Youth Ski Trip 2016

Dear Parents,
Thank you for your interest in having your son or daughter join us this year for our annual skiing trip. This event
is coordinated by All Saints Church and St. Alban’s Cathedral. All Saints Church will handle all registrations.
The Emergency Release & Consent Form, the Medical Information sheet, and money MUST be sent to All
Saints Church at the address above. DO NOT turn them in to your local parish.
This is one of the most popular youth events in the diocese. This is an opportunity for our youth to engage in that
quintessential winter sport as well as fellowship with other Anglican teenagers from throughout the southeastern
part of the U.S. for a very reasonable price. As most of you know, skiing is a rather expensive sport but we try to
keep the costs as low as possible. This year’s cost is $190.00 per participant. This price includes lift tickets,
equipment rental, food, lodging, and horseback riding. If you know of financial need for a worthy youth who
cannot afford this trip, please let Fr. Erich Zwingert, Fr. Ralph Waterhouse, or your parish priest know. All
should be able to go if they desire it. Space, though, is limited and we must set a deadline for forms and deposits
on December 15, 2015.
Travel from Florida will be coordinated by Fr. Waterhouse. Travel from Florida may require an additional fee
for transportation. Fr. Waterhouse will let everyone know regarding that possibility.
If this is your son or daughter’s first ski adventure, the resort requires a lesson. That is an additional $25.00 that
is required to be paid. The minimum age requirement for this trip is 12 years old and in the 7th grade. Experienced skiers may wish to use a snowboard. That is an additional $10.00. First time skiers may not use a snowboard.
As in the past, this trip occurs over the Martin Luther King holiday weekend, January 15-18, 2015. The Florida
contingent will meet at St. Alban’s Cathedral at 6:00 a.m. on Friday, January 15. The western North Carolina
group will leave from All Saints Church at 3:30 p.m. on that same day. Anyone else joining us should meet us at
Springmaid Mountain resort at 6:30 p.m. on that Friday. We will be skiing at Sugar Mountain Ski Resort
(www.skisugar.com) in Sugar Mountain, North Carolina and we will be staying at Springmaid Mountain
(www.springmaidmountain.com) in Spruce Pines, North Carolina.
Send your completed form (remember to have it notarized) and a check made payable to All Saints Church for
$100.00 (sorry, not refundable*) to the address above. You may pay the remainder upon arrival for the ski trip.
Accompanying this letter is the two page Consent Form, the Medication Policy, and the Important Ski Trip Information page which includes the itinerary as well as “What to bring” and “What to wear.” All forms can be

2. Long underwear is a must, especially the bottoms.
3. Use a knitted ski hat. Approx. 40% of body heat is
lost through head.
4. Turtleneck sweaters help preserve body heat.
5. Warm sturdy gloves or mittens are essential to pro-
tect hands. I suggest spending the money to get an
actual pair of ski gloves. If your hands get wet and
cold, your day is ruined! Nothing knitted.
6. Ski pants can make your day wonderful. Borrow
some if you can. Do not wear jeans because they get
real wet.
7. Eye protection. Ski goggles are best. At the minimum wear sunglasses.
8. One pair of heavy thick wool socks is all you should
need. If you must wear 2 pair, put the thicker pair
over the thinner pair.
9. Borrow as much proper ski gear you can get your
hands on. Ask around. You’ll be surprised how
many people actually own the right stuff.
10. Don’t forget an overcoat of some type.
What to Bring
Pack the things you normally would for a weekend away
from home.
 Only one suitcase/duffel bag. MUST be soft sided
to fit in vehicles.

 Boots or extra pair of shoes. If all you have are
sneakers, the first pair is guaranteed to get wet.
 Money for food on car ride days of Friday & Monday. (Florida group)

Youth Event Policy on Medications
Whenever someone participates in a youth event under the auspices of All Saints Anglican Church
it shall be understood that they may not have in their possession at any time any medications. This
includes all prescription AND over the counter medications. There are no exceptions to this rule,
except for an inhaler used to handle emergency breathing situations. If this exception pertains to
you, it must be noted on the medical information form and the chief chaperone must be verbally
notified. The chief chaperone for all events shall be the Rector of All Saints Church or his designate.
If the participant requires prescription medications during the course of any event, a medication
form must be requested prior to the event. This form must be completed and given to the chief
chaperone when the participant arrives for the event. The prescription medication must accompany
the form, in its original prescription container.* The purpose of the form is to ensure that chaperones for the event know the proper dosages to be received and also to ensure parents that their
young person has taken their medication properly. The form, as filled out by the chaperones during
the event, will be returned to the parent when the event is complete. The chief chaperone, or his
designate, shall always dispense all medications.
Regarding over the counter medication, the chief chaperone shall have available for the participants
acetaminophen (commonly called Tylenol), ibuprofen (commonly called Advil) and antacids (i.e.,
Tums, Rolaids, etc.) and will dispense these, at his discretion, on an “as needed” basis. No other
over the counter medications will be dispensed until the parents have been consulted and their verbal approval received. An example of such a situation would be the participant catching a cold and
needing a decongestant.
Any participant found with any medication during the event will be immediately sent home, at the
parents’ expense. Please know that these procedures are for the health and safety of all the participants and chaperones during any event. The chaperones and the organizations they represent must
exercise due diligence whenever medications are involved. This applies to all participants, even
those age 18 and older. This policy does not apply to adult chaperones.
It has become necessary to advise you that birth control pills will not be dispensed for any reason.
Thank you for your cooperation with these guidelines. We look forward to having a wonderful time
