Click on one of the menus: - Managing tariffs - Managing availabilities and you will connect to the new page: 5/44 To go back to the Main menu, click on Back to main menu. 2.1 Creating accommodations Click on New accommodation On the main part of the screen, fill in the required fields: - Select the accommodation type (Pitch – Rental – Room) If you have selected Rental, you need to select a rental type (apartment, bungalow, canvas bungalow, caravan, chalet, holiday home, house, mobile home, gipsy caravan, tent and villa). 6/44 - Enter the number of people accommodated that will show next to the accommodation name (Eg.: 4 ppl. And 4/6 ppl.) - Enter the accommodation name in the 10 languages of the system. - Enter a text for the accommodation (optional). - Save at the bottom of the page. The accommodation is now created and appears at the top of the pitch / rental / room list on the left part of the screen. On the main screen, the tariff grid appears automatically. 2.2 Changing accommodation information To change the name and text of an accommodation, click on Managing description of the related accommodation. After entering changes, save at the bottom of the page. Untick the Active case to de-activate the accommodation. Please contact CTOUTVERT hotline to change the number of people in the accommodation. 2.3 Creating tariffs Creating a grid Click on Managing tariffs, then New grid. Select a type of grid: per night / per week Enter the number of people included, the minimum and maximum number of people accommodated. Enter the deposit in ONE of the three cases and the administration fees. Select the visibility that will be used if the accommodation has several tariff grids: Dual (default): results of all grids will appear. Prevailing: only the result for this grid will appear. Cheapest price apply: only the cheapest result will appear. Grids are activated automatically. Dates can be entered to limit the grid to a set period. Name: default-displayed grid type. The name of the grid can be changed. 7/44 Free text: you can add a text related to this grid. Save at the bottom of the page. The summary of the grid will appear. Select an existing grid to change it. Creating and changing periods and tariffs Fill in dates and tariffs. To read grids on-line easily, we advise you to erase all the periods of the previous season. Click on Save. on the left of each period line to erase the line. If the accommodation has options, enter the options prices for the new/modified periods. Setting duration / days of arrivals and departures To set minimum/maximum duration and set one or several days for arrivals and departures on some periods, click on Duration. Should you enter no information, no day will be set for arrivals and departures. Select one of the 4 duration settings: By sets a fixed multiple of nights (eg.: By 7 means the accommodation can be sold for 7, 14, 21, etc. nights). >= sets a minimum duration of x nights <= sets a maximum duration of x nights = sets a fixed duration of x nights You can set different days of arrivals and departures on periods. Eg.: You accept one week stays, 10-night and 11-night stays with arrivals on Saturdays and Wednesdays >> Select >=7 with arrivals on Saturdays and Wednesdays. Save at the bottom of the page. Entering special tariffs Click on “Special tariffs” to enter special tariffs for first night(s), weekend nights and booking fees. 8/44 Entering different tariffs for first night(s) Indicate a different tariff for the first night, the first two nights, etc. up to the first six nights. Entering different tariffs for one or several night(s) Enter a different tariff for Sunday nights/Monday nights, etc. Entering special booking fees For one or several periods, enter special booking fees if they differ from standard fees. Save at the bottom of the page. Options Click on Accommodation Menu / Managing tariffs / Options to add/erase/change options. Changing options You can change tariffs, quantities and tariff settings for existing options. You can untick an option to de-activate it. Adding options Click on Add. Tick the option(s) to be added. You can use the filter device. Validate selection at the bottom of the page. For each option, enter: Tariff setting: per night / per week / per stay The maximum quantity (if available) The included quantity (if included in the accommodation tariff) Compulsory option (if available) The option tariff for each period If an option is not on sale on one or several period(s), enter no tariff. If you do not want to sell an existing option, untick the case. Sorting out options Select one option, press the left key of your mouse and slide the option upwards / downwards. Once you have sorted out all your options, save at the bottom of the page. Erase an option Untick the option(s) to erase and save at the bottom of the page. Summary Check the summary of the grid settings. 9/44 2.4- Updating availabilities In Accommodation Menu click on Updating availabilities. There is only one Schedule per accommodation. If several tariff grids are related to a same accommodation, the schedule will take all different periods in. Regular Mode (default mode) Click on - on the night you want to update. Click once to get : only one accommodation left for this night. Click twice to get : no more availability for this night. Click a third time to get back to : available. Proceed on other nights you need to update. Save changes at the bottom of the page. The page reloads and save changes. Updated schedules are now available on-line. Brush Mode Select the Brush Mode to switch modes. Select a colour in the caption: Available Only one accommodation left Not more availability Browse over the nights to update. Save changes at the bottom of the page. 10/44 2.5- Accommodation General Menu New accommodation See page 5 Managing Layout Accommodation layout To sort out accommodations in the pitches / rentals / rooms lists, select one accommodation. Press the left key of your mouse and slide the accommodation upwards / downwards. Once you have sorted out all your accommodations, Save at the bottom of the page. Grids layout Sorting out one accommodation grids Select one grid. Press the left key of your mouse and slide the grid upwards / downwards. Once you have sorted out all your grids, Save at the bottom of the page. Number of grids available on-line 5 grids are default displayed. You can display 0 up to 5 grids per accommodation. Save at the bottom of the page. Availability schedules layout Select the month you want to show first on your accommodations schedules. The current month is default displayed. For night grids, select the day you want to show first on your accommodations schedules. Saturday is default displayed. For week grids, select the day you want to show first on your accommodations schedules. Saturday is default displayed. Personalized menus Show the list of accommodations in menus Show the complete list of pitches / rentals / rooms when the Client browses over the menus Pitches / Accommodations / Rooms. Tick the case and save. Creating a personalized menu In Managing Menus, select NEW MENU in the pulldown list. Enter a name in the language fields below. Save. To change a menu, select it in the pull-down list and change the name in the language fields. Save. You can sort out menus in Sorting out menus. Select one menu. Press the left key of your mouse and slide the menu upwards / downwards. Once you have sorted out all your menus, save at the bottom of the page. Filling menus Insert accommodations in the personalized menus. Once all accommodations are listed in a menu, personalized menus are activated. Suspended accommodations Tick the accommodations / grids to activate. Validate at the bottom of the page. Sales terms and conditions Enter the sales terms and conditions (booking, cancellation conditions, etc.) in the languages you have at your disposal. Save at the bottom of the page. 11/44 3- Inter Booking Service- TO PACK The Off sign next IBS-TO Pack Stock indicates the module is not activated and no offer can be seen on partners’ websites. Only IBS can activate the Pack. WARNING! Before creating stock, accommodations and prices must be entered in the Accommodation menu. 3.1 - IBS Stock To create stock for IBS-TO Pack, click on IBS Pack – Managing Stock on the left menu. Creating stock on accommodations Select an accommodation in the pulldown list Create stock for. Create a period: day / month / year for the beginning and end of the period. Each period can last two months maximum. Click on OK. You can create several continuous periods or broken periods. WARNING! When several periods are created, take a special care on bookings overlapping two periods. The system accepts bookings on available accommodations and dates. If you do not check these bookings, people may have to switch accommodation during their stay. To create a stock on this period and this accommodation, click on To add one or several stock lines, click on To erase a stock line, click on . . . activates/de-activates confirmation messages. To open and close nights in the stock lines: - click once: Green case=available / Red case=closed - press [P] key on your keyboard and browse over the nights Cancels changes and get back to previous status. Save When entering stocks, the system automatically updates the information available on all the partners’ website showing your offers. are used to sort out stock lines. Stock lines are closed automatically when bookings are made on IBS partners websites. The system optimizes accommodation occupancy and inserts bookings on lines enabling the best occupancy rate. Stock line periods can be changed manually. Changing / adding stock Select one accommodation in Change / add stock for Enter changes (see above) and save. 12/44 Erasing a period Select one accommodation in Change / add stock for Erase all stock lines. Save. IBS Stock – Current pop-up messages PROBLEM: you are creating stock for a period that doesn’t exist for the accommodation in Accommodation Menu. SOLUTION: create a period in Accommodation Menu for this accommodation. PROBLEM: you are creating stock and information is missing. SOLUTION: click on OK and fill in the blank fields. PROBLEM: you are creating stock on a period that is no longer available. SOLUTION: click on OK and change dates into a period that can be sold. PROBLEM: you have creating a period you want to save but you have created no stock on this period. SOLUTION: click on OK and create a minimum stock on this period before saving. 13/44 PROBLEM: You are creating a period longer than a 2-month. SOLUTION: click on OK and change dates to create a 2-month or shorter period. PROBLEM: You are creating a period overlapping existing periods. SOLUTION: 1. Click on OK and change dates that do not exist yet. 2. Click on OK and erase the existing periods to create new period(s). WARNING! Schedules will be erased; you must check the dates that have been booked already. Other messages >> Warning! Dates proposed automatically match the selling periods. PROBLEM: the period is overlapping several Secureholiday tariff periods. SOLUTION: click on OK 1. change the period to make it match Secureholiday tariff period. 2. Leave it as it is. >> No selling period available for this accommodation, you can create no stock. PROBLEM: You are creating stock on a period with no tariff. SOLUTION: click on OK and get back to Secureholiday in Managing Accommodations to create new tariff period for the accommodation. Warning in Accommodation Menu >> Managing tariffs >> Erasing periods in Secureholiday has erased stock lines in IBS. PROBLEM: you are erasing current tariff periods on which IBS stock has been created. Erasing these periods will erase all linked offers including IBS’. SOLUTION: click on OK and create a new period in Secureholiday for this accommodation. Then create a stock line in IBS Stock. In Booking, Firm Bookings pending: Check IBS bookings. 14/44 3.2- Inter Booking Service Bookings How does it work? Your offers are available on partners’ websites, the travel agency is liable for sales. Clients can book on-line and through a partner’s call center, when available. Clients can also contact IBS directly to make phone bookings. Clients pay their holidays (deposit+balance) to Inter Booking Service and are given a contract and a voucher. Sales terms and conditions are Inter Booking Service’s. Insurances are Inter Booking Service’s. The Travel Agency takes care of the relation with clients until they are on-site. The Travel Agency is in charge for any complaints. Inter Booking Service is establishment’s contact. When there are bookings, you will receive a confirmation e-mail with a summary of the client / the travel agent booking. This is an automatic e-mail. Bookings will be checked for IBS to know you have acknowledged receipt. If bookings remain unchanged Clients go to the establishment with vouchers received on balance payment. Vouchers are to be presented on arrival to justify bookings and services have been paid. No presentation vouchers. Check the e-mail you have received for the booking or Firm Booking Check list on Secureholiday or call Inter Booking Service. Booking changes Inter Booking Service will inform establishments for any changes and cancellation via e-mail and phone to validate changes. Clients’ documents will mention changes. 15/44 4 – Handling booking requests You have 72 hours (3 days) to handle booking requests. Beyond this time limit, requests expire and you will no longer be able to accept/refuse them. 4.1 Accepting a booking request Via e-mail: For each request, you receive an e-mail with all the information required (name and address, dates of stay, type of accommodation, price, deposit). • Check the schedule to know if the accommodation is still available, if it is, click on YES at the bottom of the page. • A dialogue box opens, enter your login and password and click OK to validate. • You will get all the information about this booking, including the type and number of the credit card, expiry date and cryptogram. You can print this page. Now, debit the deposit on your payment terminal and send the customer a copy of the note. An e-mail is automatically sent to Clients, in the language they used when sending the booking, to confirm their requests have been accepted and deposits will be debited. In the e-mail, it is also mentioned they will receive a confirmation when payment is completed. • • • • • Via the administration page: Connect to Secureholiday In the left hand menu, in Menu, see Booking(s) pending Click on Booking(s) pending (if there’s a at least [1]) The information is the same as in the e-mailed request Process exactly like in the e-mail to handle the booking. Every action in Secureholiday is recorded You will have access to the client credit card number only once. A booking request cannot be accepted twice. A booking cannot be refused after it has been accepted. 4.2 Refusing a booking request • • • • • • • • • Via e-mail: For each request, you receive an e-mail with all the information required (name and address, dates, type of accommodation, price, deposit). Check the schedule. Requests can be refused with a NO click at the bottom of the page. A dialogue box opens, enter your login and password and validate with OK. You can add a comment. Clients will be informed that after checking availabilities you cannot accept their requests. Requests will be erased from the system. Via the administration page: Connect to Secureholiday. In the left hand menu, in Menu, see Booking pending Click on Booking pending (if there’s a number instead of (0) The exact same information will appear as in the e-mail with the NO button Process exactly like in the e-mail. Every action in Secureholiday is recorded. A booking request cannot be refused twice. A booking cannot be refused after it has been accepted. 16/44 4.3 Cancel a booking (problem when debiting the deposit) Via e-mail: Once the booking has been accepted and you cannot debit the deposit with the credit card information, go back on the request e-mail and click CREDIT CARD DYSFUNCTION or DYSFUNCTION PAYMENT. The payment can be refused for two reasons: The client is not creditworthy. The expiry date is wrong. Credit card numbers algorithms are checked in the system, they cannot be wrong. • In the new dialogue box, enter your login and password and click OK to validate. The booking is cancelled. Clients will be informed that you couldn’t debit their deposit and the bookings are cancelled. They can send a new request. Bookings are erased. Via the administration page: • • Connect to Secureholiday, in the left hand menu, click on Sales. Look up the booking according to the month of purchase or the month of the stay. Click on to see the details of this booking. Click on CREDIT CARD DYSFONCTION at the bottom of the page. Process exactly like in the e-mail. Every action in Secureholiday is recorded. A booking cannot be dysfunctioned twice. 17/44 5- Modifications menu 5.1 Media (video / 360° / …) Click on Media (vidéo / 360° / …) . Enter the Internet link of your video, 360° view of campsite or accommodation. Select a size (eg.: 400 x 200). Test to check the size of the window. If it is too small or too big, change it. Then Save. 5.2 Changing inventories Click on Inventory: Change/Add. Select the accommodation. Tick and untick cases to change inventories. Once changes have been completed, click Save changes. Personalize inventory - untick elements in the inventory list you would never use for this accommodation. Untick elements will no longer appear in the inventory list. Once changes have been completed, click Save changes. 5.3 Changing pictures Click on Pictures: Change/Add. Select accommodation. To delete a picture, click Delete next to picture. A pop-up box opens with the message ‘Do you really want to delete the picture’. Click OK. The picture is deleted. To add a new picture from your computer, click Browse. Select the picture, and open it. Then click Transfer pictures. The picture is now added to the accommodation. You can check the picture with See. 18/44 Once changes have been completed, click Save changes. JPG and GIF formats only with a maximum of 2Mo/picture. 5.4 Link / duplicate pictures and inventories Click Pictures - Inventory: Link / Duplicate. Two grids appear with accommodations list. Each accommodation is given a number. st In the 1 grid, you can link or duplicate pictures from one accommodation on another. nd In the 2 grid, you can link or duplicate inventories from one accommodation on another. - When linking, pictures/inventories linked will always be the same for the two accommodations. Only pictures and inventory for accommodation 1 can be changed and will be changed automatically for accommodation 2. - When duplicating, pictures/inventories have been copied from accommodation 1 to accommodation 2. Both accommodations can be changed (recommended). To link/duplicate, complete with accommodations numbers: Link/duplicate pictures of accommodation Nr.__ on accommodation Nr.__ Link/duplicate inventory of accommodation Nr.__ on accommodation Nr.__ Click on Link/Duplicate to save changes. 19/44 6 – Managing sales On Secureholiday administration page, manage sales from the Modification Menu >> Sales & Bookings. 6.1 Selecting and setting methods of payment Click on Online bookings-Methods of Payment 1/ Mail and Fax Default payment method for clients to print an estimate and send it to the establishment if all other methods of payment have been suspended. 2/ Credit card (distance sale on bank terminal) Click on Credit card to activate/de-activate payment via credit card and save. To set credit card payment, you must have a payment terminal with distance sale option. 3/ Credit card (PAYBOX) PAYBOX proposes direct payment of bookings (deposit and balance) made via Secureholiday on your bank account. Credit card information (card number, expiry date, cryptogram and creditworthiness are checked on order). A special PAYBOX administration page is available to check and manage sales and bookings. Contact CTOUTVERT for further information. 4/ Bank transfer Click on Bank Transfer for national and international transfers. Step 1: National bank transfer Select the country of your bank account. Select the ID numbers of your bank, agency, bank account etc. (all information available on your bank account particulars) all fields are compulsory. You can add a comment and indicate the terms of payment (time limit, amount, etc.). 20/44 Tick the case Active to activate national bank transfer and Add to save. You can enter several bank accounts information if you happen to have bank accounts abroad. Step 2: International bank transfer Indicate IBAN and BIC SWIFT codes and the name of the town your bank is located. You can add a comment and indicate the terms of payment (time limit, amount, etc.). Tick the case Active to activate international bank transfer and Save. International bank transfer will be available for all customers coming from other countries than the one(s) set for national bank transfer. 5/ On receipt of contract: Click on Receipt of contract. Step 1: Tick the case(s) for the country(ies) you want to activate this method of booking for. Step 2: Tick the case Active. You can add a comment and give instructions for booking (time limit to send back the contract, amount of deposit, etc.) Save. 6/ Bank cheque Click on Cheque. Step 1: Tick the case(s) for the country(ies) you want to activate this payment for. Step 2: Tick the case Active. You can add a comment and give instructions for payment terms (time limit, address and name to label the cheque, etc.). Save. 7/ Postal Order Click on Postal Order. Step 1: Tick the case(s) for the country(ies) you want to activate this payment for. Step 2: Tick the case Active. You can add a comment and give instructions for payment terms (time limit, address, etc.). Save. Methods of payment appear with a green case when they are activated. Red cases mean they are not activated. Warning: We recommend establishments accepting credit card payment not to add any other method of payment because they will receive requests with firm payment contrary to other methods of payment that are still pending. Suspend method of payment If you should be away for over 3 days, you can suspend methods of payment not to receive booking requests that will expire after 72 hours.s As long as they are suspended, clients can only send a booking form via fax and/or post mail. You can suspend all or some methods of payment and indicate the day you will be back. Suspended payment(s) will be activated again automatically at midnight on the date entered. 6.2 Deposit adjustment You can set special terms on deposit payment. Different settings can combine. 1/ X days from arrival Select accommodations, types or all accommodations. Dates brackets between the order and the day of arrival (eg.: 1 up to 30 days before arrival) The deposit to be paid related to this setting. Click Add to save this setting. 2/ Duration related Select accommodations, types or all accommodations. Duration brackets of the stay (eg.: 1 to 6-night stay). 21/44 The deposit to be paid related to this setting. Click Add to save this setting. 3/ Period related Select accommodations, types or all accommodations. st Period beginning and ending dates (eg.: July 1 >> August 31st). The deposit to be paid related to this setting. Click Add to save this setting. Several setting can be created. Some can have priority when several can apply. Click Summary to have a summary of the different settings for each accommodation. 6.3 Setting balance payment An automatic e-mail is sent to clients for paying the balance of their Secureholiday bookings. To activate Balance payment In Sales & Bookings, select Balance Payment. Click Parametering Balance Payment. 1 – In the grid, enter the time limit (in days) for balance payment before arrival for types or individual accommodations. * the e-mail for balance payment will be sent automatically 10 days before the limit date. Example: Limit date: 14 days st Date of purchase: January 1 th st Date of stay: July 24 -July 31 th Date of automatic e-mail: June 30 th Balance payment limit date: July 10 * 100% of the stay will be required when booking within the limit date. 2- Tick methods of payment available for balance payment. Save. Monitoring Balance payment To monitor balance payments, 3 menus are available: E-mails pending (before time limit) Bookings have been made in Secureholiday but the e-mail for balance payment has not been sent yet: you can change the balance amount and force sending. E-mails sent (no answer) Bookings have been made in Secureholiday and the e-mail for balance payment has been sent and the client has not paid the balance yet. You can send the request again. E-mails sent (answered to) Bookings have been made in Secureholiday, the e-mail for balance payment has been sent and the client has selected the method of payment for the balance. You have received the information via e-mail. Credit card balance payment Credit card information is available when clicking on the Get Payment link in the e-mail and on the administration page Balance pending. If you cannot debit the balance on your terminal, open the e-mail for balance payment again and click DYSFUNCTION. The same device is available in Balance Payment >> E-mails sent (answered to). 22/44 The payment can be refused for two reasons: The client is not creditworthy. The expiry date is wrong. This booking will be listed in E-mails sent (no answer) again. 6.4 V.A.T. not included V.A.T. is default included in the price. This function enables you to show and sell accommodation tax free and set the V.A.T. percent. 6.5 Cancellation insurance Create / Deactivate / Check-Change (6 steps) Step 1 - Name the cancellation insurance (compulsory in case of several cancellation insurances) - Select the type of accommodation - Select how the insurance is calculated - Select if the insurance is compulsory or optional Step 2 and 3 - Select and enter how the insurance will be calculated: 1/ Percentage with fixed part and minimum amount setting available. 2/ Fixed amount in €uros. 3/ For a set number of nights with a price per night slot. 4/ For a set number of nights with a price per extra night: fixed price per night slot and fixed price per extra night. 5/ Set price or percent according to the duration/the price of the stay: according to the number of nights/the price of the stay (please contact Ctoutvert directly). Step 4 Enter sales terms and conditions for the cancellation insurance: you can use the standard terms and conditions or specific terms and conditions in language cases. Step 5 Select the type of cancellation insurance or enter a name. Step 6 Check all the information in the summary for this cancellation insurance and save. Settings and deletion You can de-activate and delete one or several cancellation insurance(s) created in the system. Create sales settings for cancellation insurances: Only one All Main insurance and second one among all Main one and all Summary You can check all the insurances and rules created. 6.6 On-line sales Click on Sales With the pull down menus select the month and the year of the sale or the stay. It will show the list of establishments which have at least one current Last Minute offer, the number of offers currently available, the allotment for each offer, the average price before discount, the average discounted price, the average discounts. 11- Web 2.0 Consumers’ reviews 11.1- Activating consumers’ reviews collection & broadcasting Ctoutvert collects consumers’ reviews from clients who have booked on-line via Secureholiday.net system. Once activated from your administration page, collection is automatic. 38/44 For people who did not book on-line, connect to Secureholiday.net, in Status & Stats and Survey, copy the link in each language and paste it in an e-mail. Below you will find how to process to manage reviews collection and broadcasting. Connect to www.secureholiday.net/admin and log in. In Web 2.0, click on Status & Stats. Status Activating reviews collection activates and automatic e-mail sent to each client 3 days after their stay is over. Copy the web link available on your administration page and implement it on your website, send it via e-mail, etc. Personalizing Survey To personalize the survey: Page 1: Some themes are default selected. You can tick and untick some criteria for the survey to match your establishment services and amenities. Page 2: Quality survey (default activated). Page 3: Collect clients’ pictures (default activated). Suspending e-mails To suspend surveys e-mailing to some clients, select the month of departure of their stay in the pull down list. Tick the case in Suspending, Save. You can also change the e-mail address if the client has entered a wrong e-mail address when booking. Enter a new e-mail address in E-mail, Save. Statistics Check average marks and screen results according to dates and languages. - check average marks per criteria. - check the number of posted, suspended and erased reviews. - check acceptance rate (Nr. of reviews posted compared to nr. of surveys sent) - compare establishment average marks with all Secureholiday.net consumers’ reviews. Individual Pack Selection Posted reviews will be default broadcasted on your Individual Pack if you have activated Broadcasting. Reviews can be selected for Individual Pack only. They will be listed according to languages used. Tick reviews in Individual Pack Selection and Select. You can untick reviews from the Individual Pack. 39/44 Premium Selection Tick reviews for Premium Individual Pack. 11.2- Monitoring consumers’ reviews Once a review is posted it is automatically on-line. You can manage reviews whenever you want (suspend, activate, erase) from your administration page. In Web 2.0, click Select reviews. Managing new reviews In this menu, all new reviews are listed. Reviews are broadcasted automatically if broadcasting is activated except labelled reviews (Content Warning). Managing reviews 1- Tick reviews in the Selection list 2- Select the action with the grey buttons: Checked Reviews will now be listed in On-line reviews and labelled . Suspend Reviews will now be listed in Suspended reviews. Reviews can be re-activated any time. Activate Reviews will now be listed in On-line reviews. Content warnings labelled wrong. Erase Reviews will be erased definitely and cannot be re-activated. We recommend Suspending. might be Low mark warning Reviews with low average mark (below 5) are labelled in Latest reviews / On-line reviews / Suspended reviews. N.B.: Reviews are suspended during 48 hours and broadcasted automatically if you have not checked them. Content warnings Reviews likely to contain abusive and vulgar words are labelled in Latest reviews / On-line reviews / Suspended reviews. Reviews are gathered in a special menu to be read and activated: Warning (New reviews). Actions available are the same as in Latest reviews. N.B.: Reviews are automatically suspended. Secureholiday.net availability schedule is updated automatically once a day (midnight). In addition to daily update, a real time check is completed for each request: - When an Internet user clicks on Booking; - Before the client enters its credit card information. 2/ Automatic integration of bookings in the PMS You will always have to handle Secureholiday.net bookings within 72 hours. When one booking is accepted in Secureholiday.net, it is automatically sent and integrated into your PMS. Parametering and activating the PMS bridge Once the PMS is set for linking, you can activate the bridge with Secureholiday.net. Click on PMS Bridge. When connecting for the first time, you need to enter the bridge ID’s provided by the PMS software. Step 1: linking accommodations Select an accommodation in Secureholiday and the same accommodation in the PMS then click on ‘Link’ at the foot of the grid. All accommodations in Secureholiday.net must be linked. Accommodations in Secureholiday list appear in pink and are labeled ‘Already linked’. PMS accommodation list appear in orange and are labelled ‘Already linked’ after the name of the accommodation. NB 1: Secureholiday accommodations can be linked only once, contrary to PMS accommodations. NB 2: the bridge can work even if all the accommodations in the PMS are not linked. NB 3: to undo the links, go at the foot of the page in the Active Links Table and click on the grey button <--> corresponding to the accommodation link you want to undo. Accommodations with no link will appear in green in the first grid ‘Accommodation list’. Step 2: Linking options (extra fees) At the foot of the page in the ‘Active Links table’. Click on the Secureholiday accommodation (blue) to see the options on both sides. Select an option in Secureholiday and its match in the PMS and click on ‘Link’ at the foot of the page. Secureholiday and PMS options appear in pink in the already linked options table and are labelled ‘Already linked’. If people is included in the standard price, select the matching option in the PMS. Nota bene 1: options can only be linked once. Nota bene 2: the bridge can work when all options are not linked. Yet, if a Secureholiday option is not linked to a PMS’ bookings with this option won’t be integrated in the PMS. 41/44 NB 3: to undo the links of options click on the grey button <--> corresponding to the linked options. Step 3: Activating the PMS bridge Tick ‘1’ 100% PMS Mode. By default, the three levels are ticked: Automatic update of availability schedule: updating once a day at midnight. Automatic check of availability during the booking process: when an Internet user click on ‘Booking’ in Secureholiday and before he enters his credit card information, Secureholiday checks availabilities in the PMS. Automatic integration of bookings in the PMS: once the booking is accepted in Secureholiday, it is sent to the PMS for integration. 0-Standard Mode: The standard mode de-activate the bridge between Secureholiday and the PMS. Accommodations are still linked but the Secureholiday availability schedules must be handupdated. You can force automatic updating and not necessarily wait for midnight daily update. To do so, just click on ‘Force availability schedule updating’. Wait for the message. Step 4: Managing one-side check mode When the PMS stops a booking request for broken availabilities or different parametering between SecureHoliday.net and the PMS, you can: Propose the client to go on with his request. The booking is to be entered manually in the PMS. Stop the booking process and prevent the client from booking. Step 5: Select mean(s) of payment For bookings to be integrated in the PMS, you need to select the payment in the PMS: Credit Cart Indirect payment (bank transfer) Step 6: Parametering included options Some options, non-people related ones, may be already included in the accommodation price (eg.: vehicle). To indicate an option is alrerady included in the price, go to the Modifications Menu / Accommodation / Options: change/Add/Delete. Select the accommodation, then the quatity already included for the option(s). Save at the foot of the page. 42/44 13.2 Monitoring bookings integration Connect to Secureholiday.net administration page: http://www.secureholiday.net/admin and enter your IDs. On the left hand menu, click on ‘Booking integration’ 43/44 Availability check - TRUE: check completed during the booking process ERROR: one side check only during the booking process, no check in the PMS for real time availability. PMS bookings Green: integration completed with the PMS reference number for the booking. Red: integration failed. Error message. Contact the hotline directly. WARNING! When clicking on ‘Dysfunction payment’ in Secureholiday, the booking is not erased of the PMS software. 44/44
