From the Menu: i-Cue will help you, the teacher, efficiently maintain and view all of your attendance, grades and standardized test scores with minimal work and maximum efficiency and organization – all online! 1. Select “Tools” 2. Select “Internet Options” 3. “General” tab is already selected 4. Under “Temporary Internet Files” choose “Settings” Security Category 5. Select “Every visit to the page” Teachers have access to their own classes and the students in those classes. 6. Click OK TSIS Web Applications – Web Browser Settings In order for all of the TIES web applications to function correctly, it is important that web browsers are configured to check for a newer version of stored pages every time you visit the page. By default, browsers are set to automatically check, so we need to change the settings as follows: © TIES Netscape (Version 6.2 or Higher) From the Menu: 1. Select “Edit” 2. Select “Preferences” 3. Select “Advanced” and expand the list 4. Choose cache 5. Select “Every time” 6. Click OK. -1- Introduction TSIS i-Cue Logging in Go to the i-Cue web site at http://d9999n03.ties.k12.mn.us/toas 9999 = your 4 digit (leading zeros required) school district number. You will see a login screen like the one illustrated above. Now click on the button. If your login is successful and you teach in more than one school, you will be asked to select your school. (If you teach in only one school in the district, you will not see this screen.) Click on the school number of your choice. Enter your TSIS District Number, your ID Number, and Password assigned to you by your TSIS Administrator. © TIES -2- TSIS i-Cue Introduction Select a School School Number Selection Screen. Attendance Documentation | User Guide | Release Notes|| Log out Attendance screen for CHR 9-12, Date August 09, 2007 Accessing Documentation Click on Documentation and choose the User Guide link to view screen use instructions will you work. © TIES You also may access Release Notes for the latest i-Cue release from this menu. -3- Introduction TSIS i-Cue When you select Log Out, the Login Screen displays with the message You have been logged out. Logging out Once you have recorded your attendance, grades or test results, it is very important to log out correctly. Do this by clicking on the Log out link in the blue menu bar at the top © TIES right of the screen. You will be returned to the Login screen. From there, you can exit your browser. -4- TSIS i-Cue Taking Attendance Taking Attendance / Period Attendance link Attendance date and Change Attendance Date link Submit Attendance Top and bottom of attendance taking screen. If you selected the Attendance option on the log-in screen or left the GO TO: field blank, you will next see the Attendance screen for your first class period of the day. To navigate to Attendance from any i-Cue screen, click on Attendance in the blue menu bar at the top of the screen. Only students enrolled in the class on the Attendance For date will be included in the roster. Today’s date appears automatically, but the date can be changed. A few points about the use of Attendance: © TIES You can update attendance for today, but not for a future date. All students automatically are marked present (the first row of radio buttons, or P), unless the office has marked a student absent To mark a student absent, click on the second radio button, under the A (Absent) heading, to the left of the student’s name. To mark a student tardy, click on the third radio button, under T (tardy). To change an Absent or Tardy mark back to P (present), click on the P radio button. To record the attendance, click on at the bottom of the roster. i-Cue will update TSIS Attendance Records. -5- Taking Attendance To take attendance for another class, open the SELECT CLASS list box and select the class you want. The chosen class roster will display, as of today’s date. Again, you can change the date to a prior date. Once the attendance has been submitted to TSIS, you will see the message The class attendance has been updated. In the SELECT CLASS list box you will also see an X in front of the classes for which you have already submitted attendance during the day. TSIS i-Cue Changing the Attendance Date Your school may or may not allow you to change attendance dates. If your school does allow teachers to view or update attendance for a previous date, use the Change Attendance Date function. Note that in the example below the attendance day shown (July 1, 2007) is not an instructional day. To change the date the teacher would choose Change Attendance Date. Attendance date was changed to Sunday, a non-instructional day. No students are shown. to view or click on the “Calendar button and select the date from the appropriate monthly calendar. Use the forward and backward arrows to find the Attendance Change Date screen. Click on Change Attendance Date, shown circled on the example below. The screen illustrated will display. You can either type in the attendance date you want © TIES -6- TSIS i-Cue Taking Attendance When you select Log Out, the Login Screen displays with the message 'You have been logged out'. © TIES -7- Taking Attendance TSIS i-Cue Taking Attendance / Daily Click on Attendance Attendance date Click here to view Danica’s Attendance Summary Student Counts i-Cue Daily Attendance screen When your logon is completed, you will be brought to Attendance for today’s classes. 7. ‘Pres’ (present) is the default attendance status. If the student is absent for a full day or half day, or is tardy, click on the appropriate radio button . 8. If your school allows teachers to update reason codes you will see a reason code list box in the Reason field on the screen. You can specify a reason for the absence if you know what it is. Click on the arrow to open the list box and select the reason code. These codes have been set up by your school. © TIES -8- TSIS i-Cue Taking Attendance . Student Counts / Daily Lunch Count Use this section of the screen to submit lunch counts for your class. 10. Enter the number of hot lunches, alternate lunches or milks for your class. 11. Click or 9. Enter the ROOM NUMBER and click on the button. The box will change to look like the one above. 'Change Attendance Date' link 12. When you have updated everyone’s attendance, click on the button. You will see the message *The attendance has been updated, indicating a successful attendance update. ‘Attendance for’ field, calendar icon and Change Date buttons Changing the Attendance Date You can either type in the attendance date Your school may or may not allow teachers to update attendance for past dates. If your school does allow it, a link called Change Attendance Date will display below the current date. (See the above illustration.) you want to view or click on the Calendar icon and select the date from the appropriate monthly calendar: On the calendar, use the forward and backward arrows to find the month and year. Click on the Change Attendance Date link. The screen will return with the ATTENDANCE FOR field, a calendar button and a button displayed. © TIES 9 Taking Attendance TSIS i-Cue Click on the Calendar icon to display a calendar and choose an attendance date. In this example, the attendance day shown (August 11, 2007) is not an instructional day. Therefore, an error message displays instead of the students' names. Once you have specified your date, click on the button. With the correct date displayed, follow the instructions to enter and submit attendance. To change the date back to today’s date, click on the Change back to Today link beside the © TIES Note 1: It is not possible to take attendance for a future date. Note 2: If your screen does not include a button, you have “view only” access to attendance for previous dates. button. - 10 - TSIS i-Cue Taking Attendance month and year. The selected date is red on the calendar. Now click on the button. To change the date back to today’s date, click on the Today link next to the button. The Attendance For date can affect the Select Course class list in the following ways: If the date in Attendance For is today, only today’s classes will display in the Select Course list box. If the date is not today’s date, all classes for the year will display in the Select Course list box, not just current classes. Note 1: It is not possible to take attendance for a future date. Note 2: If your screen does not include a button, you have “view only” access to attendance for previous dates. Click the student link to view the student’s, attendance for all class periods Choose a class from the Select Class list box. Attendance has been submitted for the first class listed. Student Link If Student Link has been made available to your school, you will see the Student Link icon to the right of each student’s name. Click on the icon to view a student’s complete Attendance Summary. From there, select any of the modules that your school has activated in the Attendance Summary blue menu bar – Grades, © TIES Schedule, Transcript, Discipline or Contact Information. Once you have looked at the information you need, click on the Close Window link at upper right. You will be returned to the screen where you selected the icon. - 11 - Student Information TSIS i-Cue Student Information From Attendance or Mark Reporting, you can access student information, a student’s attendance history in this class, current schedule, contact information or transcript by simply clicking on a student’s name. Click on a student’s name on the Attendance or Grading screen to display the screen below. In the example, Michael Adams was selected from the list shown to the right. © TIES Click on a student’s name to display the screen below. - 12 - TSIS i-Cue Mark Reporting Mark Reporting - Recording Grades Enter grades into the fields. Edit Grades screen with ‘No List Boxes’ view selected. Submit Grade Changes Change Viewing Options © TIES - 13 - Student Information TSIS i-Cue You may want to key in the grades and comments instead of choosing them from a list box. Highlight No list boxes. Select Viewing Options OR To exclude students who have dropped the class, highlight Hide dropped students. To key in grades but select comments, choose Comments only list boxes. OR Now click on To include all students, highlight Show dropped students. Whichever option you choose, grades and comments are still available in the list boxes at the top of the screen. Now click on © TIES . - 14 - TSIS i-Cue Mark Reporting Field in error Grading Errors If errors exist, the errors will be highlighted and the following messages will display at the top of the screen, depending upon the errors committed. Error: Wrong grade. Please check the grade list; Error: Wrong comment. Please check the comment list; or Error: Comments for each grade cannot be duplicated, In the example, the wrong grade was entered in the FG column for Dee Judy Brown. To avoid these errors, use the list box option. That way, you will always be selecting valid values. Grade submission message with close-up overlay. Submit Grades When all grades are entered, click on to record them in TSIS. Warning: Do not submit grades until all grades are entered. Every time you submit © TIES grade changes the entire class is submitted to TSIS, which will slow your data entry considerably. If grades and comments are submitted correctly, you will see a message screen with grade update verification results like the one shown above. Select Return to grades to return to the Grades screen. 15 Tools TSIS i-Cue Tools Attendance page with open Tools drop-down menu. Use Tools to change your password, select a different school, or use the i-Cue seating chart. Click on Tools from the blue menu bar at the top of the screen. The Tools navigation link is available from anywhere in i-Cue. Change Your Password Choose Change Password from the Tools menu or the link under the blue menu bar. Follow the instructions on the screen, illustrated below. Change Password screen © TIES - 16 - TSIS i-Cue Tools 2. Click on a school Select School menu, accessed through Tools pull-down menu. Select School You can change to a different school without logging out of i-Cue. 1. Click Tools from the blue menu bar, © TIES 2. Select a Class Class list for ENG 11, Term Code FY, Section 1, Period 1 Seating Chart 1. To access the seating chart for a class, start by opening the Tools menu. Choose Seating Chart. The seating chart will resemble the one on the facing page. 2. Click on a class from the class list. The chosen class displays in the gray box at © TIES the top of the list. The class chosen in the example is ENG 11. The names of the students in ENG 11 are shown to the left. Class seats, shown in the body of the screen, are initially empty and they are arranged in a grid pattern. - 18 - TSIS i-Cue Tools 3. Select a seating arrangement Added desk Several students have been assigned a seat and an additional desk has been added to the right of the cluster. One desk as been marked Empty. 3. Select a seating arrangement. Several are available – Grid, Square, Open Square and Clusters. In the above example, the Clusters seating arrangement was chosen from the list box, causing the seats to rearrange themselves in the cluster pattern. 4. Assign students to seats. a. To manually assign seats, click on one of the student’s names from the list on the left and drag it to one of the desks; or click on a name assigned to a desk and move it to a different desk. When they have been placed, the students’ names will be faded out in the class list. b. To fill all empty seats at once, type the letter “F” or click on the Auto Fill command at the top of the screen. Previously-assigned and saved seating will not be deleted. d. To add an additional desk, type the letter “A” or click on Add desk. To position the desk with your mouse, click on the gray area and drag it. To mark a desk empty, click the Empty box or to delete the “empty” status click on the check mark. e. When you have arranged the seating to your satisfaction, either type the letter “S” or click on Save. 5. Class Discussions. Use the Random command to randomly select students for discussion questions. To enable the random selection feature, either type the letter “R” or click on the Random command at the top of the screen. The randomly-selected student’s name will be highlighted. Each time you click on the Random link, a new student will be highlighted. The student’s name will also display under the class name instead of the phrase Press “R” to choose. c. To clear all of the seats and begin again, type the letter “C” or click on the Auto Clear command. © TIES - 21 - Tests & Assessments TSIS i-Cue Tests & Assessments Tests and Assessments Tests and Assessments Home page. Recent improvements to i-Cue are listed on the Testing & Assessments Home Page. - 22 - TSIS i-Cue Tests & Assessments Select a topic or a link from Tests & Assessments Home Page. See a single test for all viewable students Navigate to a screen where you can select a single test and view the test results for all students in a particular class section; or you can limit the list to a defined group such as those who did not receive a ‘proficient’ score. Test Scores Custom Reports Navigate to a screen where you can begin a step-by-step process to develop a report that meets your needs. Score Entry Enter students’ standardized test scores. See all scores for an individual student Navigate to a screen where you can select a single student from a filtered group of students within a class section, then view a report showing test scores of all types. © TIES - 23 - Tests & Assessments TSIS i-Cue View Individual Student Test Scores 2. Select Filters 3. Select Student from the Students list box 1. Select a class From Tests & Assessments in the blue menu bar, select Test Scores and then select Individual Student from the sub menu. 4. When you have selected your criteria, click on . 1.Select the Class from the CLASS list box. The title of the class currently selected displays at the top of the screen. 2. Filters. You may want to select criteria to more closely define the list of students you want to work with. For example, select just one ethnicity or only Special Education students. 3. You may also change the ‘As of’ date for the test results. For example, you can change the date from today’s date to a date one month ago. Click on Change As of Date. The screen will change to allow you to type in a date change. If you don’t know the specific date, click on the Change Date options calendar icon to choose a date. © TIES - 24 - TSIS i-Cue Tests & Assessments 8. Click here to print the data 5. Choose a student 6. Choose test kind and/or subject and/or test history months (optional) 7. Click View Student Individual Student screen. Student Michael Adams was selected. The Test Subject list box is open. If MATH had been selected from the subject box, only math tests would be listed. 5. Choose a student from the STUDENTS list box (or type a student ID into the STUDENT field) and click on . Scroll down the page to view the student’s test history. 6. Filter test data. At this point the test kind and test subject list boxes have filled. To view only a certain test subject and/or kind, choose from the list boxes. To view tests taken during a specific time period, enter the number of months in the within the last __ months field. Enter the number of months you want to view in addition to the current month. For example, to view this month plus two previous months, enter 2. © TIES 7. Remember to click on each time you change your filters. 8. To print the screen information, click on the printer icon in the tool bar at the top of the screen. 9. To view test results for a student in the same class, highlight the new student in the student list box and click . To view results for a student in another class, highlight the class in the SELECT CLASS field. - 25 - Tests & Assessment TSIS i-Cue for Secondary Schools View Test Scores of a Single Test Click here to print the screen 1. Select a class 2. Select optional criteria 3. Select Test, Test Year and Enrolled Grade if you want only certain grade(s) Summary Single Test screen for English 11, Section 1, shown with open Test list box. To view a comparison with other classes or schools, select the Summary link or scroll down the page. Use this screen to select a single test and view the test results for all students in a class section. You also can limit the list to a filtered group such as those who are not proficient or those of a particular ethnicity. To access this screen, select Single Test from the Tests & Assessments/Test Scores menu in the blue bar. 1. Select Class: Select a course section from the class list box and wait for the screen to return. 2. Student Selection Criteria: Before proceeding, if you have been viewing other test information, clear any of the criteria fields that do not apply to your present inquiry. © TIES 3. If you want your data to include only proficient, non-proficient, or untested students, select one of those options from the proficient list box. Select other criteria from the LEP, G/T (gifted, talented), special ed or ethnicity list boxes. 4. Select Test/Assessment: Select the test from the TEST list box and enter the test YEAR. 5. Select a sort from SORT BY. The default sort is alphabetically by student. You can also sort by Score 1, 2 or 3. In that case, students will be sorted by scores, highest to lowest. - 26 - TSIS i-Cue Tests & Assessments Results of English 11, Section 1, ABC English . When the screen 6. Click on returns, scroll down the page to view your results. If students have test results for the selected test, the results will display. If they have no test results, no scores will display and the students’ names will not be underlined. Prof is the proficiency code, which is always based on Basic Standard Tests Score 1. Exclusion reason codes display in the Excl field. Exclusions are extracted from the student’s GS255 Student Test Scores record. They result in an N proficiency status. Summary Click on the Summary link or scroll further down the page to view a summary of results. © TIES These summary results will include only the students who satisfy all of the criteria specified in the List students by area of the screen. For example, if you choose Black in the ethnicity list box, only the totals for black students will be included in the summary. Summary totals display for ethnicity, Special Ed, Gifted/Talented, LEP, F/R (free or reduced lunch). Proficiency status is included in the horizontal column headings. Test prob is extra TSIS GS255 Student Test Scores record. Print the Data To print a report that includes the data, click on the printer icon in the tool bar at the top of the screen. - 27 - Tests & Assessment TSIS i-Cue for Secondary Schools The School ‘Compare by’ option is selected and Grade 11 is included. Sort by is ignored. It does not affect comparisons. Compare a class to a school or district You can compare your class to the entire school or to all students in the district. 1. In the Select Test/Assessment area, select either School or District in the COMPARE BY list box. 2. Select a grade or grade range from INCLUDE GRADES. (Required) If you select the blank option in this box you will receive the error message *Grade range is required when summarizing. 3. Click on . 4. Scroll down the page to view your comparisons. Your class totals will be labeled Selection and the comparison figures will be labeled School or District, depending on which option you chose. Summary of ACT Verbal scores for Grade 11 Students. Selection (Eng 11, Section) compared to School 0192 as a whole. © TIES - 28 - TSIS i-Cue Tests & Assessments Click on an underlined name to view the student’s strand scores for a Standardized Test View Strand Scores on Standardized Tests From the test results screen, click on any student name. In the example above, Michael Adams’s strand scores will be requested. A screen like the one below will display. The percentages are systemcalculated by dividing the strand score by the Max. The Max can be set on screen GS252 for each strand. See Page 10. To view another student’s strand scores, highlight a name in the ROSTER FOR list box. To return to the Test and Assessment screen, click on Back to class list. Back to class list ACT Verbal strand scores for Michael Adams © TIES - 29 - Custom Reports TSIS i-Cue All administered tests are listed Custom Report screen with English (Test Subject), BST (Test kind), High Schoo1 grade level and ‘Show test strands’ check box selected. The selected filters have not yet been applied. Custom Report 1. Select Tests and/or Strands You can choose tests and/or strands by scrolling through the Tests/Strands list box, but there is a better way to find the tests that will give you the information you want. First pick one or more Test Subjects, one or more Test Kinds and/or a Grade Level. If you want to see strands, also click on the SHOW TEST STRANDS check box. Now click the with only those tests that have the subject, kind and/or grade level you want to see. button. The screen will return © TIES - 30 - TSIS i-Cue Tests & Assessments The Tests/Strands list box now contains only the BST Verbal Test , along with its Vocabulary, Composition and Expression strands. A. Select Scores (optional step) To select score types and specify the order in which you want the tests and strands to print, click on . To skip this step, click on The Grade 12 Competency Text 2006 and its Vocabulary strand have been highlighted. Select the tests and/or strands you want included in the report. To include multiple tests and strands, hold down the <CONTROL> key while you make your selections. In our example, we are including the Grade 12 Competency Test 2006 and the Vocabulary strand that is a part of it. You can choose to include any Score type that is described, such as Raw, ST Percentile or Achievement Level as in the example. (If a score type isn’t being used, no description or check box will display.) In the example, All score types will be included in the report. You also can change the order of the report or strands. Enter the order sequence in the ORDER field. To return to the previous Custom Report screen, click on To proceed, click on . . Select Scores screen with All score types selected for the test and test strands. © TIES - 31 - Tests & Assessments TSIS i-Cue B. Select Filters on Identify Student Select Filters screen for a customized report for English 11, Section 1 a. On the next screen, Identify desired students, select a class from the Class list box. In the example, English 11, Section 1 has been selected. b. To include all students in the class, leave filters set to ALL. To limit the report to certain students, select the filter options you want. Possibilities are Students with a particular ethnicity. In the example, the ethnicity white was chosen. LEP, Gifted/talented, Title 1 and/or Special Ed students Students who are proficient (or not) Students enrolled as of October 1 in the District or in the School. c. Click on the the report. © TIES d. When the screen returns, scroll down the page to view your results. e. To view a printable version of the report, click on Printable Version. To print it, click on the printer icon in the tool bar at the top of the screen. f. To sort the students in the report by one of the test or strand scores, click on the column heading you want to sort by. The screen will return with the sort completed. To reverse the order from highest to lowest (or lowest to highest), click on the heading a second time. g. To view detailed information about a student (i.e., navigate to Individual student), click on the student’s underlined name. button to process - 32 - TSIS i-Cue Tests & Assessments C. Report Results Top of Examine Results screen a. On the Examine results screen, select a class from the CLASS list box. In the example, English 11, Section 1 has been selected. b. To include all students in the class, leave filters set to All. To limit the report to certain students, select the filter options you want. Possibilities are Students with a particular ethnicity LEP, Gifted/talented, Title 1 and/or Special Ed students Students who are proficient (or not) Students enrolled as of October 1 in the District or in the School. button c. When the screen returns, scroll down the page to view your results, shown on the following page. click on the printer icon in the tool bar at the top of the screen. f. To sort the students in the report by one of the test or strand scores, click on the column heading you want to sort by. The screen will return with the sort completed. g. To view detailed information about a student (i.e., navigate to Individual student), click on the student’s underlined name. h. To create a new report, click . The Custom on Report page will display. i. To view scores for a previously configured group of reports, click on . The Tests and Assessments home page will display. Click on the button for the report grouping you want to view. e. To view a printable version of the report, click on Printable Version. To print it, © TIES - 33 - Tests & Assessments TSIS i-Cue Save Results as Tab-delimited File Printable Version Students and Scores from the Results screen You can save this file for further analysis and update. Click on the Save Results as Tab-delimited File or Save Summary as a Tab delimited file links: The File Download box below will display. be given the option each time, leave the check box unchecked. Check box Printable links: Choose to Open or Save the data file. View the report as it will look when printed, then print it. Another box will display, asking in which application (such as Word) you want to open or save the file. Select it and click OK. You can specify that you always want tsv files saved to the same application. Just click on the check box ALWAYS USE THIS PROGRAM TO OPEN THESE FILES and select an application, such as Excel. If you want to © TIES - 34 - TSIS i-Cue Tests & Assessments One-Click Reports Use one-click reports to view and compare results for two or more tests on the same page. For example, teachers and administrators often want to compare the results from two testing dates for the same group of students. An example is shown of a One-Click report named GR 12. Two tests, English Enrichment and ABC English, are included in this group. Others can be added to the group at any time.
