Customer Challenge
The City and Welcare Hospitals had
previously employed a system requiring
their doctors to directly enter information
into the Hospital Information System (HIS),
or create dictations for transcription onto
an analogue tape system. The tapes and
files were then periodically collected for
the medical records department.
They required an established dictation
system from a reputed company that would
automate this process and also support
two hospitals working on one integrated
solution.
The system needed be able to support two
independent medical records departments
and also allow for the hospitals to
share resources across both sites where
necessary.
The doctors needed to be able to send
dictations in real time and to track
exactly what was happening with those
recordings, with the added assurance that
the recordings were secure and that they
were not going to go missing.
Consultation and Installation
After seeing several different vendors‘
solutions, and going through a lengthy
consultation period, CCMENA were
selected to deliver the industry leading
Winscribe Digital Dictation System into
both hospitals.

tailored to the unique characteristics
of each hospital and still be on a single
platform.

The Winscribe installation that was
implemented for The City and Welcare
Hospitals involved the following:
• Delivery of a Train The Trainer course,
so that the hospitals are able train new
starters on the system

The Solution
The solution consists of a centralized
Winscribe Server installation, being used
in two geographically separate hospitals
by around 250 doctors who are being
supported by 10 transcriptionists in two
separate Medical Records Departments.
The two hospitals have very different
workflows from each other. At The
City Hospital, doctors dictate from the
clinic rooms and wards. The dictations
then go straight to the Medical
Records Department, where a team of
transcriptionists transcribe directly into
the Hospital Information System.
At Welcare Hospital on the other hand,
dictations are received from the clinic
rooms and wards by the Medical Records
department for transcription. However
they are being transcribed into Word
documents that are then being sent
back to the doctors via Winscribe for
verification and corrections.
The primary input for the doctors in
both hospitals is via Philips Speech
Mike Pros connected to computers in
the clinic rooms that are running the
Winscribe Author Application. The Philips
Speech Mike pro is an industry leading
microphone with noise cancellation,
recording function buttons and a built-in
track ball mouse, allowing full operation
of not only the Winscribe application, but
the whole computer without the need to
put down the microphone.
The Results
The implementation of the Winscribe system made a great improvement to the
dictation and transcription process of both hospitals.
The doctors are able to dictate and send the recordings for transcription in real time.
This has led to a significant reduction in turnaround time and reduction in the amount
of time that doctors have to spend on creating reports. Furthermore, the Medical
Records Department are now receiving consistent high quality recordings from the
doctors that can be easily tracked and audited.

Secondary input is via the Philips DPM
9600 portable Digital Recorders, which
are distributed around the wards.
These recorders are programmed to the
individual doctor as they come to the
ward, and allow the doctors to dictate as
they are making their ward rounds. After
the doctors have completed their rounds
the portable recorder is plugged into a
docking station and the recordings are
downloaded and sent to the respective
medical records department for
transcription.
The solution was deployed in October
2010, and took only 6 weeks to deliver
from start to finish.
