Wedding Rehearsals
A rehearsal for your wedding ceremony can be scheduled with one of our wedding
coordinators. Please understand a wedding scheduled on your rehearsal day has priority
for timing. Rehearsals can also be performed elsewhere and food can be catered by Wild
Basin Lodge and Event Center.
Wild Basin Lodge and Event Center recognizes that every event is unique. Toward
that end, our bar selection varies for each function. Format, selection and timing can be
customized to suit your specific needs and tastes. We will be happy to include and/or
exclude any spirits.
Rehearsal Meals &
Day-After Brunches
Whether it’s the hint of spice that accents a special cabernet or the long, buttery taste of
a fine chardonnay, Wild Basin Lodge and Event Center is proud to present distinguished
wines from around the world. Served to all attending, or just to a select few, we endeavor
to compliment your food selections with just the right vintages.
We have found that rehearsal meals and day-after brunches are an excellent opportunity to
spend more quality time with your guests in a casual atmosphere. Rehearsal meals are most
often served buffet style.
We find the finest house wines at the most reasonable prices. We also have the ability to
special order any wine or champagne licensed for distribution in Colorado. Likewise, our
beer selection spans the globe. Hard liquor, much like wine, champagne and beer, can be
tailored to your specific tastes.
“Everything was perfect, beyond
expectation. Our friends and family
were so impressed with everything.
Of course the scenery was
stunning, the food was delicious,
but what everyone loved most was
you. It was like we were married at
the home of friends! I can truly say
that there is not one thing I would
have done differently.”
~Amy and Rex
For rehearsal meals, we recommend a BBQ for your guests as a simple way for guests
to relax and enjoy the Rocky Mountains. Rehearsal meals can be hosted or catered to
another event site. As with our reception entrée choices, a customized menu can be created
upon request. Rehearsal meals are generally limited to two (2) hours.
Liquor
Colorado has made its mark in the beer market and not far behind are hand crafted rums,
vodkas, gins and liqueurs, each boasting farm fresh ingredients and crisp snowmelt water.
The Wild Basin Lodge and Event Center is proud to stock a variety of artisan beverage
options from several small batch local distilleries as well as an assortment of bottled
beer and wine (these are subject to change without notification). Options for your event
include a cash bar (your guests pay for their own drinks), an open bar (drinks are charged
to the hosts), or any combination of cash and open bar.
Day-after breakfasts and brunches offer you the opportunity to share your first morning
as a married couple with your guests. Both continental breakfasts and brunches can be
hosted or catered to another event site and are generally limited to one (1) and two (2)
hours respectively.
“
We knew right away that we wanted our wedding to take place at Wild Basin Lodge.
We actually enjoyed discussing the plans with you guys, as you probably guessed from
the number of visits we’ve made to Wild Basin Lodge. You guys really helped us save
money and your suggestions helped the event to run smoothly. Our wedding was
exactly what we wanted.

We are committed to making
your wedding day intimate and
unique. For that reason, we only

Music
Ceremony Sites
If you are planning for music for your ceremony, please consider that power is available at
both the amphitheater and meadow sites.
We are aware that some musicians hired to play during ceremonies request some form
of protection or to shade their instruments. Covered music stands are available at both
outdoor ceremony sites and can accommodate anyone from a soloist to a small group.
Reception
The St. Vrain and Copeland rooms are approximately 1,700 sq. ft. Live music and DJs
are allowed, but Wild Basin Lodge and Event Center management must regulate the
sound level. The general guideline regarding volume maintains that sound levels should
not hinder communication among staff working the event. Sound levels above 80 decibels
are not permitted. Bands or DJs exceeding this sound level will be asked to turn down
to be compliant with policy and may be unplugged if they refuse. Wild Basin Lodge and
Event Center should be notified of specific band or DJ requirements a minimum of two
weeks in advance of the event. Bands and DJs should plan to end at the event cutoff. Live
non-acoustic bands require the exclusive use of the lodge and all lodging rooms. Acoustic
bands are always welcome.

Altitude, Weather & Terrain
Liquor
Food
Wild Basin Lodge and Event Center is located at approximately 8,400 ft. elevation. Due to
our elevation, weather can be unpredictable any time throughout the year. As a contingency
to inclement weather, any event can be postponed or moved onto the covered deck or into
the reception room. During the winter wedding season, inclement weather may preclude an
outdoor wedding.
All bars will close 45 minutes before the end of your event. Non-alcoholic beverages
will be served from that time until your departure. We will order specialty beer (bottles),
wine/champagne and liquor for your event according to the following:
We strive to be as flexible
as possible in order to
make both your planning
process and your wedding
event special and stress
free. For plated service, we
recommend you include the
entrée selections in your
invitations. This allows
guest cards with their name
and their entrée selection
to be placed tableside.
When the final headcount
is submitted for billing
purposes, we require seating
assignments and your guests’
food selections. Having
this information allows
for optimum food service
and ordering. Be sure to
inquire about your family
and friends’ allergies as we
are happy to accommodate
special dietary needs.
At this altitude some people, both young and old alike, may feel weak, tired or experience
some difficulty breathing. We suggest your guests drink extra water prior to their trip and
extra water during their stay. This will expedite acclimating to the altitude. Correspondingly,
a jacket or sweater can go a long way in making a guest’s stay more pleasant in case of
inclement weather.
Schedules
Event coordination and food
preparation are based on the schedule
you establish. We request that you
review and adhere to this schedule as
best as possible. Some suggestions to
ensure your event will flow smoothly:
❖
n the wedding invitations, have
O
the start time announced fifteen
(15) minutes earlier than the
scheduled start time.
❖
I nclude an area map with the
invitations to assist guests in
finding the facility, as well as the
lodge’s telephone number as there
is no cell phone service in the area.
Decorations
Ceremony
To allow maximum flexibility with your decorations, Wild Basin Lodge and Event Center
staff will be happy to support your ideas and provide suggestions. To use a candle during
your wedding ceremony, please work with our staff to ensure we follow the fire regulations.
We ask that any decorations used at the ceremony be removed at the close of the ceremony.
I n order to assure availability for your event, special-order items must be ordered four
(4) weeks prior to your wedding date. Rush order charges may apply.
❖
A
ll special orders will be priced according to standard pricing structure and
are subject to availability from our distributors. Special order wines (including
champagne) and bottled beers are ordered only in “case” amounts. You can break a
case, although all distributors charge more for this.
❖
H
ouse wine, house champagne and house beer can be purchased by the bottle.
❖
ild Basin Lodge and Event Center must supply, open and serve all alcoholic
W
beverages. By state law, we cannot allow outside alcoholic beverages in the lodge,
lodge rooms or on the property. Pursuant to the aforementioned liquor laws, guests
going behind any of the bars, or serving alcohol brought in from outside sources will be
immediately expelled from the premises without exception.
In the event that any amount of special-ordered beer, wine or liquor is not consumed at the
conclusion of your event(s), Wild Basin Lodge and Event Center will dispose or distribute
said alcohol pursuant to Boulder County and Colorado State liquor law.
By state law, we cannot serve individuals without valid identification to prove they are
21 years of age or to those who are visibly intoxicated. Wild Basin Lodge and Event
Center reserves the right to deny service to anyone. We will secure the bar at the end of
your reception.
Reception
Your reception room will be ready to decorate two (2) to four (4) hours before the scheduled
ceremony time depending on your chosen package. If you require earlier access, an optional
charge will apply. Wild Basin will construct the optimal room diagram for your guest’s
comfort. Candles are allowed inside the reception rooms providing they have bases, trays or
some facility to catch the wax. Wax damage to linens or other surfaces constitutes damage and
loss of some or all of the cleaning deposit. If items attached to any surface cause damage, an
additional damage fee will be added to the final bill. All decorations, personal belongings and
other items must be cleared from the reception rooms within thirty (30) minutes of the event
end time. We recommend starting clean up thirty (30) minutes prior to the end time. The Wild
Basin Lodge staff will be responsible for linens, tables, glasses and other aspects of cleanup.

Final Notifications
Final Bill
Our preferred vendors require all liquor orders, linen orders and menu selections in
advance of your wedding date. Prior to your wedding date, we also require a final
headcount, final payments and a seating chart. Deadlines for these will be outlined
on your event sheet. A ten percent (10%) surcharge will be added to the entire
food and beverage portion of your final bill if any of these deadlines are missed. We
cannot guarantee proper quantities or exact menu selections if the final guest count
is received late. Headcount cancellations received after the headcount deadline or
“no-shows” the day of the wedding will be charged at full price for the reception meal.
Any additional guests over the headcount will be charged at the full adult price.
You will receive estimates throughout
the wedding planning process. Upon
receipt of your liquor orders, menu
selections and final headcount, estimates
become invoices three (3) weeks prior to
your wedding day. Upon receipt of the
invoice, final payment is due.
Contract Signing
A 25% deposit of your wedding/event is required along with a signed Wild Basin
Lodge and Event Center contract to reserve/book your event. Once received, all event
deposits are non-refundable. Your lodging should be noted on the contract and becomes
final six (6) months before your wedding. Until the wedding contract is mutually signed
and Wild Basin Lodge and Event Center receives full payment, all prices are subject
to change. A security/cleaning deposit is required and the balance will be returned two
(2) weeks after the wedding. The deposit for the event can be check (preferred), money
order, cash or credit card (Visa, MasterCard or Discover).
Payment can be submitted via check
(preferred), cash or credit card (Visa,
MasterCard or Discover). The final bill
consists of the lodging, rehearsal dinner
and bar, reception dinner and bar, rental
items, optional services, and all other
expenses associated with the event. A
service charge and sales tax are added
to the final bill. The service charge
covers all services, food and beverage,
but excludes lodging. Any deposit or
payments made toward the final bill
prior to your wedding/reception/event
date will appear as a credit against the
final balance. Variances in payment
between the final bill and actual costs
will be reconciled via the aforementioned
payment methods after the event.
