Yes indeed, PM Worx has gone abroad.
We’ve taken our message that “facilities services is of strategic importance to senior living communities” into the world at large. And,
not too surprisingly, the message resonates
just as much on the world stage as it does
back here at home.
Josh and I just returned from the bi-annual
IAHSA conference held this year in Malta
where we led an afternoon workshop on
“Driving Business Results through Excellence in Facilities Services.” We spoke of
the evolution of senior living from local Mom
and Pop run homes to the industry it is today
and in particular, how that progression created today’s opportunity for facility services
to contribute more fully to the business as a
whole.
Attendees from England, Australia, New
Zealand and Holland as well as the U.S. and
Canada participated in the discussion about
their experience of trying to achieve greater
operational effectiveness and how the industry is coming around to seeing the role of
facility management as vital to both resident
satisfaction and the
protection of owner
assets.

Falcon and Maltese
Cross fame – naturally offered some great
tourism as well. Just 90 miles south of the
island of Sicily, Malta is a sovereign nation in
the middle of the Mediterranean. It’s been
the prize of conquerors throughout history
and as such, is rich with multi-national cultural influences left by Phoenicians, Romans,
Turks, Arabs and others. New to me was
seeing figs, dates, capers and olives being
grown as well as discovering limestone quarries and sea salt production.
We are grateful to Ginger Nuessle and Bob
Lagoyda of IAHSA for inviting us to get involved several years ago and specifically for
welcoming us as session facilitators. Over
500 delegates attended this global conference on Ageing Services. The next one is

Mobile Worx, our handheld companion to PM

handheld applications that are awkward and difficult to use, Mobile Worx is as straightforward
and easy-to-use as our desktop application.

be a bit of a swamp. The industry is changing
faster than you can type a text message. Kyle is
our expert on this front and guides us through
the quagmire of Smartphones, PDAs, Palms and

PM Worx User Tips
Special Resident Services: Handling special
resident requests is part and parcel of the job for
most of you. Measuring how much of your labor
time is devoted to it can be particularly interesting. One client we did a data audit with in January was surprised to see that a full 1/3 of his
staffing was used performing this type of work.
What’s the amount of time spent in your organization and what ratio does that represent for
you? See how we recommend tracking and reporting on this aspect of your workload on page
5.

In the Spring Issue of the WorxWire, we asked

PM Worx 5.1 - Top 5 Features
Now that PM Worx 5.1 is released and people
are beginning to use it, we’ve compiled a list of
what we consider to be the top 5 new features.

Those of you that have already installed 5.1 are
likely aware of these. Those who have yet to install 5.1 will be receiving a call to schedule the

Here’s a run down of my Top 5 (in no particular
order):
1. Permission to Enter Defaults
For those of you who have an Independent or
Assisted Living component this will matter more.
Essentially, this feature allows you to set defaults
for each resident unit/apartment regarding your
maintenance staff’s ability to enter to perform
work. For example, let’s say Mr. Wallace in East
Wing, unit 101 will allow staff into his unit but
wishes to have them call first.
In this case you can open up your Unit Data Entry Window, find unit 101, click the General tab
and update his permission to enter information.
The next time a work request or work order is
added for that location the permission to enter
details will automatically be filled in. Remember
that you’ll need to update the information on this
General tab when Mr. Wallace moves out or
changes his instructions.
2. ‘Incomplete Only’ Work Order View
Over time your work order window will be filled
with a rich history of completed work orders as
well as open work orders. This history is important to keep in order to easily perform on-screen
look-ups of prior jobs, but sometimes you just
want to see what’s outstanding. In PM Worx 5.1
you can open up your Find-by Function and select any search/sort criteria and then check the
‘Incomplete Only’ checkbox in the bottom left.
When you click OK, your work order window will
only display incomplete work orders. PM Worx
remembers this setting for the next time you
open your work order window. If you wish to reset this to view your entire work order history,
3. Automatic Status Change When Assigning
Labor
For those of you using the Labor Management
Module – this is the option that gives you a Labor
Tab in your work order window – the work order
status automatically updates from Unassigned to
Assigned once you add staff or contractors to
your Labor Tab. With this new feature, it’s much
easier to see which work orders have been deployed to workers and which work orders still
need to be assigned.
4. ‘Days Outstanding’ Report Filter
On any work order report you can now filter your
records to only show you specific work orders
which were outstanding (open) for a particular
length of time. For example, let’s say for the
month of March, you’d like to see any work orders that took longer than 3 days to complete.
Perhaps these are work orders that you’d like to
follow up on to discover why they took longer
than expected.
Here’s how:
• Click Report >> Work Orders >> CQI Outstanding Work Orders.
• Enter a Call Date range filter of March 1, 2007
to March 31, 2007 (you’ll need to scroll down
to find this filter).
• Now enter a Days Outstanding Range of 3 to
500 (enter a large value for the end of the
range to catch extremely overdue work orders).
• Print or Preview the report.

5. Scheduled Work Order Forecasting
Reports
PM Worx now includes a reporting feature that
lets you view your upcoming scheduled tasks
and PM in order to properly allocate staff or parts
resources. As an example, let’s say one of your
staff, Janet Jones, is going on holidays for the
month of August. Janet is assigned to perform
several scheduled work orders in that month and
therefore these will need to reviewed so that
other staff can take over these duties.
The report displays 4 upcoming tasks with an
indication of how long each task will take. Use
this report to find the appropriate staff to take
over these tasks.
While this operational level example can be useful in month to month management, this and the
other new forecasting reports provide a planning
tool for reviewing resource allocations for upcom-

Measuring Special Resident Services
Senior living communities that subscribe to the
value proposition of providing the highest levels
of resident service are wise to measure the resources required to deliver on the marketing department’s promises. In most cases, it adds up
to a significant amount of staff time that is often
not fully accounted for nor recognized when it
comes to determining what’s needed to accomplish all of the responsibilities that fall within the
scope of the maintenance department.
PM Worx gives you a way to measure where
you’re investing your resources. By using the
work categories and subcategories properly, you
can see exactly what amount of time (# of staff
hours) is devoted to the various types of activities. And the pie charts let you see in an instant
what proportion is devoted to each category of
work.
Commonly, these categories of work include
more of the “traditional” work of the maintenance
department such as appliance maintenance,
electrical, HVAC, landscaping and so on. By
adding another category of work to the options
called Special Resident Services along with a
series of related subcategories you’ll be able to
classify work orders appropriately and subsequently report on your results.
We recommend that the Special Resident Services be coded as SRS. Following the standard
method of all subcategories of work, you’d use
SRS01, SRS02 and so on.
Naturally, you’ll create the subcategories that
represent the groups of work that fit your community.

Then, when it comes time to see the proportion of work that falls into the category of Special Resident
Services, you can use the Work Order Report entitled Analysis by Category. When doing so, we
recommend that you set the date range that you’re interested in and turn on the graphing function
found on the “Advanced” tab on the Report Definition window.
Use the graphing
function to get a
clear picture of

You might also look at more detailed information by using other reports like the Work Order Register
or Work Order Cost Details.
By adding the SRS categories and classifying this type of work diligently, you’ll soon have a clear picture of how much of your maintenance staff time is devoted to delivering the extras required to maintain the service level established at your community. ▄

Discarded vs. Deleted: The Verdict
In the last issue I opened a debate about the Discarded work order status in PM Worx and I invited your feedback. I asked, you responded.
The results are in and they were loud and clear.
Here’s just a bit of what you had to say:
Kyle,
I'm writing in response to your section in the
Spring 2007 WorxWire Newsletter. We do use
the discarded status, but perhaps it will translate
easily to the new method you are proposing.
If a request is accepted but later dropped we
want to make the information on why we didn't
complete the job available to the other users so
we discard it but fill in the Feedback field.
Some examples are a project being shut down by
upper management, requests needing to be researched by a social worker (numerous calls
over something that sounds broken but ends up
being fine), and wrong addresses. (The wrong
address issue comes up quite often and we need
to be able to explain why we weren't able to complete our work.)
This is a great example of how one might use
discarded but we can still remove this status with
a smart upgrade. I think what we can do is to
mark each of those discarded work orders as
deleted, and close the original request leaving
the feedback data intact. Moving forward, anytime you think you want to ‘discard’ a work order,
you would actually delete it (mark it inactive) and
your ‘inactive reason’ would then flow back to the
original requestor. This was a great response
Sara and it has forced me to think deeper into
how to handle this software change.

Introducing: Amber Switzer
This month’s staff profile is someone many of
you have met. You may not be able to place the
face but you’ll certainly know the voice! It’s Amber Switzer, the voice of Windmill when you call
into our offices and your gateway to the right person to help you.
As you likely know, we don’t believe in answering
machines and voice mail all that much at Windmill. When you call, we expect to be there for
you. This is where the very charming and
friendly Amber comes in. She’s usually first on
the phones and performs the on-the-phone triage
that directs you to the right person or, if they’re
not available, guides you to the best option to
make sure you experience smart, reliable service
every time.
You’ll never be left on endless hold. In fact, if a
call is on hold for more than 45 seconds a buzzer
goes off in our office! And, we don’t put you into
a long queue claiming all the while that your call
is important to us. At Windmill, your call is important and that’s why we answer it.
When not taking care of you on the phone, Amber performs a myriad of tasks in the office. She
handles the mail including sending packages to
prospects, and manuals and CDs when you need
them. She organizes our airline tickets, hotels,
and rental cars and packs us up for trips whether
we’re going to implement PM Worx or heading off
to tradeshows and speaking engagements. All in
all, Amber tracks the many bits and pieces that
enable the rest of our service team to focus on
your PM Worx needs.
Cats are an important part of Amber’s personal
and work life. Not only does she have two cats
of her own, she considers herself The Nanny to
Jo-Anne’s pair of kittens she helped select this
past Christmas. She loves horseback riding, the
beach and spending time with her boyfriend.
She also has a new passion – travel. Amber
took her first plane trip last month and can’t wait
for the next one.
Until then though, she’ll be here to help you. So,
next time you call in say “Hi” to Amber. You’ll get
a cheery “hello” back and the knowledge that

ABCs of Pocket PC’s
PM Worx now has the capability to integrate with
a new addition to the Windmill offering called Mobile Worx. Mobile Worx is a Pocket PC application that allows you to take your work orders with
you into the field.
When out in the field, workers can look up task
details, view asset information, assign parts, see
relevant maintenance history, and even access
resident names and phone numbers. They can
also leave feedback for colleagues and contractors, enter completion details, and record labor
time.
Adopting Mobile Worx means considering a
whole new realm of mobile computing. There are
many devices out there that are compatible and it
seems there’s a new device every day – believe
me, it’s hard to keep up.
Here are some things to consider when buying a
Pocket PC.
Phone vs Pocket PC
There are two broad categories of Pocket PCs
out there, a straight PDA (Personal Digital Assistant) or a Smartphone (a cell phone and PDA
combined).
The trend in the market seems to be towards
Smartphones and I expect to see major growth of
new mobile products in the phone category which
means a potential phase-out of straight PDA devices over the next few years. Evidence of this
was seen when Dell discontinued their line of
Axim Pocket PCs and the word on the street is
that they’re developing a PDA Phone.
Most wireless carriers such as Verizon, Cingular
(now AT&T) and Sprint carry at least one Smartphone in their product line. For maintenance staff
who already carry a cell phone, the integrated
phone and Pocket PC makes sense so that they
have only one electronic device to carry. If your
company already has a cell contract with a carrier, there’s often an upgrade option that’s affordable to swap out old cell phones with new PDA
phones. It’s best to contact a representative with
your cell carrier to investigate your options.
Cost
Pocket PCs capable of running Mobile Worx can
range anywhere from $99 (with a cell contract) to
$7,000. Don’t buy the $7,000 device. It’s not
made out of gold, nor is it encrusted with dia-

Features
Like any computer, the list of available and optional features is quite lengthy. Be sure to review the
minimum requirements for Mobile Worx listed earlier before buying a device. So long as you meet
those requirements, you might want to consider some of these other features:

Pick the features

Although Mobile Worx is designed to
allow ease of use without a hardware
keyboard, many devices come
equipped with a keyboard right on the
front of the device and some have a
keyboard that slides out when required. The slide-out keyboard types
usually require you to hold your device
sideways. Mobile Worx will adjust to
accommodate this ‘landscape’ feature.

WiFi
WiFi means that a device is capable of wireless internet or network connections. Most devices will
have this built-in and WiFi enabled devices can interact with PM Worx if you have a wireless network in your community.
Accessories
The availability of accessories is important as you might want to purchase a protective case, replacement batteries, replacement docking stations or chargers, wireless phone headsets etc.
Think of the add-on accessories you might want and ensure that your supplier offers these items.
Common List of Mobile Worx Compatible Devices
This is not a full list, but these are the most common and affordable devices that we know of so far.
Like I said, the list of available devices seems to change daily so check the website of the manufacturer or cell carrier to see what’s current. Keep in mind that the prices listed often require an airtime
