Hart House Restaurant is a Tudor style Mansion located on three acres of lawn overlooking beautiful Deer Lake in Burnaby. In operation as a restaurant and wedding venue for 20 years, it has been the location of unforgettable ceremonies & receptions. Starting in mid-May of each year, wedding ceremonies and tented receptions for up to 250 guests are accommodated on our lawn between the mansion and the lake. All receptions take place in an elegant marquee tent, where your guests will dine with a view of the sunset reflecting off the tranquil water on Deer Lake. Luncheon bookings are also available in our Dining Room on Saturdays, with a garden ceremony. Between October and May (autumn to early spring), our indoor rooms can accommodate wedding receptions of up to 80 guests on the second Floor of Hart House, or up to 36 guests in our charming Lakeside Cottage, situated on the back lawn with a view of Deer Lake. Our Dining Room is available for Receptions for up to 80 guests with a wedding ceremony on the 2nd Floor. This buyout option includes the Fireside Lounge with a dance floor. Evening bookings start at 6:00pm and conclude at 12:00am. Tented daytime bookings start at 10:00am and conclude at 3:30pm. Extensions of bookings are available, but are subject to additional rental fees or minimums. Deer Lake Park offers a wide variety of beautiful backdrops for wedding photography. Enjoy a photo session in the park while your guests mingle by the lake with cocktails and delicious hors d’oeuvres. Prices do not included taxes or gratuities. Menus and prices are subject to change without notice. Hart House Restaurant provides an event manager and a dedicated service team. Tables, chairs, white linens including cloth napkins, china and flatware as well as all stemware are included. We provide any additional tables such as guest book, gift table or cake table as required. If you wish to select different types of chairs or linens we are happy to provide vendor recommendations and rental information. We will gladly provide a list of recommended vendors ranging from decorators to wedding commissioners; please note that Hart House has a list of DJs that must be selected from. Our linens are square white. Floor length table cloths can be rented with extra fees or provided by your decorator. Our experienced event planners will assist you in planning all details of your special day. We will work with you to custom tailor your menu, wine choices, itinerary and all the little touches that ensure that your wedding is magical. With many years of experience in fine dining and event planning, we share a commitment to flawless service. Our Sommeliers will enhance your dining experience by providing custom selections and choices to pair with your wedding reception menu. From BC to Australia and back to France our extensive wine program allows us to provide you with the finest wines the world has to offer. Our Executive Chef believes in designing a menu with local sustainability in mind, and that quality ingredients are essential in creating a fantastic dining experience. Our menu features Pacific Northwest Cuisine with a focus on the freshest regional and seasonal produce. Hart House Restaurant is a proud member of Oceanwise. Hart House Restaurant provides all food and beverages, with the exception of wedding cakes. A $2.00 per person fee will be charged for the cutting and plating of wedding cakes. No charge will apply to cupcakes or fake cakes. Food and beverage minimums apply to all bookings. All menu details are finalized one month prior to the event. If a plated menu is chosen, main course choices must be pre-ordered and submitted to Hart House no later than 10 days prior to the event. We recommend scheduling at least one face to face meeting with one of our planners before invitations are printed and mailed. Menu prices are subject to change; the availability of menu items can vary depending on the season. In lieu of menu tastings, we offer a complimentary dinner for the bride and groom in our restaurant, once the wedding is confirmed. This offer is subject to a minimum size of the planned event, and applies to food only. The Hart House offers outdoor wedding ceremonies on the estate grounds overlooking Deer Lake between May and September. Ceremonies are only available in conjunction with a reception. Hart House provides all ceremony set-up including chairs and a signing table. We gladly recommend wedding officiants for any type of ceremony. Hart House includes the use of a complimentary bride’s room only for tented and main floor dining room weddings. We are pleased to offer Champagne and a variety of snacks and beverages in your bridal room on request. The room is available one hour before the contracted booking time. A 30 minute ceremony rehearsal is permitted on the lawns, subject to availability, at no additional cost. All rehearsals are self-conducted. Four Course menus include an additional appetizer course. Guests may be offered a choice menu consisting of a maximum of two main course options plus a vegetarian choice. Main course choices must be pre-ordered and totals submitted to Hart House 10 days prior to your event. To facilitate service, place cards are required for each guest with a clear symbol indicating their choice of main course. Place cards are to be provided by the host and to be placed on the tables before the reception. All menus include coffee, tea, fresh baked rolls and butter. We are pleased to provide still or sparkling mineral water for your event. If no bottled water is selected, ice water will be provided continuously to all guests. Sparkling / Still (750 ml) $8.00/ Bottle *Minimum sales of $500 is required at any cash bar or Hart House will charge a bartending fee of $150. No bartending fee will be charged with a host bar. Our Garden Wedding season begins May long weekend, and runs until the first weekend in October of each year. All wedding ceremonies and receptions of 80 guests or more take place outdoors during this time. Rental fees are in addition to Hart House food and beverage minimums and ceremony fees. Tent rental include tables, chairs, linen, china, flatware, glassware, a standard size dance floor, heaters, ceiling drapery, sidewalls, flooring, lighting, dj table and cake table. Our dining room is available for indoor receptions Saturdays, 11:00am to 4:00pm, with the option of an outdoor ceremony. Menus and prices are subject to change without notice. The Hart House requires a $1500.00 non-refundable and non-transferable deposit and a valid credit card to confirm your booking. The deposit will be regarded as a down payment towards the total cost of the event. 50% of the minimum food and beverage requirement will be due 6 months prior to the event. The full balance is required one month in advance based on a food and beverage estimate prepared by Hart House’s event planner. Any outstanding charges will be invoiced and must be paid within 14 days of the event or will be charged to the credit card number provided with the signed contract. In the event of overpayment the amount will be paid to the undersigned by cheque. Payments must be made by debit, cash or by certified cheque. Our cancellation policy requires that the Hart House be informed of a cancellation at least 180 days prior to the event. In any case, the Deposit is non-refundable. In the event that less than 180 days’ notice of cancellation is given you will be held liable for the minimum guaranteed revenue, including all rental fees, as stated in your contract. All cancellations must be received in writing. To ensure our maximum efficiency, a final guest count is required one week prior to your event. If no guarantee is received the Hart House will bill for the guaranteed number or the actual number, whichever is greater. If no final guest count is received, you will be billed for the expected number or the actual number, whichever is greater. Should the numbers differ from the guaranteed guest expectancy the Hart House reserves the right to renegotiate costs based on the new size of the group, and to provide an alternative function room best suited for your group size. A minimum spending requirement will apply. Tented events may not exceed the maximum number of 250 guests. All prices are stated exclusive of applicable taxes and 17% gratuity. Prices are subject to change. The Hart House guarantees that there will be no changes to menu prices within 3 months prior to the event. All food and beverages must be supplied by the Hart House with the exception of specialty cakes. All specialty cakes are subject to a cutting and plating fee of $2.00 per person with the exception of cupcakes. A bakery or professional pastry chef must provide all specialty cakes. The Hart House is unable to provide storage or set-up for specialty cakes. Food and Beverages may not be removed from the premises. Menu and beverage choices should be advised one month prior to your event. Children under the age of 10 will be billed 50% of the agreed menu price, for buffet menus only. Due to licensing restrictions corkage is not permitted. All food, beverages, rental fees and service charges are subject to applicable taxes. A 17% gratuity will be added to all food and beverages. In lieu of menu tastings Hart House will offer one complimentary dinner (a la carte) for Bride and Groom between the time the booking is confirmed and the wedding date. This offer excludes alcohol. We assume no responsibility for the damage or loss of any articles left on our premises prior to, during or following the event. The Hart House is unable to provide storage before or after an event. The Hart House is not responsible for the delivery, pick-up or return of any items not rented through our venue. All décor items must be removed immediately after the conclusion of the event. Set up and removal of décor items are solely the responsibility of the host. The host shall be held responsible for any damage to the Hart House Restaurant’s property during their event and is responsible for the actions and/or conducts of their guests or independent contractors during the duration of their presence on the premises. The booking times are as stated in the contract. All ceremonies must be held within that time. Access for décor is permitted two hours before the contracted start time unless alternate arrangements have been made with Hart House Management. The host understands the potential for poor weather conditions, including rain and sudden drops in temperature. Wedding ceremonies are held in the reception tent if weather is inclement. No items may be affixed to the light fixtures, walls, floors or ceiling with nails, screws, tacks, pins, tape or any other substance which would mark the floors, walls or ceilings. NO confetti or decorative sparkles are permitted. Synthetic flowers/petals, rice or birdseed may not be used on the lawns of the Hart House. Only real flower petals are permitted on the lawns of the Hart House. All petals must be removed from the grounds prior to the end of the event. Please be sure all guests of your event are aware of our policies, as a cleanup charge will be applied to your bill if necessary. Any items affixed to the ceiling of the tent must be set up and taken down by a professional decorator approved by Hart House. Hart House Restaurant reserves the right to inspect and monitor all events and to discontinue service in the event that a violation of any facility policy or provincial law is being made. In any such case the host is still liable for any outstanding balances. If you are hiring a musician, DJ service or intend to play any recorded music during your event the Society of Composers, Authors & Music Publishers of Canada (SOCAN) mandates that a license be obtained. The Hart House must add to your invoice a fee of $59.17 plus tax if your event included dancing, and without dancing a fee of $29.56 plus tax. Due to our proximity to local residential zoning sub-woofers are not permitted as part of DJ’s sound system. Due to our location licensing amplified live bands are not permitted as part of the musical entertainment. Only DJs listed as our recommended vendors are permitted on the premises. Classical or Jazz ensembles are welcome. Indoor events: A dance floor is available on the banquet floor for dancing after 9:00pm, if requested. Prices do not included taxes or gratuities.
