To develop Christian leaders and help them sustain their commitment to Jesus Christ as they pursue Christian Apostolic Action in their environments; 2. We believe and profess our faith in one Triune God - The Father, The Son and The Holy Spirit (Matt. 28:19). We believe and profess that Jesus Christ is the only Savior and is God in the flesh (John 1:1, 1:14, 3:36, 14: & Heb. 2:17). We believe and profess that The Holy Spirit is God and is The Lord and Giver of life, who continues to work in believers today to sanctify, edify and empower the whole Christian church on earth - - - for His purpose (Job 33:4, Acts 1:8, John 14:26 & Rom. 8:11). We believe and profess that the Holy Scriptures are the inspired and completely true Word of God (II Tim. 3:16-17). We believe and profess that all have sinned and fallen short of the glory of God; that forgiveness of sins is received through confession and repentance - - and that our sins are washed away through the blood of Jesus Christ (Acts 2:38, I John 1:9 & Rom. 3:23). We believe and profess that salvation is a gift of God's grace received through personal faith in Jesus Christ (Eph. 2:8). We believe and profess that the Body of Christ is to make every effort to keep the unity of the Spirit through the bond of peace until we all reach unity in the faith and in the knowledge of The Son of God (Eph. 4:3, 13). We believe and profess that God's unconditional love, as made manifest to us through Jesus Christ, is the primary witness by which people are renewed, edified and changed (I Cor. 13:8). We believe and profess that God has called us to live holy lives that will bring glory to His name (Col. 3:1-25). * Note: For purposes of standards and principles, Tres Dias ascribes to those stated in the Authorized King James Version of the Bible of 1611 (KJV). 4 TRES DIAS VISION To identify, train and equip Christian leaders; who will spread the Gospel of Jesus Christ in their environments (a & d), who will grow in their spiritual life (b) and, who will demonstrate their love toward one another (c). Also, to encourage these leaders to assist their churches in carrying out the mission of their churches both locally and throughout the world for the glory of God the Father (d). ENABLE AND ENCOURAGE DEVELOPMENT OF NEW COMMUNITIES. * Items 3 through 7, above, are taken from Article 2.0, "Purpose of TRES DIAS and Statement of Belief", of the Constitution and By-laws of Tres Dias. Note: It is the intent that these stated "Goals" and "Mission" will support the: "Tres Dias Vision". 6 “Resolution for Growth” July 2008 The Tres Dias Ministry enters the 29th Annual Assembly with a servant hearted history of advancing the cause of Christ through our interdenominational, Bible based version of the Cursillo method, and Through the Blue Ribbon Committee, we have unified this God honoring ministry made up of some seventy chartered Tres Dias communities around the world following the Essentials of our movement, and Whereas the founders of this ministry had a vision of chartering five hundred communities worldwide, and, Whereas the launching of new Tres Dias communities is the responsibility of existing communities and their Pescadores to lovingly nurture new communities into existence, that At the 29th Annual Assembly of the International Tres Dias, we do agree and affirm by this Resolution to dedicate the next 35 years to reaching the goal of 500 Tres Dias communities around the world, and, We pledge our chartered communities to lovingly find practical ways to positively move forward with the expansion of sharing God’s love, grace and forgiveness, and, We ask the Secretariat of the International Tres Dias to prayerfully lead us into this expansion to the glory of God and our Lord Jesus Christ by the power of the Holy Spirit. *Note – Tres Dias has experienced a steady growth of about 8% during our 34 year history. If we maintain that growth percentage, we will be at 500 communities worldwide by the year 2034, if Jesus delays His return. That is almost ten years ahead of the Vision mentioned here. 7 Tres Dias Local Secretariats: Local Tres Dias communities are chartered by the International Secretariat of Tres Dias. These communities have all agreed to abide by “The Essentials of Tres Dias.” Charters are renewable every two years. Nonvoting observers are also encouraged to attend (without restriction). The Assembly elects members and officers of the International Secretariat, and has approval authority over actions, such as Constitution/By-laws revisions or policy changes, proposed by International Secretariat. A regularly scheduled session of the Assembly, referred to as the "Annual Assembly", is held each July, hosted by a local community. Special sessions of the Assembly may be called by the International Secretariat. This Body conducts the year-round business of Tres Dias, charters Local Secretariats, proposes changes in policies and By-laws for approval by the Assembly and is the Board of Directors for Tres Dias, Incorporated. The President will submit an annual report of all pertinent activities to each Annual session of the Assembly . This past year has been a year of many emotions. When we find ourselves in disagreement with fellow pescadores, the conflict of our love for them versus the ideals we have before us cause us much distress. This reminds me of the Bible story when the disciples found themselves in a boat crossing the Sea of Galilee and a storm came up. The disciples, several of whom were fishermen with lots of boating experience, realized they were in a lot of trouble. The waves were tossing the boat around and beginning to wash over the sides and their experience told them that they were about to go down. They went to the back of the boat and there they found Jesus fast asleep. Now they were faced with a couple of options, they could just let Him sleep and hope everything worked out or, they could wake Him up and explain to Him that He might want to wake up because He was going to drown. The King James says it like this… And He was in the hinder part of the ship, asleep on a pillow: and they awake Him, and say unto Him, Master, carest Thou not that we perish? The Message translation says… And Jesus was in the stern, head on a pillow, sleeping! They roused Him, saying, “Teacher, is it nothing to You that we’re going down?” Awake now, He told the wind to pipe down and said to the sea, “Quiet! Settle down!” The wind ran out of breath; the sea became smooth as glass. Jesus reprimanded the disciples: “Why are you such cowards? Don’t you have any faith at all?” So the question begs to be asked, are we men and women of faith, or are we cowards? When we are confronted with opposition in our teachings, our ideals, our essentials, our very core beliefs, do we find ourselves trying to make rules to control the situation, or do we simply speak to the winds… “Quite! Settle down!” This past year we have had several communities face the difficulty of dealing with gay, lesbian, and unmarried couples that live together, that have been sponsored to attend a weekend. I know this isn’t anything new, but it has become a large issue in the past couple of years and has now become a storm. We passed some rules several years back to attempt to protect Tres Dias from any liabilities and later found out they were of little value. Now we find ourselves in disagreement about the path forward. This past year we have spent a large portion of each meeting discussing these issues and for many of us, it feels like the boat is about to go under. Some, including me, have been looking at the back of the boat and thinking… “Teacher, is it nothing to you that we’re going down?” His answer to the disciples continues to ring in my head. We need to be men and women of faith; faith that He is with us and will never forsake us. Faith that He is the source of life and a real understanding that He not only commands the winds, He made them. 13 At our last meeting I told our members that I was not afraid of these storms and I went on to tell the following story from Matthew 16 beginning at verse 13. 13 When Jesus came into the coasts of Caesarea Philippi, He asked His disciples, saying, Whom do men say that I the Son of man am? 14 And they said, Some say that Thou art John the Baptist: some, Elias; and others, Jeremias, or one of the prophets. 15 He saith unto them, But whom say ye that I am? 16 And Simon Peter answered and said, Thou art the Christ, the Son of the living God. 17 And Jesus answered and said unto him, Blessed art thou, Simon Barjona: for flesh and blood hath not revealed it unto thee, but My Father which is in heaven. 18 And I say also unto thee, That thou art Peter, and upon this rock I will build My church; and the gates of hell shall not prevail against it. 19 And I will give unto thee the keys of the kingdom of heaven: and whatsoever thou shalt bind on earth shall be bound in heaven: and whatsoever thou shalt loose on earth shall be loosed in heaven. We have been given the keys. In this report you will see great testimony of how Tres Dias is blessed and is a blessing to others. Our Executive Director Paul Weis, shares about our new web page which will be up soon. Our Vice President of the Executive Committee Chuck Allen, tells how the new Tier method has helped us financially and also provides a method to measure community health by knowing how many candidates each community has each year. Our Vice President of the Administration Committee Valerie Mehl, tells us about how blessed we are to have so many excellent volunteers to fill the positions on this board and also about communities willing to host our meetings and share the joy of their community with us. Our Vice President of Membership Frank Yarbrough, tells us about the excitement of new emerging communities and older communities that are being recharged, and how the Tres Dias Fund is allowing us to extend a helping hand to communities in need. We currently have over $20,000 in the fund to help those communities. Our Policy Chair Barbi Langdon, tells us about how her committee weighs issues that affect our communities and tries to find that Grace filled solution. Our Services Chair Ned Heffington tells about all the great things his committee is doing to streamline our data management, publish a newsletter, provide supplies, and perform many other functions that help keep all of Tres Dias running smoothly. Our Financial Secretary Judith Herren provides a great report on our financial status and how richly our communities have blessed us. We are blessed to have over $50,000 in liquid assets to conduct our day to day business. Our Treasurer Merv LeMasurier provides us with a rock solid accounting of our finances and keeps a sharp eye on each of us to make sure we use these funds wisely. 14 We are blessed and highly favored. We are positioned to take this great ministry to every corner of the earth. We have been given the keys. Some of you may be asking “What are the keys?” The keys we have been given are the principles behind the 15 talks we share during the weekend. 1 – Ideals – Who am I? 2 – Grace – Who does God see me as? 3 – The Church – Am I alone in this? 4 – Holy Spirit – Do I have to do it in my own strength? 5 – Piety – Am I worthy? 6 – Study – Do I know enough? 7 – Sacred Moments of Grace – Am I equipped for this? 8 – Action – What should I do? 9 – Obstacles to Grace – What do I do when things go wrong? 10 – Leaders – I know God is there, but who can I turn to for guidance? 11 – Environments – How do I share this with my friends or co-workers! 12 – Life in Grace – Is it possible for someone like me to walk this walk? 13 – Christian Community In Action – If they can do it, maybe I can too! 14 – Reunion Groups – I need a little help from my friends! 15 – Living the Fourth Day – Who would have thought our Rector had the same struggles! The principles we learned on the weekend are the keys to our success as communities! When we come under attack, stand firm on the principles from these rollos and say to the wind and waves… “Quite! Settle down!” So I say to you “Fear Not!” Upon this rock He will build His church; and the gates of hell shall not prevail against it!!! Thank you and may God richly bless you and your ministry! Bruce Cato President International Tres Dias Secretariat 15 Tres Dias Home Office 3512 Springwheat Rockford, IL 61114 Executive Director Annual Report July 14, 2014 To: Bruce Cato, President, and to Recipients of the 2014 Tres Dias Annual Report As we are ending my second year occupying this position I find it is still a time of transition. My wonderful predecessor John McKinney continues to pass a few things on to me even as he diligently works with Ned Heffington on the Tres Dias database. Under John’s leadership, this position was continually evolving and it will continue to do so. I open myself up to serve in whatever way the Secretariat calls upon me to serve. It has been an exciting year. I was blessed to be part of group working on new best practice guidelines for starting new communities that includes more direct help and support from TDI. As an extension of that, we realized that we could and should be a bigger asset to all the existing communities. I had the honor of accompanying Membership VP Frank Yarbrough on a couple of trips to visit communities asking for assistance. One community was looking to revitalize their community and they were very enthusiastic after our meeting. I have been blessed with the ability and flexibility to often go when and where needed and will continue to do so as the Lord allows. We continue to extend the invitation to any community looking for help in any area to contact us. Just send requests to [email protected], [email protected] and/or [email protected]. Whether it be a need for answers; seeking advice; or looking for feet on the ground Tres Dias International is ready to help. We are about to undertake a total rebuild of the Tres Dias website. This will take some time and will be a step by step process. Most likely people will find the front pages of it changed first, with the current content still available further in. We currently have a minimal presence on Facebook, Twitter, and YouTube and will be looking into ways to possibly utilize those social media outlets more and tie those more to the website. The Tres Dias internet presence is a powerful tool for our Lord and can be so much more. The public and potential Pescadores can find out a lot about Tres Dias on our website. One of our first steps will be changing that experience for people coming to the website for the first time to really grasp who we are and what Tres Dias is all about. Local Secretariat Presidents and contact persons Correspondence Secretary This past year, our Secretary, Sheryl Allen, has undergone a difficult and challenging fight against cancer. We have intervened on her behalf with our Lord and Savior for the healing of her body and restoration of her spirit and she is now in the process of recovery. She is doing much better and hopes to return this July to the Assembly. Please be in prayer for her. Her duties have been filled by our Executive Director, Paul Weis, who has done a tremendous job. Thanks Paul for all of your assistance. Bruce Cato 18 Executive Committee Report The By-laws of Tres Dias (Paragraph 2.7.3) charge the Executive Committee with responsibilities of legal planning, budget and financial planning, changes in the Tres Dias organization, changes in the Constitution and By-laws and assistance to the President in other duties he may assign. The Executive Committee is composed of four officers - Executive Vice President, Financial Secretary, Recording Secretary and the Treasurer, and several members of the Secretariat and/or appointed (non-elected) persons. It is charged with responsibility for legal planning, which among other areas, includes responsibility for the protection of trademarks, logos and copyrights. It should be noted that the “Certificate of Trademark" is on file in the Home Office. The 34th Tres Dias International Assembly was held July 12-14, 2013 in Birmingham, AL. To aid in the bookkeeping procedures, we agreed to move the $25,00.00 CD maturing Aug. 31 2013 to the saving account line as recommended by TDI finance Treasurer, Merv LeMasurier. On October 11-13, 2013 the Secretariat met at Cleveland, Ohio. I’m grateful to Judith Herren (Financial Secretary), who respectfully filled the Executive-Chair position in my absence. Having no motions, much discussion continued on two topics: a. Budgets: For communities that host International Secretariat in the spring and fall, this committee recommended that any funding deficits be drawn from, contingency funds, Tres Dias funds, and or the Administration committee surplus funds under their jurisdiction and direction. b. New Tier Assessment Method: Much discussion was held regarding early reports from several communities. The March 8-9, 2014 Secretariat meeting was held in Princeton, TX. All TDI committees were prompt, prepared, and pleasant, in presenting their budget request. As Ron Langdon and I visited each committee individually, our enthusiastic effort expedited this proposed proxy ballot: Each year, the Assembly of Tres Dias Secretariats must approve by proxy ballot, the proposed Budget for the next fiscal year. At the March 2014 Secretariat meeting in Texas, the Secretariat voted unanimously to recommend for approval to the Assembly a proxy ballot for a budget of $44,000 for Fiscal Year 2014 (July 26, 2014 through July 11, 2015). The proposed budget amount includes ongoing Secretariat Committee operating expenses such as: insurance, meeting hosts, supplies, postage, printing, professional fees and services, travel and training workshops. 19 The breakdown of anticipated sources of funds for the budget would be as follows: Assessments from Communities $29,000 Retained Earnings $15,000 Total $44,000 Please note that there will be NO INCREASE or change to the tier structure for assessments in 2014. In Conclusion I wish to thank all the members of the Executive Committee for their faithfulness and spirit of cooperation. I Thank the Lord for their wise council, the leading of The Holy Spirit, and a keen eye to our future needs. I must make note of a personal assertion. We have enacted on a most positive solution to our assessment dilemma. In one year to the day, March 9, 2013 – March 9, 2014, we went from Mr. Dennis Farkas offering a solid method to determine assessment dues through a simple tier method, to it full implementation! That is “light speed” as far as committees go. We must now turn our attention from our “brain storming” to our “data mining”. Data-Miming Defined: “The overall goal of data mining process is to extract information from a data set and transform it into an understandable structure for further use.” Ref. “Data Mining Curriculum” This is our “work in progress“ and we implore your help. My plans are to “stay the course” within the bonds of a, “Christ-like manner”, serving all the Tres Dias communities. We enjoyed the colors of each community and appreciated all their effort and hospitality shown. Each meeting was a blessing and we made many friends in sharing Christ and Tres Dias. The meeting schedule is set for 2014 and 2015. We need one more host for the fall meeting in 2016 and then will start to fill in the scheduled for 2017. The meetings are costing more for communities to host and we have increased the budget for the Secretariat meetings and The Secretariat approved a motion for a small increase for the fee charged by host communities for the Assembly. This replaces the previous emerging community agreement and associated guidelines. For the first time, a new community will have support from both the sponsoring community and the Tres Dias International Secretariat (TDI). These two entities will work together to guide the community from the initial building process through to chartering. A liaison from TDI, a liaison from the sponsoring community, and the emerging community itself will have distinctive roles and responsibilities: TDI liaison: This person will be trained so that he or she can provide oversight and guidance to the sponsoring community and the emerging community, as well as Essentials training and other training at the proper times. This is being directed by the Membership Committee under its charge from the Tres Dias International Secretariat to "foster and guide" the growth of the Tres Dias Movement, and to "assure continued adherence" to the Essentials of Tres Dias. The sponsoring community liaison: This person will encourage and support the leaders of the newly forming community by providing leadership, guidance, support, and oversight in a loving manner. The role of the sponsoring community may or may not include financial support. However, any solicitations to other Tres Dias communities must come through the sponsoring community and be approved first by the Tres Dias International Membership Committee. The emerging community: Their role is to help build their new community on the principles provided under this agreement, with the help of the sponsoring community liaison and the TDI Membership Committee liaison. While the sponsoring community liaison may make suggestions, the emerging community is free to choose their own name, traditions, and activities, within the framework of the Tres Dias Essentials. All New Emerging Communities starting up and the existing Emerging Communities will now use The New Emerging Community Agreement. Tres Dias Fund: The Tres Dias fund was transferred into the Membership Committee to manage at the Secretariat meeting if Fairfield Connecticut in October of 2012. In Nashville at the Secretariat Meeting in March $25,000 was transferred into the fund. Membership VP appointed Mike Holmes and Jeanne Norwood to a Tres Dias Fund Sub Committee to help make the decisions in granting incoming request for the fund. The Tres Dias Fund has so far been able to Bless Chiclayo Tres Dias, Kansas Tres Dias, Northwest Arkansas Tres Dias, Tres Dias Con Dios, Vermont Tres Dias, Peru Tres Dias and Minnesota Tres Dias, from the fund. 24 Tres Dias Essentials Training: Membership conducts the Essentials Workshop and Certification Class at every TDI Assembly and Secretariat meeting. Each attendee is certified by TDI Membership to conduct the Essentials Workshop within their local Community for three (3) years after attending the Membership Workshop. Any local Community may request from TDI VP Membership a certified trainer to conduct The Essentials Workshop within in their Community. TDI requires all TD Communities to conduct the Essentials Workshop at least once every two years for the purpose of keeping local Pescadores informed of the Essentials of Tres Dias, the TD Program, and for the renewal of Charters. During the Essentials training greater emphasis should be given to the role and understanding of whom TDI is and its support of the local Community. Community Communication by Membership Committee: It is a priority of the Membership Committee to stay in contact with each local Community to maintain accurate records of each local Secretariat: Members of each local Secretariat, website information, current By-Laws, training of The Essentials of Tres Dias and by whom, and who the designated Community contact is. Membership also seeks open communications between the local Secretariat and TDI. As part of the renewal of the Chartering process, every Chartered community has been contacted during the past year. Membership is committed to improving the relationship between TDI and the local Community. Improved communications and mutual understanding will benefit and support local needs and encourage growth. It is vital that a Community starting up begin with proper support. We believe that better educating communities in their role in sponsoring a new community and the addition of the New Emerging Community and Best Practices Model will help in the future growth of Tres Dias. We are also committed to trying to help our struggling communities by offering our services at their request. VP Membership has had the honor of visiting several of our communities in the US and abroad this year. This has enabled us to hear firsthand the struggles that the various communities are facing and to offer suggestions and ideas of things that they might try to improve their situation. A great example of this is our being asked by South Hudson Tres Dias to come and meet with their Revitalization Committee. Executive Director Paul Weis and I were able to go and offer suggestions on things they might try or do differently, that we have learned from other communities. We have received several reports since the meeting and the Revitalization Committee’s work is being rewarded with a greater enthusiasm throughout the community. We are better able to serve our communities by knowing the successes and failures of our communities. 25 We are also committed to rescue the Orphaned Pescadores that have been left in areas without a community by the community that has gone inactive or from a failed start up. TDKR – Tres Dias Korean Region Sub-Committee: TDRK is a Korean sub-committee of TDI Membership for the purpose of communication between the large important Korean speaking TD Communities and TDI. TDKR recommends new Korean TD Communities to be chartered; oversees the renewal process of Re-Chartering Korean Communities; and conducting The Essentials Workshop in Korea. VP Membership and Executive Director Paul Weis attended the Annual Joint Secuela of the TDKR members in Seoul in December 2013. We were able to bring TDKR up to date on the new assessments and other policies of Tres Dias. We were able to answer a variety of questions and concerns that TDKR had. TRES DIAS KOREAN REGION COMMITTEE REPORT (September 2013 – June 2014) (To be sent in from TDKR) The By-Laws of Tres Dias International (Paragraph 6.7.5) charge the Membership Committee with the following functions: • Charter local secretariats (see Section 7.2), • Develop additional local Tres Dias communities • Support Pescadores in geographic areas not covered by a local Secretariat, and, • Propose to the Secretariat for later Assembly approval, additions or Modifications to the qualifications for chartering or re-chartering of a local secretariat De Colores, Frank Frank Yarbrough VP Membership 26 POLICY COMMITTEE REPORT October 2013 – June 2014-06-22 The Policy Committee handles all matters in the following major areas according to the Tres Dias International Constitution and By-Laws, section 6.7.1 Weekend, Fourth Day, Essentials (Section 7.1) and proposes policy for the Tres Dias Movement for consideration of the Secretariat and Assembly. The Policy Committee for this term consisted of… Reverend Charles Allen, John Brunette, Jeff Mehl, Denver Henderson, Tom Miller, Tim Abril Chairperson- Barbi Langdon Numbered (#) Documents- There was no numbered (#) documents referred out of this committee in 2013-2014. Jeff Mehl took over the task of revising the Spiritual Director Handbook that Reverend Charles Allen had diligently and tirelessly worked on. Jeff has put in much time and effort in to the revision of the guide. Discussion concerning the qualifications of a Spiritual Director was the main topic in all 3 meetings of the past term. In March the committee came up with a clarification of the qualifications instead of a revision which was mentioned in the past. This was voted on in committee and the members were in agreement to present a statement to the secretariat members. This was done during Saturday afternoon. It was suggested that this clarification be distributed among the communities. The committee has been receiving correspondence from a member of a northeast community. This gentleman has asked some questions concerning the Essentials, Constitution and ByLaws and Qualifications of a Leader documents that have caused this Chairperson to do much research and consulting and including other members of TDI and the Policy Committee. We will meet and I am positive that we will come up with a prayerful and thoughtful response to the questions brought forth by this gentlemen. Produce/distribute any newsletter or other periodicals published by Tres Dias 2. Print/manufacture and distribute any items written or generated by any committee of Tres Dias 3. Set prices, sell and collect for the sale of items it produces 4. Submit a monthly written report of its’ financial transactions to the treasurer of the Secretariat 5. Maintain an archive of historically interesting and important data, which preserves the history of the Tres Dias movement and any Tres Dias unique material. The committee may engage in sales of any item to local secretariats and the sale of Tres Dias unique items to any individual or group. See project items 9, 10, and 11 below, proposed changes to By-Laws job Description of Services Committee section 2.7.2 This is the second year for these items and no action has been taken. As a committee we have questions about the details and who should then change/modify the by-Laws and get it approved and distributed. Active/Continuing Projects: 1. The ITD Secretariat and Communities database. In the past, we have had problems with multiple accesses to the database on dropbox. It was decided that it would be necessary to move to an SQL server so that all officers and committee chairs can access it without conflict. Before that was possible, it was necessary to convert the three existing databases into one truly relational database using a common community and participants tables so that changes could be made one time and effect all previous databases. The conversion of the three databases into one has been completed recently. We are updating programs to new specifications such as the new criteria for assessing communities of their annual dues. This process has been simplified during the previous year and will be a part of the database. When that is completed, all officers and Committee Chairs will have on-line access to the “one” database without conflicts. In the meantime, Jeff Mehl’s company serves as the updater for all changes. See separate item (4) below. 2. The Tres Dias International Newsletter The “Colors of Tres Dias International” newsletter continues to be a strong tool for communicating with all communities. Currently, we are publishing on a bi-monthly basis using Constant Contact for production of the newsletter and its distribution. The distribution list continues to grow each month. We encourage local communities to 28 share with all their Pescadores to increase awareness and support for the growth of all communities, world-wide. We are pleased to have Jan Coleman join our staff as co-editor with Don Bohl. Jan comes to us from the newly chartered Northern California community near Sacramento. She is quite talented and experienced. We welcome her. We continue to use the International newsletter as a good tool for communicating with all communities and Secretariat members. 3. Administrative and clerical functions done by an outside vendor. Jeff Mehl’s company, Day Break Virtual, is now performing our database updates function. The trial has been successful and is costing less than originally anticipated. All Secretariat members and community leaders are encouraged to send any updates, whether for individual participants or communities to [email protected] All updates to the database are done by Jeff’s company. This contract service continues to be a more efficient operation than in the past. When the website is updated, later this year, it will include an on-line “update” link for communities and Secretariat members to direct their changes to Jeff Mehl’s Day Break Virtual site. This will enhance the process and reduce errors. 4. Provision of an electronic library for real-time delivery of all electronically available data to all communities. The electronic library is now functional and available to all communities without password protection. It can be accessed from the www.tresdias.org website. It utilizes a free server service until such time as we can place it on the Tres Dias server provided by arvixe.com. Those items not available electronically will continue to be provided, as before. If assistance is needed in setting up the application (Filezilla FTP client) for getting access to the library, contact the Services committee chair person at [email protected] or call 205 213-9216 cell. 5. Rector’s Guide - Some years ago, when the “blue-ribbon’ committee was updating all Tres Dias documents, it was decided not to provide a “Rector’s Guide.” The reason was, that many options are available to the current Rector as guided by the local Secretariat. As such, it would be difficult, if not impossible, to specify all the options and possible scenarios. At the time, one that had been written by a local Secretariat and used exclusively by them was provided as an example. The copyrights were removed and the Guide has been provided by the Services Committee to several communities upon request. Recently, it was brought to our attention that it left no room for local interpretation or variance. This was not the intention of the use of it as the official Tres Dias Guide for how to do a weekend. So, the item (Rector’s Guide) has been removed from the library until a decision is made at the ITD Secretariat meeting in July, 2014. 29 6. Supplies inventory and provision to all communities. Ben Seal continues to maintain our supplies inventory and fills orders submitted on the website. Ben is providing electronic copies of those items that are available as we work toward an electronic library for real-time delivery of those items not requiring paper copies Six items were decided to be eliminated from our inventory since they are not selling well. They are as follows: 1) Tres Dias bumper sticker, 2) Bumper stickers -6 colors w/language, 3) Tres Dias Cross label (pressure sticker), 4) Small bumper Stickers, 5) TD ball point pens, and 6) Tres Dias videocassette intro. We expect to have those items available at the Assembly this year in Atlanta, as quick sale items, available on a first come – first served basis. 7. The standard Access database for newly forming communities. The standard basic database developed in MS Access has been shared with several communities and some interest has been expressed at starting to collect data for that implementation. That will entail developing the skills in Access to facilitate such further deployment. We continue to encourage but few are responding. A lack of familiarity with Access seems to be the holdup. Birmingham has offered an access to their database from an online read-only basis for perusal and consideration of using it as a guide for their own database. Interest can be referred to the Services Committee. 8. Provision and trial of telecommunications capabilities for meetings and possible conferences. Susan Farkas of the Lehigh Valley Community has provided details about the use of electronic conferencing and written an article for the newsletter explaining its use. The Birmingham Community is planning to provide live audio and video conferencing (monitoring) of the July Assembly in Birmingham. Watch for specific details and encourage Pescadores not able to attend in person, to see and hear the Assembly sessions. This trial has been suspended due to lack of interest as no requests were received to observe the Birmingham Assembly. 9. Item 4 of the By-Laws section 2.7.2 Services Committee description needs to be eliminated after concurrence with the financial and treasury and administration officers and committees. Item 4 requests a written monthly report of financial transactions to the Treasurer of the Secretariat. This is no longer required as it is handled electronically by PayPal. Concurrence is required from all involved and then the By-Laws can be updated. 30 10. Item 5 of the By-Laws section 2.7.2 Services Committee description needs to be updated according to the needs of the Secretariat. Item 5 requests an archive of all historically interesting and important data, which preserves the history of the Tres Dias movement and any unique materials. It is assumed to include at least one copy of all documents published. This archive has traditionally been maintained by our now retired Executive Director, John Mc Kinney. That now moves to Paul Weis, Executive Director, in Illinois. The wishes of the Secretariat should be evaluated and re-assigned accordingly. 11. New responsibility to be added to the By-Laws job Description of the Services Committee, section 2.7.2 As we work toward a database on an SQL server, there will be the need for an administrator to maintain and control access to this database. The logical place is for someone on the Services Committee to be that administrator. Someone has to do the screening of who is allowed access, assignment of passwords, and general system perusal, as required, to maintain integrity and control of the database to avoid inappropriate use of the data. Respectfully submitted: Ned Heffington Services Chair 31 Financial Secretary’s Report Fiscal Year Report Dates July 01, 2013 – June 30, 2014 The International Secretariat Financial Secretary (Tres Dias By-laws Paragraph 2.4.8) receives and deposits all monies, such as assessment payments from the local secretariats, payments for Tres Dias supplies, and communicates these payments to the appropriate committee chair. Prepares and submits Community Dues letters to the local secretariats in accordance with the last Tier Method approved by the Assembly. Receive bank statements, other than checking account and reconcile the accounts. Have books available for the Treasurer’s review at each secretariat meeting. Assist treasurer in audit of Assembly books and in preparing the report prior to each session of the Assembly. Submit books to Executive Committee and/or outside agency for annual audit. Submit a written financial report to each Annual Assembly and each regular meeting of the secretariat. It is imperative for each community to report annually their previous calendar year candidate total to compute their fiscal year dues. All Community dues paid by check are forwarded to the Financial Secretary. Pay Pal is an option for online payment. The information gleaned by the Financial Secretary is forwarded to the Administration Committee. This information applied to the “Tier Chart” determines the number of votes each community has at the Annual Assembly for the following year. Annual Dues information for each community is communicated via email each year in mid-August.
