The Woodwinds Wedding Checklist…
Your wedding is one of the most important days of your
life. A day that should be filled with love and joy without
the hassel and stress of planning.
Once you have secured your date, here is what you
need to do to plan a smoothly coordinated event:
Invitations And Response Cards

You should order your invitations at least
4 months prior to the reception.

Please avoid saying on your invitation that the reception is “Immediately" Following “
the ceremony. We would prefer that you state
the time of the ceremony or the reception,
(i.e. 7:00 pm until midnight, this helps avoid early arrivals and allows us needed time to properly prepare for your event).

Entrée selections must be decided upon prior to having invitations printed.

Invitations should be mailed out 6-8 weeks prior, return response should be dated for 3 weeks prior.

Have your reply cards worded as suggested below.

prior to the wedding to arrange for a meeting to select a cake. Cakes provided by
The WoodWinds are from standard selections and sized per the number of guests. Payments
for over-sized cakes, and “extras” can be made directly to our baker. Keep in mind, cake tops and fresh flowers are not included on any
standard WoodWind's wedding cake.

prior to event. Arrival time for set-up is 1 hour prior to event unless otherwise approved by

Your first Finalization Appointment will
be scheduled. At this appointment we will
review your entire file and complete our
planning.

Exact Menu Selections including appetizer, entrée, potato, vegetable, etc.

(You may color code with a marker placing

If you are having buffet service, you will

Frequently Asked Questions
1. Are all gratuities included in the 18 percent service charge?
The entire service staff is covered. However, it is customary to tip your maitre'd according to your satisfaction.
2.How many wait staff per function?
As a general rule, there will be one wait staff per 20 guests.
3. Is the price to feed the service staff (i.e. band, d.j., photographer, etc.) the same price as other guests?
No. Service staff are billed at two-thirds the invited guest price.
4. Is there a special price for children?
Yes. Children 12 and under get the same meal as adults at one-half the price. Children 5 and under can get a special meal at $19.95 (plus tax, service charge)
5. What is the payment schedule?
At the time of booking, the contract was filled in at the bottom, listing the payment schedule. Please review and mark your calendar accordingly, as The WoodWinds does not send out reminders. All deposits MUST be cash or check. Final payment by certified funds only.
6. After the booking is made, when do we meet again to discuss the details?
A representative from The WoodWinds will call six weeks before your function and set an appointment approximately four weeks before the reception date.
7. ARE THERE ANY DECORATING RESRITCTIONS?
Nothing can be attached to walls, ceilings or floors. Fresh rose petals are not allowed inside the facility. We recommend using artificial petals. Enclosed and floating candles are permitted. open flames and sparklers are not allowed inside the facility
8. Once final payment is made five days prior to reception, what occurs if a guest or guests cancel?
You may ask to have dinners taken to go. There are no refunds once final payment is made.
9. If my ceremony is booked at The WOODWINDS, when can we do a rehearsal?
Unlike a church or temple, The WoodWinds has functions taking place Friday evenings and Saturday afternoons. Therefore, if you choose to do a rehearsal, it should be planned with our Wedding Director for Wednesday or Thursday afternoon.
10. If I have questions between signing the contract and meeting,
when is the best time to call?
Whenever possible, please try to call between 10am - 5p.m during the week, as you will be most likely to reach a representative from the banquet department during these hours. E-mails will be answered promptly, also.
11. What time can we arrive on our wedding day?
In order for WoodWinds to best prepare for your special day it is imperative that you arrive at the time your event has been scheduled for. Please note, this is a strict policy in order to ensure all our events running smoothly and on time: Under no circumstance should this be violated unless you have written, prior approval by management.

ABOUT CHEF SILVIO SUPPA
C
hef Silvio Suppa, author
of “Cooking With Chef Silvio;
Stories and Authentic Recipes
from Campania” is the owner
and Executive Chef of The
WoodWinds and Café Allegre
in Madison, CT. Born in Benevento, Italy, he became passionate
about cooking at a very early age when his mother became ill and
he had to help his grandmother prepare the meals. Silvio learned
how to make true Mediterranean foods from this hands-on learning
experience and also discovered that he enjoyed the creativity process
in his kitchen, and went on to culinary school in Italy.
“Back then we didn’t go to the market, our backyard was the market. We would pick our own fruits and
vegetables along with fresh herbs, eggs and chickens for our meals.”
At age 20 he came to America and soon after began his 25 year partnership at Del Monaco’s Restaurant
on famed Wooster Street in New Haven with his wife Vittoria. Silvio’s delectable Mediterranean cooking
became the talk of the town and word spread about his
culinary creations nationwide. Many celebrities would
come in from New York to dine at his place, and everyone
wanted to take home some of his sauce! The demand for
his sauce grew and Silvio eventually had to package it to
keep his customers happy.
Today, Chef Silvio’s sauce is trademarked and sold
in major supermarkets, gourmet stores and has won
numerous awards!
