All beverages are to remain within the facility.
It is the policy of Gonzaga University that no alcoholic beverages are brought on the premises
for consumption without written permission. An alcohol permit is required on campus. To obtain
a permit, please visit http://liq.wa.gov/licensing/banquet-permits. Sodexo reser ves the right to
refuse ser vice of alcoholic beverages to any person. All personnel have completed the Ser v Safe

When you have a catered event in mind, please contact us as soon as
possible. Even if you are not yet sure of such details as the exact event
date, event location and number of guests that will be in attendance, it’s
a good idea to touch base with us as early on in the process as possible.
Some catering arrangements through Flavours by Sodexo can be made
by phone, email or online; other catering arrangements require an inperson appointment with one of our event planning specialists. It’s easy
to get in touch with Flavours by Sodexo about your catering needs. Here

You must make arrangements to secure a location for your event. Whether
your event will be taking place on or off the campus, you will need to
officially “reserve” the space in order for us to be permitted to serve you
in this location. To reserve a room on campus for an event, please contact

You must make arrangements to secure tables, chairs and other
equipment you may need for your event. Please contact the Flavours
Catering office at 509.313.6902 for further details.
Eve n t Conf ir mat ion & Guar ant ees
You are required to provide us with a “final” number of guests that will
attend your event no later than three business days prior to the event; the
“estimated” number will be used if you don’t know the “final” number.
This document will outline the terms of your agreement with our
Catering Office and include all event details and requirements, including
time, date, location, menu selections, number of attendees, professional
services, equipment, and staffing.

No less than 3 business days from the scheduled catered event, please
make us aware of any event changes (including increases or decreases
in the number of attendees) or if your event needs to be cancelled. Please
be advised that if we are notified of your changes or cancellation after
this deadline, you will be responsible for expenses already incurred by
the Catering Office.

Final billing is based on confirmed or actual guest count, which ever
is greater. Payments made with a Gonzaga purchase order must be
received by the catering office prior to the event. An invoice will be sent to
the purchasing department the week following the event.

All Non-Gonzaga related groups/events are immediately required to pay
75% of the estimated total upon receipt of the contract, with the remaining
25% due the day prior to the event. Non-GU groups are subject to a 15%
administration fee and 8.7% sales tax on all food items.
Accepted forms of payment include Visa, Master Card, American Express,
Discover, cash, check, purchase order, department accounts and foundation
accounts. If you are a tax-exempt organization you must submit a copy of
your tax exemption certificate prior to the date of your scheduled event.
De l i ve r y Fees
There is no delivery fee for catering services held within the campus.
Deliveries outside the campus will be subject to a dollar amount or 10%
delivery fee, which ever is greater, and not to exceed $100.

To ensure that your event is a success, catering staff will be provided for
all served meals and some buffets. Continental breakfasts, breaks, and
receptions are priced for self-service. Buffet style functions are staffed
with one attendant for every 25 guests. Served meals are priced on an
individual basis.
The charge for each staff member is:
Attendants/Waitstaff
$20 per hour, per attendant
Station Chefs $25 per hour, per Chef (minimum 2 hours)
Bartenders $20 per hour, per bartender (minimum 2 hours)
C a t er i n g E q u ipment
As the host of the catered event, you are responsible for the equipment we
have provided for the service of your catered event. The cost to replace any
missing or damaged catering equipment or supplies will be charged to your
account. For very large events, specialty equipment may need to be rented
at an additional charge. Please speak with our coordinator in the event
these additional items are needed.
China Charges
We provide eco-friendly serviceware unless otherwise requested. We offer
china service for any event at an additional charge.

As a standard, we provide linens, skirting, and florals for all food and
beverage tables at no charge. Linens and florals for seating tables are
included for full meals with china service. Linens and skirting for guest
tables, check-in, display and other service tables on non-china services
events can be provided at an additional charge of $3.50 per linen or
$5.50 for linen and skirt. Specialty linens along with specific or specialty
florals are also available for your event at an additional cost. Please speak
with our coordinator to discuss all options with your linen and florals.
Food Removal Policy
Due to health regulations, it is the policy of Sodexo that excess food items
from events cannot be removed from the event site.
Alcoh ol Policy
All alcoholic beverages must be served by our personnel and consumed in
designated areas. Proof of age will be required. Sodexo reserves the right
to refuse service of alcoholic beverages to any person. All personnel have
completed the Serve Safe Training Program for Service.
Alcoh ol S e r v ice /Policy
A full bar setup (if liquor is planned) at a dinner or reception is $2.25 per
guest. All necessary bar items, except the alcohol, are provided with this
charge, including standard mixers, ice, napkins and plastic cups. An
additional charge for stemware will apply.
We recommend at least one bartender for every 75 -100 guests for Beer
and Wine service.
