Farm House Catering is our preferred Caterer and you will receive a $250 discount by using them, however, catering is open to any food service organization meeting this requirement. To Reserve: A non-refundable deposit of one half the rental fee is required with a signed rental and deposit agreement. The final contract will be sent out at least 1 month prior to the event. Full payment will be expected 2 weeks prior to the event. Additional Information: Setup and Breakdown time is included in each block of time and an additional $200 will be added for each hour that extends beyond the rental time. Only the deluxe packages allow you to come in the day before your event to set up. All Parties must be cleaned up and out by 12:00 midnight on event date. A Uniformed Security officer will be required at the event if there is going to be alcohol served at a rate of $30 hour for a minimum of 4 hours. Reservation Date: Reservations are issued to the first party to complete a contract with deposit, accepted by Southern Belle Farm. 2. Deposit: Southern Belle Farm requires 50% of rental fee, as a deposit, due at signing of your contract, which confirms your date. The deposit is non-refundable and any other amounts paid for services or rentals will be non-refundable if the Renter cancels the event. Your rental balance must be paid in-full 2 weeks before event. 3. Rental Package: Southern Belle Farm offers a variety of rental services of the facilities and property. Each are specific as to what access Renter and guests have during their rental. Rental time includes your setup and cleanup time. Our staff will provide setup and breakdown of our items provided, i.e. Tables, picnic tables, etc. Customer is responsible for all other setup and cleanup, and for the proper return of rental items. Property Access: The specific areas of Southern Belle Farm property accessible during event are noted in rental agreement for Renter and guests. All other parts of the property and facilities are off-limits unless noted in rental agreement. It is the Renter’s responsibility to ensure all guests remain in approved areas. Children are expected to be supervised at ALL times and should NOT be allowed in other areas of the property, except as noted in this agreement. All guests must remain in designated event area. a. Southern Belle Farm is a multi-purpose facility. Multiple events may be taking place on any given day. Only renters who rent the entire facility can be assured of privacy and exclusive use of the facility. 5. Weather: Southern Belle Farm is primarily an outdoor facility, and we cannot control mother nature. Renter understands that inclement weather is a possibility and Southern Belle Farm will help ensure a successful event with the resources on the property if the weather does not cooperate. 6. Liability: By signing this Rental agreement, Renter assumes all liability for themselves, guests and anyone who attends event held at Southern Belle Farm. Vendor/Catering Rules: ___________ (initial here) 7. Vendors: All vendors must be approved in advance by Southern Belle Farm and provide proof of liability insurance and licensure (if applicable). 8. Catering: Farm House Catering is an on-site catering company that is an approved caterer. Only licensed, professional caterers are allowed to cater an event at Southern Belle Farm. Caterers must be approved in-advance by Southern Belle Farm and must meet vendor requirements and follow all facility rules. a. Caterers must provide proof of liability insurance. b. Caterers must provide a copy of their business license and health department certification. c. Caterers must work within the scheduled rental time set by the renter. 9. Alcohol/Smoking Policy: Southern Belle Farm is an alcohol-free, smoke-free facility unless prior approval is received, and requirements are met according to this policy. Certain alcoholic beverages will be allowed if the following requirements are met: a. No Liquor of any type is allowed, at any time on the property. b. Only beer and wine are allowed on the property. c. Current State Alcohol License is required for the vendor providing and/or serving alcohol and shall require a licensed, bonded beverage caterer/bartender. d. Bartender or alcohol server must have a liability insurance policy. e. Alcohol must stop being served 1 hour before event is to end. f. Smoking is prohibited on the property. g. We reserve the right to discontinue alcohol being distributed if rules are not being followed. If further action is needed, Southern Belle Farm can end the event with no refund given. 10.
