TEAM MANAGER 2015 Handbook Welcome Thank you for volunteering into the role of Manager. We are quite lucky to have a great technical staff now at NTSC but without Managers teams would be lost. Hopefully you will find the information contained here a useful tool. Our Vision North Toronto Soccer Club will be the prime hub of youth soccer expertise and activity within the City of Toronto as we achieve our goals for player, coach and club development. North Toronto Soccer Club in 2013 was awarded the OSA’s CLUB EXCELLENCE: GOLD designation. North Toronto SC was selected as an initial licence holder in the OSA’s new standardsbased Ontario Player Development League for 2014 and 2015. Program Growth 5,200 players ages 4 to 18 in developmental, recreational and competitive programs. Revenues and program expenditures have grown at a 20% annual rate for 4 years, doubling in that period. Expanding to serve the growing local youth population, and to provide all levels of soccer to North Toronto athletes. The NTSC competitive program is growing by over 30% annually. More teams and more players, staying longer in competitive soccer (into late teens), and staying with NTSC teams which are competing at a higher level. NTSC teams in provincial leagues: 2010 and prior = none 2015 = 8 teams Indoor training has expanded, from once weekly for most teams to 2 and usually 3 practices, plus league participation. To the Club You are a volunteer who works with North Toronto Soccer Club. You commit to uphold club policies and follow club procedures. You provide constructive feedback that will help the Club to excel. 2. To the Coaches You are the eyes and ears of the coaches on the sidelines. You are the mediator in times of conflict. You support the coach while listening to parents. You track attendance. You network with other Managers to coordinate friendlies & recommended festivals. You coordinates practice, game and festival administration. (Team Snap, Ref Fees, Game Sheets, Call Ups) Role of the Manager: Liaison (2) 3. To the Parents/Players You communicate parent concerns to coaches and the club You recruit parent volunteers for assistance (field set-up, carrying equipment, taking attendance, etc) You advise parents of all club communications and up-coming events You manage collections for Team expenses outside of Club fees (events, Track Suits, travel) Leads non-soccer Team Building (cheers, sticker books, etc) Role of the Manager: Checklist Player Registration: Collection of Fees: Competitive Player Registration completed online Players are permitted to practice and play games once registered and fees are paid in full Player Books must be submitted to club office at the end of outdoor and indoor season for stamping. Uniforms and books will be made available once all fees are paid (or an application for a fee subsidy is approved). Registered players must be added to TeamSnap which parents need to keep updated with their schedule Coordinate Extra Uniform Requirements (Track Suit, Back Pack) Fee collection is managed by the NTSC office Updates provided to the Manager by the Competitive Administrator (Alex) Follow-up of unpaid fees is required by the manager and must be communicated to the Head Coach Managers do collection for team initiated/extra activities Coach & Manager Registration: Applications approved by Club A Police Check is mandatory Coaches must hold required coaching license based on age group to get book stamped Managers must pass Respect in Soccer course to get booked stamped A stamped Coach/Manager Book is required prior to the start of season Role of the Manager: Game Day Administrative Prepares game sheets (signed and fully completed to avoid fines) Has books ready to be checked 15 minutes before game time Pays Referee Inputs score into system (0-0 for younger age groups) Equipment for all games (can be allocated to other team members) Player bench Team canopy tent (weather dependent) First Aid Kit Ball pump Team/sponsor banner Equipment for Home Games Nets Flags Game ball Role of the Manager: Referee Fees Each team will receive a cheque payable to the manager for all games including one cup game The manager will pay the referee All fees are based on the number of games in the team schedule Role of the Manager: Tournaments/Festivals Manager works with Coaches to identify friendlies, festivals, tournaments. Coaches ultimately decide in which tournaments/festivals the team will participate during the year; these are not normally included in club fees. Manager registers the team & applies for travel permit if needed required: Club OSA # 1793 & team’s OSA No. (obtain from Administrator) Manager finds and books accommodation, meals, travel & chaperones if needed (NTSC has special fee arrangements with Coach Canada and IHG) Manager prepares TEAM budget, outlines per player costs & collects team fee from parents. (suggest preparing budget for season based on number of eligible events and do one time collection that is reconciled at end of season) Manager assumes game day responsibilities Role of the Manager Coaches Partner in Success Commitment to the Team and the Club Liaison between the Club and Parents Liaison between the Coaches and Parents Administrator for Coaches NTSC Competitive Player Fees Competitive Fees Notification generally in October and March The CLUB FEE is payable online and includes: Player and officials OSA registration; league and referee fees Umbro uniform kit and practice ball (see next page) Goalkeeper kits; 2 game balls per team Technical training and support; ongoing coach training & mentoring Facilities: field turf & grass, gyms, use of Centre of Excellence Goalkeeper training; strength & conditioning training Administrative support including player books and permits U8: Umbro track suit and backpack (see next page) nets, flags, team bench, cones, first aid kit (on loan for the season) U8-U10: North Toronto Festival Saturday, August 8th 2015 Not included but suggested: extra ice packs, hygiene kit especially for girls (hair ties, saniwipes, toilet paper etc.) Competitive Kit Umbro is the official supplier of the North Toronto Nitros competitive program in 2015 and 2016 Umbro player kit (included in club fee) Green and red jerseys and socks; sky blue training jerseys, black shorts Goalkeepers uniforms for team Practice ball Training suits and backpack For U8. the new Umbro items are included in the club fee For U9 and older, may be purchased separately from L&M Taylor NOTE: For 2015, returning Nitros players may wear official Nitros training suits worn in 2014, and Nitros backpacks from 2014 Coaches and managers are provided with Umbro gear which must be worn. Competitive Registration and Fee Payment c Simple Policy: No Pay, Don’t Play Registration • All players must be registered online for each season (or complete a paper registration) regardless of their payment status. • Family contact information must be checked/updated each time a player is registered, or in between registrations if there is a change Fees • Individual player’s CLUB FEES are calculated based on costs for the team and size of the team roster, and must be paid in full by the specified date unless: • specific payment arrangements have been made with the club office • an application for a fee subsidy has been approved; families are offered this opportunity when registering by contacting: [email protected] Competitive Registration and Fee Payment (2) c Unpaid Fees • NTSC will inform Managers of any player who has not paid fees by the due date, made payment arrangements, or been approved for a subsidy • The player may not participate in practices or games. • Their player book is to be returned to the office. • The player will be removed from the roster and their spot on the team given to the next available player. • Managers and coaches must support the club’s “No Pay, Don’t Play” rule without exception. Player Books (same process for coach and manager) New picture in book every 3 years- school or passport – suggest recording expiration in Team Snap Books must be signed by the Player All new books must include a copy of the birth certificate Books are dropped off at the TSA every Tuesday Must allow a week for books to be processed TSA will only stamp books for Club Reps; not for team coaches or managers Suggest for players U10 and up to carry their own books (instills responsibility and makes for easy call overs/ups) Coach / Manager Information Coaching Clinics OSA Coaching Courses can be found on coachcentre.ca NCCP training can be found on coachesontario.ca On-going coach development through assigned Technical Staff Marc Maunder overseeing Ball Mastery, Hermann Kingue overseeing Rep Vulnerable Sector Police Reference Checks (1) All volunteer Coaches and Managers, and all Technical Staff coaches must, at least once every 3 years, go through the Vulnerable Sector Screening Process by applying for a Police Reference Check. The policy for processing applications is determined by the RCMP; local police forces are responsible for administration. An already-obtained police check clearance – issued in Canada within the previous 2 years - for employment in the youth sector, or for a role at a school or with another youth organization, may be accepted but it must state that it covers the “Vulnerable Sector”. (cont…) Vulnerable Sector Police Reference Checks (2) Toronto residents must apply through NTSC: Forms are available at the club office (the blank form can be emailed to the applicant, but it must be printed on legal size/14” paper). Only original forms are acceptable, signed by hand (no scanned and emailed forms, no photocopies, no faxes). The application must be completed and signed by one designated person in an organization (for NTSC, the club General Manager). Toronto Police Services, once the application is approved, will send it directly to the home address of the applicant, who must then submit it to the club office, attention: General Manager. … cont. Vulnerable Sector Police Reference Checks (3) Non-Toronto residents must apply individually to their regional police force; For volunteers, NTSC will provide a letter to submit with the application stating that the police check is for a volunteer role. The local police force will process the application, and send it directly to the home address of the applicant, who must then submit it to the club office, attention: General Manager. It typically takes over 30 days to process an application and receive clearance. It is critical that all information provided be complete and correct in order to avoid a delay or the need to resubmit the application. Schedules: Practice Schedules Practice schedules are organized based on field availability, the size and type of space best suited to the age group, and the plan of the Technical Staff involved. Schedules are published as soon as possible after permits and contracts are finalized, and sometimes updated as league schedules are published. Outdoor practice schedules are divided/issued into two sessions: Transition (March Break to Mid May): indoor fields moving to outdoor then Summer (mid-May to early September) Practice schedules are posted on TeamSnap by the Manager If a special practice time is required, this must be arranged through the Administrator If a practice is cancelled because of a make-up game, or for any other reason, the Administrator must be informed so that limited practice space can be reassigned. Schedules: Leagues League Game and Cup schedules are determined by the leagues. League schedules once released are posted on TeamSnap by the Manager. League waivers must be completed and rosters inputted as required by each league by the posted deadline to avoid fines. Field locations for away games should be available on league websites, or on Google Maps. Travel time should be understood by all so that games begin with full rosters (and no games are forfeited). Schedules: Administration The Manager updates TeamSnap with any changes to the game/practice schedule and notify parents. Managers should ask Parents to update all Holiday and Planned Absences in TeamSnap so they and Coaches can anticipate low rosters and coordinate call over/ups in advance Once in TeamSnap all practices and games should be reviewed to identify possible issues (long weekends, breaks) and cancellations should be coordinated in advance (i.e. don’t cancel the long weekend Monday practice on the Friday, give families time to plan) Managers identify and input the groups ACADEMY weeks in Team Snap 2015 Summer Elite Academy learn, develop, perform On the grass fields at Sunnybrook Park Academy dates are posted in November on the NTSC website Unlike other academies, any profits are re-invested into NTSC’s development programs ~ email: [email protected] ~ learn, develop, perform Programs are developed around specific team needs in consultation with coaches 2015 Recreational Summer Camp Ages 4 – 16 Players divided by age & ability Camps offered on a weekly basis starting June 22 at Eglinton Park Instruction by NTSC’s technical staff coaches Special Events NTSC Golf Classic – see following page Major professional and international soccer events: NTSC has several opportunities each year to participate as teams in: Toronto FC on-field activities International games Events with the CSA and OSA The Manager will be asked to determine interest amongst team members to participate in activities that do not conflict with league games.
