eSIS → Easy Grade Pro → Basmati

These instructions walk you through getting your class lists (students names and ID numbers) from eSIS and
putting them into Easy Grade Pro (hereafter referred to as EGP), and exporting your grades from EGP and
importing them into Basmati.
Part I: Export class lists from eSIS
The first task is to export your class lists from eSIS and import them into EGP. First, log in to eSIS. Once logged
in, follow these steps:

Uncheck the checkbox labeled “Today’s Classes” so that you can see all your courses in the list.
Click the first course you wish to export. You’ll see it “hi-lighted” in gray.
2a. Write down the eSIS course code
2b. Write down the section number
2c. Write down the day type (1 = red, 2 = blue)
2d. Write down the period number
2e. Combine these items into a complete course code, separated by hyphens (no spaces). Using the
screenshot, that gives me: sc1011gx1-04-r02

A new window appears. Click the “Custom Reports” button.
A new window appears. Click the “Class List for Easy Grade Pro” button.

A new window appears. Click the “Save As...” button.
After clicking the “Save As...” button, a small window appears asking you to enter a file name (in the “Save
As” text field). Type the complete course code (created in step 2a-e) and add “.txt” at the end (no quotes, like
this: sc1011gx1-04-r2.txt).
8. In the dropdown list called “Where”, choose your computer’s Desktop (or another folder if you wish).
9. Once everything in the “Save As” window looks good, click the “Save” button.
10. Back in the window last used in step 6, click the button in the lower right corner that resembles a printer. A
tiny window with a progress bar should appear for a moment as eSIS exports your class list to the location
chosen in step 8.

We’re done with eSIS for now. Click the
buttons that look like open doors until you
return to your list of courses.

Part II: Import Class Lists into Easy Grade Pro
The second task is to import the class lists you created in Part I into Easy Grade Pro (EGP). Before we get to that,
we must set up EGP to accept the lists by setting up an import filter. Begin by launching EGP.

Go to File > Import.

The import window appears. It contains two tabs--click the “Other Formats” tab. If you see an “eSIS” import
format in the list, skip to step 7. Otherwise we must create a new eSIS import format--click the “New”
button near the bottom.

A window appears. In the “Name of Format” text field type “eSIS”. Notice the window is split into two sides.
On the left side, double-click the following items in this order:

Last Name
First Name
ID
Password
Gender
As you double-click the items, they are copied to the right. It is important to make sure you click them in
the correct order so that they appear exactly like the screenshot to the right.

On the right side, click “Gender” to highlight it. Find the “Edit (*)” button near the lower right and click it.
5. Yet another window appears as pictured to the right. Find
the “Delimiter” drop-down list and change it to “Line Feed”.
Click the “Done” button to return to the “New Format” window.
6. Click the “Done” button to return to the “Import” window.

Our eSIS filter is now complete and we’re ready to being importing
classes previously exported from eSIS. Step 7 is on the next page!

Click “eSIS” from the filter list and then the “Next” button. In the window that appears, type the name of the
class in the text field at the top and click “Term 1” and then the “OK” button.

A window appears allowing you to browse for the class lists exported from eSIS. In Part I it was suggested to
save them to the Desktop because the Desktop folder is easy to find. (If you chose a different folder, browse
for it and find your eSIS exports.) Click the file that contains the class list export file you wish to import and
click the “Open” button.

Once you click the “Open” button another window appears showing the information it found in the export
file. Make sure that each row and column looks correct--that all last names, first names, ID numbers, etc.
line up as expected. If you’re satisfied with the results, click the “Import Selected Records” button. Click any
following “OK”/“Yes”/“Accept” buttons until you are back at the EGP home screen.
10. The class list should now appear similar to the screenshot below.
11. Click the icon resembling a folder on the button bar.

12. In the window that appears, click the “Classes” tab if it is not already the active tab. Find the “Class/Subject
Name” text field and ensure that you are currently working on the correct class for the import you just
performed. If you are not, click the “Next Class >>>” button near the bottom of the screen until you are on
the correct class.

13. Locate the “Custom 1” text field and type in the complete course code we constructed in Part I: 2a-e. Click
the “Done” button when finished.
Repeat Parts I and II for each course!
When finished, proceed to Part III to configure EGP for Basmati and uploading grades to Basmati.
Part III: Export grades from EGP and import them into Basmati
Our final task is, once grades have been generated, export them from EGP and import them into Basmati. Before
this can be accomplished, we must configure EGP to export a Basmati file.

Find the “@” icon on the EGP button bar and click it.

In the window that appears, find the “Action” drop-down list and click it. In the list, choose “Create Basmati
file”.

In the “for” drop-down list, select “All classes in Term 1”.
(You may wish or need to export individual classes, or
classes from Term 2, or what have you. If so, select from
the “for” list as appropriate.)
Click the “Options” tab. In the “Basmati Options” area,
ensure all options appear as the screenshot to the right
and enter the following:

Tchr Name: your name
Tchr Email: your 4J username
Tchr ID: your Basmati password (given to you by the
CHS technology department--if you don’t know, email
[email protected])
Click in the “Phone” text field (this activates the “Create”
button in the lower right).

In the window that appears, type a filename into the “Save As” text field. You may name the file whatever
you wish, but it is suggested you use “Basmati.txt” for simplicity. In the “Where” drop-down list, choose the
Desktop.

Open your favorite internet browser (Firefox is used in this example) and navigate to the Churchill website
(http://www.chs.lane.edu). When the site finishes loading, hover your mouse over the “Grades” menu item.
In the drop-down list that appears, click “Basmati for Teachers & Staff ”.

Once the Basmati page finishes loading, click the “Faculty Login” link on the left side under “Basmati
Faculty Menu”.

Enter your Basmati username and password. Your username is the same as your 4J username (everything
before the @ sign in your 4J email address). Your password is assigned by the technology department. Click
the “Login” button.
9. Once you are logged in, click the “Submit File” hyperlink on the left.
10. Click the “Browse...” button and browse for the Basmati.txt file we created in EGP in Part II.
11. Click the “Submit File to Basmati” button.
12. Basmati reports on what it was able to import from your Basmati.txt file. Scroll down through the
information and look for any text in red. Red text means that Basmati encountered one or more problems
during the import process. If you find red text and are unsure of how to fix the problem based on the error
message, send the error message to [email protected] (copy and paste the error message or type it out).
(Please note that Basmati only accepts characters a-z, A-Z, 0-9, spaces and hyphens. It does not accept
characters with accents such as ñ, nor does it accept symbols such as the check mark.)
