Page 3 of 49 Record New Record Choose either a category or the desktop and click New Record. l l l l Any information is stored in a record. Every record consists of a title field, note field and text field, link table and the history. All records are stored centrally in a database. A record can be compared with a Microsoft Word document. Records can be moved by drag and drop. New Category Choose either a category or the desktop and click New Category. l l l Records will be stored in categories. A category can be compared with a folder in Windows Explorer. Categories including records can be moved by drag and drop. New Template Choose either a category or the desktop and click New Template. Click with the right mouse button on a template in the tree view and choose in the context menu New Record from this Template. l l l Templates can be used for letters, protocols or reports. All formats, layout and pictures will be stored within the template. New records can be made out of templates. Templates can be placed in categories same as records. Templates are market with a red pin. Save The current record will be saved. Delete The current record will be deleted and move in the recycled bin. l By clicking Restore with the right mouse button on a record, the record will be restored in the corresponding category. Is this category deleted the record will be placed under the desktop. Rename The current record will be renamed. Close The current record will be closed. Page Setup... Paper size, portrait or landscape format and margins can be defined. Print Preview... Print preview of the current record. Print... The current record will be printed. Senden an... KnowHowDB offers the following import possibilities: l l l Data import of older KnowHowDB versions. Data import of XML files (exported by KnowHowDB or another application. The format convention of KnowHowDB must correspond.) Data import of the following files are possible: l Word documents .doc, l Richtext .rtf, l Textfiles .txt, l Websites .html Export... Cut Marked text will be cut off and stored in the clipboard. Copy Marked text will be copied in the clipboard. Paste Clipboard will be inserted at cursor position. The formatting remains available. Paste as Text Clipboard will be inserted at cursor position. The formatting remains not available. Format Painter… Mark the desired text, click on Format Painter and choose the text to be changed. The format is taken over on the new text. Delete Delete Link The link in the list of links will be deleted. Header and Footer Header and footer will be deleted on the first page as well on all the following pages. Header and Footer Standard Header and footer will be deleted beginning on the second page. Header and Footer first Page Header and footer will be deleted on the first page. Select All Complete text in the text field will be marked. Find… Certain text will be found within the text field. Replace... Searches for a text and replaces by another text. Go To… Standard Header Cursor will be placed on the header of the second page. Header First Page Cursor will be placed on the header of the first page. Standard Footer Cursor will be placed on the footer of the second page. Footer First Page Cursor will be placed on the footer of the first page. Page 6 of 49 Backward Turns one record back. Foreword Turns One record forward. Edit Hyperlink... Select the requested hyperlink just right from the text, choose Edit Hyperlink... and change the text. Bookmark... Bookmarks are necessery for navigating a hyperlink to a certain bookmark within the text field. An example could be a table of contents. l l With Go To you will navigate to a requested bookmark. With Delete you can delete a bookmark. Edit Link... The marked link in the link panel can be edited. Authorisaton... Workplace, categories, records and templates can be authorised for an user group and / or user with the following criteria: l l l l l l Full Access, New, Edit, Delete, Read and Authorisation. This view is simplified and will not show any page breaks or header and footer. Print Layout The view Print Layout will show the records as they are when they will be printed. Header, footer and page break will be shown. This view is helpful when editing header, footer and page margins. Text Text view will be shown similar to Normal. The text lines will not break at the right margin instead they will break on the width of the text field. Switch Header and Footer Switch between header and footer. Formatting Signs Formatting signs will be shown. Restore Layout Panels will be restored to the original status. Locking Panels Panels can not be moved anymore. If you placed the panels as you wished, you can lock the panels. Settings can’t be changed by mistake. Show Status Bar Status Bar shows the important information at the bottom of the application. Date, amount of search results, user name, user group and if the current user is system administrator will be shown. Toolbar Predefined or user defined Toolbars can be showed or not. Panel Searching, tree view, search list, favourites, links, picture preview and history are located in panels (windows). Panels can be moved, sized or docked to another panel. Page 8 of 49 Insert Picture... 1. 2. 3. 4. l l l Place mouse cursor to requested place. Click menu Insert-Insert Picture and choose requested picture. Double click on the picture you would like to insert. Following picture types are available: JPEG File Interchange Format (*.jpg;*.jpeg), Portable Networks Graphics (*.png), GIF Graphics Interchange Format (*.gif), Windows-Bitmap (*.bmp), Tag-Graphics -Dateiformat (*.tif;*.tiff), Windows Metafile (*.wmf) The pictures will be saved and linked in the appropriate path, defined in the options. The picture settings can be chosen under the menu Format-Edit Picture.... The picture can be resized and placed anywhere. Text Box 1. Click to menu Insert-Text Box. 2. Place the cursor to the requested position and click mouse button. l A container for text or pictures, which can be moved and resized. Text boxes are useful if several text elements have to be placed at different positions. Bookmark... 1. 2. 3. 4. l Chose a text, which a bookmark should be added, or click to a position, where a bookmark should be inserted. Click to menu "Insert-Bookmark...". Enter a name. Click to OK button. The idea of bookmarks is to jump with a hyperlink to a specific text position, for example to create a table of contents. Header and Footer Standard Insert header and footer starting from second page to the end. First Page Insert header and footer on the first page. Insert Page Number Insert page number to every page. Insert Number of Pages Insert the amount of pages. Hyperlink... 1. 2. 3. 4. Chose the requested text. Chose menu "Insert-Hyperlink..." Enter a name. Chose whether you like to jump to a bookmark, open a file or send an email. Page Break 1. Click to the position where the new page should start. 2. Click to the menu "Insert-Page Break" File... 1. 2. 3. 4. 5. Click to menu "Insert-File...". Chose the symbol and chose the requested file. The name will be taken over from the file. It is possible to change this name. Chose if the file should be linked, or copied in the standard directory from KnowHowDB. Optionally you can add a description and a unique ongoing number. Website... 1. Click to menu "Insert-Website..." 2. Enter a name and the website address. 3. Optionally you can add a description and a unique ongoing number. Page 9 of 49 E-Mail... 1. Click to menu "Insert-E-Mail..." 2. Enter a name and the e-mail address. 3. Optionally you can add a description and a unique ongoing number. Media... 1. 2. 3. 4. Click to menu "Insert-Media..." Enter a media type, for example a CD, DVD or a book. Enter the location. Optionally you can add a description and a unique ongoing number. Date... Please choose the requested font, font style, font height, position, colour and text background. Styles... 1. 2. 3. 4. 5. 6. 7. 8. 9. Click to “Format-Styles…” Click the button new to create a new style. Enter a name. Chose a style which will be the base. Settings will be taken from that style. Chose the style which will be taken over for the next paragraph. Chose between the styles paragraph or font. Chose the format as font type, paragraph, tabulator or numbering. Click to OK button. The defined styles can now be chosen through the toolbar . Paragraph and Borders... Chose settings for the paragraph and border. Numbering and Bullets... Chose settings for the numbering and bullets. Bold The marked text will be changed to bold style. Italic The marked text will be changed to italic style. Underline The marked text will be changed to underlined style. Align Left The marked text will be aligned left. Centre The marked text will be centred. Align Right The marked text will be aligned right. Justify The marked text will be justified. Increase Marked text will be increased. Decrease Marked text will be decreased. Picture Properties... 1. Mark requested picture. 2. Click to the menu "Picture Properties...". 3. Chose the requested properties. l l l Embed picture in database; picture will be embedded into the database. Embed the name of the original file; picture will be linked with the original file. Export image and embed filename, the graphics will be saved (path can be chosen in the options) and connected with it. Text Box Properties... Page 11 of 49 1. Highlight the desired text box. 2. Click to menu User-Management… Click to tab user. Click to new. Enter user name and choose language. Password and remarks are optional. Click to OK. New user group 1. 2. 3. 4. 5. Click to menu User-Management… Click to tab user groups, Click to new. Enter user group. Remarks are optional. Click to OK. Assign user and user group 1. Choose the requested user in the list above. 2. Double click in the right list below the requested user group. The user group will be transferred to the list on the left. Remarks The advantage is, that any employee (user) can be assigned to a department (user group) and the authorisation of a record or category has be defined only for the user group. All employee in that department will have the same authorisation. Menu authorisation 1. 2. 3. 4. Click to tab Menu Authorisation. Double click to the requested user or user group in the right above list. Choose the requested user or user group in the left list above. Authorisation can now be setted in the list below. Remarks All of the menu can be shown or hidden for each user or user group. The advantage is to hide for example the menu „Tools-User-Management…” for all users and user groups. Only the system administrator can change something on the user, user group or menu authorisation. Edit User-Password... Every user can change his own password. Environment Different environments can be defined. Each of every environment can be linked to one database. Database Change current Database Password… This will change the current database password. This password protects the SQL or Access database for opening in the windows explorer. Compress Current Database To get a maximum of performance the database should be compressed from time to time. History All changes on a record will be recorded and stored into the database. Over the years the database will grow. This function lets you delete data which is not needed anymore. It will delete history entries older than a requested date. Misc Direct access to the following windows applications: l l l Calculator Char table Page 13 of 49 l Editor Options... Page 14 of 49 Table Insert - Table... 1. Click to menu „Insert-Table…“ 2. Choose the amount of rows and columns. 3. Click the button OK. Insert - Columns to the Right Insert a column on the right side of the cursor. Insert - Columns to the Left Insert a column on the left side of the cursor. Insert - Rows Above Insert a row above the cursor. Insert - Rows Below Insert a row below the cursor. Delete-Table Marked table will be deleted. Delete - Column Marked column will be deleted. Delete -Row Marked row will be deleted. Table Properties... Table properties as frame, shadings, distances etc. can be defined, AutoFit Column width of the marked cell will be automatically adjusted to the width of the text. Copyright © 2009 Incite GmbH. All rights reserved. 02.11.2009. Page 15 of 49 Suchen Panel Suchen nach: Hier können Sie Ihre Suchbegriffe erfassen und anschliessend auf den grünen Button klicken. Folgende Suchmöglichkeiten bietet KnowHowDB: l l l l mit allen Wörtern (AND Option muss gewählt werden) mit irgendeinem der Wörter (OR Option muss gewählt werden) mit der genauen Wortgruppe (" ") ohne die Wörter (-) Suchen in Kategorie: Es wird nur in der angegebenen Kategorie und Unterkategorien nach dem Suchbegriff gesucht. 1. 2. 3. 4. Dropdown Feld auswählen Durchsuchen... klicken Kategorie wählen OK klicken Mit dem roten X werden alle Eingaben zurückgesetzt Nur im Titel suchen Die Suchbegriffe werden nur im Titelfeld gesucht und das Textfeld wird für die Suche vernachlässigt. Inkrementell suchen/filtern Die "Suchresultate" Liste wird bei jeder Eingabe eines Zeichen im "Suchen nach" gefiltert. Gefundene Wörter im Text markieren Die gefunden Wörter werden im Textfeld markiert. Damit diese nicht verschwinden muss mit dem Scrollbalken gearbeitet werden. Nur nach Einträgen filtern (ohne Kategorien) In der "Suchresultate" Liste werden die Kategorien nicht angezeigt. Im Suchresultate Panel den Kategorienpfad anzeigen Der Kategorienpfad wird im Panel Suchresultate angezeigt. Eingetragen von / Geändert von / Datum geändert Hier kann nach dem Benutzer gesucht werden, welcher einen Eintrag erstellt oder geändert hat. Ebenfalls ist es möglich nach einem Datum zu suchen. Copy a link from it to the desktop. 3. Rename this link. 4. Right click to the icon and choose settings. 5. Page 19 of 49 Tipps und Tricks Einträge verlinken Ziehen Sie per Drag & Drop einen Eintrag von der Baumstruktur ins Textfeld eines anderen Eintrages. Die beiden Einträge werden miteinander verlinkt. Suchresultate Suchresultate können per Drag and Drop in die Baumstruktur verschoben werden. Bilder Bild Dateien vom Windows Explorer können per Drag and Drop ins Textfeld gezogen werden. Sind es keine Bilder, so werden die Dateien als Link eingefügt. Layout Mit dem Menü "Ansicht - Layout wiederherstellen" wird das Layout wieder auf die Werkseinstellung zurück gesetzt. Suchen Damit zwei Begriffe genau in dieser Wortgruppe in der Datenbank gefunden werden, muss diese Kombination in Hochkommas gesetzt werden. Vorlagen Erstellen Sie einen Ordner mit all Ihren Vorlagen, damit Sie von diesen einen neuen Eintrag erfassen können. Aktuelles Datum Mit CTRL+. fügen Sie das aktuelle Datum ein. Verschieben Verschieben Sie Einträge oder Kategorien mit Drag & Drop. Symbolleisten Definieren Sie Ihre eigenen Symbolleisten und Tastaturkürzel. Start installation with sql_server_2005_express_edition_sp2.exe 3. Accept End User License Agreement and click button next. 4. Start installation by clicking the install button. 5. Wait until "Installing Prerequisites" is finished and click button next. 6. Start wizard by clicking the button next. 7. System Check will be started then click button next. 8. Enter registration information and deactivate the option "Hide advanced configuration options", click button next. 9. Activate the installation of "Client Components" and click button next. 10. Choose "Named instance" with the description MSSQLSERVER and click button next. 11. Make the following settings and click button next: Page 31 of 49 12. Start manager in the menu “Start – Programs - Microsoft SQL Server 2005 - Configuration Tools" SQL Server Configuration Manager. 2. Select "SQL Server 2005 Network Configuration" and under tab "Protocols for MSSQLSERVER" - "NamedPipes" to enabled, - "TCP/IP" to enabled and - "VIA" to enabled. 3. KnowHowDB mit der Key.krf Datei freischalten. 5. KnowHowDB starten. 6. Link Service unter "Extras - Link Service..." starten. 7. Pfad für Konfigurationsdatei muss gewählt werden. Es wird empfohlen dasselbe Datenbank-Dateien Verzeichnis wie bei der KnowHowDB zu wählen. Page 41 of 49 8. Register "Umgebungen" wählen. 9. Button Neu klicken und im Register "KnowHowDB" eine bestehende KnowHowDB Datenbank-Datei .khd wählen . 10. Im gleichen Fenster im Register "IndexDB" eine Index Datenbank wählen, in welcher der indexierte Text abgelegt werden soll. 11. Auf Button "Datenbank prüfen" klicken -> Meldung Verbindung erfolgreich muss angezeigt werden. 12. Die Oberfläche sollte in etwa so aussehen: 13. In der KnowHowDB Extras-Optionen... wählen. 14. Datenbanktyp, Datenherkunft (IndexDB) und wenn nötig ein Passwort bestimmen (beim SQL Server wird noch der Datenbankname, Sql-Server Benutzername und Passwort benötigt) 15. Page 42 of 49 Anleitung Link Service Der Link Service wird von der KnowHowDB benötigt, damit bei einer Suche der Suchbegriff nicht nur in einem Eintrag, sondern auch in den angehängten Links gefunden werden kann. Alle erkennbaren Dateiendungen werden vom Link Service indexiert und als Text in einer Index-Datenbank gespeichert. Windows erkennt standardmässig bereits einige Endungen. Damit z. B. PDF durchsucht werden können, wird ein sogenannter iFilter benötigt, welcher dem Link Service das indexieren von PDF ermöglicht. Weitere iFilter können nach belieben installiert werden. Der Link Service sollte bei der Mehrplatz Version auf einem Server und bei der Einzelplatz Version auf dem Client installiert werden. Page 43 of 49 Folgende Dateien werden indexiert: .pdf Adobe PDF .doc Microsoft Word .html Webseite .xls Microsoft Excel .ppt Microsoft PowerPoint .txt Windows Text Files .log Log Files .xml Extensible Markup Language Register Informationen Hier werden verschiedene Informationen der Indexierung angezeigt. Die folgenden Zeilen wiederholen sich bei jedem Indexierungs-Intervall. 1. Beim Starten vom Link Service wird auf der 1. Zeile "Indexierung gestartet" angezeigt. 2. Wenn die Indexierung beendet ist, wird das Logfile geschrieben und auf der 2. Zeile angezeigt. 3. Am Schluss wird auf der 3. Zeile "Indexierung fertig" angezeigt Tipp: Doppelklick auf diese Zeile öffnet das Logfile. Register Umgebungen Hier können beliebig viele Umgebungen, welche indexiert werden sollen, definiert werden. Einerseits muss der Link Service die Datenbank (KnowHowDB.khd) kennen, aus welcher er die Links indexieren und andererseits in welche Datenbank (IndexDB.khi) er die indexierten Text schreiben soll. Page 44 of 49 Neu Mit dem Button "Neu" wird eine neue Umgebung definiert. Bearbeiten Mit dem Button "Bearbeiten" wird eine bestehende Umgebung geändert. Löschen In der 1. Spalte "Indexieren" besteht die Möglichkeit eine Umgebung von der Indexierung auszuschliessen. Register Allgemeines Hier können diverse Einstellungen vorgenommen werden. Page 45 of 49 Planen Einstellung wann die Indexierung erfolgen soll. Entweder täglich um eine bestimmte Zeit oder jede x-te Stunde, Minute oder Sekunde. Log Wird eine der beiden Einstellungen aktiviert, so wird ein Log File erstellt. Programmsprache Sprache der Oberfläche kann gewählt werden. Dateiendungen Hier können zusätzliche Endungen angegeben werden. Der Linkservice versucht die Datei als Text File einzulesen. Konfigurationspfad Hier werden die Einstellungen vom Link Service in Form einer XML Datei abgelegt. Registration Die Registrationsdatei Key.krf wird automatisch von der KnowHowDB übernommen, falls der Konfigurationspfad der KnowHowDB und vom Link Service übereinstimmen. B. nach dem Begriff Indexierung gesucht wird, so wird dieser Begriff im Titel, im Eintrag selber und in den Inhalten der Links gefunden und entsprechend markiert. In diesem Fall wird der Begriff Indexierung auch im PDF Dokument Indexierung.pdf und im HTML Dokument Indexierung.html gefunden. In der Liste wird der Eintrag aufgeführt, da der Begriff Indexierung sich im Titel und Eintrag befindet und 2 Mal als Link, da er sich auch in diesen befindet. Tipp: Soll der Suchbegriff nur im Eintrag und nicht in den Links gesucht werden, so deaktivieren Sie folgende Option: Page 47 of 49 Tipp: Mit der rechten Maustaste auf den Link in der Liste klicken, so wird der entsprechende Link im dazugehörigen Programm geöffnet.
