Flair Airlines Ltd. is a charter airline providing customized charter service to a variety of markets including workforce transportation, niche tours and special charters. We are currently recruiting for a term full-time Administrative Assistant, Maintenance to join the team at our base in Calgary, AB. The duration of the term is June 16, 2015 to August 15, 2016, (14 months) Under general supervision, the incumbent is primarily responsible for planning, organizing, coordinating, and accounting for the inventory of aviation parts, equipment and supply purchases to ensure proper stocking levels for the organization’s aircraft repair and maintenance plan. Primary Job Responsibilities: Accepts, receives and reviews requests for aviation parts, supplies, and other equipment. Fills order and/or initiates order with suppliers as required; Responsible for processing, handling, and tracking all parts and materials used by the Maintenance Department; Arranges for the purchase of parts and equipment as necessary as required; Issues parts and tooling from the stockroom. Delivers such items to the workshops and hangar floor; Prepares parts and material for shipping. Initiates the screening process for items shipped in to the facility; Reviews and processes packing slips and vendor documentation on received parts; Controls the release of inventory and assets and ensures the security and integrity of all property located in the stockroom; Receives, verifies and stocks shipped items. Identifies missing, short, excess and/or damaged items, materials, supplies and/or shipments. Works with vendors to resolve differences and concerns. Reconciles discrepancies. Tags and/or records serial, model and related item numbers/identifiers; Enters and retrieves data using computerized systems to maintain and update a variety of files, records, logs, reports, inventory control sheets and other documents for aircraft parts, tools, and maintenance; Identifies, verifies, counts and processes all incoming and outgoing orders, materials, and documentation; Identifies discrepancies and damaged materials and reports them to the Lead AME for corrective action; Completes and maintains count sheets and other required reports and documentation. Handles and stores hazardous materials in compliance with established policies, procedures, A-OSH, and relevant regulations; Performs general duties such as unloading trucks, operating forklifts, placing and storing parts, and unpacking and packing parts; Prepares work orders; obtains all pertinent information; refers to parts manual to determine correct parts and numbers; produces computer generated work orders; Records management duties including filing; electronic or hard copy; Provision of general administrative duties, including but not limited to, the construction of letters, reports, presentations, and spreadsheets; Maintains basic knowledge of aircraft parts certification and traceability requirements; Liaise with approved maintenance organizations and regulatory agencies as required; Ensure that safety precautions are being observed on assigned activities; Maintains a clean and orderly work area; Participate in the Safety Management System (SMS) through participation and reporting; and Other duties and responsibilities as assigned by the company from time to time. Knowledge, Skills & Abilities Completion of high school or equivalent; Minimum two years (2) previous experience working in a general aviation or charter setting; Must be able to obtain and maintain airport security clearance(s) (requires a five (5) year traceable history, clear criminal record, and Canadian citizenship or permanent resident status) as a condition of employment; Must be able to lift 40lbs; Intermediate knowledge of Microsoft Office Suite (Word, Excel, and Outlook); Ability to work irregular hours or shift work that may include evenings, weekends and holidays, with a schedule that varies; Ability to read and interpret documents such as purchase orders, shipping and receiving information; Demonstrated problem solving and time management skills; Ability to prioritize multiple demands in a time sensitive environment; High degree of attention to detail and accuracy; Strong verbal and written communication skills; including interpersonal communication; Demonstrated ability to build effective working relationships with a variety of stakeholders; Able to work effectively independently and as part of a team ; Ability to travel occasionally as required; possibly on short notice; and Knowledge of the Canadian Aviation Regulations (CAR’s) as they apply to 705 operations is an asset. The incumbent will be required to work with minimal supervision in an aircraft hangar environment, which may include exposure or proximity to hazardous chemicals. Occasional travel may be required to perform the job function. The incumbent may be required to work in inclement weather, and to walk or stand for extended periods of time.
