The main purpose of the Camp part of the software is to register campers into camps, sessions and events while
tracking all of their required information. There are specialized modules available to cover the varied needs of
different clients but you can purchase only the parts you need and add other components in the future.
Here is a summary of features of the Camp section:

• The family screen records the full names
of one or both parents and easily
accommodates different names in
the family.
•
Extended family information for a divorced
or separated parent or a grandparent
can be entered on the second page
of the family screen, with the option
to send the invoice or a copy of all
correspondence to the extended family.
• You can “tag” your families into an
unlimited number of categories. This is
an excellent way to generate targeted
communication lists. For example,
a family may be tagged as a newsletter
recipient, an early-bird email recipient etc.
• You can mail merge information from
the family screen into Microsoft Word™
to create form letters.
• Log all communication with parents;
assign follow up responsibility to
yourself or another staff member;
browse all entries in one screen.
• Several user-defined fields can be
used to record any camper specific
information and several yes/no check
boxes can be used to ensure you have
all of the necessary forms and releases
from the camper; you can rename
these fields.
• Automatically convert a camper to staff
or alumni.
• View camper pictures in CampBrain
or print on reports.
• View and report on camper history.

CAMP MANAGEMENT
SOFTWARE
• Run multiple camps, sessions and
programs within the same database.
Each camp may have multiple sessions
with its own fees and payments. Each
session may have multiple programs.
• Camps, sessions, programs, sections
and cabins are configured to your
specifications.
• CampBrain accommodates daily
registration of campers.
• CampBrain monitors the camper’s age
and grade to ensure they are eligible
for specific sessions.
• You can record cancellations and place
campers on a waitlist.
• CampBrain records the date of
registration so you can track how
quickly your camp reaches capacity.
• Registering a camper is as simple as
double-clicking on the applicable
session and/or program.
• Automate the billing process by linking
charges to sessions and programs.
• Monitor up-to-the-minute progress
as sessions, programs and cabins fill.
Current registration totals and capacities
are displayed on the screen, broken
down by gender.
• Assign sections (units) and cabins
(groups) now in registration or later
in the Cabinizer.

CAMP MANAGEMENT
SOFTWARE
• A unique and innovative tool to help you
place campers into bunks or groups.
• Sort campers by any combination of
session, gender, age, and grade and
then drag them into bunks.
• Choose the fields you would like to display beside the camper, allowing
you to customize the screen to suit
your needs.
• Select and place one or more campers
at a time.
• CampBrain displays the current number
of campers in the bunk and the bunk’s
capacity.
• You can turn on the option to have
CampBrain warn you if you are placing
a camper into a bunk of the wrong
gender, or if the number of campers
exceeds the capacity of the bunk.
• CampBrain also displays the names of
the campers with whom the selected
camper wants to be grouped and
highlights all requested campers for you.
You can move the camper plus his/her
requests into the bunk or group together
without having to find and highlight each.
• CampBrain displays the bunk(s) the
campers were in during previous years.
• The perfect tool for assigning campers
to bunks or groups just prior to camp.

CAMP MANAGEMENT
SOFTWARE
• CampBrain can accommodate all
possible variables: cabin vs. individual
scheduling, one schedule for a week vs.
differing schedules throughout the week,
any number of periods in a day, activities
that span more than one period, etc.
You can even use this module to assign
campers to teams!
• Create unlimited activities and define
parameters for each activity (e.g. capacity,
age specific, gender specific, etc.).
These parameters may be unique for
each period.
• Record camper activity choices in order
of their preference.
• Schedule campers or cabins/groups into
activities for each period — this can be
done manually one camper or cabin/group
at a time or automatically by CampBrain.
• Schedule your staff as well.
• The module automatically monitors
capacity limits, availability options and
all other parameters that you have set
for each activity.
• Take advantage of “summary” screens
which provide overviews of the schedules.
• Generate your favorite reports

Resident Camps
• The resident camp transportation screen
records how a camper is getting to and
from camp, including flight information,
allowing you to be confident that you
have accounted for every camper.
• There is ample space for arrival and
departure notes.
• CampBrain provides great transportation
reports: arrival and departure bus or
flight lists; rosters with counselors or
by cabin.
Day Camps
• Sort your campers by nearest intersection,
zone, or pickup location and drag them
onto buses.
• Create bus routes, print bus rosters,
assign pickup and drop-off times.
• Drag and drop campers from one bus to
another, change the pickup and drop-off
order within a bus and produce daily
arrival and departure bus lists.
• Coordinate camper pickup and drop-off
at home, alternate locations and
designated bus stops.
• Efficiently manage the myriad of daily
bus changes: campers who arrive or
depart on a different bus than usual,
campers who arrive on one bus and
depart on another, parent pickups
and drop-offs, absent campers, and
extended AM and PM care programs.

CAMP MANAGEMENT
SOFTWARE
• Camp store records all camper and staff
product purchases. Standard products
are listed in the drop-down box –
double-click on the item and it is
automatically added to the individual’s
account. Non-standard purchases are
recorded through a pop-up screen
where you may enter the product name,
price, description, and applicable taxes.
• Invoices and account statements can be
automatically updated with Camp Store
transactions.
• Camp Store has been designed with
efficiency and ease-of-entry in mind.
Keyboard shortcuts, drop-down lists,
defaults and CampBrain’s standard
search functions make transaction
recording simple and quick.
• Deposits for product purchases received
from campers prior to camp can be
automatically carried over from Camper
Charges and displayed on the screen.
The current balance (deposit less actual
purchases) is also calculated and
displayed.
• You can provide campers and their
parents with a detailed list of transactions
or just a summarized balance on the
final statement of account.
• Camp Store categorizes all purchases
to allow for detailed sales analysis.

CONFERENCE CENTER
MANAGEMENT SOFTWARE
31
• Record all of the required information
for an organization (e.g. address, phone,
fax) and track an unlimited number of
contact people for each organization.
• Note that an “organization” can have
many “groups”, thereby allowing you to
track the overall impact of an organization.
For example, a school may send
multiple classes.
• Enter organization and contact people’s
information only once even though they
may visit your conference center more
than once.
• Contact people may have separate
addresses, phone numbers, etc.
than the organization.
• Direct your marketing messages to
the most appropriate contact people.
• Double-click on the e-mail address
to automatically send an e-mail to
the specified person.
• For U.S. addresses, enter the zip code
and the city and state will automatically
appear.
• Automatic formatting of dates, titles,
addresses and phone numbers and
automatic capitalization of names.
• Drop-down menus for consistent and
convenient data entry.
• Mail merge into Microsoft Word™ to
create form letters.
32
CONFERENCE CENTER
MANAGEMENT SOFTWARE
• Register a group into your facility
including arrival and departure details,
first and last meals, expected and actual
numbers, agreed upon group rate,
deposit amount due and date due,
and any special requests.
• Choose a billing contact and group
leader from your list of contact people
associated with that organization.
• Use the Group Status field to monitor
the current status of that group’s visit
(e.g. Inquiry, Contract Sent, Contract
Returned, Registered).
• Several custom fields have been provided
to record other information unique to
your organization - these fields are easily
renamed and ready for use right away.
• Organize and track the number of
attendees in any form you want
(e.g. adults, children, male, female,
teachers, students, etc.).
• Use the convenient “Rebook Group”
feature to minimize data entry if the
group is returning at a later date.
• Log all communication with your groups
in an organized contact management
system — each entry is dated and can
be assigned to a specific staff member.
You can also browse all entries in a
single screen.

MANAGEMENT SOFTWARE
• CampBrain automatically fills in all meals
for the group based on arrival and
departure dates, first and last meal —
you can add, delete or amend any meals.
• Record complete details for each meal —
date, meal (e.g. lunch, dinner), time of
meal, number of people, location, meal
type (e.g. buffet, barbecue), notes and
2 customizable fields (use them any way
you want).
• You can set default values for most fields
to minimize data entry (for example,
the time of lunch can appear consistently
as 12:00 and you can edit if necessary).
• Print fantastic daily summaries for your
kitchen staff, providing details on all
groups and totals for each meal.
• Provide critical dietary information
to kitchen staff for each group.
• Incredible monthly or yearly summaries —
total meals served, number of breakfasts
vs. number of dinners, total camper
days, etc.

The main purpose of the Donors part of the software is to track donors and their pledges and gifts. This module
is fully integrated with the other parts of the software so you are not creating duplicate records for an individual
or group that may have multiple relationships with you (e.g. staff member + donor + parent of camper).
The concept is that you have one record for an individual even though they may interact with your operation
in several ways. In reality, a significant percentage of most camps’ potential donors comes from people with
whom they already have a relationship and who are already in their main database (e.g. parent of a camper, staff,
alumni, school group, company, board member, inquiry, newsletter recipient, etc.). This model results in less
duplication and data entry, more professional communication with your constituents, more efficient analysis
capabilities and better overall reporting. The Donor module is idealfor those clients operating a camp and/or
conference center that do not want a separate database for their donors. Here is a summary of some of the features:

DONORS
43
• There is one record for a person in
CampBrain, yet they can interact with
your organization in numerous ways
(e.g. staff member, donor, board member).
Therefore, there is no duplication issue.
One database, one record, one place
to change an address, phone number
or email.
• Donors may be individuals, and can be
part of a family unit, or companies.
• You can “tag” your donors into an
unlimited number of categories.
This is an excellent way to generate
targeted communication lists.
For example, a donor record may be
tagged as a board member, a newsletter
recipient and a major donor.
• Numerous custom fields allow you to
customize the module to track information
specific to your operational needs.
• A fundraising profile provides a quick
snapshot of the donor’s past history,
including their largest, most recent and
first donation as well as yearly totals.
• Set certain parameters for your donors
such as whether they want to remain
anonymous or whether they prefer an
annual receipt.

DONORS
• Record pledges and use the wizard to
establish the installment plan. Set a start
and end date along with frequency and
CampBrain will automatically setup the
required installments.
• Send reminders to donors based on
their pre-established schedule.
• Allocate payments to specific pledges
and track progress.
• Establish campaigns and designate
pledges and donations toward a
campaign.
• Categorize donations to specific funds
(e.g. operations, building fund, etc.).
• Memorials and honorariums may be
established and you can produce
detailed reports for the family.
