Working with Markups
Line
Ellipse
Pick a color, width, and style.
Then click and drag to draw a
straight line or arrow.
Pick a fill color, border color and width.
Then click and drag to draw an ellipse.
Freehand
Rectangle
Pick a color, width, and style. Then
click and drag to draw a line of any
shape.
Pick a fill color, border color and
width. Then click and drag to
draw a rectangle.
Polyline
Whiteout
Pick a color, width, and style. Then
create a segmented line by clicking to
designate anchor points. Right-click to
end the line.
Click and drag to whiteout the area you
want to hide.
Highlight
Blackout
Pick a color. Then click and drag a
box around the area you want to
highlight.
Click and drag to blackout the area
you want to hide.
Polygon
Attachment
Pick a fill color, border color and
width. Then click to designate
anchor points. Right-click to end
the shape.
Click the location where you want
the attachment to appear. In the
Select File to Attach dialog,
browse to the location of the file
and click Attach.
Storing documents
You can use the Windows file system, eCopy Desktop
filing system, or your document management system to
store your files.
E-mailing documents
Save, Mail, Fax, Print, and
OCR buttons all support
drag-and-drop.
Drag single or multiple
pages to the appropriate
button to execute
the function.

To e-mail a document:
1. Click the Mail button.
2. Select the attachment format and other options.
3. Click Send. eCopy Desktop launches your
e-mail application and adds the document as
an attachment.
To e-mail a document with security settings:
1. Click Send Secure.
2. Click Advanced.
3. Select Require Password to change permissions.
4. Enter an owner password.
5. Select the specific permissions you want to assign to
the document.
Faxing documents
Right click to check file size
before e-mailing documents.
Open multiple documents
and select available attachments
to e-mail more than one
document at a time.
Secure documents with
an owner password to
prevent them from being
printed or modified.

To adjust or customize your fax options, click Options
> Preferences > Fax, select your fax settings, and click
Set as default.
To fax a document:
1. Click the Fax button. eCopy Desktop launches your
fax application.
2. Enter the recipient information and send the fax.
This will vary depending on the application.
To add a stamp to all pages,
drag and drop the stamp on a document. Right
click and select Apply to All Pages.
To view multiple
documents, click
Window >
Tile Horizontally
(or Vertically).

To sign a document, scan your signature into eCopy
Desktop. Drag a bounding box around your scanned
signature. Release the mouse and click Create
Stamp. Select the stamp library where you want to
save the stamp and click Add.
Markups
Toolbar
eCopy Desktop uses the default e-mail application on your
system. To adjust or customize your e-mail option, click
Options > Preferences, select your settings, and click
Set as default.
Stamp
Click the Stamp button, then select
a library from the stamp toolbar. Pick
a stamp, then drag and drop the
stamp onto your document.

Capturing & Opening Documents
Scan Inbox
If you are scanning documents at an eCopy-enabled
device, you can send documents back to your
personal scan inbox in eCopy Desktop.
1. Click Options > Preferences > Scan Inbox.
2. If you are also using ShareScan OP, select
Automatic Inbox Agent. Select Home
Directory if you want documents to go to your
Windows home directory folder. If you are using
manual Scan Inbox Management, select Manual
and enter the path.
3. Once the destination location for your scan
inbox is selected, click OK.
4. To open documents delivered to your scan
inbox, click the Scan Inbox button.

Use the notification
setting under
Options > Preferences >
Scan Inbox to get notified
when new documents
are waiting for you.
If you have a TWAIN compliant scanner attached to
your PC, you can control your scanner from eCopy
Desktop. To configure your scanner, click Options
> Preferences > Scanners, select your scanner and
click Set As Default.
1. Click the Scan button.
2. Adjust your scanner settings.
3. Click Scan.

Opening an existing document
Users can easily access saved documents.
1. Click the Open button.
2. Select the folder and document. eCopy Desktop
storage users will see a thumbnail of the
document by clicking Preview.
3. Click Open.
Moving pages and combining documents
The multi-page view supports drag and drop. You can move
or copy pages within a document or between documents to
combine scanned and electronic pages.
• Click the View All button to see thumbnails of all pages.
• Dragging within a document moves the page (hold down
the CTRL key to copy).
• Dragging to another document copies the page (hold
down the SHIFT key to move).
• To delete a page, select the page and press the DELETE key.
Using the eCopy Desktop markup tools
To copy several pages at
once, hold down the CTRL
key and click on each
page before dragging.
Hold the Shift key to
move them.
Select the Pick button and click on the markup that
you want to move, resize, or modify.
Locate documents by
searching on Filename,
Title, Author, or Keyword
Right click on any markup to
get quick access to copy, cut,
edit, or delete functions.
Add Text Annotations
• Double-click on a thumbnail to view a single page.
• Use the Actual Size, Fit Length/Width, and Best Fit
buttons to scale the view.
• Use the Zoom In/Zoom Out button to enlarge or reduce
the view of the pages or thumbnails.
• Use the Previous and Next buttons to page through the
document.
Using OCR (Optical Character
Recognition)
Right click to
Save Zoom as Default.
Click the cursor in the location you want to add your
text and begin typing.
Make markups permanent
to prevent them from being
modified or deleted.
Apply a Note
Convert an eCopy document into text that you can edit.
1. Open the document you want to convert.
2. Click the OCR button.
3. Select your OCR settings and click OK.
To convert selected pages
to text, hold down the
CTRL key and click on
each page (you must be in
View All mode to do this).
Then drag the selected
pages to the OCR button.
Find Text
Perform full-text searching from eCopy Desktop and other
supported document management systems.
1. From the File menu, click Create Searchable Text.
You can also create searchable text when you mail,
save, or export a document.
2. Click the Find button.
3. Enter the text that you want to search for.
You can use eCopy Desktop to make many different
types of markups on your documents.
1. Open a document in single page view.
2. Click the Markup button to access the markup
toolbar.
3. Select the markup you want to use and set its
properties.

Send documents from other applications to eCopy
Desktop to easily convert them to PDF documents.
1. From the application’s File menu, click Print.
2. Select eCopy Desktop 9.0 Printer.
3. Click Properties to change the default settings.
4. Click OK.
Working with Markups
To convert a block of
text, drag a bounding box
around the block and click
OCR to Clipboard.
Click and drag where you want the sticky note to
appear and enter your text. To relocate your note,
click and drag the note icon to a different location.
Insert a Hyperlink
Choose the settings you want for the hyperlink. Click
and drag to define the hyperlink area and to set the
expected behavior and target for the hyperlink.
Select Print with Comments
to print sticky notes with the
rest of the document.
