SIGNATURE: DATE For Chamber use only Date received: Check # Notes: Festival Overview The annual Lee’s Summit Oktoberfest, sponsored by the Lee’s Summit Chamber, and presented by Pinnacle Bank, is September 23-24, 2016. Oktoberfest is a family-friendly event offering a variety of entertainment for all ages. Vendors interested in participating in this year’s festival must review and complete the included application. Application Information: • All applications must be completed legibly. • All work must be the product of the individual(s) applying for entrance. Commercial products and those made by someone other than exhibitor, are not accepted. • The jurying committee reserves the right to accept or deny applicants on the basis of the submitted photos of work presented, plus any knowledge they may have of the artwork (ex. from previous festival or websites). • Exhibitors agree to present a quality display and products. All sales must be transacted by vendor. • Checks will not be deposited until your application has been accepted. If you are not accepted, your check will be returned. Additional Information: • Vendors are not guaranteed the same booth space as previous years. If you would like to request a specific location, please make a note on the application and we will make every effort to be accommodating. • Under no circumstances may you sell, share or give your booth space to another exhibitor. • Booth assignments and a festival map will be e-mailed or mailed no later than one week prior to the event. Vendor Check-in: • Check-in must be completed prior to set-up and includes a booth tag allowing entrance into the festival site. • Check-in location will be determined at a later date and sent with booth assignment prior to the festival. • Vendors not checked-in by 3 p.m. Friday will forfeit their space and all fees paid. Set-up/Tear down Information: • Booth must be manned the entire duration of the festival. Festival hours are 5-11 p.m. Friday, Sept. 23 and 10 a.m.-11 p.m. Saturday, Sept. 24. • Booths must be completely set up, with all vehicles removed from the streets, by 3 p.m. Friday, Sept. 23. No booths may be removed before 11 p.m. Friday and Saturday. All booths must be completely removed Saturday evening following the festival after 11 p.m. • Exhibitors must provide their own tents unless renting one from the Chamber, as well as provide their own tables, chairs, display screens, etc. All items, displays, etc. must be contained inside your assigned space. All tents must have weighted tie-downs to prevent tents from blowing over and injuring vendors and guests. Electricity: • Access to electricity is provided at 100 watts per space. Exhibitors should bring their own 100 foot, 14 gauge extension cord. If you wish to have lighting you must bring your own lights. Security: • The festival is not responsible for any damage, theft, fire, loss or injury of any nature to the exhibitor, employees, goods, property, or any loss to third parties due to exhibitors’ acts of omissions, or any type of force of nature. • While security officers will be roaming the premises overnight, it is suggested that all valuables be removed. Cancellations: • Cancellations must be made prior to August 1, 2016, at which time a 50% refund will be given. After that date, if festival is sold out and we are able to fill the space, consideration will be made regarding a refund. Other: • Exhibitors are responsible for collecting state and local sales tax.
