Phases of Integration
Design/Integration Workflow
Avidex offers you the most talented and knowledgeable staff in the industry. Our experienced sales, design,
engineering, project management, integration and support teams provide our customers with the highest quality of
service and solutions. Following well-established design/integration practices, Avidex will work to fulfill your needs
during every phase of the design, procurement, integration and post-installation support. Throughout the design and
integration process, we provide coordination, attendance in meetings, have regular communication on status/action
issues, and strive to provide all team members with the highest quality customer service.
The Avidex design/build process includes distinct phases that deliver excellence in integrated solutions.
Programming (needs analysis)
In the Programming phase, Avidex works to understand the requirements of your organization. We start with interviews
of the key personnel from your organization. This information gathering process aids our understanding of your core
business, as well as the technical, logistical, capital needs, communications obstacles, and future technology growth
goals. We explore all possible options and develop the design concept that best meets your objectives, both short and
long term. An Audio visual Programming Report will be produced based on the requirements communicated during the
interviews. The Programming Report will describe each of the audio visual systems in the project. In addition the report
will include an estimated budget. This budget reflects the anticipated equipment and integration costs to accomplish the
capabilities described in the report.
Infrastructure Design
During the Infrastructure Design phase of the project we work with the architectural and engineering team to ensure that
the building infrastructure is appropriate for the installation of the audio visual systems developed in the programming
phase. We meet with the design team to develop the design approach to achieve the desired audio visual systems
environment.
We participate in all necessary phases of the design effort and make recommendations for audio visual systems
integration with the architectural and engineering design teams. Our work product will include a summary of
infrastructure requirements including acoustical, electrical and lighting criteria. Also included will be facilities drawings
illustrating audio visual device locations, electrical drawings reflecting the power pathways and conduit requirements
and any associated details needed for construction of audio visual elements. Over the life of your project we continually
review the programming report and budget.
If, technology changes or design elements require adjustments these updates will be incorporated into the final design.
Avidex Statement of Qualifications 2012
Systems Design
In the Systems Design phase, we finalize the equipment required to accomplish the documented audio visual
capabilities. Typically, some time has passed since the project inception and beginning the actual systems design
phase. We meet with the client to review any technology changes that should be considered before equipment
selections are made.
We produce audio visual systems drawings showing the interconnection of all audio visual devices. A functional
specification is prepared describing the operational capabilities of the audio visual systems. An equipment list is also
prepared, that details every piece of equipment required to complete the audio visual systems. The equipment list is
prepared as a stand-alone specification that can be bid. We work with the client and the GCCM to determine the best
possible procurement process for the equipment.
Integration
The Integration phase incorporates Avidex coordinating the integration of the audio visual systems. This phase of the
project features both in-shop and site integration tasks.
Avidex factory-trained, industry-certified technicians will fabricate, install, field test and commission systems while our
project managers monitor project schedules and costs, update you with progress reports and manage technology
changes as they occur. Following the installation our experts provide training and documentation on the proper
operation of systems to assure comfort with the technologies installed.
Control Systems Programming
The Control System design and the touch panel screen concept are given to the programmer. The programmer works
with the designer to develop the program based on the system design and touch panel submittal. The programmer
develops the control program, loads it into the control system and tests all aspects of the program to prove its operation
to the specifications from the designer. The programmer will work with the lead installer to solve any equipment control
issues. When programming is complete, programmer and designer will meet and customer will sign off on the
control system.
Testing and Commissioning
Before scheduling system Final Acceptance the designer and lead installer will perform complete system
testing to include the following items:
Video Systems will be tested and documented for proper signal levels and operation with measurement tools as well as
observing the display device(s). All video paths will be tested from the origination of the signal to the display device. Any
discrepancies will be corrected prior to final acceptance.
Audio Systems will be tested and documented for proper signal levels and operation using measurement tools and
listening to the sound produced. All audio will be tested from the origination of the signal to the speakers or audio
destination. Assure that each piece of equipment in the audio path is performing at or above the manufacturer published
specifications. Correct any discrepancies found relating to signal quality prior to final acceptance. Sound System
Equalization will be set during the audio system testing using the appropriate test equipment. Control System operation
will be confirmed during the control system program phase of the job. A final test of control system operation will be
preformed prior to final acceptance and signed off by the designer. This sign off will be given to the customer in the final
documentation. A test report will be generated and given to the customer in the final documentation covering each item.

Documentation
In the Documentation phase, we take all of the approved concepts and put them onto paper in the form of facilities and
technical documents required by Avidex and others to properly build the AV systems and infrastructure needed.
Systems engineering and CAD are involved at this phase. Throughout the design and implementation process, we
provide coordination and attendance in meetings, have regular communication on issues of status and action, and strive
to provide all team members with the highest quality of customer service.
Our work product for each phase will be in the form of written reports, cost estimates, and drawings illustrating our
design and detailing architectural, electrical and systems requirements. Avidex will provide documents to define the
functional, performance and installation requirements for the audio visual systems, including specifications, equipment
schedules and details required to define intent.
Training
Avidex provides customized professional systems training classes following installation, on the proper operation of the
system, to assure comfort with the technologies installed.
Training packages are available at various levels to meet the specific needs of the job requirements. Sessions are
designed with the "End-User" audience in mind - executive management, system operators, administrative and technical
support, or facilities managers. Advanced sessions for 'technical staff' or 'train the trainer' programs for support
personnel are designed to fit your specific
project requirements.

Maintenance and Support Agreements
Avidex Maintenance and Support Agreements provide the highest level of support coverage for your integrated systems.

The best way to maintain integrated audio visual systems is to proactively test, manage and certify each system on a
regular basis. As part of all our Maintenance and Support Agreements, Avidex will perform monthly, quarterly or biannual preventive maintenance visits to assure your systems remain in their original installation condition. In addition,
we provide you with a complete analysis report detailing our findings and summarizing the status of your AV systems.
Standard agreements include reactive and proactive support level commitments, expedited equipment repair, and an
out-of-manufacturer warranty strategy. Custom agreements address the special needs of your organization.
For our national and global customers, we utilize an existing network of professional audio visual system integrators and
our Technical Application Center to manage the entire support solution for your organization from a central point. By
doing this, we ensure a central point for problem resolution, billing and customer service. Avidex provides a single
centralized contact to ensure your support needs are met, wherever the need arises.
Technical Certification Standard
To maintain optimal performance of integrated systems, whether or not Avidex originally installed them, we offer the
Technical Certification Standard. By certifying your integrated systems, Avidex guarantees the functionality of those
systems according to original functionality. This allows Avidex to bring the system under a Maintenance and Support
Agreement while confirming its operability for the duration of the contract.
