name, change the Courier’s workgroup to match that of
your other computers.
15. Click "OK" to save all of your changes.
Windows will ask you to shut down and restart now. When Windows reboots, you will be asked for
a user name and a password.

In a Windows NT environment, the system administrator of the NT machine will need to set up an
account with the user name and password for the remote machine to allow access to the NT
system.
If connecting to a hub, a straight through cable will be needed to connect both machines. If
connecting two machines without a hub, a "crossover" cable must be used connecting the two
computers together.
To test a network connection for proper setup after all work has been done:

Highlight Programs.
Scroll to MS-DOS icon and double-click.
A DOS window will appear (C:\windows >).
At the prompt, type: ping 192.168.0.9
If the network connections and protocols are working properly, there will be a response time.
Otherwise, the response will be a time-out. If there is a time-out, check the setup again.
CONFIGURATION DIALOG
From the UI’s toolbar left mouse click on File and then Net Connection. This screen sets the IP
address on which DBS 576/HD cabinet the IFM Courier is running.
Notes:
• Only one IFM Courier per system is possible.
• Remote Port will be set at 4571 by default.
Click APPLY to make changes active.

REM OTE USER INTERFACE
One of the primary reasons for connecting an IFM Courier to a network is to allow the ability to
remotely administer the system. To do this, once the networking is completed, the User Interface
program (i.e., MS Net Meeting) should be installed on the remote computer.
To install the User Interface on a computer, run the Setup program located in the C:\UI folder of the
Courier. If you have a CD with the install package, insert the CD into the CD-ROM drive. The
install program will automatically execute.
Follow the install prompts by clicking the Next button as needed. When asked for the type of
install, choose ‘Typical’ installation. Continue pressing the Next button as needed to complete the
installation.
After installation is complete, the computer will reboot. You will now have a ‘PanaVOICE Courier’
program group under your Start-Programs button. Click ‘Courier Startup’ in this program group to
begin using the User Interface.
The first time this program is started, you must tell it what the machine name and number is of the
Courier voice system as it appears on the network. You will be given a Configuration Dialogue box
to do this.

All updates/upgrades are provided by MCUSA/Panasonic. The Hotline Technical Support staff will
be able to give information as to upgrades via CD.
Should you be upgrading the number of ports or increasing the functionality of your Courier system,
you may receive additional hardware (IFM daughterboards, for example) along with an upgrade
CD. Follow the instructions included with the upgrade package.
