general public in Quebec is available. A new standard has been created, following international ISO
rules, by the Bureau de normalisation du Québec (BNQ). The BNQ 9700-253 standard Gestion
responsable d’événements is a reference document that specifies the requirements in sustainable
event management. This standard is also coupled with a 5 levels certification program offered by the
BNQ.

Why organize an environmentally responsible event?

To be efficient and responsible in the use and exploitation of resources;
To reduce the event’s operating costs;

To reduce greenhouse gas emissions;

To participate in a social project designed to improve our quality of life;
To receive long-term benefits that will help future generations;
To adopt a different organizational approach that draws primarily on local suppliers of goods
and services;
To create novel ideas including social and ethical aspects of sustainable development.
This guide follows the reduce-reuse-recycle-reclaim principle, calling on society to
rethink its approach to consumption. To abide by the principle, the quantity and
variety of materials used in organizing an event must be reduced; waste must be
intentionally sorted; and interesting approaches to recycling and waste reclamation
must be adopted.

In order of priority, it is preferable to:

Reduce at source: A coffee mug rather than a Styrofoam cup, car pooling, printing
on both sides of paper, use of e-mail, etc.
Reuse: Use the backs of paper printed only on one side, recover name tags and use
them again at the next event, etc.
Recycle: Recovered and recycled plastic is converted into polar fleece clothing, etc.
Reclaim: Organic waste is composted and used to fertilize the soil in flower beds, etc.

ENVIRONMENTAL STEPS FOR EACH COMITTEE
(tips and advice)
Before the event
•

Write and communicate a policy expressing the organizers’ commitment to hold a
sustainable event;
Determine your environmental goals, such as zero waste, zero carbon emissions, etc.;
Encourage all people involved in organizing the event to apply responsible management
principles, including the organizers, partners, on-site employees and subcontractors,
participants, exhibitors, etc.

Recycle ink cartridges and batteries.
Favour video and teleconferencing over meetings in person. This saves time and money, and
avoids producing greenhouse gases through motorized travel.

For a convention, try to organize all activities in the same hotel.
For a larger convention or one not located in a hotel, try to choose accommodations that are
close to the event’s main activities.
For a sports event, choose accommodations that are close to the main site.
Try to use accommodations close to public transit or a shuttle service, if applicable.
Favour establishments that have a sustainable management policy.
Ensure that recycling bins are located in each accommodation room, conference room and
each area where the event’s activities will be held.

Meals, banquets

Choose a local caterer that has sustainable development policies and practices, and that
supplies environmentally friendly dishes and dish-washing services.
Manage food quantities precisely.
Favour the use of local, organic, fair-trade and in-season products.
Favour the use of washable dishes (plates, glasses, utensils) or biodegradable ones (for
outdoor activities, for example) over disposable dishes.
Surprise participants by replacing dishes with food: a piece of pasta as a coffee stir stick, for
example, and a leaf of lettuce or cabbage instead of a plate.
Try to limit the amount of packaging.
Favour cloth napkins and tablecloths. If this isn’t possible, choose unbleached tablecloths
and limit napkins to one per person.
Serve water in pitchers, large bottles or from water machines located throughout the event
site, rather than in individual-sized bottles. An alternative is to give one reusable bottle of
water to each participant.
Instead of meal tickets use vegetable-based ink rubber stamps.
Offer a coffee mug to each participant and set up a mug-washing service for the event.
Give a discount to participants who reuse their mug several times.
Transportation

Inform participants of the various types of public transportation available.
Provide information on bus schedules, routes, rates and stops to participants.
Offer a shuttle service throughout the event.
In summer, make bicycles available to participants and lecturers.
Rent economical hybrid vehicles that run on alternative fuels.
Event promotion and communications

Inform participants of the sustainable nature of the event.
Announce the sustainable management measures and goals on the Web site and during the
event.
Put as much information as possible online: maps, registration, conference notes, directions,
etc.
Give special visibility to sustainable hotels.
Make participants aware of the importance of respecting sustainable management measures,
through an information booth, a special team, signs, etc.
Give participants the opportunity to pay online.
Recommend that participants print only what is necessary and bring a notebook and pencil.
Print a smaller number of documents in each language rather than a larger number of longer
bilingual or multilingual versions.
Use the postcards offered by Destination Sherbrooke rather than invitation letters and
envelopes.
Calculate the exact number of printed copies required, which will reduce printing,
transportation and mailing costs.
Use post-consumer recycled paper.
Print on both sides.

Inform the media of the organization’s goals and efforts to protect the environment. Highlight
original ideas and promote the partners that are helping make them a reality.
In your thank-you letters or convention report, give a few precise results, regarding aspects
such as the quantity of paper saved, the quantity of waste and recyclable materials not sent
to landfill, the percentage of local purchases, and the event’s approach to preventing
greenhouse gas emissions.
E-mail a summary document on the event’s goals, measures and results obtained.
Provide conference minutes and notes on the Web site or e-mail them upon request.
Budget and purchasing

Check if the product needed is already available within the organization or through a partner.
Rent or share a required product.
Use products that are fair trade, organic, non-toxic, reused or reusable, recycled or
recyclable, and that use little or no packaging and minimal energy and water.
Favour local suppliers that have sustainable development policies and practices.
Reserve a sufficient amount of the budget for sustainable management measures.
Demonstrate the economic savings provided by your sustainable event if your environmental
efforts do save money.
Give low-income individuals and organizations the opportunity to volunteer at your event to
encourage their participation.
Include sustainability as a criterion in your choice of financial partners.

Use reusable and sustainable decorations, such as rented plants, educational signs,
chocolate centrepieces, and photo or art exhibits related to sustainable development.

Encourage the rental of reusable booths.
Avoid individual lighting in booths.
Promote innovative solutions by giving a prize for the booth that best respects the
environment.
Ask exhibitors to limit the number of brochures and promotional items they distribute by
taking the names and business cards of participants who want more information.
Avoid using batteries or provide a service for recovering used batteries.
Reduce, reuse and recycle packaging.
Think of recycling any decoration that can’t be reused by the convention or event
organization (donation, recovery, school, association).
Require that all exhibitors return their material at the end of the event.
Signs

Avoid paper-based signs; for example, put maps and programs on monitors, and use
blackboards or whiteboards with non-toxic markers.
Direct participants to the Web site for more specific information.
If posters are essential, choose reused, recycled, recyclable, and non-flammable materials,
and favour content that can be reused each year (avoid dates).
Instead of throwing out non-reusable signs, recycle them or give them to schools that would
be happy to convert and reuse them.
Tourism

Suggest sustainable tours, such as bike rides, hikes, nature and environmental attractions,
and places that adopt environmentally responsible measures.
Favour public transit, shuttles and car pooling.
Instead of giving tourism documents to all participants, ask Destination Sherbrooke to set up
a table with brochures at the event site.
Gift and promotional ideas

Use the nametags as a ticket for a free drink or cocktail to ensure they’re returned.
Locate recycling bins at the convention or event exit to recover documents no longer wanted
by participants.
Locate bins for recovering reusable name tags at the convention or event exit.
Ask partners to recuperate undistributed documents.
At registration, use a table for calculating greenhouse gas emissions. (Destination
Sherbrooke’s event and conference department can help.)
During the event

Promote the organizing committee’s sustainable actions.
Inform participants in the event program of your expectations in terms of their contribution to
the sustainable effort. They will be proud to help!
After the event
•

Redistribute part of the event’s profits to sustainable development educational projects in
schools. A list of Sherbrooke’s EVB-classified (Établissement Vert Brundtland – Brundtland
Green Establishment) schools is available from Destination Sherbrooke.
Compensate for the event’s greenhouse gas emissions by investing in offset projects or by
making a donation to an environmental group.
