ONE MENU IS REQUIRED FOR ALL GUESTS. LIMITED DIETARY SUBSTITUTES CAN BE MADE AVAILABLE UPON PRIOR REQUEST.
MENUS MUST BE SUBMITTED TO THE CATERING OFFICE AT LEAST ONE MONTH PRIOR TO YOUR FUNCTION. ALL FOOD AND
BEVERAGE IS SUBJECT TO A SERVICE CHARGE AND APPLICABLE GOVERNMENT TAXES.
IN THE EVENT OF ANY GUESTS IN YOUR GROUP WHO HAVE FOOD ALLERGIES OR DIETARY RESTRICTIONS, THE HOTEL SHALL BE
PROVIDED, IN WRITING, WITH THE PARTICULARS, INCLUDING FULL NAMES, OF EACH GUEST
MINIMUM GUARANTEES ARE DUE TWO (2) WEEKS PRIOR TO THE EVENT. WE WILL PREPARE AND SET FOR FIVE (5) PERCENT
ABOVE THE GUARANTEED NUMBER. FOR PLATED MEALS – VEGERTARIAN SUBSTITUTES FOR UP TO FIVE (5) PERCENT OF
ATTENDEES WILL BE AVAILABLE (CHEF’S CHOICE).
A $100.00 LABOUR CHARGE WILL BE ASSESSED FOR PLATED SERVICE FUNCTIONS OF LESS THAN 20 PEOPLE.
ALL PRICES ARE SUBJECT TO CHANGE WITHOUT NOTICE. PRICES WILL BE CONFIRMED NO MORE THAN SIX MONTHS PRIOR TO THE
FUNCTION DATE.
PAYMENT AND CANCELLATION POLICY
A NON-REFUNDABLE AND NON-TRANSFERABLE DEPOSIT IS REQUIRED TO CONFIRM DATE AND SPACE HELD. THIS DEPOSIT WILL BE
REGARDED AS A DOWN PAYMENT TOWARDS THE TOTAL COST OF THE EVENT. THE ESTIMATED BALANCE AS PREPARED BY THE
CATERING DEPARTMENT IS PAYABLE BY CERTIFIED CHEQUE, CASH, OR COMPLETED CREDIT CARD AUTHORIZATION FOUR (4)
WEEKS PRIOR TO THE EVENT.

SHOULD THE NUMBER OF GUESTS ATTENDING THE FUNCTION DIFFER GREATLY FROM THE ORIGINAL NUMBER QUOTED, THE
HOTEL RESERVES THE RIGHT TO PROVIDE AN ALTERNATE FUNCTION ROOM BEST SUITED FOR THE GROUP’S SIZE. SHOULD THE
NUMBER OF GUESTS DECREASE BY 25% OR MORE, A RENTAL AND/OR LABOUR CHARGE WILL BE LEVIED FOR THE SPACE AND
SERVICE PERSONNEL INVOLVED.
ENTERTAINMENT (INCLUDING DJ SERVICES) IS SUBJECT TO A MUSIC TARIFF FEE WHICH INCLUDES SOCAN (SOCIETY OF
COMPOSERS, AUTHORS, AND MUSIC PUBLISHERS OF CANADA) AND RE:SOUND. THE MUSIC TARIFF IS BASED ON MAXIMUM
ROOM OCCUPANCY AND NOT THE NUMBER OF PEOPLE IN ATTENDANCE.

THE HOTEL HAS 3 LEVELS OF PARKING WITH 350 STALLS AVAILABLE AT COMPETITIVE RATES.
DELIVERIES
ALL DELIVERIES MUST BE LABELED PROPERLY INCLUDING: NAME OF THE WEDDING; CONTACT NAME; DATES; NUMBER OF
BOXES AND “ATTENTION BANQUET DEPARTMENT”. THE HOTEL WILL NOT ACCEPT DELIVERIES MADE AT THE FRONT DOOR
AND WILL NOT MAKE COD PAYMENTS. LOADING DOCK FACILITIES ARE AVAILABLE 8AM – 8PM. THE CATERING MANAGER
MUST BE ADVISED IN ADVANCE OF ALL DELIVERIES EXPECTED. ITEMS REQUIRING REFRIGERATION MUST BE DELIVERED DAY
OF THE EVENT.
ALL WEDDING CAKES MUST BE SET UP AND DECORATED BY THE BAKERY AND/OR DESIGNATE. HOTEL STAFF WILL NOT TAKE
RESPONSIBILITY FOR MOVING OR SETTING UP CAKES.
DUE TO LIMITED STORAGE SPACE, SHIPMENTS CAN ONLY BE ACCEPTED TWO (2) DAYS PRIOR TO YOUR EVENT. ITEMS MUST
BE PICKED UP IMMEDIATELY FOLLOWING THE EVENT. THE HOTEL ACCEPTS NO RESPONSIBILITY FOR DAMAGE OR LOSS OF
ANY ARTICLES LEFT ON THE PREMISES. THE CONVENOR IS RESPONSIBLE FOR ANY DAMAGE TO THE PREMISES BY THEIR
GUESTS OR INDEPENDENT CONTRACTORS WORKING ON THEIR BEHALF.
THE HOTEL DOES NOT HAVE AND CANNOT PROVIDE LABOUR OR EQUIPMENT FOR MOVING LARGE ITEMS IN OR OUT OF THE
PREMISES. SMALLER ITEMS MAY BE MOVED UPON PRE-ARRANGEMENT WITH THE CATERING MANAGER. LABOUR CHARGES
WILL APPLY.
MISCELLANEOUS
THE HOTEL WILL PROVIDE ONE PODIUM AND FIXED MICROPHONE AT NO CHARGE FOR ANY FUNCTION SCHEDULED IN A ROOM
WITH A SOUND SYSTEM. EACH ADDITIONAL MICROPHONE WILL BE CHARGED AT APPLICABLE RATES.
THE COAST PLAZA HOTEL & SUITES PROHIBITS SELLING TICKETS AT THE DOOR
ALL FUNCTION ROOMS AND FOYERS ARE DESIGNATED NON-SMOKING IN ACCORDANCE WITH THE CITY OF VANCOUVER
BYLAWS. PLEASE ASK ABOUT OUR FUNCTION ROOMS WITH EXTERIOR ACCESS.
ANY SIGNAGE USED MUST BE OF PROFESSIONAL NATURE AND IS RESTRICTED TO CERTAIN AREAS OF THE HOTEL. DEFACING,
STAPLING, OR TAPING OF MATERIALS ONTO HOTEL PROPERTY IS PROHIBITED. CHARGES WILL APPLY FOR DAMAGES.
