I encourage you to ask for help, direction, or advice as you participate in the numerous opportunities to volunteer. Research indicates that parent volunteerism in schools enhances student self-esteem, increases academic achievement and improves student behavior and attendance. We appreciate the priceless service that you provide us and we have created this Volunteer Handbook to assist you. We want to make sure that you are well informed on all aspects of volunteering at Juan Diego Academy. The policies and procedures contained in this handbook serve to govern and direct our efforts as servant leaders at JDA. They are subject to change with prior written notice through the school’s web site, and the weekly E-News: our chief communications tools for our school community. Religious and Spiritual Formation—Education in the doctrines, customs, and traditions of the Roman Catholic Church challenges students to see and appreciate the dignity of all persons as children of God. Christian values are reflected throughout the curriculum: in daily prayer, religious instruction, weekly Mass, Christian ministry, and periodic retreats. In this environment of prayer and reflection, students are challenged to internalize their Christian beliefs and put them into practice. The centrality of religion to life is foundational. University Preparation—Rigor, relevance, and relationship are hallmarks of a thorough, comprehensive, college preparatory program for the 21st century. Students are academically challenged with courses that emphasize the development of critical thinking skills, the integration of technology, an understanding of the relevance of what is being studied to life and career goals—all the while forming relationships between ideas and concepts across the curriculum. Students are equipped with the tools needed to be successful college students and life-long learners. Educating the Whole Person—In addition to the religious and the intellectual, a truly Catholic education: builds character based on gospel values, promotes physical fitness and health, gives students the opportunity to exercise their aesthetic, kinesthetic, and artistic abilities, and involves them in competitive activities designed to foster growth of self-image, the importance of teamwork, sportsmanship, and the pursuit of excellence. These important concepts are addressed in various forms across the curriculum, particularly in competitive sports, fine arts, and extracurricular clubs and organizations. A Christian Learning Community-- Educating the whole person requires more than excellent classroom instruction. For this reason, Juan Diego Academy continually strives to build a Catholic Christian community where each student is offered love, acceptance, discipline, and challenge. The witness of faculty, with the care, attention and respect shown to students, contributes significantly to this atmosphere. In turn, students are expected to treat faculty and each other in a similarly loving and respectful manner, responding to the Gospel mandate to, “…love one another as I have loved you.” (John 15, 12). 5 VOLUNTEER OPPORTUNITIES This list is by no means exhaustive. Additional volunteer opportunities will become available. These will be announced through the E-News, facebook®, twitter®, and our school web site. VOLUNTEER COORDINATOR The Volunteer Coordinator assists the Administration of Juan Diego Academy in promoting, recruiting, and retaining volunteers to assist the school’s many activities and major fundraising events. The Volunteer Coordinator works with chairs and co-chairs on an “as needed” basis to assist in the smooth and efficient operation of volunteer-supported events. This volunteer position requires considerable commitment of time and resources to insure the smooth and effective stewardship of the volunteer resources of JDA. Typically, the Volunteer Coordinator has had numerous successful volunteer experiences both at JDA and in other settings, possesses a variety of gifts and talents, can communicate effectively with all members of the school community, and has a strong and active faith life. The Volunteer Coordinator is invited to serve in his/her ministry by the Vice President of Finance and Academy Advancement in consultation with the President & Principal and other members of the Administrative Team. CHAIRPERSON The chairperson is essential to the success of all volunteer activities. The main responsibility of a chair person is to assist the administration of Juan Diego Academy in completing the task(s) assigned to his/her committee—before, during, and after. In the case of Gala or other major fundraising event, the chairperson is responsible to event’s Steering Committee or Volunteer Coordinator. GALA Steering Committee Responsibilities: Planning, scheduling and organizing the schools largest fundraiser which takes place every year in early November. Manage a budget and solicit underwriters to help fund event and coordinate sub committees. Chair/Co-Chair Time Commitment: Significant List of Committee chairs: Live Auction Chair: Design and manage the live auction Silent Auction Chair: Design and manage the silent auction Program Chair: Design, compile, and print the Gala program, including live auction item descriptions Publicity Chair: School, and community promotions and advertisement Ticket Sales Chair: Coordinate development and sale of tickets Entertainment Chair: Musical entertainment and visuals during live auction Dinner Chair: Select Caterer, coordinate menu, arrange for bar Decorations Chair: Table centerpieces, silent auction tables, registration tables, linens, indoor signs, name tags Finance Chair: Manage budget, track expenses, coordinate check-out, donor tax receipts, etc. 6 Student/Faculty Coordinator: Arranges the scheduling and supervises the work of student and faculty volunteers during the Gala Event Extras Chair: Registration, Coat Check, Runners, Checkout, Set-up and Take Down Correspondence Chair: Write and send invitations, thank you letters, etc. Reports to: Vice President of Finance & Academy Advancement CAFETERIA/SCHOOL LUNCH PROGRAM Chair Responsibilities: Plan the ongoing school lunch menu; coordinate delivery of food; stock snack bar items and drinks; sell menu items; track sales and receipts and submit to the finance office; recruit and coordinate parent and student volunteers assisting with sales and support of the lunch program; coordinate with class sponsors concerning school spirit days and other special lunch events. Chair Time Commitment: 90 minutes-two hours daily (regular lunch shifts are 11:45—12:15 & 12:30— 1:00 PM), plus periodic shopping trips to pick up snack bar items and supplies Reports to: President & Principal UNIFORM FAIR SOCIAL/UNIFORM SWAP Chair Responsibilities: Plan and Organize event. Schedule volunteers to work shifts throughout the event. Volunteer Responsibilities: This event occurs in late July/early August. Volunteers set up the refreshments table and uniform swap area, serve families, and clean up after the event. Volunteer Time Commitment: 6-7 hours on the day of the event that may be broken down into shifts, including set up and clean up. Some advance promotion work and shopping for refreshment tables supplies is required. Reports to: President & Principal SOCIAL COMMITTEE: MASSES/MEET THE TEACHER NIGHTS/REPORT CARD NIGHTS/PARENT MEETINGS Chair Responsibilities: Plan and Organize the social components of these events to provide appropriate refreshments based on time of day and type of event. Schedule volunteers to work shifts throughout each event. Volunteer Responsibilities: Volunteers set up the refreshment area for each event, serve families, and clean up the refreshments area (including kitchen) after the event. Volunteer Time Commitment: 3-4 hours on the day of the event that may be broken down into shifts, including set up and clean up. Some advance promotion work and shopping for refreshment supplies is required. 7 Reports to: President & Principal GYMNASIUM CONCESSION STAND Chair Responsibilities: Assist the Athletic Director in purchasing items for sale, coordinate volunteers to work at the various games, coordinate with finance office to have a cash box with money to use for sales, and to keep the money in a safe location when not in use. Volunteer Responsibilities: Volunteers set up, sell product, clean up and take down elements of the concession stand after each event. Volunteer Time Commitment: 3-4 hours on the day of the event that may be broken down into shifts, including set up and clean up. Reports to: Athletic Director CALLED TO MINISTRY/SENIOR RETREAT Chair Responsibilities: Coordinate with the Called to Ministry Teacher for the menu and logistics of serving meals to the students on retreat. Coordinate delivery of food; stock items for snacks and drinks; establish and keep to the agreed-upon budget as set by the teacher, keep receipts and submit to the finance office; recruit and coordinate additional parent help as needed for serving and clean up. Chair Time Commitment: Significant amount of time the week of the retreat, including the possibility of staying on retreat site throughout the three-day event. Reports to: Called to Ministry Teacher; President & Principal LIBRARY/MEDIA CENTER Chair Responsibilities: Work with Librarian & schedule volunteers to assist in the Library as needed. Chair Time Commitment: varies, based on Librarian’s schedule and availability Volunteer Responsibilities: assist students in finding, checking out, and returning library books; using printers, audio-visual materials, returning books to shelves, light cleaning as necessary. Volunteer Time Commitment: 2-4 hours weekly on designated day(s). Reports to: Librarian, President & Principal FALL AND SPRING LOCK IN CHAPERONES Chair Responsibilities: Arrange to have 2-4 parents present in 4-hour shifts from 8:00 PM to 8:00 AM to supervise rooms where lock in activities will take place. Arrange for delivery of pizza between 11 and 12; promote parent contributions of snacks and desserts. Volunteer responsibilities: Assist in supervision of students along with faculty; clean up as necessary. 8 Volunteer Time Commitment: one, 4-hour shift (8-12; 12-4; 4-8) Reports to: Student Council Sponsor, President & Principal THANKSGIVING DINNER Chair Responsibilities: Coordinate and plan the annual dinner for all students, teachers, and families. Determine budget for dinner in consultation with the President & Principal. Choose caterer, gather volunteers to arrange and decorate tables and provide desserts. Arrange servers, if needed. Arrange for a set-up and a clean-up committee. Volunteer responsibilities: Assist in procuring desserts from parents, decorating tables, serving, and cleaning up. Volunteer Time Commitment: Significant time commitment for chair in November; 3-5 hour commitment on day of event. Reports to: President & Principal SPRING FESTIVAL Steering Committee Responsibilities: Planning, scheduling and organizing the school’s second largest fundraiser which takes place every year in early spring. Manage a budget and solicit underwriters to help fund event and coordinate sub committees. Chair/Co-Chair Time Commitment: Significant List of Committee chairs: Raffle Chair: Solicit raffle prizes, Coordinate the development and sale of raffle tickets, manage the raffle drawing following chalupa in the gym BBQ Chair: Coordinate cooks, select and arrange for purchase and delivery of food products, grilling equipment, and meal supplies. Coordinate set up of cafeteria and kitchen, plus volunteers to work in shifts preparing and serving food, set-up and cleanup. Run/Walk Chair: Recruit volunteers to assist in building and maintaining the course for the run/walk. Solicit donors and sponsors for sign up materials, refreshments, entertainment, security, first aid, and awards. Create an online sign up system for runners and walkers, promote and advertise the event throughout the local and statewide running/walking communities. Booths & Rides Chair: Arranges for an appropriate selection of game booths, rides, a rest area, first aid tent, and dining tent around the perimeter of the plaza for the Spring Festival. Coordinates with vendors in delivery of needed items, selects and purchases prizes, prepares a volunteer schedule for students, faculty, and parents. Arranges for set up and removal of games and booths before and after the festival. Chalpua Chair: Solicits and catalogs prizes, materials, and set up/clean up of the chalupa game in the gym. Publicity Chair: School, and community promotions and advertisement Ticket Sales Chair: Coordinate development and sale of all tickets Finance Chair: Manage budget, track expenses, coordinate check-out, donor tax receipts, etc. Event Extras Chair: Registration, Coat Check, Runners, Checkout, Set-up and Take Down 9 Correspondence Chair: Write and send invitations, thank you letters, etc. Reports to: Vice President of Finance & Academy Advancement CATHOLIC SCHOOLS WEEK: STAFF APPRECIATION DAY Chair Responsibilities: Coordinate and plan a lunch, plus other activities, promotions, or gifts for the staff on the Tuesday of Catholic Schools Week. Determine specific menu items, etc. in consultation with the President & Principal. Choose vendor(s), gather volunteers to arrange and decorate tables, etc.. Arrange servers, if needed. Arrange for a set-up and a clean-up committee. Volunteer responsibilities: Assist in obtaining donations from parents, decorating tables, serving, and cleaning up. Reports to: President & Principal CATHOLIC SCHOOLS WEEK: COMMUNITY APPRECIATION DAY Chair Responsibilities: Works with the President & Principal to prepare a list of persons/agencies to be thanked by the school on Thursday of Catholic Schools Week. Solicit volunteer help to get donations of materials and baked goods to prepare a gift basket/plate for each entity. Recruit volunteer drivers to prepare plates/baskets and make deliveries. Work with the sponsor of the student council to prepare a schedule of students to serve as goodwill ambassadors to the delivery sites. Coordinate the deliveries based on location and feedback from volunteers. Arrange for a clean-up committee, if needed. Volunteer responsibilities: Assist in obtaining donations from parents, decorating tables, serving, and cleaning up. Reports to: President & Principal WALKATHON FOR CATHOLIC SCHOOLS Chair Responsibilities: Coordinate and plan the annual event for all students, teachers, and families. Working with the Athletic Director, Distribute pledge envelopes and take t-shirt orders. Make arrangements for securing police escort, purchase and transportation of drinks, food, and snacks to the park. Arrange for volunteers to cook and serve food; clean up afterwards. Arrange for t-shirt sales and delivery, payment of fee to Diocese, transportation of persons with disabilities and other special needs. Arrange for a set-up and a clean-up committee. Volunteer responsibilities: Assist with purchase of supplies, cooking and serving of food on day of event; set up and clean up. Volunteer Time Commitment: Significant time commitment for chair in April; 4-6 hour commitment on day of event. Reports to: Athletic Director 10 SOPHOMORE SERVICE DAY Chair Responsibilities: Coordinate with the Sophomore Religion, President & Principal, and Sr. Fatima Santiago of Casa de Desarrollo in planning a significant service project in the Colonia Las Palmas in Penitas on the pre-determined date. Plan and recruit volunteers to assist students in successfully completing the project. Plan and hold one fundraising/awareness day in consultation with the President & Principal. Arrange for transportation for students and materials to service site. Arrange for Mass to be offered at St. Anne’s in Penitas to conclude service day. Recruit and coordinate additional volunteer help as needed for serving and clean up. Chair Time Commitment: Significant amount of time during the month leading up to the service day; 68 hours on the service day itself. Reports to: Sophomore Religion Teacher; President & Principal JUNIOR RETREAT Chair Responsibilities: Coordinate with the Called to Ministry Teacher for the menu and logistics of serving meals to the students on retreat. Coordinate delivery of food; stock items for snacks and drinks; establish and keep to the agreed-upon budget as set by the teacher, keep receipts and submit to the finance office; recruit and coordinate additional parent help as needed for serving and clean up. Chair Time Commitment: Significant amount of time the week of the retreat, including the possibility of staying on retreat site throughout the three-day event. Reports to: Called to Ministry Teacher; President & Principal SCHOOL PICTURES Chair Responsibilities: The chair is responsible for obtaining the dates for school pictures from the office, recruiting volunteers to assist the photographers on picture days and organizing the volunteers, staff, students and photographers to facilitate a pre-assigned time schedule. Chair Time Commitment: approx: 16 hours annually Volunteer Responsibilities: A few volunteers are needed to assist the photographers on school picture days. The primary responsibilities include organizing the students to get them to and from their appointments with the photographer, collecting payments and maintaining some records on that day. Volunteer Time Commitment: Four-six times a year for a period of approximately 3 hours each Reports to: President & Principal HEALTH SCREENINGS Chair Responsibilities: The chair is responsible for obtaining the date for vision screening from the school nurse or volunteer nursing practioner. It is usually held in mid-October. The chair will be coordinating volunteers to assist the optometrist on the vision screening day and organizing the volunteers, staff, and students to facilitate a pre-assigned time schedule. Chair Time Commitment: approx. 10 hrs. 11 Volunteer Responsibilities: A few volunteers are needed to assist the nurses and optometrist on vision screening day. The primary responsibilities include organizing the students to get them to and from their appointments with the optometrist. Volunteer Time Commitment: once a year for approximately 4-6 hours. POLICIES AND PROCEDURES Application Process All volunteers are required to fill out a Volunteer Application. Volunteers can either fill out the application provided in this handbook or access the application online by visiting the Juan Diego Academy web site (www.juandiegoacademy.org). The information you provide on these forms will be held in the strictest confidence. Please fill out all of the information requested, sign, date, and return to the Principal’s Office. Please keep the Diocesan Code of Conduct for your records. Volunteers may not be considered for service unless the Volunteer Application, Volunteer and Diocesan Code of Conduct, Criminal Background Check, and Volunteer Handbook Acknowledgement forms are submitted, reviewed, and approved by the school (criminal background check is handled through the Catholic School Office of the Diocese of Brownsville). Additionally, all volunteers must participate in the Protecting God’s Children training offered numerous times throughout the year. School Hours The instructional day begins with Morning Prayer in the chapel at 8:20 AM. Dismissal is at 4:05 PM. School Office Hours The school office is open on all school days from 8:00 AM to 5:00 PM. Sign-In Procedure For the safety and security of the JDA community, all visitors (including volunteers) are required to sign in at the school office upon arriving to campus. All visitors and/or volunteers are required to wear a designated badge or sticker that may be picked up in the office. Visitors and/or volunteers are to return the badge and sign out upon leaving the campus. Dependability The school relies on your support. We ask that you follow through on tasks by attending to scheduled times and please give notice of absence whenever possible to the person you are working with, or by phoning the office. Confidentiality A volunteer operates in a position of trust. Therefore, great care must be taken to ensure that student, staff, and parent information is kept confidential. Any concerns in this regard should be reported to a member of the Administrative Team. All volunteers are required to sign and abide by the Volunteer Code of Conduct. Breaches in confidentiality are grounds for dismissal of services and could lead to the separation of the volunteer’s family from the school community. 12 Technology Photographs or statements made on a volunteer’s Social Networking Site (e.g. facebook, twitter, Instagram) or texted by a volunteer deemed abusive, defamatory, or obscene by the school’s administration may be cause for dismissal of services and separation of the volunteer’s family from the school community. This includes defamatory comments made about the school administration, other teachers, students, Juan Diego Academy, the Diocese of Brownsville, or the Catholic Church. Volunteers should never take photographs of students during school sponsored activities unless directed to, or given permission by, the administration. Health and Safety A First-Aid kit is available on every field trip, in the school office, and in the gym. AEDs are available in the cafeteria and the gym foyer. Volunteers should at no time administer any medication to a student. This includes, but is not limited to, over-the-counter medications. Volunteer Dress Juan Diego Academy has established a dress code for both students and faculty. Although volunteers do not have a dress code requirement, it is expected that volunteers reflect an appropriate image of Juan Diego Academy and wear modest clothing while working in the school or during school activities. This includes a moderate length for skirts and shorts, conservative blouses and tops, no workout apparel, and no jeans if one is volunteering in the front office. Responsibility The Administration of Juan Diego Academy is accountable for facilitating, monitoring, evaluating and providing continuity for the success of the volunteer program. The staff is committed to welcoming volunteers, informing them about their tasks, encouraging their initiatives and celebrating their efforts. Volunteers are expected to adhere to school rules and procedures, perform assigned tasks to the best of their ability, work cooperatively with all staff, and seek clarification when necessary. Emergency School Closing In the event of an emergency school closing, information will be released via the school’s website, by Text Message, Twitter®, facebook®,and on one or more of the following news services: Channel 4, Channel 5, K-Tex 100.3, or KVLY 107.9. In the event of inclement weather, Juan Diego Academy will follow the Mission Consolidated Independent School District in cancelling school due to weather. Emergency Drills During an emergency (Code Red or Code Blue) students and volunteers are to follow teacher/staff directions. Teachers/staff will activate the immediate response emergency plan. Students are to remain silent until directions are given by their teacher, the administration, or the police. Fire drills are conducted with and without prior notice. Upon notification of a Code Red, all work immediately stops. The last person to leave the room closes the door and turns off the lights. Students, staff, and volunteers are to move quickly and silently. Running is forbidden. Absolute silence is to be maintained throughout the fire drill. Violation of these fire drill procedures can constitute a serious hazard to the safety of others. 13 Field Trips 1. Parents who chaperone a field trip may not bring pre-school or school-age siblings on the field trip. 2. All chaperones must be 25 years of age or older. 3. Chaperones should not smoke while on the field trip. This includes the use of electronic cigarette products. 4. Chaperones should dress modestly and appropriately on the field trip. Teachers will notify all chaperones of the appropriate dress code for the trip. 5. Chaperones should refrain from cell phone use while on the field trip. 6. Chaperones should not allow students to use their cell phones on the field trip. 7. Chaperones should be involved in active supervision while on the field trip and not engaged in social conversation with other chaperones. 8. Chaperones may be held responsible for accidents or injuries that happen due to their negligence. Reimbursements Volunteers seeking reimbursement for supplies purchased on behalf of the school must first seek approval from the President & Principal or the Vice President for any such expenditures. Arrangements will be made with the volunteer so that any purchases are tax-exempt. Original receipts must be brought to the finance office as soon as possible once a purchase has been made. The volunteer will be asked to complete a reimbursement form as part of this process. Due to audit regulations, the school is unable to reimburse the sales tax. Right to Amend Juan Diego Academy reserves the right to amend this Handbook. Notice of amendments will be sent to volunteers through the school’s web site, or in the E-News. The following section is derived from the United States Conference of Catholic Bishops guidelines regarding the Protection Of All God’s Children encompassing both school and church. CHILD SAFETY & LEGAL ISSUES Guidelines for the Supervision of Minors Guidelines include, but are not limited to, the following: 1. Church personnel are responsible for releasing minors in their care at the close of activities only to parents, legal guardians or other persons designated by parents or legal guardians in writing. 2. Programs for minors should not be administered by only one adult without additional adult supervision. 3. Church personnel should report uncontrollable or unusual behavior of minors to parents as soon as possible. 4. Facilities should be monitored during church services, and all school and other activities. 5. Parents should be encouraged to be part of all services and programs in which their children and young people are involved. 6. Parental permission should be obtained, including a signed medical treatment authorization form before taking minors on trips. Have minors use a “buddy system” whenever they go on trips away from church property. 7.
