NOTE: Please make the following change(s) and/or adhere to the following clarifications,
questions/answers and attachments on the RFP referenced above:
Q1. Who is the current contractor for these services and what is that annual contract cost?
A1. The current contractor is Mechanical Systems and Services. The cost for the past 12 months was
$99,466.08. Keep in mind the scope of the current contract is significantly different than what this
RFP is requesting.
Q2. Please remove the Factory Authorized Training by each Manufacturer Training Clause on page 10
as discussed in the pre bid(?).
A2. Page 10, Section III, Second paragraph - Delete and disregard, “and shall have completed a
factory authorized training program by each manufacturer of the equipment to be serviced” from
first sentence.
Q3. On Page 5, A.3 needs to be changed to quarterly. It currently reads 8 or 12 inspections.
A3. On Page 5, A.3 – Delete and disregard “(8 or 12 depending on unit at location).
Q4. Can you please clarify what repairs are not covered (excluded) under this scope, compressors?,
refrigerant?, coils?, non maintainable components?
A4. The Department is requesting preventative maintenance coverage only for all equipment
.
Q5. Several of these sites have corresponding Air Handlers which are not listed. Are we to assume
these are not covered under the contract since they are not on the list?
A5. The air handlers are not covered under this contract.
Q6. Are variable frequency drives (parts) to be covered under this contract? I am assuming since they
are basically part of the controls system they will be excluded from this coverage outside of routine
maintenance checks.
A6. VFDs are not covered under this contract. If you determine one is not functioning correctly, please
notify the Department so we can take corrective action.

NOTE: Inspections shall be completed during respective equipment’s operating season. Chillers will be
inspected during cooling season and boilers and heating appliances shall be inspected during heating
