There are specialized modules available to cover the varied needs of different clients but you can purchase only the parts you need and add other components in the future. Here is a summary of features of the Camp section: REGISTER AND CHARGE CAMPERS Register campers into an unlimited number of camps, sessions and options. Track camper, family and RECORD CAMP STORE PURCHASES emergency contact information. This is an excellent way to generate targeted communication lists. For example, a family may be tagged as a newsletter recipient, an early-bird email recipient etc. • You can mail merge information from the family screen into Microsoft Word™ to create form letters. • Log all communication with parents; assign follow up responsibility to yourself or another staff member; browse all entries in one screen. • Several user-defined fields can be used to record any camper specific information and several yes/no check boxes can be used to ensure you have all of the necessary forms and releases from the camper; you can rename these fields. • Automatically convert a camper to staff or alumni. • View camper pictures in CampBrain or print on reports. • View and report on camper history. 4 CAMP MANAGEMENT SOFTWARE • Run multiple camps, sessions and programs within the same database. Each camp may have multiple sessions with its own fees and payments. Each session may have multiple programs. • Camps, sessions, programs, sections and cabins are configured to your specifications. • CampBrain accommodates daily registration of campers. • CampBrain monitors the camper’s age and grade to ensure they are eligible for specific sessions. • You can record cancellations and place campers on a waitlist. • CampBrain records the date of registration so you can track how quickly your camp reaches capacity. • Registering a camper is as simple as double-clicking on the applicable session and/or program. • Automate the billing process by linking charges to sessions and programs. • Monitor up-to-the-minute progress as sessions, programs and cabins fill. Current registration totals and capacities are displayed on the screen, broken down by gender. • Assign sections (units) and cabins (groups) now in registration or later in the Cabinizer. These parameters may be unique for each period. • Record camper activity choices in order of their preference. • Schedule campers or cabins/groups into activities for each period — this can be done manually one camper or cabin/group at a time or automatically by CampBrain. • Schedule your staff as well. • The module automatically monitors capacity limits, availability options and all other parameters that you have set for each activity. • Take advantage of “summary” screens which provide overviews of the schedules. • Generate your favorite reports automatically: master schedule, individual schedules, activity listing for each day and activity totals, staff roster, etc. ACTIVITY SCHEDULING 14 CAMP MANAGEMENT SOFTWARE Resident Camps • The resident camp transportation screen records how a camper is getting to and from camp, including flight information, allowing you to be confident that you have accounted for every camper. • There is ample space for arrival and departure notes. • CampBrain provides great transportation reports: arrival and departure bus or flight lists; rosters with counselors or by cabin. Day Camps • Sort your campers by nearest intersection, zone, or pickup location and drag them onto buses. • Create bus routes, print bus rosters, assign pickup and drop-off times. • Drag and drop campers from one bus to another, change the pickup and drop-off order within a bus and produce daily arrival and departure bus lists. • Coordinate camper pickup and drop-off at home, alternate locations and designated bus stops. • Efficiently manage the myriad of daily bus changes: campers who arrive or depart on a different bus than usual, campers who arrive on one bus and depart on another, parent pickups and drop-offs, absent campers, and extended AM and PM care programs. You can color-code based upon the groups’ status such as “registered”, “contract sent”,“inquiry” or you can color-code based upon the group type such as “school”, “retreat” etc. or color-code based upon your specific needs. • Click on a specific day and the right sidebar will display the groups onsite for that day as well as any booked accommodation and resources. CALENDAR GROUP REPORTING, EMAIL + EXPORT CONFERENCE CENTER MANAGEMENT SOFTWARE 41 • A straightforward selection screen allows you to select groups for printing. • In addition to being able to make your own reports, CampBrain comes with an outstanding collection of standard reports. • Contracts, invoices, deposit journals, aged accounts receivable, daily meal summaries, arrival and departure lists, calendars, resource schedules are just some of the reports that our clients depend on each day. • Mail merge information from your CampBrain database into Microsoft Word™ documents, analyse financial reports in Microsoft Excel™, prepare reports in a pdf format - your options are endless. • Reduce your postage costs by sending mass emails to groups - a great way to keep your customers informed of what’s happening at your facility. • You can also send out individualized emails en masse – a great way to send out invoices, contracts, etc. • Export groups and their details to your Microsoft Outlook- calendar. The main purpose of the Donors part of the software is to track donors and their pledges and gifts. This module is fully integrated with the other parts of the software so you are not creating duplicate records for an individual or group that may have multiple relationships with you (e.g. staff member + donor + parent of camper). The concept is that you have one record for an individual even though they may interact with your operation in several ways. In reality, a significant percentage of most camps’ potential donors comes from people with whom they already have a relationship and who are already in their main database (e.g. parent of a camper, staff, alumni, school group, company, board member, inquiry, newsletter recipient, etc.).
