Dear Tournament Director,
As 2014 comes to a close, we at the City of Brenham are looking forward to an exciting 2015 sports
season at our athletic facilities. On behalf of the City Parks and Recreation Department I will be taking
care of all tournament bookings for 2015. I will also be working very closely with you, as a Tournament
Director, and our local CVB to ensure a successful event.
Attached, you will find our Basic Rental Information, Tournament Reservation Application and facility
maps of our parks. The field rental fees were recommended by our Parks and Recreation Advisory
Board and were approved by City Council and have been in effect since January 2009. Please note that
you must provide proof of liability insurance for the event/tournament and a deposit must be paid at
the time of the reservation. No reservation will be secure without a deposit.
Facility rental invoices will be emailed to you and a final payment is due no later than five businesses
days after your event. If you are a onetime field user, your deposit will be returned within 14 working
days after the event/tournament following all inspections of our grounds. If you will be using our
facilities throughout the year, your deposit will be kept until your last scheduled event/tournament and
then will be returned to you also as long as there is no negligent or unnecessary damage done to the
facility. We encourage you to look over these documents and contact me if you have any questions.

All previous bills with the City of Brenham will need to be taken care of prior to booking your next
event/tournament. Field reservations will not be made until previous bills are paid in full. If you are
uncertain whether or not you are in good standing with the City please ask.
Also, the City of Brenham and the local CVB will be working together to make every visitor feel
welcomed and enjoy their stay. Let us know if you would like assistance with hotel reservations or

Basic Rental Information
Basic Rental Information
1. Reservations may be made up to one (1) calendar year in advance. Rental dates will be booked on a first come,
first serve basis.
2. The following is included in your field rental:
a. initial game preparation prior to the start of the event each day;
b. scoreboard controllers are available to use at all complexes with the exception of Henderson Park;
c. and the use of lighting
d. Additional field preparation is available for $25.00 per field.
e. A parks employee will be on call during your event; a name and telephone will be provided after
schedules have been received.
3. Tentative schedules must be forwarded to Brenham PARD by the fifth business day prior to the event with the
final schedule due by 9:00am two business days prior to the event.
4. The individual or group of individuals responsible for the tournament must meet with representatives of
Brenham PARD before the tournament to arrange all tournament and maintenance details.
5. If the event is not sanctioned by an organization or governing body that provides insurance coverage to all
participants, the renter is required to procure and maintain, at its sole cost and expense for the duration of this
rental agreement, Commercial General Liability insurance in the name of the renter, for limits of not less than
$500,000 for personal injury, death, or property damage to rented property arising out of any occurrence. This
insurance policy must cover, in addition to the general public, the City of Brenham and its officers, employees
and volunteers, all event staff, as well as the support staff, and any other individual participating in or attending
the event for which the facility is rented. Only insurance carriers licensed and authorized to do business in the
state of Texas will be accepted. Renter must furnish proof of coverage through a Certificate of Insurance no less
than ten (10) business days before the event.
6. The Parks and Recreation Department:
a. will make all decisions on the playability of facilities;
b. is not responsible for any first aid supplies, ice or water for personal use or injuries
7. The facility renter is responsible for:
a. any negligence or unnecessary damage (other than regular wear and tear) done to the facility(s)
b. the cost of all repairs to the facility(s) if negligent and/or unnecessary damages were done by anyone
associated with the event
8. Final payment is due NO LATER than five (5) business days after the event.
9. Should the renter choose to cancel the event, the deposit will be refunded per the following schedule:
a. five (5) business days or more prior to the event: 100% refund
b. less than five (5) days before the event: no refund
c. if the renter would like to reschedule the tournament, a written request must be submitted
10. The City of Brenham has contracted all concession rights to a third party vendor with exclusive rights to Hohlt
Park, Linda Anderson Complex, Henderson Park, Jackson Street Park and Fireman’s Park. Vendor permits may
be obtained should the tournament director desire to have souvenir sales, apparel, etc. available throughout the
duration of the tournament. A vendor permit must be obtained by the City Secretary’s office.
11. Pitch In, and Pick Up! Help us maintain our beautiful parks by throwing away trash and recycling.

The City of Brenham, within its Park and Recreation Department, manages 31 sporting facilities, included are baseball,
soccer, and softball fields. These facilities can be reserved for any group wishing to utilize them. All fees collected are
used in the continuation of maintaining these facilities.
