The event was co-organised by the Delegation of the European Union to Japan, Campus France Japon, the German Academic Exchange Service (DAAD), Meiji University and Doshisha University, and received the support of the Japanese Ministry of Foreign Affairs (MOFA), the Japanese Ministry of Education, Culture, Sports and Technology (MEXT), the Japan Student Services Organisation (JASSO), the Japan Society for the Promotion of Science (JSPS), Kyoto Prefecture and the City of Kyoto. A total of 47 Higher Education Institutions (HEI) from 12 different European countries were present at the EHEF, and over the course of the three day event a total of 1900 visitors were welcomed to the two venues. This proved to be a rise of 45% over the number of visitors to the inaugural event held in 2012, to which 1300 visitors came. The EHEF complimented the current drive by the Japanese government to encourage outgoing mobility, and the efforts being made to develop internationally minded "Global Professionals" to suit the needs of businesses operating in a global marketplace. The aim of the Networking Reception was to bring together European and Japanese university representatives, or people involved in exchanges and studying abroad programs, to enable them to talk and get to know each other in a semi-formal environment. The operation was made possible thanks to the financial support of the European Commission, DG EAC: 79 993€ (10,456,601 JPY.) (75% of total budget) Predominantly to cover promotional expenses and certain aspects of the Kansai event, the co-organisers collected participation fees from exhibiting HEI's. (300€ for the Tokyo event, 500€ for both the Tokyo and Kyoto events). The total amount collected from participation fees was 19 800€ (2,588,235 JPY.) ALC also distributed flyers and posters to further key university contacts as part of the campaign paid for by Campus France and DAAD. Direct email promotion The Delegation of the European Union to Japan sent direct information about the EHEF by email to key university contacts, and advertised the event prominently using its weekly email bulletin which goes out to nearly 5000 subscribers. Campus France undertook two email campaigns to 8688 subscribers. DAAD distributed information about the event in their monthly newsletter (ca. 1.500 subscribers), through the German embassy (ca. 5.000 subscribers) and Goethe-Institut Japan (ca. 4.000 subscribers) Meiji University and Doshisha University co-ordinated a direct mail to the JAFSA network, and the Tokyo University G30 office assisted by informing the G30 network about the event. Press releases A number of press releases were issued by the co-organisers. The Delegation issued an initial press release on the 1st April, and followed this with a direct email to key media contacts a few days prior to the event. On behalf of Campus France the Embassy of France issued a press release on the 22nd April; DAAD published their press release on 24th April. 㻲㼍㼕㼞㻌㻾㼑㼜㼛㼞㼠㻌 㻌 15/25 EHEF 2013 JAPAN 㻌 Subway/bus poster campaign Based on last year’s experience, it was agreed that a poster campaign in Tokyo’s train stations would have been too costly which is why efforts were concentrated on the Kansai area. Two different companies were contacted, one private company that covered the Hankyu and Keihan lines covering mainly Osaka and Kyoto. They put up 56 B2 sized posters in 28 stations, and a Digital poster in Kyoto and Sannomiya station. The poster campaign lasted from 13th-19th May. The other company was the official Kyoto City transport branch. They put up promotion posters in the city buses and subway trains (1300 for both buses and trains) and stations (35 posters), and they put out 2000 flyers at travelers’ disposal. The campaign ran from 8th-19th May. Online promotion (see screenshots in annex) The official EHEF website (www.ehef-japan.org) was online from mid-March. Banners were placed on co-organiser websites, as well as on the JASSO and JSPS sites. Member State embassies were also encouraged to actively promote the EHEF on their websites and social media pages. Existing social media pages were also made use of by co-organisers. The Delegation actively promoted the EHEF on its EU Circle Facebook page (www.facebook.com/eucircle). DAAD actively promoted the event on their facebook page (750+ likes) starting from the end of March through the main banner, a photo gallery and weekly posts that introduced the participating universities. To reach the target audience, all posts were done in Japanese and simultaneously posted on twitter (550+ followers). On the first day of the fair the campaign continued with live posts from the event. Additionally to the online campaign, the director of the DAAD office mentioned the fair in an article in JASSO’s online Ryugaku Journal. Campus France also utilized it's Facebook page (www.facebook.com/cfjapon), and paid for two sponsored campaigns, one running from 10th May (effective 12th May) until 25th May and another from 10th May (effective 12th May) until 19th May. Campus France also posted 㻲㼍㼕㼞㻌㻾㼑㼜㼛㼞㼠㻌 㻌 16/25 EHEF 2013 JAPAN 㻌 frequently on Twitter to remind people of the fair, and live tweeted during the event with information such as seminar times, and participating institution profiles. The Delegation arranged for promotional banners to be placed on the education page of the Asahi Shimbun website from the 5th-19th May, and on the Ryugaku Journal website from the 15th April-15th May). Separate ALC campaign As part of the campaign paid for by Campus France and DAAD, a number of online adverts were placed on ALC websites. Banners were placed on the SPACE ALC home page, the results page for the English dictionary research engine Eijro, a small article in a monthly journal ALCOM WORLD, mailing to 116 universities/international exchange offices, ad in a mail magazine for High School English Teachers (1740 correspondences) (see report at the end for details.) The campaign lasted over a period of 3 weeks. On-site promotion On the days of the fair itself student volunteers handed out flyers in front of both venues. A total of 1500 EHEF catalogues were distributed at both venues.
