Spring 2016 Graduation May 14, 2016 Office of Advancement & Alumni Relations Please see the Office of Advancement & Alumni Relations for information related to: • • • • Graduation Gift Program Donor Brick Walkway Graduation Toast Event Diploma Frames Contact us anytime! 817-531-6548 / [email protected] / alumni.txwes.edu Office of the Provost Robing & Hooding Convocation • Instructions are included in the Graduation Information Packet. • Robing & Hooding cards are due April 20th. • Robing & Hooding cards must be signed by the faculty member and turned in by the student to the Provost Office! • Each student is guaranteed (2) tickets to the ceremony. Extra tickets may be requested when cards are turned in. • Robing and Hooding ticket pick-up begins March 28th until May 6th. • Extra Robing/Hooding tickets begin May 9th until all are gone. ACADEMIC PREPARTION Academic Preparation Graduates • Your graduate program office and program advisor can assist with resolving any issues. Undergraduates • Your degree audit is the same document we use to evaluate your academic progress; please review it for completion of requirements. • Any outstanding courses or missing credit hours must me resolved prior to Friday, April 8th. If you need an extension, please contact me! • Your advisor is your best resource for resolving deficiencies. • If you are transferring a course, grade printouts or letters must be received by Wednesday, May 11th. Academic Preparation: Grade Printouts Grade printouts or letters from the instructor can be faxed, emailed or brought to Linda Humphrey by Wednesday, May 11th. The grade printouts or letters from the instructor must include the following: • Your name • Your course • Your current grade in the course or passing status Please remember to provide an official transcript showing completion of the course(s) and its grade as soon as it becomes available. Your degree cannot be posted and you will not receive your diploma until we receive this. Academic Preparation: Undergraduate Academic & Departmental Honors Academic Honors are based on your cumulative GPA and are determined AFTER final grades are turned in. We do not know for sure who will receive honors until the day before the ceremony. Academic Honors: Cum Laude – 3.5 to 3.69 Magna Cum Laude – 3.70 to 3.84 Summa Cum Laude – 3.85 to 4.0 Departmental Honors: Departmental and University Honors are awarded to undergraduates via faculty recommendation. If you have any questions, the offices of your deans can confirm your eligibility of such an award . Academic Preparation: What if I fail? • If you fail a course (or are otherwise ineligible for graduation), we will call you and notify you. We must have a current phone number for you. • You may not graduate with an incomplete – a letter grade must be received or you will be unable to graduate. • If you need to move to a later graduation date, it is your responsibility to submit a new online graduation application indicating your new target graduation date – you are not automatically included on any future graduation lists. GRADUATION CEREMONY Graduation Ceremony May 14, 2016 at 10:00am Southwest Baptist Theological Seminary – MacGorman Chapel 4616 Stanley Avenue, Fort Worth, Texas 76115 Graduation Ceremony: Arrival and Check-in It is important that you arrive in plenty of time to check-in and prepare yourself for the ceremony. • Plan to arrive by 8:45am. • Follow signs to check-in area. • Check-in at the Student Records table. You will receive a Flash Photography card with your name, processional number and any honors earned. You will keep this card with you during the ceremony. Graduation Ceremony: Processional, Seating and Conferral of Degrees • Process in by following your academic marshal. • Once led to your seat, remain standing until after the Alma Mater. • As each degree is called, those students will stand for the conferring of their degrees. Undergraduate students will move their tassel from right to left. Masters candidates will already be on the left – do not move it back to the right. • Your academic marshal will lead you to the stage for you to receive your diploma cover. Graduation Ceremony: Crossing the Stage • Hand your name card to your dean (or Grand Marshal, for graduate students) and climb stairs. Approach the President; receive your diploma cover and shake his hand. At this time Flash Photography will take your picture. • After exiting the stage, you will be stopped by Alumni Relations. A member of the Alumni Office will “pin” you. You will receive an Alumni Pin. • Return to your seat and remain standing until all students in your school have returned to their seats and the Provost has congratulated them. Graduation Ceremony: Conclusion and Recessional • Remain seated for the welcome from the President of the Alumni Association. • Rise for the Litany and Benediction. The Chaplain will ask everyone to be seated. • After the faculty recesses out, you will recess out in the same way you entered. Please DO NOT stop in the doorway. Clear the area for your guests to exit. POLICIES & OTHER INFORMATION Graduation Tickets • Students will receive 10 tickets which have been reserved for each graduating student. • Students must pickup and sign for their tickets in person between 8:00am Monday, March 28th through 5:00pm Friday, May 6th . If you are unable to pick up tickets in person, you may give Student Records your written permission to release your tickets to someone of your choosing. If you do not give your written permission, your tickets will not be released to your designee. • Tickets will not be released to students who have outstanding coursework or paperwork needed for graduation (excluding the courses in the current semester) until the coursework or paperwork is completed. Extra Graduation Tickets If you need more than the 10 tickets initially reserved, you can request additional tickets. • Extra tickets are available through Student Life. • Student Life begins distributing extra tickets Monday, May 9th. Any unclaimed tickets will be distributed to those on the waiting list. Regalia Appropriate regalia for students consists of honor societies’ tassels, medallions, and sashes. Please keep regalia adornment in good taste. Undergraduate Regalia - robe, hood, tassel and mortarboard. Graduate Regalia – robe, hood, tassel and mortarboard. Doctor/Doctoral – gown, hood, tassel and tam. You have the option of renting or buying regalia. Diplomas Texas Wesleyan University Standard, your diploma will reflect: • Your name as requested on your graduation application. • Your degree. • Academic honors earned, if applicable. Diploma Pickup/Mailout • Fall graduates’ diplomas will be available beginning Wednesday, June 22, 2016 in the Office of Alumni Relations. • You must fill out the mailing request form (included in your graduation information packet) to have it mailed. • Your diploma cannot be released if you have outstanding transcripts or if you have a hold of any kind. Tips • Please ask you guests to arrive early due to security check-in. • Please turn off your cellphones. • Please wear nice clothing under your robes, preferable something similar to “church,” or “business,” or “business casual,” attire. • Please leave your personal items in your car or with a family member during the ceremony. Update Your Information • Update your contact information after graduation, especially if you’ve moved or are currently a dorm resident. • Student employees must update their addresses with Human Resources to properly receive W2’s.
