GEORGETOWN COMMONS OF DEARBORN ASSOCIATION 2 0 1 5 S P R I N G N E W S L E T T E z Keeping You Informed R z • In our ongoing effort to keep co-owners informed, we ask that you Association Dues • Dues are due on the first of the month and considered late if not received on or before the 10th day of the month. • All checks should be made payable to Georgetown Commons Association and mailed to Compass Management. • Fines for late association dues are $100.00. Contact management if you have account questions. please remember to contact management if you have a phone, address or email change. Also, if you are renting your condo and would like your mail forwarded to another address we ask that you please notify management by emailing [email protected] . • The 2015 Annual Meeting has been scheduled for the month of May and will be held at the Henry Ford Centennial Library. Annual Meeting packets will be sent to all co-owners by way of mail within the next week. Library staff has asked that those in attendance respect Library Patrons by keeping noise down. Any person(s) who cannot follow these rules set fourth by the library will be asked to leave by library staff. Your cooperation is greatly appreciated by the library & its patrons in advance. • All co-owners must have insurance on his / her condo unit. An insurance audit will be conducted in the month of June for all 156 condo units. What happens during an insurance audit? All condo units must provide by mail, a copy of his or her insurance to management to file. Any co-owner who does not comply will be in violation of the Georgetown Commons Of Dearborn Governing Documents. An insurance audit is done for the protection of your condo unit as well as the entire community. Information will be mailed to co-owners regarding the insurance audit in the month of May. Thank you for showing your Holiday Spirit! • Modifications To Your Condo Unit: If you are thinking of getting new windows, installing a screen door, etc; please contact management for a modification request. All modifications must be approved by your Board Of Directors prior to any changes being made. For a copy of this form please send your request to [email protected] . • Pet Reminders: No animal may be permitted to run loose at any time upon the Common Elements and all animals shall at all times be leashed and attended by a responsible person. Each Co-Owner shall be responsible for the immediate collection and disposition of all fecal matter deposited by any pet belonging to them. All pets should be registered with the City Of Dearborn. • Water Usage: Water continues to be one of the largest line items on the GTC Budget as well as an ongoing issue within the community. With spring here, we ask that you please do not use association water to wash your cars. Management has already received reports of co-owners washing vehicles, leaving hoses running in garage areas, as well as non-residents doing laundry within the community. Each quarter, water bills have been assessed and we currently have three buildings with higher than average water usage. What does this mean for you? Water inspections are continuing, and you will be contacted by management within the next two weeks if your building has been listed as an above average water usage building. We will have a licensed plumber inspect all faucets, bathtubs, laundry tubs, & toilets for leaks/running water. If anything is found it will be fixed by the Georgetown Plumber and billed to your account. We hope you understand the seriousness of this nature as this impacts the entire community. Please continue to check around your condo unit for leaks and running toilets. • Dryer Vent Cleanup: You may know that you should clean the lint screen inside your clothes dryer, but did you know that you should have your dryer vent cleaned? Dryer vents should be inspected and cleaned by a professional once a year to avoid fire and improve efficiency. If you are interested in Dryer Vent Cleaning please contact Dryer Vent Wizard at (313) 402-7659. Financial Round Up The GTC Association had a Certified Audit completed for 2014. A copy of this Audit has been posted on the gtc.dearborn.com website under the financial tab for 2014. This audit was completed by Jantz & Knight Accounting Firm of Bloomfield Hills, MI. Findings from the audit show your reserve fund to be above the minimum standard of 10% as of December 31, 2014, as well as financial statements that conform with accounting principals generally accepted in the United States of America. Please let us know if you have any questions on these documents. As of April 16, 2015, there are a total of 18 delinquent accounts, five of which are with collections. Bank account totals are as follows; Checking: $8,080.21 & Money Market Reserve: $57,504.85 - April 16,2015 Please contact Stacey Sherrille at [email protected] for further financial questions Back Flow Inspections Vanguard Fire & Security Systems will be performing BackFlow Inspections on Monday, May 4th, 8 AM – 4:30 PM . Times for these inspections will be from 8 AM -4:30 PM. Each building will take one hour to inspect, so please have someone available in your unit on May 4th over the age of 18 if your unit houses the Fire Suppression System. Letters and emails will be sent to these co-owners within the next week. Maintenance Needs & Who is Responsible For your convenience we have added a maintenance request form in this newsletter. As a co-owner within the Georgetown Commons Association all request for maintenance must be put on a Work Order Form and mailed, emailed, or faxed directly to management. These forms are for tracking purposes to ensure all work is being provided to co-owners in a timely, and efficient manner. If you are emailing work order forms, we ask that you please email or forms to [email protected] & [email protected] If you experience an emergency we ask that you contact management directly at 734-582-9603. For after hour emergencies please call 734-306-0231. We will also add a community matrix for all residents to view in the newsletter email. This matrix is a direct outline showing who is responsible for items within your community. As a reminder, repairs are completed by urgency first, as well as available funding. We have received work orders from co-owners requesting new brick for entire buildings, new fences, new landscaping, etc;. We hope you understand we would like to fulfill all of your requests however, requests are sometimes not possible based on funding, fairness to all 156 unit owners, as well as association vs. co-owner responsibility. For more questions on repairs please contact Frank at [email protected] Spring / Summer 2015 Projects As the budget allows, you will see enhancements being made to the Georgetown Community including (but not limited to) Community Beautification & Flower Planting Day Performed with The City of Dearborn Concrete repairs to sidewalks & porches Asphalt Repairs Power-washing Trex-Deck installation & Minor Tree Trimming Looking For Volunteers The Georgetown Commons Of Dearborn is looking for volunteers to help maintain the dog waste cleanup station this spring & summer. Maintenance does cleanup the dog station when they are on-site however, we are looking for a 2-4 volunteers who would rotate weekly cleanup duties in this area. Bags & cleaning materials would be provided by Georgetown Commons. Not only would this be a potential cost savings to the community, it would also help keep safe, sanitary conditions for all of the GTC residents and pets. If you are interested please contact 734-582-9603. Hazardous Waste Household hazardous materials are any products that pose a risk to human health and safety to the environment. Some examples of household hazardous materials include paints, stains, floor care items, furniture polish, bathroom cleaners, lawn and garden chemicals, pesticides, turpentine, shellac, batteries, transmission fluid, used motor oil, and poisons. Never set household hazardous material at the curb. Disposal of needles /sharps: For disposal of medical waste, such as sharps/needles, syringes, lancets, and other sharp objects, use a hard plastic container with a tightly secured lid. Laundry detergent bottles work well. Place the tightly secured plastic container in your trash receptacle, not in your recycle bin.
