an exhibit presence at a trade show.

Impressions If Done Right
The main purpose of trade show
events is to showcase a wide
variety of options for attendees and
businesses to engage and interact
with each other. With a welldesigned trade show booth that
draws attendees’ attention, a few
promotional items, a contest
opportunity with giveaways and
sales collateral, you have a wellrounded booth experience that
leaves an impression with a
prospective customer for months.
Consider having attendees enter a
drawing by submitting a business
card or completing an action on
social media. These types of
promotions serve dual purposes:
increasing engagement and
capturing potential contact
information as well.

When it comes to influencing a
decision, nothing can compete with
face-to-face interaction. Trade
shows provide opportunities to
engage with current customers and
attendees. It doesn’t matter whether
you’re marketing a service or selling
your new product, an in-person
presentation and short question
based conversation afterwards can
help you to close the deal quickly
versus an email sharing the latest
sales promo. This makes pre-show
planning key to trade show
success. If you’ve got an employee
who is a natural at “turning on the
charm” or one who is great at
relationship selling, should be a no
brainer on them being a part of the

them to your next trade show event
could pay for itself.

When it comes to trade show
benefits, this is one of the biggest.
Major trade shows have massive
followings and attendance. Each
attendee of a trade show is a
potential lead waiting to be
captured. Having QR codes linked
to social media accounts or lead
generation pages, asking for
contact information during a
presentation and getting their
business cards are all great ways to
get fresh leads in your sales
pipeline. Make it clear to them that
you’ll be contacting them after the
show. Make sure to follow up with
the candidates most likely to buy
while the event is still fresh in their
mind.

Most conventions and trade shows
have a specific market or niche they
focus on. By exhibiting at popular
trade shows within your industry,
the odds are very high that you’ll
have exposure to an audience that
is likely to have an interest in your
product or services and are ready to
buy. ALWAYS have something to
sell at a trade show. It doesn’t
matter if you only bring your latest
products or have a wide variety of
products to choose, the opportunity
to generate sales shouldn’t be lost
because you didn’t have something

renting space on the trade show
floor, traveling to the show and from
the show, paying for lodging and
meals can seem like a steep price
tag for a single marketing event. If
you’ve done the pre-show
marketing work leading up to the
show, the potential that a trade
show offers your business can far
exceed the investment. Though you
might have a larger initial
investment to showcase your
business at a trade show than other
advertising or networking methods,
the cost to convert a prospect into a
sale is often much lower than other
alternatives. With proper research
and planning, trade shows are one
of the most cost-effective sources
of leads and sales possible.

One of the benefits to trade show
marketing is the low cost barrier to
get involved. From locally owned
small businesses to multinational
corporations, everyone has access
to the same attendees at a trade
show. It’s almost as simple as
paying for your exhibit location
space, designing your trade show
display booth, promoting your
business leading up to the trade
show and interacting with the
audience during the show. Even a
relatively unknown business can
generate large numbers of sales
and leads through trade shows.
Certainly this is possible via other
marketing channels, but few are as
easy to execute as trade shows can
be. Trade shows offer big benefits
to businesses of any size. By
combining exposure to a large
number of potential leads with the
ability to interact personally, trade
shows offer an experience for both
the business and attendee that
other forms of marketing cannot.
Though virtual events and other
technologies are slowly gaining
popularity, few marketing methods
compete with the potential of trade
shows.

Packing
For The
Show

Visitors are more likely to want to
visit with you and word will spread
fast. Guests are looking for
anything they can win – especially
for free. Offer grand prizes, such
as gift certificates and electronics
to keep interest. The big event is almost here!
Make strives to leave a lasting
impression with potential clients
while at your booth. The key is to
be prepared. Here are some
essential items to help you
maximize your presence: Tip: Games, contests or even
hour-by-hour raffles will keep
people at your booth longer and
keep them coming back!
Business Cards
Market yourself. Visitors will
remember a standout logo and
tagline. Business cards are an
easy keeper – they are portable
and potential clients can refer
back to them later. Use business
cards to your advantage to brand
your company. Include your
phone number, email and website.
Think about using both sides of
the card e.g., include a Quick
Response (QR) code or list what
your company can provide. It’s a
simple tool to build your network
and stick out from your
competitors. Most importantly,
bring plenty of them.
Brochures / Flyers
Be informative. Use brochures
and or flyers to educate visitors
about your company and provide
details on what you have to offer.
Have them readily available to
pickup or handout. You may want
to offer discounts and or
promotional offers to attract
clients. Tip: Have attractive visuals
on your brochures and flyers.
Incorporate photos to paint a vivid
picture what you have to offer. Prizes / Giveaways
Make your guests feel welcome!
Offer them memorabilia at your
table. Items can include: pens,

Always be prepared to register.
Remember, you’re there to turn a
general attendee into a potential
client. Registration forms are
important to keep track of vital
contact information. These forms
are essential when you need to
follow-up at a later time. Traditional: If you choose the
paper sign-up route, have a place
where visitors can submit their
forms. A bowl may come in handy
to collect business cards. Digital: Have a laptop or iPad at
your booth for visitors to sign.
This will save you from having to
import contacts later and will save
you time. Offer your sign-ups an incentive!
Tie in a raffle giveaway e.g., hourly
giveaway to a local eatery, spa or
music concert. You may also
consider giving away a gift card after every 10 sign-ups. This will
keep attendees coming back.
Pens / Pencils
The healthcare industry deals with
paperwork. Leave branded
company pens/pencils with your
information on your table for
visitors to pick up and hand them
out as attendees pass by - these
items can carry forth a lasting
impression and puts you at the
fingertips of potential clients. Scissors
It’s handy to have a pair. You
never know when you’ll need to
make any adjustments during
setup. Your decorations might
need touching up. Extra flyers or
forms might need to be trimmed.
Just be prepared and bring a pair!
Pins / Tacks
Hang items up. Incorporate
display boards. Pin a collage of
photos and brochures onto an
easel. You may want to educate
your guests and pin bar or pie
charts / fact sheets on a display
board. Exhibit medical items, such
as stethoscopes, first-aid kit items
or uniforms on a pin-board. Pins
and tacks will be very useful
during prep time. String / Fishing Line
This is another creative way to
display your banner or signage.
Have your visuals (photos, charts,
etc) hang down from string. Or
have them connect together with
fishing line. These are some
examples to make your booth
unique. They may be useful when
you are setting up.
Decorations
A first impression is a lasting
impression. Enhance your booth
to standout from the rest. Nobody
wants to visit a dull and boring
booth! Examples: Use color to brighten it
up. Deck out your table – use
confetti, marbles or even flower
arrangements. Make your
surroundings more apparent – add
streamers or balloons to hang
from your seats. You want your
booth to be remembered!
Tip
The more people you have circulating the exhibit hall
with business cards, the larger your presence will be
on the floor. Be sure to encourage your colleagues to
attend from your office.
Pre-Register
Registration
All attendees must register to gain access to
the exhibit hall as well as the Social Mixer at The
Park. If you are bringing colleagues from your
office or have multiple people tending the booth,
they must register individually. Pre-registering
will save time and money.
Why pre-register?
By pre-registering, you will avoid having to wait in the registration
line. General admission will be $20 if you wait until the day of the
event. You can get FREE tickets before June 25th!

Setting Up
We will be in Exhibit Hall B. You will be able to start setting up as
early as 9:00 am. There is a loading / unloading dock located on
K Street. You will not be able to use the main entrance on J Street
for bringing items in or out as it is prohibited by the Convention
Center and intended solely for general admission. The dock will
allow you to conveniently unload all your stuff and then you may
re-park your car on the street or a nearby garage. The same goes
for breaking down. The doors will open at 3:00 pm for general attendees. All
exhibitors must keep their exhibit number sign visible at all
times which correlates to the exhibit number assigned to you and
printed on the program. This will help attendees easily find you.
The program will be available online via the
url below on the day of the event. A program
will also be distributed at each booth for
reference purposes:

Exhibit Breakdown
Please be courteous and respectful to other exhibitors
and attendees. We would like to ask that exhibitors
break down no earlier than 7:30 pm.
Round About
The ‘Round About’ is designed to encourage attendees to visit the
booths and mingle with exhibitors. A couple of red markers will be
provided to allow you to sign off the designated area on the
program for attendees to qualify for the raffle giveaway. Attendees participating in the ‘Round About’ must visit 10 Red
Carpet / Title Sponsor booths plus an additional 15 of their choice
for a total of 25 booths. Once they have collected 25 signatures,
they can redeem a free raffle ticket. Raffle Prizes
Three lucky participants will walk away with a $500 visa card. We
will be giving away $1,500 in cash prizes.
Drawings The drawings will be held at 7:30 pm. You must be present to win. For more info, visit:
