The ACA Rehab and Pediatrics Council invite you to be an exhibitor and sponsor at our Annual Symposium to be held at the NewYork-NewYork Las Vegas Hotel and Casino in Las Vegas, Nevada.

Exhibit Info: Exhibitor space includes 6’ x 30” draped table, two chairs, one wastebasket, and one Symposium
registration. You must exhibit within your allotted space. If more space is needed, an additional fee will be charged for the

VENDOR RULES AND REGULATIONS

THERE WILL BE NO REFUNDS
SUBLEASING AND SHARING OF VENDOR SPACE IS NOT PERMITTED AND VENDORS SHOULD CONFINE THEIR
ACTIVITIES TO THE SPACE FOR WHICH THEY HAVE CONTRACTED.
VENDORS MUST CONFORM TO THE FIRE, SAFETY AND HEALTH REGULATIONS OF THE CITY IN WHICH THE
CONFERENCE IS HELD AND ALL MATERIALS USED IN THE VENDOR HALL INCLUDING
DECORATING/DECORATIONS/CONSTRUCTIONS MUST BE FLAME RESISTANT.
THE ACA REHAB COUNCIL WILL NOT ASSUME LIABILITY OR RESPONSIBILITY FOR DAMAGE, LOSS OR INJURY
TO A VENDOR OR REPRESENTATIVE CAUSED BY FIRE, THEFT, UTILITY MALFUNCTION, AN ACCIDENT OR LABOR
DISPUTE. A VENDOR IS LIABLE FOR ANY DAMAGE HIS/HER EXHIBIT CAUSES TO THE PROPERTY. VENDORS WILL
UNDER NO CIRCUMSTANCES SET UP PRIOR TO THE DATES/TIMES AGREED TO IN THIS CONTRACT.
AS A CONTRACTED VENDOR, YOU ASSUME RESPONSIBILITY AND AGREE TO INDEMNIFY AND DEFEND THE
ACA REHAB COUNCIL AND NEWYORK-NEWYORK LAS VEGAS HOTEL AND CASINO AND THEIR EMPLOYEES AND
AGENTS ANY CLAIMS OR EXPENSES ARISING OUT OF THE USE OF THE VENDOR PREMISES.
THE VENDOR UNDERSTANDS THAT NEITHER THE ACA REHAB COUNCIL NOR NEWYORK-NEWYORK LAS VEGAS
HOTEL AND CASINO MAINTAIN INSURANCE COVERING THE VENDOR’S PROPERTY AND IT IS THE SOLE
RESPONSIBILITY OF THE VENDOR TO OBTAIN SUCH INSURANCE. THE ACA REHAB COUNCIL HOLDS THE RIGHT
TO CANCEL THE SYMPOSIUM PENDING NATURAL DISASTER, ACTS OF GOD OR ACTS OF TERRORISM WITHOUT
REPAYMENT TO ANY/ALL PARTIES INVOLVED.

AGREEMENT FORM.

1. Outlets are not a part of booth space and are not to be used by exhibitors unless specified in writing by NewYork-NewYork Las Vegas Hotel and Casino.
2. Under no circumstances shall anyone other than NewYork-NewYork Las Vegas Hotel and Casino employees make electrical connections.
3. Use of open clip sockets, latex, or lamp cord wire and duplex or triplex attachment plugs in exhibits is strictly prohibited.
4. All extension cords supplied by exhibitor must be 3-wire grounded types.
5. All equipment, regardless of source of power, must comply with NEC electrical codes as well as Las Vegas, Nevada electrical codes.
6. All material and equipment furnished by the hotel staff shall remain the property of the hotel and can only be removed by hotel personnel at the close of the function.
7. Exhibitor is responsible for any and all damages to floor coverings and walls caused by exhibitor and/or exhibitor’s employees.
8. The Hotel must approve all displays and decorations. Affixing of signs, banners, posters, stickers, or other display materials to the walls, floors, ceiling, or any public space in the Hotel or Function Space with staples, nails, glue or tape is not permitted
unless approval is given in advance by the Hotel. Any decorations and displays will be listed in specific detail of the nature and size of such display materials on the Banquet Event Order. The Hotel does not allow helium balloons into the Ballroom or
Atrium. Items brought into the hotel must be removed upon completion.
9. The Hotel does not provide displays or decorations. Group must provide all decorations. The Hotel will provide signage for Events on the Hotel’s event board in the lobby and provide door cards at the entrance to each Function Room.
Shipping and Receiving
There is limited storage space available at the Hotel. Therefore, shipments to the Hotel more than three (3) days in advance
of the arrival date cannot be accepted. Shipments that require special handling should be coordinated with the Convention
Services Manager or the Business Services Center prior to shipping. C.O.D. shipments or shipments that require a fork lift
to unload will not be accepted. All packages should be addressed as follows:

For ease of handling, packages and boxes should not be heavier than 100 pounds. Any boxes that are heavier must receive
prior approval from the Convention Services Manager. There is a handling fee for each box sent to and/or from the Hotel.

PLEASE NOTE: The New York-New York Receiving Dock is open Monday – Friday from 7:00 a.m. to 3:00 p.m. only.
However, Saturday Federal Express and UPS shipments will be delivered to the Business Service Center (or) Bell Desk.
Moving boxes from a guest room to a meeting room or from a meeting room to the Business Center is subject to a $1.50 per
box fee. This fee is subject to change.
