The Wedding Ceremony To enhance your total wedding experience, the Casa Monica Hotel offers beautiful old-world style locations to host your ceremony. Included in your ceremony site fee, is the ceremony location, ceremony room set-up tailored specifically to your needs, and a professional bridal consultant to provide on-site assistance from beginning to end (service charge and taxes apply). The bridal consultant services include, but are not limited to: planning the flow of your wedding ceremony, positioning your wedding party, organizing ushers, selecting ceremony music, running your rehearsal, and assisting your wedding party throughout your ceremony. You must utilize a wedding coordinator noted on our Suggested Vendor List for your professional bridal consultant assistance. Ceremony rehearsal times and locations are based upon availability and are subject to change. Outdoor Events SULTAN’S PAVILION/POOL DECK Only wedding ceremonies (seating for up to 110 guests under the Sultan’s Pavilion-please contact your Event Manager for larger ceremonies) and cocktail hour receptions are permitted on the Sultan’s Pavilion and Pool Deck at the Casa Monica Hotel. Alternate space will not be provided in the event of inclement weather (with the exception of the cocktail hour, each ballroom space has their own pre-function area). It is the client’s sole responsibility to arrange additional tenting or heating (based on availability, at an additional cost to the client) with the Exceptional Events Manager no later than (7) working days prior to commencement of event. Music: Live entertainment and disc jockeys are allowed during the hours of 12pm - 10pm. The Casa Monica Hotel reserves the right, at any time during the function, to control the volume of all entertainment. Glass is not permitted on the Sultan’s Pavilion/Pool Deck. Please be advised that the Pool Deck is available to all guests of the Casa Monica Hotel at all times. No items (such as candles, flowers, lights, etc...) may be put, placed or floated in the pool, nor are any glass items permitted around the perimeter of the pool. To host cocktail hour out on the Sultan’s Pavilion and Pool Deck, if you are booked for your reception in one of our ballroom spaces, there is a charge. Amenities The Casa Monica Hotel will assist in the details of your complete wedding experience. All of the amenities featured below are included: Wooden dance floor in the Flagler and Casa Monica Ballrooms (Dance floors are not provided for the Sultan’s Pavilion/Pool Deck) White or ivory table linens (floor length tablecloths, matching overlays and napkins) Place settings to include china, glassware and flatware (some additional rentals may apply, glassware not permitted on the Sultan’s Pavilion/Pool Deck) Standard tables and banquet chairs Casa Monica table numbers and stanchions Cake table Cake cutting services Gift table Guest sign-in table Wedding event for up to five (5) hours including the cocktail hour Limited set up of wedding reception décor (i.e. place cards, menu cards, favors, cake knife and server, champagne flutes, and guest book) will be provided by your Exceptional Events Team. Please seek approval from your Exceptional Events Team, at least two weeks prior to your wedding date; all items must be labeled, and devoid of any stickers or wrapping. Please call Marina dos Santos at 904.819.6006 to schedule an appointment Tuesday through Saturday. HOW CAN I RESERVE THE DATE? Once availability is confirmed, a signed wedding agreement and a deposit will guarantee your special date! IS MY DEPOSIT REFUNDABLE? All deposits will be credited toward the final bill. All deposits are non-refundable and non-transferable. WHAT ARE THE PRICES? We have a variety of packages starting at $62.00 per person. We are always happy to customize a menu to work within your budget. CAN I HAVE MY CEREMONY AT THE CASA MONICA HOTEL AS WELL? Absolutely, we have both Outdoor and Indoor spaces for you to exchange your vows. Wedding Ceremony packages are available only when associated with a full service Wedding Reception with a minimum of 40 people and are dependent on site availability, time of day and number of expected guests. For smaller wedding we offer intimate wedding packages in 95 Cordova Restaurant! CAN I BRING MY OWN WINE, ALCOHOL OR FOOD? All food and beverage must be provided by the Casa Monica Hotel with the exception of your wedding cake. Our staff will provide cake cutting services. CAN I TASTE THE FOOD? One complimentary wedding menu tasting is available prior to your wedding date for two guests to attend. DO I RECEIVE HOTEL ACCOMMODATIONS IF I BOOK MY WEDDING AT THE CASA MONICA HOTEL? Your guests are able to visit www.marriott.com or call 800-648-1888 to make rooms reservations using a code. This code will offer your guests a discount and the reservations staff will be able to assist your guests in choosing room types, suites as well as reviewing special offerings. Should they be a AAA member, Marriott Rewards Member, FL/GA resident; etc…there may be additional discounts available. Please note, rates and availability will change and your guests should be encouraged to book as soon as possible. You will have no financial responsibility for any guest rooms not reserved by yourself. To set up a CONTRACTED GROUP BLOCK: Should you decide to take full financial responsibility for a room block (minimum ten rooms per night for two nights), you will receive a quoted rate that will not vary. However, please be advised your responsibility includes 100% of this block should the rooms not be reserved by your party thirty days prior to your event. The Casa Monica Hotel requires a credit card to guarantee payment with the Group Block agreement. Your guests will then be able to provide their own personal credit card upon booking their personal reservation in your wedding group block. WHERE DO MY GUESTS PARK THEIR CARS? The Casa Monica hotel offers valet parking with special rates for your guests! DO I HAVE TO USE YOUR VENDORS? Vendors hired to provide services must be appropriately licensed, insured and approved by The Casa Monica Hotel. Please ask your Catering Manager for a list of suggested vendors. WHAT'S INCLUDED IN A WEDDING CEREMONY PACKAGE? Included in your ceremony package fee is the ceremony location, (no back up room will be provided in the event of inclement weather) ceremony room set-up to include chairs, a Professional Bridal Consultant to provide on-site assistance from beginning to end and a room for your rehearsal. (Actual ceremony location may not necessarily be available for rehearsal). No Floral decorations or custom set-up embellishments (i.e. arbors, columns, drapery, runners etc.) are provided but may be available at an additional charge. CAN I OFFER TWO ENTREES? It is possible for you to provide your guests with a choice of entrée in advance. The following stipulations apply: ~ Multiple Entrees are limited to a choice of two published entrees. ~The hotel will provide vegetarian entrees appropriate to the menu. ~All other courses must be the same for all guests. ~Guarantee of attendance with the breakdown for each entrée is required (7) business days prior to the event. ~If there is a deviation on the day of the event from the guarantee, the additional entrees provided will be added to the final charges. ~A form of entrée identification is required at the guest table, i.e. clearly marked place cards. WHEN DO YOU NEED THE FINAL COUNT? Final guarantee count is due 7 business days prior to your scheduled event. If your guarantee is not received, your estimated attendance as listed in the contract will become your guarantee number and will be charged accordingly. The exception to this would be if your actual number of guests exceed your guarantee, in which case you would be charged for the actual number of guests that attended your event. CAN MY DOG BE IN MY WEDDING? Yes most certainly can! We need your pet trained and leashed and they must depart following the ceremony. DO YOU HAVE A ROOM FOR THE BRIDE TO GET READY IN? We offer a complimentary guest room with our wedding packages, if your ceremony is on site we recommend that you reserve an additional guest room for the evening before. IS THERE A LOCATION FOR THE BRIDAL PARTY TO GATHER IN BEFORE INTRODUCTIONS? Yes, we offer a "green room" banquet space. WHEN DO YOU NEED THE MENU SELECTION? The complete menu selection, including both food and beverage items, must be confirmed no later than 60 days prior to your function. Requests for changes made to the menu after this time cannot be guaranteed. Entrée choice policy is as follows: Maximum of two entrée choices are permitted. Salad and dessert selections are the same for all guests. Final counts for each entrée selection must be received no later than seven days prior to your event. DO YOU CLOSE THE POOL AREA FOR OUTDOOR EVENTS? Our pool area is always accessible to the guests of the Casa Monica Hotel, however, all efforts will be made to accommodate your special event. Please discuss with your Casa Monica sales manager to discuss options. MAY I PUT ANYTHING IN THE POOL? No items (such as candles, flowers, lights, etc...) may be put, placed or floated in the pool, nor are any glass items permitted around the perimeter of the pool. MAY I HANG THINGS IN YOUR BALLROOM? Limited items may be hung in the ballroom with approval from our Director of Engineering. Additional charges may apply. MAY I PUT REMOVABLE STENCILS ON YOUR MIRRORS? This is a great touch! We require this service is completed by a licensed and insured vendor. WHAT IS A FOOD AND BEVERAGE MINIMUM? This is a spending requirement for your total spend in both food and beverages for your event. MAY I BRING MY OWN BAND OR DJ? Yes you may! Your group must be approved in advance and carry the necessary insurance. SHOULD I EXPECT MORE THAN ONE WEDDING AT A TIME? St. Augustine is one of the most romantic locations in North east Florida, many weddings take place in our beautiful city. Due to demand very often more than one wedding takes place on the same day, however all efforts are made to stagger the start times. HOW DO I FEED MY VENDORS? We discuss in our planning process the option for feeding your vendors. Vouchers can be provided for vendors to enjoy their meal in Café Cordova. WHEN IS FINAL PAYMENT EXPECTED? The signed contract and a non-refundable deposit in the amount of 25% of the estimated revenue is required to validate your contract and secure your wedding date. Cash, personal check and credit cards are accepted. A payment reflecting 25% of the food and beverage minimum will be due six months prior to the wedding. An additional payment reflecting 25% of the food and beverage minimum will be due 90 days prior to the wedding. Final payments must be received one week prior to the wedding, should final payment be made after that date, only a credit card or cashier's check will be accepted. All deposits will be credited toward the final bill. At this time, your final head count will be due and approval and signature on your final Banquet Event Order will be required. In the event that payment is not received by the specified time, charges will automatically be posted to the credit card on file. DO YOU HAVE CHILDREN’S MENUS? Yes we do for all children 12 and under. MAY I CUSTOMIZE THE MENU PACKAGES? Absolutely! We can customize menus to reflect your taste and style. ARE YOU MY WEDDING PLANNER? The Casa Monica Hotel strongly suggests you hire a professional wedding planner to assist you in the preparation leading up to your special day, as well as day of assistance. You will work with a catering sales manager to review menus, pricing and terms of contract Upon contract signing you will then have an event services manager to assist you will detailing the reception and catering function as it pertains to your wedding, however, we do not offer wedding planning services. ARE YOU MY WEDDING PLANNER? You will work with a catering sales manager to review menus, pricing and terms of contract Upon contract signing you will then have an event services manager to assist you will detailing the reception and catering function as it pertains to your wedding, however, we do not offer wedding planning services. Day of: The set-up of wedding reception décor must be provided by yourself or a professional, contracted wedding planner and cannot be performed more than two hours prior to contracted event start time. The following services are not provided by the hotel however we can certainly provide you with a list of wedding planners to assist with these important details; printing, organizing or distributing place cards, menu cards, placing favors, providing cake knife/server or champagne flutes, returning rental items, queuing music, arranging photographs, setting up rentals such as linens or chair covers/tie chair bows (this service is required to be performed by your rental company), placing candles. Your Event Services Manager will provide the following services: Private menu tasting for two, event space diagrams, food and beverage consultations (our team can consult on personal preference, religious needs or dietary restrictions) and menu development. Day of: Your ESM will be onsite two hours prior to event to direct your vendors and guests, overseeing service and timing of food and beverage services and ensuring your event is a success. ANTIQUE CARS? The Casa Monica Hotel's antique cars are extremely authentic and do not operate, however, you may use to photograph. MAY I CHECK IN EARLY ON ARRIVAL DATE? Check in is at 4pm. We highly recommend if your desire is to have access to your room all day on check in day, that you reserve it the prior night as not to be disappointed
